The safe way to move from NinjaOne to another RMM is to translate and prove the effective configuration, not to uninstall one agent and install another. Inventory every policy assignment and exception, map each control to an equivalent destination feature, test the result on representative endpoints, then migrate in controlled waves with a tested rollback path.
NinjaOne’s public documentation describes policy administration and API inventory, but it does not establish a universal, destination-neutral policy export that another RMM can import unchanged. Treat any claimed migration utility as a platform-specific feature and verify it in the destination vendor’s current documentation before scheduling a cutover.

What you are actually migrating
An RMM migration is not mainly an agent replacement. It is a transfer of the behavior your endpoints receive: what is monitored, which events create alerts, how patches are assessed and installed, which security and backup settings are enforced, what scripts run, and where notifications go.

NinjaOne defines a policy as a collection of conditions, actions and settings applied to device groups. Its policy model can include monitoring rules, alert thresholds, patch-management behavior, antivirus settings, backup configurations, retention rules and script-based automations. Each endpoint runs the NinjaOne agent, receives its assigned policy and reports telemetry to the platform.

NinjaOne’s policy best-practice guide, dated June 21, 2026, describes policies as containing “endpoint monitoring rules, automation rules, granular patch management options, security solution preferences, and data backup & retention.” Preserve those outcomes even when the destination uses different names, menus or policy objects.
Why policy loss happens during an RMM switch
Several layers determine an endpoint’s effective configuration. A policy name alone is not enough to reproduce it.
- Organization and location: Organizations are the containers in which NinjaOne assigns policies, settings and locations to devices.
- Device role and operating system: Workstations, servers, macOS devices, Linux devices, network devices and virtual machines may use different policy structures or controls.
- Assignment: A device can receive a policy because of its group, organization, location or role.
- Inheritance: A child policy can inherit values from a parent. A parent change flows to the child until a value is overridden; an overridden value can later be reverted.
- Exceptions: A one-off override, disabled rule, custom field or script parameter can be more important than the policy’s default.
Copying a NinjaOne policy copies its values but does not preserve the parent-child inheritance relationship. If you reproduce only the visible settings, you can silently lose inherited controls or carry an exception to the wrong population.
Build a complete baseline before changing agents
Create a point-in-time record of the configuration that is working today. This baseline is the reference for your destination build, pilot acceptance and rollback.
Inventory the scope and hierarchy
Record every organization, location, device group, device role, policy ID, parent policy, child policy, assignment and enabled or disabled state. Include endpoints that are offline, recently provisioned or intentionally excluded. Export the information where your permissions and API access allow it; otherwise capture it in a controlled worksheet.
For each representative endpoint, record the effective policy rather than only the policy attached to the device. Select at least one Windows workstation, Windows server, macOS device and Linux device when those systems are in scope. Add network devices and virtual machines if your environment monitors them. NinjaOne separates policies by device type and role, so a workstation test cannot prove that a server or network-device policy was translated correctly.
Capture every control category
Use the following checklist for each policy and exception:

Use the API as an inventory aid
Where API access is available, enumerate policies, devices, organizations, automation scripts, activities, alerts and custom fields. Store the raw response with a timestamp and preserve the script or query used to obtain it. API output is an inventory source, not proof that a destination can consume the same format. Normalize identifiers in a separate worksheet so that a later destination import cannot overwrite your original values.
Make the baseline readable to humans
Keep screenshots or reports for each policy section, an assignment table, script source and version, and the expected result of every critical control. A useful baseline entry states what should happen, on which device, under what condition and how success will be observed.
| Baseline field | Example of a testable entry |
|---|---|
| Control | Critical disk-space monitor |
| Scope | Windows servers in the production organization |
| Condition | Free space below the defined threshold for the defined duration |
| Expected action | Create a high-severity alert and notify the operations channel |
| Validation evidence | Alert record, notification receipt and cleared-state behavior |
| Rollback action | Re-enable the NinjaOne assignment if the destination test fails |
Freeze uncontrolled changes
Announce a configuration freeze for the migration window, or at least require that every policy change be logged in the baseline. If a patch ring, script or alert threshold changes during the build, you need to know whether a pilot discrepancy is a translation error or a legitimate change.
Translate NinjaOne policies into the destination model
Build a field-level crosswalk before creating production policies. Do not force unlike objects into a one-to-one mapping. A destination may represent an inherited setting as a template, a group rule, a policy layer or a tag-based assignment.
Recreate inheritance deliberately
Draw the current parent-child relationships and mark every overridden value. Then decide which destination object owns each value. Keep global defaults in a common layer, role-specific controls in a role layer and exceptions in a narrowly scoped group. Document whether each exception is intentional and who owns it.
If the destination has no equivalent inheritance, flatten the effective values into explicit policies and record the lost relationship. A flattened policy can be correct, but future parent changes will no longer propagate automatically; assign an owner and review date so the configuration does not drift.
Map scope and identity
Map NinjaOne organizations and locations to the destination’s sites, tenants, groups or tags. Map device roles to the closest destination classification, and document devices that do not fit. Avoid using a broad “all devices” group as a shortcut for a narrowly assigned NinjaOne policy.

Use a field-level crosswalk
| NinjaOne source | Destination representation | Default or gap | Owner | Validation test | Rollback action |
|---|---|---|---|---|---|
| Parent policy and inherited patch schedule | Template plus server/workstation layer | Record the destination default; write “not stated” if no equivalent is documented | Patch owner | Inspect effective schedule on a pilot endpoint | Restore the previous agent assignment |
| Monitoring condition and threshold | Monitor rule and alert policy | Record threshold, duration and severity | Monitoring owner | Generate a controlled test event | Disable the destination monitor and re-enable the old rule |
| Automation script and parameters | Script, task or workflow | Record interpreter, identity and timeout | Automation owner | Run in audit mode and inspect exit output | Stop the task and retain the NinjaOne script |
| Antivirus or security setting | Destination security module or integration | Record unsupported exclusions as an explicit gap | Security owner | Verify status, policy and test detection behavior where safe | Restore the prior security assignment |
| Backup schedule and retention | Destination backup integration | Record repository and retention differences | Backup owner | Complete a test job and verify retention reporting | Keep the existing backup job active until reconciliation |
| Custom field or tag | Destination custom field, tag or inventory attribute | Record whether it is writable and searchable | Platform owner | Compare values on the same endpoint | Export the original value from the baseline |
Translate controls by function
Monitoring and alerts: Rebuild the condition, evaluation interval, threshold, duration, severity, maintenance suppression and clear-state behavior. A destination alert that fires but never clears is not equivalent.
Patching: Map approval, deferral, reboot, maintenance-window and exclusion behavior. Test both assessment and deployment. A patch report that lists updates without installing them does not replace a deployment policy.
Security: Identify whether antivirus settings are native to the destination or supplied by an integration. Recreate exclusions and scan schedules only after confirming their syntax and scope. Record unsupported settings instead of assuming the destination default is safe.
Backups: Match job frequency, retention, repository, encryption or credential requirements and failure notifications. Keep the existing backup protection until a destination job completes and its retention status is visible.
Scripts and automations: Port the source, parameters, execution identity, working directory, timeout, retry behavior and success criteria. A script that runs manually may still fail when the destination agent uses a different account or environment.
Notifications and integrations: Recreate recipients, webhooks, ticket routing and escalation timing. Send a controlled notification and verify the receiving system, not merely the destination console.
Design a representative pilot
The pilot should expose differences before they affect the whole estate. Select endpoints covering every operating system and role, plus critical applications, unusual network paths, low-bandwidth sites, policy exceptions and devices with backup or security dependencies.

Build safely on the destination
- Create destination organizations, sites, groups, tags and policy layers.
- Build policies in disabled, simulation or audit mode where the platform supports it.
- Apply least-privilege credentials and record who can change each policy.
- Load scripts and automations without enabling destructive actions.
- Verify that maintenance windows and alert suppressions will not overlap incorrectly.
Install the new agent without removing NinjaOne
Use a controlled deployment method such as an approved software-distribution tool, scripted package or local maintenance procedure. Confirm that the destination agent checks in, receives the intended policy and reports inventory before removing NinjaOne. During coexistence, prevent duplicate patch deployment, competing reboots, duplicate alerts and conflicting security actions. If the destination cannot safely coexist with NinjaOne, keep the old agent installed until the new agent has passed its pre-cutover checks, then remove it as the final pilot step.
Run acceptance tests
| Area | Acceptance test | Pass evidence |
|---|---|---|
| Heartbeat and inventory | Confirm the endpoint checks in, reports the correct role and shows current hardware and software inventory | Recent check-in and matching baseline record |
| Monitoring | Trigger a harmless test condition or use a documented simulation | Correct alert, severity, recipient and clear state |
| Patching | Run assessment, then deploy an approved test update inside the maintenance window | Assessment, installation and reboot behavior match the baseline |
| Security | Inspect policy status, exclusions and scheduled scans; use an approved safe test where required | Destination reports the intended security state |
| Backup | Run a test job and inspect failure and retention reporting | Successful job and visible retention outcome |
| Automation | Run each critical script with production-like parameters | Expected output, exit status and logging |
| Remote access | Connect with the correct operator role | Connection succeeds and permissions are appropriate |
| Notifications | Generate a controlled alert and follow its route | Ticket, email, chat or webhook arrives once |
| Failure recovery | Stop or disable a destination task and restore the known-good assignment | Rollback procedure completes within the planned window |
Compare the pilot’s observed results with the human-readable baseline. Record differences as either an intentional improvement, an accepted gap or a defect that blocks the next wave. Do not approve a pilot because the destination console merely displays the endpoint as online.

After the pilot passes, migrate by organization, location or device role rather than changing every endpoint at once. A wave should be small enough that an operator can inspect failures and reverse the change.
Use a wave gate
- Every endpoint in the wave has a destination installer and a reachable rollback path.
- Destination policies are enabled for the exact groups in scope.
- Critical monitoring, patching, security and backup tests have passed on the pilot.
- Operators know which alerts are expected during coexistence.
- The NinjaOne baseline, installer and credentials are available to the on-call team.
- A named owner can stop the wave and approve continuation.
Migration sequence
- Export the wave’s endpoint list and compare it with the destination target group.
- Notify stakeholders about the maintenance window, expected alerts and support contact.
- Install or activate the destination agent on the approved endpoints.
- Wait for each endpoint to check in and receive the correct effective policy.
- Run heartbeat, inventory and critical-control checks.
- Disable or remove the NinjaOne assignment only after the destination checks pass.
- Watch alerts, patch activity, scripts, backup jobs and notifications throughout the observation period.
- Record exceptions and stop the wave if a critical control fails.
Keep rollback practical
Retain the NinjaOne installer, credentials, policy baseline and reversal procedure until the destination has met the stability period agreed by your team. A rollback plan should state who makes the decision, which destination policies are disabled, how the NinjaOne agent is restored, how duplicate tasks are prevented and how endpoint ownership is verified afterward.
Reconcile the estate before decommissioning NinjaOne
Do a final endpoint-by-endpoint reconciliation. The destination inventory should account for every in-scope NinjaOne endpoint, including devices that were offline during a wave. Investigate devices that appear in both systems, in neither system or under the wrong organization or role.
For each critical control, record the destination owner and evidence of operation. Pay particular attention to disabled policies, inherited values, custom fields, scripts with no recent run, backup jobs that have never completed and alerts with no recipient.
Do these 3 things before closing this tab:

How to evaluate a replacement RMM
When comparing destination platforms, score capabilities against your actual crosswalk rather than choosing from feature names. A platform that has “patching” may not reproduce your approval rings, reboot rules or exclusions.
| Evaluation axis | Questions to answer before committing |
|---|---|
| Policy layering and inheritance | Can global, role and exception settings be represented without accidental overrides? Can you inspect the effective policy? |
| Script and automation portability | Are your interpreters, parameters, identities, schedules, retries, timeouts and logs supported? |
| Patch and third-party update coverage | Can it reproduce assessment, approval, maintenance windows, reboot handling and exclusions? |
| Security and backup integrations | Are required products supported, and can status, failures and retention be reported centrally? |
| API and export depth | Can you enumerate policies, devices, organizations, scripts, activities, alerts and custom fields? |
| Agent deployment and coexistence | Can you deploy reliably across your operating systems and networks while the old agent remains? |
| Alert and notification fidelity | Can conditions, severity, suppression, escalation and clear states be reproduced? |
| Rollback support | Can you disable destination actions and restore the prior agent without losing evidence or access? |
| Licensing and partner terms | Are the commercial terms, minimums and migration assistance documented for your region and edition? |
Ask the destination vendor to demonstrate your highest-risk controls with a test tenant or pilot license. Require written answers for any control marked unsupported or “on the roadmap”; do not treat a sales statement as proof of policy equivalence.
Common failure modes and fixes
Assuming export means import
Symptom: A policy file imports, but inheritance, assignments or exceptions are missing. Fix: Treat the file as a source for translation, compare effective settings and rebuild scope explicitly.
Recommended Free Tools
Removing NinjaOne before the replacement checks in
Symptom: An endpoint disappears from monitoring and cannot receive the new policy. Fix: Require a recent destination check-in, correct group assignment and pilot acceptance before removal.
Testing only the agent heartbeat
Symptom: Devices show online while patching, backup, scripts or alerts do not work. Fix: Test each critical control category separately and retain evidence.
Flattening inheritance without documenting it
Symptom: A later global change updates some devices but not others. Fix: Record the flattened values, assign an owner and schedule a review, or reproduce inheritance with destination layers.
Ignoring disabled settings and exceptions
Symptom: The destination enables a control that was intentionally disabled, or applies a server rule to workstations. Fix: Include disabled states, overrides and exclusions in the baseline and crosswalk.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Allowing duplicate automation
Symptom: Devices reboot twice, receive duplicate tickets or run scripts concurrently. Fix: Define coexistence rules, disable overlapping destination actions during the pilot and monitor activity logs.
Leaving offline endpoints behind
Symptom: The migration report shows success, but dormant devices still rely on NinjaOne. Fix: Reconcile both inventories, contact owners, and keep the old service available until every exception has an owner and plan.
Practical completion criteria
Consider the migration complete only when all of the following are true:
Quick Recap
- Every in-scope endpoint is accounted for in the destination inventory or has a documented exception.
- Organizations, locations, roles, assignments, inheritance decisions and overrides are represented.
- Monitoring, alerts, patching, security, backup, scripts, remote access, custom fields and integrations have owners and validation evidence.
- No critical endpoint has an unowned policy equivalent or an unexplained monitoring, patching or backup gap.
- Operators can execute and verify rollback.
- The agreed stability period has elapsed without unresolved critical failures.
- Old agents and credentials are removed only after the final reconciliation and approvals.
