How to Migrate Email, Contacts, Calendars, and Files out of Google

To migrate email, contacts, calendars, and files out of Google, first export or transfer each type of data, then import it using the destination service’s supported method. Google Takeout creates an archive; it does not, by itself, move your data into another provider. Choose the destination and check its import options before starting, keep an untouched backup of the export, and leave the Google account open until you have verified the new copies and deliberately changed mail routing.

What “migrating out of Google” involves

A successful move has two parts: getting a copy of your data out of Google and making that copy usable in the destination. An export archive is useful for backup and can be an input to a migration, but it is not proof that another email, calendar, contacts, or file service has imported anything. Import support differs by provider, account type, and data type.

You do not have to move everything to one destination. For example, email might move to a work mail service while personal contacts, calendars, or files go somewhere else. Decide where each category is going before choosing export formats; a format offered by Google is not automatically accepted by the destination.

Data What to plan for
Email Choose a destination-supported Gmail import, IMAP, mailbox migration, or Outlook/PST route. Check how labels, folders, large messages, and account rules are handled.
Contacts Export in a format accepted by the destination, then inspect names, addresses, groups, and custom fields.
Calendars Use the destination’s current import route and verify recurring events, sharing, time zones, guests, and conferencing details.
Drive files Export or use a destination-specific transfer route. Check folder structure, permissions, ownership, and whether Google editor files need conversion.

The instructions below distinguish a personal Gmail account from an organization using Google Workspace. Microsoft 365 and Outlook are examples with documented Google import and migration guidance, not the only possible destinations.

Before you begin: inventory accounts and check the destination

  1. List every Google account. Mark whether each is personal Gmail or part of a Google Workspace organization. Do not assume an organization’s administrator migration steps apply to a personal account.
  2. Choose a destination for each data type. Record where email, contacts, calendars, and files will go. Note any data you intend to leave behind or retain only as an archive.
  3. Identify dependencies. Write down custom domains, aliases, forwarding, shared calendars, shared Drive folders, and files created in Google Docs, Sheets, or Slides. For organizations, identify users, administrators, and any domain or mail-routing changes required.
  4. Read the destination’s current import instructions. Confirm accepted formats and whether it offers a direct transfer, a service-to-service migration, or only manual import. In particular, do not choose an MBOX export on the assumption that every mail provider can import it.
  5. Set up enough destination capacity and access. Make sure the receiving accounts exist and that you have the permissions needed to import data. Workspace migrations may require administrator preparation and domain or routing work before batches can run.

This planning step prevents a common dead end: having an archive but no supported way to turn it into working mail, a calendar, or an editable file library.

Create and protect a Google Takeout export

Google Takeout lets you select Google products and data, choose how the export is delivered, and set archive options. Use it when you need an independent copy, when the destination accepts the resulting format, or both. Google Account Help warns that some changes made after an export request may not appear in the resulting archive, so treat it as a snapshot rather than a continuously synchronized copy.

  1. Open Google Takeout while signed in to the account you are exporting.
  2. Select the products and data you need. Include only relevant categories if you want a smaller archive, but check carefully that you have not omitted a mailbox, calendar, or Drive data you intend to retain.
  3. Choose the delivery method and archive settings. If you select delivery to a non-Google cloud provider, that provider’s terms govern the archive once it arrives there.
  4. Create the export and wait for Google to prepare it. If creation fails or the archive is too large to handle, Google suggests selecting fewer products or making smaller exports.
  5. Download and inspect the result on a computer. Google Account Help recommends downloading and viewing Takeout exports on a desktop computer, not a mobile device.
  6. Keep the original archive untouched as a backup. Make a working copy before unpacking, converting, or importing files, and store the backup somewhere private with enough space.

Google Account Help says Takeout archives expire in about seven days and each archive can be downloaded five times; these are current page rules, not guarantees about how long you will retain your own downloaded copy. Download promptly and confirm that the local copy opens. Choosing a 50 GB archive-size limit can reduce the chance of an export being split into multiple archive files, although Google may still split an export according to the configured limit.

For a large export, local disk space may be a constraint. A portable external hard drive is an optional way to keep a separate copy; choose storage capacity based on the archive size and leave room for extracted working files. The archive can contain private messages, contact details, and documents, so protect access to it and avoid leaving it in a shared or public location.

Move email out of Google

Personal Gmail accounts

For personal Gmail, use the receiving provider’s current Gmail import or IMAP instructions. The available process and supported formats depend on that provider. Microsoft Support’s Outlook import and export guidance includes Gmail-to-Outlook instructions and PST import options, but an Outlook path should not be assumed to work the same way at another service.

Google Takeout can package Gmail data as an MBOX archive. That is an export format, not a universal mailbox-import standard for consumer services. Before relying on it, check whether the destination accepts MBOX, how it maps mail to folders, and whether labels are preserved or become folders. Google says Takeout includes Gmail labels in a special X-Gmail-Labels header, but most mail clients do not recognize that header. A successful message import therefore does not necessarily recreate Gmail’s label organization.

If the destination offers a direct Gmail import, follow its instructions and keep the source account available while the import runs. If it requires an intermediate mail client or a PST file, check the destination’s requirements for that workflow first. Do not delete the Gmail account just because a transfer tool reports completion; inspect the destination mailbox and test sending and receiving there.

Google Workspace organizations moving to Microsoft 365

Microsoft documents a separate Google Workspace-to-Microsoft 365 migration for organizations. Its options include an automated Exchange admin center batch migration, a manual batch method, and a PowerShell method. The automated batch route lets administrators move users in stages and keep both environments active during the transition. Microsoft recommends the automated batch approach over the manual batch method.

This is an administrator-led project, not a consumer Gmail import. It requires preparation that includes domain verification and routing setup, as well as planning the user batches and cutover. Microsoft advises organizations that are not comfortable with the DNS and administrative work to plan for help. A very small business with a few users may instead use another method, such as importing through Outlook with a PST file.

Microsoft Learn’s documented migration configuration has a default maximum single-message size of 35 MB. That is a configuration limit for the documented route, not a general limit for all mail moves. Microsoft also documents policy-related caveats and other migration exclusions; review the current limitations for the specific route before starting. Do not assume that every message, rule, label, or other mailbox detail will transfer perfectly.

Plan the mail cutover rather than switching early

For an organization, the existence of destination mailboxes does not by itself redirect new messages. Coordinate the planned routing or MX-record change with the administrators responsible for the domain. Stage migrations where appropriate, check the copied mail, and then make the routing change deliberately. Keep access to the old Google environment while users and administrators verify the result.

Move contacts out of Google

Contacts are relatively portable compared with mail organization or shared-calendar behavior. Google says Takeout exports contacts as vCard, a common format used by email providers. Microsoft’s Outlook documentation also describes exporting Google contacts as Outlook CSV and importing that file into Outlook. Use the format the destination actually accepts rather than assuming that all contact fields map identically.

Seagate Portable 4TB External Hard Drive HDD – USB 3.0, 1-Year Rescue | Everyday HDD storage. Plug-and-play backup. Windows & macOS. Adobe CC trial included. 1-Year Warranty
  • Easily store and access 4TB of content on the go with the Seagate Portable Drive, a USB external hard drive.Specific uses: Personal

  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.
  1. Check the destination’s supported contact import formats and any field or file-size requirements.
  2. Export contacts from Google Contacts using an accepted format, such as vCard where supported or Outlook CSV for the documented Outlook workflow.
  3. Import the file into the destination account using its contact-import instructions.
  4. Inspect representative records and compare the destination list with the source before considering the move complete.

In the destination, check full names, multiple email addresses, phone numbers, labels or groups, and custom fields. Some services may not support every source field or group in the same way. Resolve duplicates or missing information while the Google copy is still available.

Move calendars out of Google

Calendar migration depends on the destination and account type. Use the destination’s current calendar-import instructions; Microsoft Support lists a Google Calendar import path for Outlook. The available evidence does not establish one universal calendar workflow that works across all competing providers, so verify the receiving service’s supported format and behavior before exporting.

After import, inspect more than the total number of events. Check recurring events, time zones, guests, conferencing links, and shared-calendar access. A calendar file or import may carry event details without recreating the source calendar’s sharing relationships or external integrations.

For Workspace organizations using Microsoft’s documented migration route, calendar entries can be migrated, but Microsoft lists specific limitations: shared calendars, event colors, and room bookings do not migrate. Identify these items in advance and decide whether they need to be recreated manually or handled through another organizational process. Do not promise users that a calendar migration will preserve these features.

Move Drive files out of Google

You can select Drive data in Takeout for an export, or use a transfer or import method provided by the destination. Google’s general export help supports selecting Drive data and sharing or uploading exported data to third-party services, but a general export option does not prove that every competing cloud drive can directly import every item. Check the receiving service’s current instructions before deciding how to handle a large Drive.

Pay particular attention to Google Docs, Sheets, and Slides. Do not assume that each native Google editor file will arrive as an editable document in another service. Depending on the export and destination, you may need to convert those items to formats the new service supports. Verify a sample of converted documents for layout, formulas, comments, and other important content rather than relying on a file count alone.

Check folder structure, file counts, permissions, shared-folder ownership, and whether users can open the resulting files. An export of your data is not necessarily a transfer of the original sharing relationships. For organizations, record which files are shared and who needs access before moving them so permissions can be restored in the destination as needed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Google’s Workspace migration guidance describing downloads of Drive files and moves into a new Drive addresses a move into Google Workspace. It should not be treated as a universal outbound import procedure for a different cloud provider.

Verify the copies before changing routing or closing Google

Verification is part of the migration, not an optional cleanup step. Compare expected and imported counts where the destination makes that possible, then spot-check actual records and files. An export or migration completion notice does not establish that every item is present, readable, correctly organized, or shared with the right people.

  • Email: Check recent and older messages, representative folders or labels, attachments, and any important large messages. Send a test message from the destination and confirm that it can receive a reply.
  • Contacts: Compare the number of records and inspect names, multiple addresses, phone numbers, groups, and any important custom fields.
  • Calendars: Open representative single and recurring events. Check time zones, guests, conferencing details, sharing, and any organization-specific room bookings or color conventions.
  • Files: Compare folder and file counts, open representative files, test converted documents, and check permissions and shared-folder access.
  • Mail delivery: Confirm aliases and forwarding, and test delivery to the destination after the planned routing change. For a custom domain, coordinate the routing change with the people who administer its DNS and mail service.
  • Recovery copy: Confirm that the independent archive is safely stored and that the downloaded files can be opened before removing source data.

For a Workspace project, migrate in planned batches, communicate what users should check, and coordinate the routing change with administrators. Keep the old Google account or Workspace environment accessible until those checks are complete and the destination is working as intended. Only then decide whether to close the account or end the old service, taking account of any retention or organizational requirements.

Choose the route that fits your account

Situation Practical route Key caution
Personal Gmail to a new mail provider Use that provider’s current Gmail import or IMAP instructions; use Takeout as an independent export or where the provider supports the resulting format. Do not assume MBOX imports everywhere or that Gmail labels will reappear as labels.
Personal Gmail to Outlook Follow Microsoft Support’s Gmail-to-Outlook import guidance; check its PST options if using an Outlook-based transfer. Inspect mail organization and imported contacts or calendar data rather than treating a completed import as proof of fidelity.
Google Workspace organization to Microsoft 365 Review Microsoft Learn’s staged migration requirements and use the administrator-led route suited to the organization. Plan domain verification, routing, batch timing, documented limits, and features that do not migrate.
Google Drive to another cloud provider Check that provider’s current import or transfer support, then export or transfer the specific Drive data it accepts. Native Google files, folder permissions, shared ownership, and editability may require separate checks or conversion.

The safest overall approach is to keep three things distinct: the source account, the export archive, and the imported destination copy. Keep all three available during the transition where practical, and retire the source only after you have verified the destination and completed any planned mail-routing change.
