Compare the recurring revenue attributable to those same customers at the end of the period. Net revenue retention (NRR) includes expansion and subtracts contraction and churn; gross revenue retention (GRR) subtracts contraction and churn but excludes expansion. Because AI products often mix subscriptions with token, API-call, or agent-action charges, publish the revenue basis and usage treatment with every figure, then examine customer usage and inference cost alongside retention.
What revenue retention measures
Revenue retention answers a specific question: how much recurring revenue did an existing customer group preserve or generate over time, without counting customers acquired after the measurement began? The unit is a starting cohort, not the whole customer base. A cohort might contain every account paying on January 1, or customers in a defined segment that were active at the start of a quarter.

Freeze the cohort at the opening timestamp and follow those customer accounts through the period. New-logo revenue is deliberately excluded. If a customer joins in February, its revenue belongs in new business reporting, not in the January cohort’s NRR or GRR.

State the recurring-revenue measure before calculating anything. Contracted ARR, contracted MRR, billed recurring revenue, recognized revenue, and a usage-inclusive recurring measure are not interchangeable. A result is meaningful only when the same basis is applied at both endpoints and the definition is shown beside the chart.

NRR (net dollar retention)
NRR, also called net dollar retention (NDR), measures the ending recurring revenue from the starting cohort after expansion, contraction, and churn. Use:
NRR = (starting cohort recurring revenue + expansion − contraction − churn) ÷ starting cohort recurring revenue × 100
Expansion can include upgrades, additional seats, cross-sells, price increases, or higher measured usage, but your policy must name the movement types included. NRR above 100% means the cohort’s measured recurring revenue grew under that policy; it does not prove profitability, product quality, or sustainable demand.
GRR (gross revenue retention)
GRR isolates how much starting revenue remained before expansion is credited:
GRR = (starting cohort recurring revenue − contraction − churn) ÷ starting cohort recurring revenue × 100
Under this convention, GRR cannot exceed 100%. A customer’s upgrade cannot offset another customer’s cancellation in GRR, although both movements affect NRR.
NRR and GRR side by side
| Measure | What stays in the numerator | Expansion included? | What the result tells you |
|---|---|---|---|
| NRR/NDR | Starting-cohort recurring revenue plus expansion, less contraction and churn | Yes | Whether the cohort grew or shrank in recurring revenue overall |
| GRR | Starting-cohort recurring revenue less contraction and churn | No | How well the existing revenue base was protected before upsell |
Report both when possible. A high NRR with weak GRR can indicate that a small group of expanding accounts is masking widespread losses. A strong GRR with NRR near 100% indicates good preservation but limited expansion.

How to calculate AI SaaS NRR step by step
- Choose the revenue basis. Decide whether the metric uses contracted ARR/MRR, billed recurring revenue, recognized revenue, or another explicitly defined measure. Record currency, FX conversion policy, and whether the endpoint is a month-end, quarter-end, or trailing-period average.
- Set the cohort start. Freeze the customer or account IDs that had qualifying recurring revenue at the start date. Do not add later customers to this set.
- Capture starting revenue. Sum the chosen revenue measure for those IDs at the start. Keep a customer-level opening balance so the total can be audited.
- Separate new logos. Tag revenue from accounts first activated after the start date as new business. Exclude it from the cohort movement ledger.
- Classify every movement. For each starting account, label increases as expansion, decreases short of zero as contraction, and a zero ending balance caused by cancellation as churn. Define reactivation separately if a customer returns after a zero period.
- Apply usage rules. Include or exclude token, API-call, agent-action, overage, committed-minimum, credit, and arrears charges according to the policy you published. Use the same rule at both endpoints.
- Calculate NRR and GRR. Sum the movement columns and apply the formulas. Reconcile the ending cohort total to the customer-level ledger.
- Segment the output. Break out meaningful cohorts such as enterprise versus self-serve, plan, geography, acquisition quarter, product, or annual-contract value when sample size supports it.
- Publish the definition. Put the cohort dates, revenue basis, movement rules, endpoint or averaging method, and any restatement directly beside each chart.
Worked calculation
Assume a fixed cohort begins with $100,000 of recurring revenue. During the period, customers churn $5,000, downgrade by $2,000, and expand by $8,000.
| Movement | Amount |
|---|---|
| Starting cohort recurring revenue | $100,000 |
| Churn | −$5,000 |
| Contraction | −$2,000 |
| Expansion | +$8,000 |
| Ending cohort recurring revenue | $101,000 |
NRR is ($100,000 − $5,000 − $2,000 + $8,000) ÷ $100,000 = 101%. GRR is ($100,000 − $5,000 − $2,000) ÷ $100,000 = 93%. The 101% figure is an illustrative worked example published by Stripe, not an industry benchmark.
How to classify expansion, contraction and churn
Expansion
Expansion is recurring revenue added by an account already in the starting cohort. Possible sources include a higher plan, more seats, a cross-sold module, a contractual price increase, or additional usage that your policy treats as recurring. Distinguish a permanent price change from a one-time service fee; one-time fees do not belong in a recurring-retention numerator.
Contraction
Contraction is a reduction that leaves the account active: fewer seats, a lower plan, removed modules, a negotiated discount, or lower committed recurring value. If a customer reduces to zero and leaves, classify the lost amount as churn rather than contraction.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesChurn
Churn is recurring revenue lost when an account becomes inactive or cancels. Define the effective date. A cancellation submitted on the 20th but effective at the next renewal should generally remain active until the effective date, provided that convention is used consistently.
Reactivation and pauses
Decide whether a paused account remains in the cohort, produces contraction, or is treated as churn. If it returns, label reactivation separately instead of silently treating the return as expansion. Publish the rule because reactivation can materially change both the numerator and the apparent expansion rate.
How usage-based AI revenue should enter retention
AI products may use a fixed subscription, consumption pricing, or a hybrid base fee plus usage. Common value metrics include tokens, API calls, and agent actions. A base subscription is predictable recurring revenue; overage generated by higher consumption can be counted as expansion when your stated metric treats that usage as recurring.

Before adding variable charges, answer these questions in the metric definition:
- Is the measure contracted ARR/MRR, billed revenue, recognized revenue, or another recurring basis?
- Do committed minimums count at commitment, at invoice, or only when consumed?
- Are included credits valued as revenue, and how are unused credits treated?
- Are overages billed in arrears assigned to the service period or invoice date?
- Does usage count as recurring revenue for every cohort and every period, or only for certain plans?
- How are refunds, disputes, write-offs, taxes, and foreign-exchange movements handled?
Do not mix contracted subscription ARR at the opening date with recognized usage revenue at the closing date. That creates an apparent movement caused by accounting basis rather than customer behavior. If late-arriving usage is material, show billed usage, unbilled usage, and the cutoff date so readers can see what is provisional.
Track usage economics, not just usage growth
More tokens or agent actions do not automatically mean healthy expansion. Inference expense can grow faster than revenue and compress margin. Maintain customer-level usage, billed amount, infrastructure or inference cost, and resulting gross margin. Daily aggregation is a practical operating pattern described in AWS guidance for multi-tenant generative-AI gateways. Analyze whether an expanding account is profitable, approaching a costly workload pattern, or consuming included credits without producing paid expansion.
Customer and account identity rules
A retention calculation fails when the same economic customer appears under multiple IDs or when subsidiaries are merged inconsistently. Choose an account hierarchy and keep it stable for the reporting period.
- Parent and subsidiary treatment: decide whether each legal entity is separate or whether a parent-level contract is the customer.
- Mergers and transfers: document whether an acquired account keeps its original identity or is re-keyed.
- Plan and product bundles: map component products to one account ledger so a bundle migration is not mistaken for churn and new business.
- Currency: convert consistently and disclose the FX rate date or averaging method. Do not label FX translation as customer expansion or contraction unless that is explicitly your chosen convention.
- Billing changes: preserve a link between invoices, subscriptions, usage records, and the canonical customer ID.
Choosing the period and averaging method
Monthly, quarterly, and trailing-twelve-month views answer different questions. A month-end comparison is sensitive to invoice timing and annual renewals. A quarterly view smooths some noise but can still be affected by a large renewal. A trailing-twelve-month view reduces seasonality and captures annual contract cycles, but it is slower to reveal a recent deterioration.
State whether the calculation compares a single endpoint or an average. SailPoint’s public-company disclosure, for example, compares ARR from the same subscription customers with their ARR 12 months earlier and uses a trailing-four-quarter weighted average; it reported 113% dollar-based net retention as of July 31, 2026. That is SailPoint’s company-defined operating metric, not a universal target, and the company cautions that ARR is not subscription revenue.
CrowdStrike similarly starts with prior-period ARR for subscription customers, includes expansion, nets contraction and churn, excludes new subscription customers, and defines GRR from the remaining ARR after inactive customers are removed. These are issuer-specific operating definitions; identical labels do not guarantee identical calculations.

Comparing companies, cohorts or periods fairly
Put figures side by side only after aligning the dimensions below. If an item differs, label the comparison as limited rather than presenting a ranking.
| Comparison dimension | Questions to align |
|---|---|
| Revenue basis | ARR/MRR, billed revenue, recognized revenue, or usage-inclusive recurring revenue? |
| Cohort and identity | Which customers qualify, and are subsidiaries grouped consistently? |
| Period and endpoint | Month, quarter, 12 months, or a weighted trailing average? |
| Usage treatment | Do overages, credits, minimums, arrears, and late usage count? |
| Movement rules | How are price increases, pauses, reactivations, bundles, and refunds classified? |
| Mix | Are segments, plans, contract sizes, products, and geographies comparable? |
| Economics | What customer-level gross margin or inference cost accompanies the revenue change? |
Public disclosures demonstrate why this matters: company-defined NRR and GRR can use different cohort windows, averaging, and ARR conventions. Never treat a reported percentage as directly comparable without reading its definition.
What is a good NRR for AI SaaS?
There is no universal AI SaaS NRR benchmark established by the available standards and disclosures. A “good” result depends on customer segment, contract size, maturity, product mix, pricing model, period, and the cost of serving usage.
Use the metric as a decision signal rather than a target detached from context:
- Compare the same definition with your own prior cohorts.
- Pair NRR with GRR to distinguish protection from upsell.
- Inspect logo churn, expansion rate, renewal timing, and concentration by account.
- For AI usage, pair revenue retention with inference cost and gross margin.
- Explain any methodology change and restate historical periods when practical.
The 113% figure disclosed by SailPoint for July 31, 2026 is company-specific. It should not be generalized as an AI SaaS goal or used to judge a business with a different customer mix or usage model.
Building an auditable retention data model
A practical ledger has one row per customer, period, and revenue component. Keep opening recurring revenue, each movement type, ending recurring revenue, usage quantities, billed usage, unbilled usage, and cost fields. Store the source invoice, subscription event, or usage event identifiers so finance and product teams can reproduce the total.

Minimum fields
- Canonical customer and parent-account IDs
- Cohort start and measurement end timestamps
- Plan, product, segment, geography, and contract term
- Opening and ending recurring revenue in the reporting currency
- Expansion, contraction, churn, and reactivation amounts
- Usage quantity by metric, such as tokens or API calls
- Included credits, committed minimums, overages, and invoice status
- Inference or infrastructure cost and calculated gross margin
- Definition version and any restatement flag
Reconcile the ledger to the billing system and general-ledger reports without silently substituting recognized revenue for an ARR measure. When a definition changes, retain the old result, label the new version, and show the impact on historical periods.

Reporting dashboard and interpretation
Each retention chart should display the cohort start, end date, revenue basis, currency and FX policy, endpoint or averaging method, and movement inclusions. A useful dashboard pairs:
- NRR and GRR for the same cohort
- Expansion, contraction, and churn dollars separately
- Logo retention and customer count movement
- Usage volume, billed usage, and late-arriving usage
- Inference cost and gross margin by customer or segment
- Distribution of outcomes, not just the aggregate percentage
Investigate concentration. An aggregate NRR above 100% may result from one very large expansion while many smaller customers contract. Review cohort distributions, account-level outliers, and renewal dates before concluding that the product is broadly expanding.
Common mistakes and how to fix them
Counting new customers in NRR
Symptom: NRR rises whenever sales acquisition accelerates. Fix: freeze the opening cohort and exclude every account first paying after the start date.
Recommended Free Tools
Calling all invoice revenue recurring
Symptom: implementation fees, taxes, or one-time credits inflate expansion. Fix: separate non-recurring charges and state exactly which recurring components qualify.
Changing usage treatment mid-series
Symptom: a pricing migration produces a discontinuity that looks like expansion. Fix: publish a versioned rule, apply it consistently, and restate prior periods where possible.
Ignoring arrears and cutoff timing
Symptom: the closing month appears weak because consumption invoices arrive later. Fix: show accrued or unbilled usage separately and disclose the cutoff.
Overlooking inference cost
Symptom: usage revenue grows while gross margin falls. Fix: join usage and cost data at customer level and report margin with retention.
Comparing unlike disclosures
Symptom: two companies’ NRR percentages are ranked as if they use one standard. Fix: align cohort, period, revenue basis, usage rules, and averaging method first.
