Check suggested matches before accepting them, and investigate missing statement lines before entering anything manually.
Prepare the account before reconciling
Enter the records that should correspond to bank activity first: invoices, bills, credit notes, expense claims, payments, and spend or receive money transactions. This makes it easier to identify whether a statement line already has a matching accounting entry.

Check that the bank account’s opening balance is correct and that the statement balance shown in Xero agrees with the balance at the bank. Xero’s reconciliation guidance recommends these checks before you begin.
Work through unreconciled statement lines
Open the bank account’s reconciliation view and review its unreconciled statement lines. For a long list, narrow it down by date or amount, then handle each line in turn. The goal is to connect the bank’s record of activity with the corresponding transaction in Xero.

Match a line to a transaction already in Xero
Xero compares statement-line details with account transactions and suggests a likely match. Treat the suggestion as a candidate: check the payee, amount, date, and underlying record before confirming it. Xero may show alternative matches; if the transaction exists but is not suggested, review the alternatives or use find and match to locate it. These steps follow Xero’s matching workflow, with verification serving as a practical safeguard.
A single statement line can relate to more than one transaction—for example, a grouped payment. Confirm that the selected transaction or group accounts for the bank line rather than matching solely because one amount looks similar. Xero explains that a reconciled line can link to one or more account transactions in its statement-line guidance.

Create a transaction only if no existing record applies
If the statement line has no corresponding transaction in Xero, create the appropriate transaction during reconciliation. Suggestions may be based on bank rules, similar entries reconciled previously, or machine-learning predictions using statement details. Review and edit a suggested entry as needed before accepting it; do not create a second transaction when the original entry is already present. See Xero’s guidance on bank rules and suggested matches.
For a movement between two of your bank accounts, use the transfer workflow rather than categorising the line as ordinary income or spending. Xero advises creating the transfer in only one account. If it has already been created from the other account, match the statement line to that existing transfer.

Choose how to bring statement lines into Xero
| Method | When it fits | What to keep in mind |
|---|---|---|
| Bank feed | A feed is available for the account and the relevant dates. | The bank controls when recent transactions are sent, so activity in online banking may not yet appear in Xero. Feed history may also not cover older dates. |
| Statement-file import | A feed is unavailable, delayed, or does not cover the dates you need. | Export the relevant date range from online banking and import the file. Xero’s bank-connection guidance lists OFX, QIF, and CSV as supported formats and recommends OFX where possible. Review import warnings, errors, and possible duplicates before completing the import. |
For a CSV import, use the regional Xero instructions applicable to your account for the exact file and column requirements; those details can vary. Avoid importing a file until you have checked its date range against lines already in Xero, since overlapping activity can create duplicates.
Find missing or duplicated statement lines
No statement lines appear
- Check whether the dates you need are earlier than the connected feed’s available history.
- Allow for feed timing: Xero says the bank controls when recent transactions become available, so a transaction visible in online banking may arrive later.
- Check whether a feed is available for your bank and account. If it is not, import an exported statement for the required date range.
A line is missing from an otherwise active feed
Compare the relevant date range with the bank’s online statement and consider whether the feed has finished updating. If the line remains unavailable or the feed does not cover that history, use a statement-file import for the gap. Check existing Xero lines first so you do not import the same activity twice.

The same activity appears more than once
Before reconciling either copy, inspect the dates and amounts and check whether the statement was imported for a period already covered by the feed or another file. Review possible-duplicate warnings during import. Do not reconcile both copies as separate real transactions unless the bank statement confirms they are distinct.

Inspect and correct a reconciliation
Use the bank statement line view to check a line’s source and status. Xero identifies whether a line came from a bank feed, file import, or manual reconciliation. Opening a reconciled line lets you inspect the account transaction or transactions linked to it.
Best Value
- Open the relevant bank statement line and inspect the linked transaction or transactions.
- If the wrong record was matched, undo or unreconcile that match using the available action for the line.
- Return the line to reconciliation and match it to the correct existing transaction, or create the appropriate transaction if none exists.
Interface wording and navigation can vary by Xero region and account. Xero’s instructions for undoing a bank reconciliation explain the correction workflow.
Verify the account after reconciling
- Check that each statement line in the period has been matched or correctly used to create a transaction.
- Inspect any remaining unreconciled lines and confirm they are genuinely outstanding rather than missing imports or duplicates.
- Recheck the account balance against the bank statement and investigate any difference before relying on the reconciled records.
Xero also documents automatic bank reconciliation powered by JAX as a beta. It reviews statement lines imported after the feature is turned on and automatically reconciles only when confidence is high; other lines remain for manual review. Availability and eligibility may change by region and plan, so consult current local Xero guidance rather than assuming the feature is available to every account.
For exact feed availability, interface labels, import steps, and feature access, use Xero Central documentation for your country, bank, and plan.
