Below is a practical, step-by-step guide to show OOO in your Outlook calendar (so meetings don’t get booked over you), plus the best companion options like Automatic Replies.

What it means to mark out of office in Outlook
In an Outlook scheduling workflow, your calendar OOO block controls free/busy and how others perceive your availability. Separate from that, Automatic Replies control what email recipients see when they contact you.
For most teams, the calendar block is what prevents scheduling collisions; Automatic Replies is what reduces back-and-forth while you’re away.

Prerequisites and what you need to decide first
Before you create your OOO, decide these three details.
- Is it an all-day absence or specific hours? All-day blocks are easier to interpret.
- Should your status be Busy or Free? If you want scheduling to avoid you, use Busy (or the closest equivalent available).
- Do you need an email message? If people can still email you, set Automatic Replies for your mailbox or shared mailbox.
Also check whether you’re using classic Outlook (Windows), Outlook on the web, or the new Outlook client—UI labels differ.
Method 1: Create an Out of Office calendar block (free/busy control)
This method is the most direct answer to the question. You create an event (or all-day event) that marks you as unavailable.

Use a calendar event with the right Show As setting.
- Open Outlook and go to Calendar.
- Select the date/time you’ll be out. For full days, click the day and choose the time grid.
- Click New Event (or double-click the time slot).
- Title it something clear, like Out of Office or OOO – Vacation.
- Set the start and end. For all-day absence, check All day event.
- In the event ribbon, find Show As and set it to Out of Office (or Busy, depending on your Outlook version).
- (Optional) Add location or a note in Details (e.g., returning on Sept 23, backup contact).
- Click Save & Close.
Outlook on the web (OWA)
OWA uses a similar approach: create an event and set availability/visibility via Show as.
- Go to outlook.office.com and sign in.
- Open Calendar.
- Click New event.
- Enter a title (for example, Out of office).
- Set start and end dates/times.
- Set Show as to Out of office or Busy.
- Add any details people need.
- Click Save.
Outlook for Mac
Mac UI is usually simpler, but the key is still marking the event as OOO/BUSY.
- Open Outlook and select Calendar.
- Create a new event by clicking New Event or double-clicking the time slot.
- Enter the event title, start/end times, and (if needed) check All day.
- Find Show As (sometimes under event options) and set it to Out of Office or Busy.
- Add details and click Save & Close.
Outlook mobile (iPhone/iPad)
Mobile can block your availability, but options can be limited compared with desktop.

- Open the Outlook app and tap Calendar.
- Tap + (New) to create an event.
- Enter title like Out of Office.
- Set the date/time range. If it’s full days, enable All day.
- Look for a Show as or availability setting. If you see it, choose Out of Office or Busy.
- Tap Save.
If you can’t find a “Show as” option on your device, create the event on desktop or web for full control.
Outlook mobile (Android)
Android usually follows the same flow as iOS.
- Open Outlook and tap Calendar.
- Tap + to create a new event.
- Set title, dates, and times. Turn on All day for full-day absences.
- If you see Show as, set it to Out of Office or Busy.
- Tap Save.
Again, if the mobile app doesn’t provide the availability choice, do it from Outlook Web/Windows.
Method 2: Use Automatic Replies (and optionally tie it to calendar blocking)
Automatic Replies don’t change your calendar availability, but they reduce noise while you’re away. The best practice is to do both: a calendar block + an auto-reply window.
Automatic Replies require a Microsoft Exchange / Microsoft 365 mailbox configuration (or comparable Exchange setup).

- Check Send Out of Office replies.

If your Mac client doesn’t show an Out of Office menu, use Outlook on the web or your organization’s admin portal.
Method 3: Set your calendar to a specific Out of Office status (when available)
Some Microsoft 365 configurations add an “availability” layer beyond a normal event. In practice, this often means your presence/status can propagate to scheduling assistants, but it depends on your environment.
Outlook + Exchange/Microsoft 365 presence status
If you see an availability/status control in your Outlook client (or Microsoft 365 presence), set it to an OOO or similar state and ensure your calendar block is created.

Make your OOO block show correctly to other people
Even when you mark OOO correctly, people may still perceive availability incorrectly due to settings or event type.
Busy vs Free: what others actually see
Use the “Show as” value designed for unavailability:
- Out of Office is the best match (when available).
- Busy is the fallback that still blocks scheduling for most orgs.
- Free defeats the purpose for booking collisions.
Timezone and all-day events
All-day events typically ignore hour boundaries, but time zones can still matter if you travel. For multi-day travel, consider:
- Use All day event for full days away.
- For half days, use exact start/end times and verify the timezone displayed in your event editor.
Working hours and calendar visibility
Some orgs use working hours policies. If your event is created outside working hours, it might still show as busy, but certain scheduling assistants may treat it differently. Creating an all-day event for the absence is the most reliable approach.

Common mistakes (and how to fix them fast)
- Using “Free” show-as: Change the event’s Show as to Out of Office or Busy.
- Forgetting to set the end date: Scheduling conflicts often happen because the block ends at midnight you didn’t intend.
- Creating multiple single-day events manually: If you’re away for a range, create one multi-day event so you don’t miss a day.
- Setting Automatic Replies only: That informs email senders but does not block your calendar for meetings.
- Relying on mobile-only controls: If you can’t set “Show as” on mobile, create the event on desktop/web.
Troubleshooting: your calendar isn’t showing as OOO
If you’ve done the steps but meetings still book or coworkers still see you as available, use the checks below.
You created an event, but it still shows as Free
- Open the event you created.
- Confirm Show as is set to Out of Office or Busy.
- Save changes.
- Wait a few minutes, then re-check availability in a scheduling form. Free/busy updates are not always instant.
Invites are being scheduled anyway
- Confirm the event covers the exact time window of the meeting request.
- Check whether your organization allows booking over busy time (rare, but it happens with certain policies).
- If the meeting is for a shared mailbox or shared resource, verify you edited the correct mailbox/calendar.
- Make sure your event is not set as private in a way that affects free/busy visibility.
Your event is on the wrong date/time
- Check your device timezone and Outlook account timezone.
- Open the event and verify the start/end fields.
- If you used All day, confirm it spans the correct local dates.
Delegates or shared mailbox members can’t see the block
- Confirm you created the event in the correct calendar (your mailbox vs a shared mailbox).
- Verify delegate permissions for calendar access.
- If permissions are correct but visibility is delayed, wait 10–30 minutes and refresh.
OOO best-practices templates
Your calendar entry should be short enough to scan, but specific enough that people know what to do.

Frequently asked questions
Does Outlook automatically mark my calendar as out of office?
Not automatically in all cases. Automatic Replies handle email, while calendar blocking usually requires creating an event with Show as set to Out of Office or Busy.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →What should I set: Out of Office or Busy?
If you see Out of Office, choose it. If only Busy is available, use Busy—both generally block scheduling.
Should I create an all-day event or a timed event?
All-day is best for full-day absences. Use timed events when you’ll be reachable for part of a day or when you want the block to start/end at specific hours.
Why do coworkers still schedule meetings with me?
Most often, the event is set to Free, the time range doesn’t fully cover the meeting, or the wrong mailbox/calendar was edited. Confirm the event’s Show as and exact start/end.
Will Automatic Replies show on my calendar?
No. Automatic Replies impact email responses only. If you need scheduling prevention, create the calendar OOO block separately.
Bottom Line
To mark out of office in your Outlook calendar, create an event covering your absence and set Show as to Out of Office or Busy. That’s the setting that drives free/busy visibility for scheduling.
For a complete OOO experience, pair your calendar block with Automatic Replies in Outlook, so people both can’t book you and also receive clear guidance when they email.
