Build a version system before you need to restore anything
Version history is most useful when it answers four questions immediately: what is the approved master, what changed, who approved it, and which exact file was delivered. A platform’s autosave timeline alone rarely provides that context.
1. Define the source of truth
Keep one canonical, editable template as the master. Mark it clearly in the file name and description. Exported PNG or JPEG files are outputs, not editable masters; storing only exports makes later corrections and brand updates unnecessarily difficult.
2. Use a consistent name
Include the template family, channel or size, semantic version, status, and date or ticket. For example: spring-sale-instagram 2.1.0 approved 2026-09-29. A practical convention is MAJOR.MINOR.PATCH: increase the major number for a breaking layout or component change, minor for a backward-compatible feature or variant, and patch for copy, color, or spacing corrections. This is a workflow recommendation, not a platform requirement.

3. Save meaningful milestones
Create a named version at brief approval, first review, final approval, and publication. Put the campaign, task, or release reference in the version description. Do not create dozens of unnamed checkpoints that force the next editor to guess which one is safe.
4. Separate drafts from releases
Use a draft area, duplicate, or development file for experiments. Keep approved and published templates in a clearly labeled release area. For handoff, share a fixed version link or duplicate the approved state into a delivery file; otherwise, a recipient may see later edits in the same file.
5. Keep a changelog
For each release, record version, date, owner, change summary, approval, and downstream files. Link the brief or ticket in the description when the platform allows it. This record remains useful even after a service’s unbookmarked history expires.
Figma: checkpoints, named versions, and library releases
Figma version history is available on every team or plan. Figma Starter teams can view 30 days of history; Professional and Education teams or organizations can access the entire history. Figma automatically adds a checkpoint every 30 minutes and also creates checkpoints around connectivity events or crash recovery. The vendor describes this as saving work by “adding checkpoints to the file’s version history.” Automatic checkpoints are a safety net, not a substitute for naming the milestones that matter.

Create and inspect a named version
- Open the canonical template file and its version-history panel.
- Create a named version after a meaningful decision, such as “brief approved,” “final review,” or “2.1.0 published.” Add a short description of the change and the ticket or campaign.
- Browse the snapshot before sharing or restoring it. Use the snapshot’s duplicate or specific-version link when a reviewer needs an immutable reference.
Editors can create, name, restore, or delete version information. Viewers can browse history but cannot create, name, restore, or delete versions. Plan permissions accordingly: a reviewer who only needs to inspect a prior state should remain a viewer, while the release owner needs edit access.
Protect design-system changes
Publishing styles or components to a team library adds a checkpoint and prompts library users to receive updates. Treat that checkpoint as a release boundary: update the changelog, identify affected templates, and tell consumers whether the change is backward-compatible. A component change that breaks existing layouts deserves a major version in your own naming scheme even though Figma does not require semantic version numbers.
Starter retention planning
On Figma Starter, preserve important history before the 30-day viewing window ends. Duplicate the milestone or export the necessary reference while it is still available. Professional, Education, and organization plans provide access to the entire history according to Figma’s current documentation, but named milestones and a changelog are still needed for fast review.
Adobe Express and Creative Cloud: bookmark before expiry
In Adobe Express, open a design and choose File > Show version history. Select a timestamp to inspect it, then choose Create copy from version, Bookmark, or Restore to this version. Adobe’s documented workflow says, “Select Create copy from version, then select Open to view it as a new file.” A copy is usually safer than restoring the working file when later edits may still be needed.

These are the documented unbookmarked-version periods. Treat a bookmarked milestone as the minimum preservation step before a campaign or brand-template release. Name the copy with its status and date so a restore cannot accidentally replace the release candidate.
Creative Cloud cloud documents
Cloud documents in Photoshop, Illustrator, InDesign, Fresco, and Aero also support opening version history and reverting to an earlier version. Keep the source cloud document and the approved template handoff clearly named. A restore changes the working document; a separately named handoff makes it clear which state was delivered.
Canva: make a copy before risky changes
Canva’s template workflow starts with a design, customization in the editor, and management of template-based designs. Its editing help groups version-history guidance with page, guide, margin, and layer controls. In the documented resize-recovery workflow, open File > Version history, select an autosaved version, then choose Restore or Make a copy.
Choose copy versus restore
Choose Make a copy when the current file may contain later work, when you need to compare states, or when a collaborator is still editing. Restore only after recording why the change is needed and confirming that the current state is preserved elsewhere.

Recover a missing design
Search Projects by name or keyword, filter by owner, verify that you are in the correct team, and check Trash. Canva keeps designs in Trash for 30 days; after that stated recovery window, support may be required. Stable names, team ownership, and folders improve recovery when a collaborator changes teams or moves a file.

All three platforms support a recoverable workflow, but none removes the need for release discipline. Figma is strongest when you need named snapshots and fixed links; Adobe Express requires the most attention to bookmark deadlines; Canva’s copy-first approach is especially useful before resize or bulk changes.
A safe restore and release procedure
- Identify the target. Write down the version name, date, ticket, or campaign you intend to recover.
- Compare before changing. Inspect the historical snapshot against the current file. Check layout, copy, linked assets, fonts, comments, and export settings.
- Preserve the current state. Duplicate or otherwise save the current working file before a restore.
- Restore or copy. Prefer a copy when the current file includes later work or when you need an audit trail. Restore the master only when that is the deliberate decision.
- Record the reason. Add a changelog entry naming the restored version, owner, date, and reason.
- Validate outputs. Recheck dimensions, transparent or solid backgrounds, text wrapping, linked components, and the final PNG, JPEG, PDF, or other delivery export.
- Publish a fixed handoff. Share the specific version link or a duplicate delivery file, not an actively edited master.
A restore should be treated as a new checkpoint, not as deletion of the current state. This preserves a path back if the restored version proves incomplete.

The version you need is missing

A reviewer sees changes after approval
The reviewer probably received an editable master rather than a fixed version. Send a specific Figma version link or a duplicate delivery file, and label it with the approved version and date.
Fonts, assets, or components look different
Compare linked assets, fonts, library components, and export settings with the original release. Reconnect or replace missing dependencies, then create a new named checkpoint and update the changelog.
A team member cannot restore or name a version
In Figma, viewers can browse but cannot create, name, restore, or delete version information. Ask an editor or release owner to perform the action, then share the resulting fixed version.
