Manage an AI-generated audio file according to its actual format and storage location, not simply how it was created. Microsoft documents a manual sensitivity-label workflow for MP4 files stored in SharePoint or OneDrive after an administrator enables video-file labeling. That documented path does not establish an equivalent general workflow for standalone MP3 or WAV files.

For Copilot, labels do not replace ordinary permissions. If a sensitivity label encrypts source content, the requesting user needs both VIEW and EXTRACT rights for a supported AI app to return it. Some Copilot creation scenarios inherit a source label, but inheritance depends on the app and scenario. Purview auditing can then help you inspect prompts, responses, referenced files and associated labels.

What a sensitivity label controls for AI-generated audio

A Microsoft Purview sensitivity label can classify a file and, depending on its configuration, apply protection such as encryption, usage rights, visual markings or access restrictions. It is not a guarantee that every AI-generated artifact automatically receives the same label as its prompt, source material or storage container.

The label belongs to a supported item and workflow. An audio-generation service may create an MP3, WAV or MP4, and the resulting file may be saved in SharePoint, OneDrive, a local device or another service. Those differences determine whether Microsoft documents a way to apply, inherit, enforce or audit the label.

Creation method does not determine label behavior

“AI-generated” describes how the media was produced, not a universal Microsoft 365 file class. A Copilot scenario that creates content from labeled material can have documented inheritance behavior. A third-party audio tool exporting a WAV file does not automatically gain that behavior merely because the source prompt was protected.

Container labels are not item labels

A sensitivity label on a Team, Microsoft 365 group or SharePoint site is not automatically inherited by every file inside it. An administrator must therefore verify the label on the individual audio artifact when item-level classification or encryption is required.

Supported workflows by file format

The most important decision is whether the output is an MP4 container or a standalone audio file. Microsoft’s documented SharePoint and OneDrive guidance is specific about this distinction.

Question MP4 in SharePoint or OneDrive Standalone MP3 or WAV in SharePoint or OneDrive
Documented label path Manual labeling is supported after video-file labeling is enabled. The reviewed Microsoft guidance does not establish an equivalent general workflow.
Automatic or default labeling Not supported for MP4 in this workflow. The documented automatic-labeling lists cover Office formats and PDF, not MP3 or WAV.
Encrypted-file download Microsoft says an encrypted, labeled MP4 cannot be downloaded from SharePoint or OneDrive. Behavior is not established by the reviewed guidance.
Copilot source rights VIEW and EXTRACT are required when label encryption applies and the source is used by a supported AI app. The same general rights principle applies where the source is supported, but format-specific support must be verified.

This table describes documented boundaries, not a claim that no other Microsoft or third-party method can ever attach metadata or protection to an MP3 or WAV. Verify the exact client, storage service, tenant configuration and protection behavior before making those formats part of a controlled workflow.

Administrator workflow for AI-generated audio

1. Inventory the artifact and its location

  1. Record the container and extension. Note whether the output is MP4, MP3, WAV or another format. Do not infer the format from the application that generated it.
  2. Record where the file is stored. Identify the SharePoint site, OneDrive account, local device, third-party repository or transfer system holding the authoritative copy.
  3. Record the business use. Capture whether people must stream it, edit it, download it, share it externally, submit it to another AI service or retain it for a defined period.
  4. Identify source material. List the Microsoft 365 files, recordings, transcripts or prompts used to create the audio and note their existing labels and permissions.

This inventory prevents the common mistake of applying an MP4 procedure to an MP3 or WAV file, or of assuming that a labeled site means every media item is protected.

2. Enable SharePoint and OneDrive labeling support

For supported SharePoint and OneDrive scenarios, Microsoft recommends enabling sensitivity labels for those workloads and reviewing supported formats and label configurations before relying on them.

For MP4 specifically, an administrator enables the SharePoint Online setting EnableSensitivityLabelForVideoFiles. In a Multi-Geo tenant, Microsoft says to connect to each geo-location and run the setting separately. Confirm that the feature has reached each tenant location before testing user behavior; rollout and availability can vary by tenant.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Enabling the setting does not create an automatic label policy for video. It makes the documented manual-labeling path available for MP4 files. Your label policy, publishing scope and user permissions still determine which labels a person can select.

3. Configure the label for the real handling requirement

Choose a label based on what must happen to the file, not on the fact that an AI tool produced it. Decide whether the audio needs classification only, encryption, restricted editing, restricted sharing or a retention process managed elsewhere.

  • Use a classification-only label when discoverability and reporting are the primary goals and the workflow depends on normal download and playback.
  • Use an encryption-enabled label only after checking every consumer and integration that must open the file.
  • Define who can view and extract protected source content if Copilot or another supported AI app will use it.
  • Document whether external recipients, service accounts, transcription systems or media players are expected to work with the protected file.

Encryption changes the operational result for MP4: Microsoft says an encrypted labeled MP4 cannot be downloaded from SharePoint or OneDrive. A workflow that requires downloading the audio for editing, archiving or transfer may therefore be incompatible with that label configuration.

4. Apply a label manually to an MP4

After the video-file setting is enabled and the label is published to the appropriate users:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open the MP4 in its SharePoint or OneDrive library.
  2. Open the file’s Details or file-information experience.
  3. Use the sensitivity-label control to select the approved label.
  4. Save the change and allow the service to finish processing the item.
  5. Reopen the details experience and verify the label shown on the file.

Microsoft’s documented MP4 workflow supports manual labeling; it does not support automatically assigning a label or applying a default label to MP4 files in this flow. Treat a missing label as a configuration or user-action issue, not as evidence that the file was automatically classified.

5. Test access, playback and download before rollout

Use test accounts representing each audience. Check playback in the supported web experience, access for an authorized user, denial for an unauthorized user, and every downstream action the business requires. For an encrypted label, explicitly test download because the documented restriction can stop a workflow that otherwise appears functional.

  • Can an authorized user open or stream the file?
  • Can the intended editor modify or process it?
  • Does an unauthorized account receive an access denial?
  • Does the organization’s media player support the protected item?
  • Can required retention, eDiscovery or legal-hold processes still operate?
  • Can the file be shared with the intended internal or external audience?

6. Handle MP3 and WAV as a format-specific decision

Do not present the MP4 procedure as a solution for standalone audio. Microsoft’s documented automatic-labeling guidance lists Office files and PDF, while the DLP sensitivity-label condition guidance likewise lists Office formats and PDF for those workloads. Those documents do not establish content-based automatic labeling or a complete service-side labeling workflow for MP3 or WAV.

If standalone audio is in scope, document the proposed method and validate it in the exact environment:

  • Which client applies the label?
  • Which storage service preserves it?
  • Does the protection remain after download, synchronization, conversion or movement?
  • Can the intended media players and AI services open the protected file?
  • Can administrators report on the label and audit its use?

If you cannot answer those questions with a supported method, keep MP3 and WAV outside the automated policy and require a controlled manual review or a different approved storage and protection design. Do not claim that an extension alone makes the file eligible for Microsoft 365 labeling.

How Copilot handles labeled source content

VIEW and EXTRACT rights are separate requirements

When a sensitivity label applies encryption, Copilot must pass the source item’s rights checks. The requesting user needs both VIEW and EXTRACT usage rights for supported AI apps to return content from that protected source.

A user who can open a file but lacks EXTRACT may still be unable to have Copilot use or return its contents. Conversely, a label does not grant access that the user lacks through ordinary Microsoft 365 permissions. SharePoint permissions, OneDrive permissions and the label’s usage rights all remain relevant.

Inheritance depends on the Copilot scenario

Microsoft documents label inheritance for certain content-generation experiences. Examples include supported scenarios in Word, PowerPoint and Outlook where newly created content can inherit a label from labeled source material, with the highest-priority source label used when that scenario supports inheritance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not generalize those examples to every Copilot surface, every audio-generation workflow or every third-party application. User-defined permissions in some configurations can prevent access or inheritance. Check the documentation and configuration for the specific app and creation path you are deploying.

Separate the source, prompt and output

Track three distinct objects:

  1. Source files: the protected Microsoft 365 items Copilot reads.
  2. Interaction data: prompts, responses and the services involved.
  3. Output artifact: the generated MP4, MP3, WAV or other file.

A label on a source file does not prove that the output audio has the same label. Confirm the output item separately, especially when the output is saved outside the application that created it.

Auditing AI use with Microsoft Purview

Labeling the audio file answers only part of the governance question. Administrators may also need to know which protected files were referenced and what the AI system returned.

Purview Audit and related activity-explorer experiences can show AI interaction events, prompts and responses, involved services, references to Microsoft 365 files and labels associated with those referenced files. Use those records to investigate whether protected material was used as intended and whether an output was created from a sensitive source.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Operational review process

  1. Grant the appropriate audit permissions to the administrators who will review AI activity.
  2. Confirm the organization’s audit retention and licensing configuration before relying on historical events.
  3. Search for the relevant user, service, time range and AI interaction.
  4. Inspect referenced files and the labels recorded for those references.
  5. Compare the logged source activity with the label shown on the resulting audio artifact.
  6. Escalate unexpected references, missing rights or unlabelled outputs through the organization’s incident process.

Audit records help establish how protected data was used; they do not automatically apply a label to an MP3, WAV or MP4 file.

Troubleshooting common failures

The MP4 has no label control

  • Confirm that EnableSensitivityLabelForVideoFiles is enabled in the relevant SharePoint Online geo-location.
  • Check that the user has a published label policy and permission to apply labels.
  • Verify that the item is actually an MP4 and is stored in SharePoint or OneDrive.
  • Allow for tenant rollout and processing time, then test again.

The organization expected automatic labeling

Automatic and default labeling are not supported for MP4 in the documented video-file workflow. For MP3 and WAV, the reviewed automatic-labeling guidance does not establish a general supported path. Use an approved manual control or redesign the storage and processing workflow rather than treating the absence of a label as a service defect.

An encrypted MP4 cannot be downloaded

This is an expected documented limitation, not necessarily a permissions error. Reconsider whether the label should encrypt the file, or redesign the process around supported in-place playback and processing. Do not promise a download-based workflow until it has passed testing with the exact label.

Copilot can open a source but will not use it

  • Check that the user has normal Microsoft 365 permission to the source.
  • Check the label’s VIEW and EXTRACT rights for supported AI apps.
  • Review whether user-defined permissions or another configuration blocks access.
  • Confirm that the app and file type are supported for the intended Copilot scenario.

The output did not inherit the source label

Inheritance is scenario-dependent. Verify that the creation experience is one of Microsoft’s supported inheritance scenarios and that the source label has a priority applicable to that scenario. For third-party audio tools or unsupported output formats, apply and verify the output label through a separately supported process.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Deployment checklist

  • Classify every generated artifact by format, storage location and intended handling.
  • Enable SharePoint and OneDrive sensitivity-label support where required.
  • For Multi-Geo, configure and verify each geo-location.
  • Publish only the labels users need for the audio workflow.
  • Manually label MP4 files; do not expect automatic or default labeling in this path.
  • Keep MP3 and WAV in a separately validated design until Microsoft documents a supported equivalent workflow for your environment.
  • Test encrypted MP4 playback, access, sharing and download-dependent processes.
  • Grant and verify VIEW and EXTRACT rights for Copilot users who need protected source content.
  • Do not assume a labeled Team, group or site labels each contained media item.
  • Configure Purview auditing and confirm permissions and retention before relying on audit history.
  • Record the tenant, geo-location, client, label and file type used in each validation test.

Bottom line for administrators

Use the documented manual SharePoint or OneDrive workflow for MP4 only after enabling video-file labeling, and warn users that an encrypted labeled MP4 cannot be downloaded. Treat standalone MP3 and WAV as unresolved format-specific cases rather than extending the MP4 instructions. For Copilot, verify ordinary permissions plus VIEW and EXTRACT rights, then audit both the AI interaction and the resulting artifact. This approach keeps the label claim aligned with what Microsoft actually supports in the selected tenant and workflow.
