An individual can review connected-experience choices in Office when using a personal Microsoft account. In a work or school tenant, administrators decide whether those experiences are available and combine those settings with Copilot access, permissions, data-protection and compliance controls. First identify the account type, then change the narrowest applicable setting and test the effect before enforcing it.
Start by identifying who controls the setting
The same Office app can show different privacy controls depending on whether you signed in with a personal Microsoft account or an account supplied by an organization.

Personal Microsoft account
With a personal account, you can open the account privacy controls in an Office app and choose among the connected-experience options that Microsoft exposes for that account. The choices affect the apps and features associated with that account, so check each device and Office installation you use.
Work or school account
In a work or school tenant, the organization’s administrator normally decides which connected experiences are available. A centrally managed policy can remove the user-level choice or show it as controlled by the organization. If an option is unavailable or locked, changing a personal Microsoft account setting will not override the tenant policy; contact the Microsoft 365 administrator instead.

Administrators should also confirm the tenant’s license assignments and app versions. Microsoft’s admin interfaces and available controls change as services are updated, and two tenants can display different settings.
Understand the three connected-experience scopes
Microsoft separates connected experiences into categories rather than one universal “Copilot privacy” switch. The scope you choose determines both data flow and which features remain usable.
| Control scope | What it covers | Typical consequence | Who normally decides |
|---|---|---|---|
| Connected experiences that analyze content | Cloud-connected features that inspect the document, workbook, presentation, notebook or message you are working on. | Copilot features can become unavailable in Excel, OneNote, Outlook, PowerPoint and Word. | Personal-account holder, or the organization administrator for a work or school account. |
| Optional connected experiences | Additional online capabilities that Microsoft classifies as optional. Web search is an example of an optional Copilot-related capability. | Optional Copilot experiences may be disabled, even when other connected features remain available. | Personal-account holder where the option is exposed; otherwise the organization administrator. |
| All connected experiences | A broad setting that turns off the content-analysis category along with optional and other connected experiences. | The combined feature-availability impact is wider; Copilot functions that depend on those connections can stop working. | Personal-account holder where available, or the organization administrator. |
These privacy choices do not universally decide whether Copilot can reference web content. Microsoft distinguishes the connected-experience privacy settings from the separate behavior of web references. Disabling optional connected experiences can affect an optional web-search capability, but the settings should not be described as a blanket control over every web citation or web-grounded response.

How a personal-account user changes Office privacy
Microsoft’s labels can move as Office is updated, but the path follows the account privacy area rather than the Copilot pane itself.
- Open an Office app such as Word, Excel, PowerPoint or Outlook and sign in with the personal Microsoft account whose settings you want to change.
- Open the account page. Use the app’s account or Office account entry, then select the privacy or account-privacy link. If multiple accounts are shown, verify that the personal account is selected before changing anything.
- Review the connected-experience categories. Read the descriptions for experiences that analyze content, optional connected experiences and any control for all connected experiences. Do not assume that one category includes every Copilot behavior.
- Choose the narrowest setting that meets your requirement. Turning off content analysis protects that category but can remove Copilot functions in the main Office apps. Turning off optional experiences can remove optional capabilities such as web search. Turning off all connected experiences has the broadest effect.
- Close and reopen Office apps. Sign out and back in if the app continues to show the previous state, then test a representative document or message.
- Record the result. Note the account, device, Office version, date and features that changed. This makes it easier to restore a setting or explain a missing Copilot command.
On a managed work or school account, these controls may be read-only or absent. That is expected when the organization applies policy centrally.

How an administrator manages connected experiences for Microsoft 365 Apps
For organization-wide control, administrators use Microsoft 365 Apps policy management to deploy privacy settings to users or groups. The exact policy names and assignment experience depend on the management method and tenant configuration. Before assigning a policy, identify whether the requirement concerns content-analysis experiences, optional experiences or all connected experiences; selecting a broad policy when a narrow one would meet the requirement creates avoidable feature loss.
Use a pilot before broad enforcement
- Create a pilot group that includes representative Windows, Mac, iOS and Android users if those platforms are in scope.
- Assign the selected Microsoft 365 Apps privacy policy to that group, documenting the policy name, scope and effective date.
- Test Copilot-dependent workflows in Word, Excel, OneNote, Outlook and PowerPoint, plus any optional capability your organization relies on.
- Check the user experience in both the desktop and mobile apps. A policy can take time to reach every client, and app behavior can differ by current version.
- Expand gradually only after the pilot confirms that required business processes, support procedures and compliance controls still work.
Keep a rollback plan. If a setting unexpectedly disables a required function, remove or narrow the policy assignment, allow client policy refresh, restart the apps and retest with the same account and file.
Use the Microsoft 365 admin center for broader Copilot controls
Connected-experience privacy is only one part of Copilot administration. In the Microsoft 365 admin center, the Copilot settings area groups controls into four broad sections:
- User access: settings that determine which people or groups can use Copilot-related capabilities.
- Data access: controls connected with the information Copilot can reach under existing Microsoft 365 permissions.
- Copilot actions: settings for capabilities and actions Copilot can perform in supported services.
- Other settings: additional options that do not fit the first three groups.
To inspect the area, sign in to the Microsoft 365 admin center with an account that has the required administrative role and open Copilot > Settings. Treat that page as a directory of current controls, not a fixed universal control panel. Some entries open another administration service, and Microsoft changes the page as products and licensing evolve. What appears is affected by the services licensed in your tenant.
The wider Copilot controls framework also covers security and governance, management, and measurement and reporting. Related settings can be located in the Microsoft 365 admin center, the Power Platform admin center and Copilot Studio. A setting that is not present in the Copilot page may therefore be managed in one of those linked surfaces.

Know what changes when content-analysis experiences are disabled
Microsoft states that turning off connected experiences that analyze content makes Copilot features unavailable in Excel, OneNote, Outlook, PowerPoint and Word on current versions of Windows, Mac, iOS and Android. Turning off all connected experiences includes that effect. The impact is a loss of feature availability, not a promise that every other Microsoft 365 data flow has stopped.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
| Application | What to verify after a policy change |
|---|---|
| Word | Whether Copilot commands for drafting, rewriting or summarizing still appear and respond for a test document. |
| Excel | Whether Copilot can work with a representative workbook and whether required workbook workflows remain available. |
| OneNote | Whether Copilot features remain available in notebooks with the permissions and sensitivity labels used in production. |
| Outlook | Whether supported message and thread assistance remains available without changing ordinary mail functions. |
| PowerPoint | Whether Copilot can assist with a test presentation and whether optional online capabilities are still enabled if required. |
Run the tests with real but appropriately controlled examples. A feature appearing in one client does not prove that every platform or account has the same availability.
Separate privacy settings from permissions and governance
Copilot does not create a new permission boundary around your tenant. Microsoft says Copilot operates within the user’s existing Microsoft 365 permissions: “Copilot only accesses data that users are authorized to access, and it respects Microsoft 365 compliance, privacy, and data residency commitments.” If a user can already open an overshared file, Copilot may be able to use that file when generating a response for the same user.
Review access before enabling broad use
- Inventory SharePoint sites, OneDrive locations, Teams-connected files and other repositories that contain sensitive material.
- Remove broad or stale sharing links, excessive group membership and inherited access that no longer reflects business need.
- Check whether confidential files are visible to large groups through site permissions rather than direct assignment.
- Use sensitivity labels and other applicable information-protection controls so classification travels with the content.
- Confirm that audit, retention, discovery and incident-response processes cover Copilot interactions and the underlying content.
Microsoft describes foundational governance controls associated with the Microsoft 365 admin center, SharePoint Advanced Management and Microsoft Purview for A3, E3 and G3 licensing. It describes an optimized set associated with Microsoft Purview and Defender for Cloud Apps for A5, E5 and G5 licensing. Those descriptions are not a substitute for checking the actual entitlements, regional availability and service documentation in your tenant.

- Required service data for connected experiences and Copilot: some of this data can be affected by existing privacy controls, which may prevent it from being collected and sent.
- Required service data for essential services: Microsoft says this is always collected because those services are necessary for Microsoft 365 to function; it cannot be turned off through the connected-experience choices.
- Prompts and responses: these are the user interaction and generated output, governed by the service’s applicable privacy, security and retention terms rather than by a single Office toggle.
- Model training: Microsoft separately states that personal data collected through Microsoft 365 connected experiences is not used to train large language models, including those used by Microsoft Copilot.
“Your personal data collected from the use of connected experiences in Microsoft 365 isn’t used to train large language models (LLMs), including those used by Microsoft Copilot.”

- Define the objective. Decide whether you are limiting content analysis, optional experiences, all connected experiences, Copilot access, data sources or a combination. Each objective uses a different control.
- Map account populations. Separate personal-account use from work and school accounts. Record which users, groups, platforms and Office versions are in scope.
- Check licenses and roles. Confirm that administrators can see the relevant Copilot, Apps, Power Platform, Purview or SharePoint controls and that assigned licenses support the intended feature.
- Assess permission hygiene. Find overshared sites, files, groups and links before Copilot makes that content easier to discover.
- Classify protected information. Validate sensitivity labels, data-loss-prevention rules, retention requirements and regional or residency obligations.
- Apply the narrowest pilot policy. Assign it to a representative test group and document the expected feature impact.
- Test normal and restricted cases. Verify that an authorized user can complete the intended task and that an unauthorized user cannot gain access through Copilot.
- Inspect audit and reporting. Confirm that the organization can investigate use, review policy changes and measure adoption or incidents through the available reporting surfaces.
- Communicate the change. Tell users which features may disappear, why the policy exists and how to request an exception or report a problem.
- Review after updates. Revisit the policy when Microsoft changes the admin center, adds a Copilot capability, changes licensing or ships a new Office client.
Troubleshoot common privacy and Copilot surprises
The privacy option is missing or locked
First determine whether the account is managed by a work or school tenant. A centrally assigned Microsoft 365 Apps policy can hide or lock the individual choice. Ask an administrator to identify the applied policy and its scope rather than repeatedly changing the personal account page.
Copilot disappeared after a privacy change
Check whether the content-analysis category or all connected experiences was disabled. Test Word, Excel, OneNote, Outlook and PowerPoint after policy refresh and app restart. If the organization needs Copilot in only some workflows, narrow the policy or create separate assignments instead of restoring every connected experience for everyone.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteWeb-related behavior changed unexpectedly
Review the optional connected-experiences setting. It can affect optional Copilot capabilities such as web search, while the general connected-experience privacy setting is not a universal switch for whether Copilot references web content. Document the exact capability that changed and inspect the current Copilot setting in the admin center.
Best Value
The admin center does not show a documented control
Check tenant licensing, administrator role, rollout status and the linked service named by the page. Some controls are surfaced in the Power Platform admin center or Copilot Studio, and Microsoft changes the admin-center layout. Do not infer that a missing menu means the tenant is unprotected; verify the applicable service documentation and policy assignments.
A user sees sensitive information in a response
Investigate the user’s existing permissions, group membership, sharing links and site inheritance. Copilot follows those permissions, so the underlying access path must be corrected. Apply or refine sensitivity labels and other Purview protections, then retest with an account that should not have access.
Choose the right control for the requirement
| Requirement | Primary place to work | Checks before enforcement |
|---|---|---|
| Let a personal-account user decide whether Office uses connected experiences | Office account privacy settings | Confirm the correct personal account and test affected apps after changing the choice. |
| Disable content-analysis experiences for a department | Microsoft 365 Apps policy management | Pilot on every supported platform and verify the Copilot impact in Word, Excel, OneNote, Outlook and PowerPoint. |
| Control who can use Copilot or configure Copilot capabilities | Microsoft 365 admin center, Copilot > Settings | Check administrator role, tenant license and whether the item links to another service. |
| Reduce the chance that Copilot surfaces inappropriate content | Permission cleanup, sensitivity labeling, Purview and SharePoint governance | Review oversharing, retention, audit, discovery and data-residency requirements. |
| Understand what service data can be disabled | Applicable connected-experience and service-data privacy controls | Distinguish optional or Copilot-related required service data from essential-service required data, which cannot be turned off. |
What a defensible policy looks like
A defensible Microsoft 365 Copilot policy names the account population, the exact connected-experience scope, the administrator responsible, the affected applications and platforms, the tenant licenses assumed, and the test and rollback method. It also states that Copilot inherits Microsoft 365 permissions and identifies the controls used to address oversharing, sensitivity, retention and audit. Avoid promising that an Office privacy toggle alone disables every Copilot data flow; the setting is one layer in a broader governance design.
For personal accounts, the practical path is to inspect Office account privacy and accept the documented feature trade-off. For work and school accounts, administrators should pilot the narrowest Microsoft 365 Apps policy, use the Copilot settings page and linked services for broader controls, and make permission and compliance readiness part of the rollout rather than an afterthought.
