Start with the first option when the goal is a smaller package. Use Mail Drop when the obstacle is an email attachment limit. Use sharing when the recipient can retrieve the file without receiving an attachment.

This is the direct built-in method for making a package that Apple describes as a smaller version for sending. It does not convert the PDF into a lower-resolution PDF; it creates a ZIP archive around the file.

- Open Files and browse to the folder containing the scanned PDF.
- Touch and hold the scan.
- Tap Compress. Files creates a ZIP file in the same location.
- Touch and hold the new ZIP file, tap Share, and choose the destination, such as Mail or another upload-capable app.
The ZIP normally has the same base name as the scan with a ZIP extension. Keep the original PDF until you have confirmed that the recipient can open the archive.
What the recipient must do
A ZIP is a container, not the document format itself. The recipient may need to tap or double-click the ZIP to extract the PDF before opening it. If the destination system accepts only PDF files, a ZIP may be rejected even when it is smaller. In that case, send the PDF through Mail Drop or share it from iCloud Drive instead.
Why the ZIP may not be much smaller
Many scans are already made from compressed page images inside a PDF. ZIP can remove some repeated data, but the amount varies with the scan’s contents and how the PDF was created. Apple’s instructions do not provide a compression percentage or promise that every PDF will shrink. Check the ZIP’s size in Files before sending rather than assuming it will fit a particular upload limit.
Use Mail Drop when Mail reports an oversized attachment
If you need to send the scan by email and the account’s attachment limit is the blocker, Mail provides a delivery alternative.
- Open Mail and start a message.
- Attach the scan as a PDF using the attachment control and Files browser.
- If the file exceeds the maximum allowed by the email account, follow the on-screen instructions to send it with Mail Drop.
Mail Drop addresses delivery: the recipient receives a way to download the file rather than the full PDF being carried as a conventional attachment. It does not alter the PDF’s resolution, page count, or internal size. The Apple guidance for this workflow does not state one universal attachment limit or one universal Mail Drop limit; those can depend on the account and service.
When Mail Drop is preferable to a ZIP
- The recipient expects a PDF and may not know how to extract an archive.
- The email service blocks ZIP attachments for security reasons.
- You want the scan delivered through Mail without changing the document.
When Mail Drop is not the answer
If a website’s upload field rejects the scan because of a file-size cap, Mail Drop does not help: it is an email delivery path, not a general upload compressor. Use that site’s supported sharing method, upload a ZIP if ZIP files are accepted, or share an iCloud Drive link when the site or recipient permits it.
Share the scan from iCloud Drive instead of attaching it
Files can share an iCloud Drive item so the recipient accesses the existing file rather than receiving a second copy in an email. This leaves the PDF unchanged, but avoids placing its bytes in the message.

- In Files, locate the scan in iCloud Drive.
- Touch and hold the file and tap Share.
- Choose the sharing option and set whether invited people can view or edit, according to the access you want to grant.
- Send the invitation or link through your chosen channel.
Sharing works only when the recipient can use the shared item and the permissions allow the intended action. For a confidential document, review who has access and whether editing is necessary before sending the invitation. If the scan is stored somewhere other than iCloud Drive, move or copy it there first if you want to use iCloud Drive sharing.
Make a fresh scan without unnecessary page area
If you still have the paper document, capture it again and remove obvious excess area before saving. Apple’s Notes and Preview scanning workflows support adjustments such as cropping; those controls can keep a desk, border, or other background out of the scan. A cleaner page can also be easier for the recipient to read.
Scan in Notes
Apple’s iOS 26 Notes guidance says a document scanned into Notes is saved as a PDF in the note. After capturing a page, use the available page-adjustment controls to correct the edges or coloring before finishing the scan. The exact labels and placement can vary with the installed iOS version.
Scan in Preview
Apple’s Preview scanning guidance, presented for iOS 27, also creates a PDF and supports scan adjustments. Use the crop or color controls shown in the scanning workflow, then save the finished document where you can find it in Files.
What cropping can and cannot do
Cropping removes captured content outside the page; it is not a documented, guaranteed PDF-compression setting. A tightly framed page may produce a smaller file, especially when large blank or photographic areas disappear, but Apple does not specify a reduction amount or promise that a crop will meet a particular limit. Verify the resulting file size in Files.
Find the scan and check its size before sending
Knowing where the PDF lives prevents you from repeatedly exporting or rescanning it.
- Notes scan: The scanned document remains in the note as a PDF. Use the note’s sharing or save controls to place a copy in Files when you need Files’ Compress command or iCloud Drive sharing.
- Files scan: Apple’s general scanning workflow lets you choose a location and save the scan directly in Files. Remember the folder you selected, then touch and hold the file to inspect available actions.
In Files, touch and hold the document and use the file information option to view its size. Compare the original PDF with the ZIP after compression. This check tells you whether the package actually crossed the limit you are trying to meet.

Check the requirement before changing anything
Read the wording of the email or upload requirement. A request for “PDF only” is a format requirement, so a ZIP will not satisfy it even if the archive is smaller. A request for a maximum file size is a bytes requirement, so you must inspect the resulting package or file rather than relying on the name or extension. If the instruction simply says to send the document, Mail Drop or an iCloud Drive share may be acceptable because the recipient receives access to the PDF without a conventional attachment.
Do not rename a ZIP file with a PDF extension. Renaming changes only the label; it does not turn the archive into a PDF and may cause the receiving system to reject or misidentify it. Keep both the original PDF and the ZIP until delivery is confirmed, especially when the scan is needed for an application, record, or deadline.
A practical send-and-check workflow
- Locate the PDF in Files, or save the Notes scan to Files.
- Touch and hold the PDF and inspect its current size.
- If ZIP files are accepted, choose Compress and inspect the new ZIP’s size before sharing it.
- If the recipient requires a PDF or the ZIP is not meaningfully smaller, attach the PDF in Mail and use Mail Drop when Mail presents the oversized-attachment instructions.
- If an attachment is unnecessary, move the file to iCloud Drive and share the item with view access unless editing is genuinely required.
- Tell the recipient what they will receive: a ZIP to extract, a Mail Drop download, or an iCloud Drive shared item.
This sequence avoids repeated scans and makes the decision visible: you are either changing the package, changing the delivery route, or changing access to the existing file.
Pick the right method for common situations
The recipient can open ZIP files
Compress the PDF in Files and send the ZIP. Include a short note telling the recipient to extract the archive before opening the PDF. Keep the original PDF so you can resend it another way if the recipient’s system blocks ZIP files.
The recipient needs a normal PDF by email
Attach the PDF in Mail and use Mail Drop when Mail offers it because the account limit has been exceeded. This preserves the document format and avoids asking the recipient to unzip anything.

Share the iCloud Drive item with the appropriate view or edit permission. This avoids an attachment copy, but the recipient must be able to authenticate or open the shared item according to the invitation settings.
A government, school, or business portal has a hard upload limit
Check whether the portal accepts ZIP files. If it does, upload the ZIP created by Files and confirm that the portal or its recipient can extract it. If the portal accepts PDF only, a ZIP will not solve the format requirement; look for a portal-provided alternative or ask the organization how it wants oversized scans delivered. Apple’s built-in instructions do not document a guaranteed way to reduce an existing PDF to a target number of megabytes.

The scan contains private information
Choose the delivery path that gives you the necessary control. A shared iCloud Drive item has permissions you can review, while a ZIP sent as an attachment can be downloaded and forwarded. Use the minimum sharing access needed and avoid granting edit permission when the recipient only needs to read the document.

There is no Compress command
Make sure you are touching and holding the actual file in Files, not a preview inside another app. If the scan is still only inside a Notes note, save or share the PDF to Files first, then try again. Menu names can vary by iOS release and file location.

That can happen with an image-heavy or already-compressed scan. Files’ Compress command creates a ZIP, but Apple does not promise a reduction percentage. Use Mail Drop or iCloud Drive sharing if the real issue is delivery rather than the file’s internal size.
The recipient says the attachment is unusable
Confirm whether the recipient received a ZIP or a PDF. A ZIP must be extracted before the PDF can be viewed. If the recipient’s mail system blocks ZIP archives, resend the original PDF with Mail Drop or share the file from iCloud Drive.
Mail still will not send the PDF
Reattach the PDF and wait for Mail to show its oversized-attachment prompt. Follow the Mail Drop instructions when offered. If no prompt appears, the account or network may not support the route you are attempting; sharing from iCloud Drive can avoid the attachment step.
The upload site rejects the ZIP
Some services allow only specific extensions, commonly PDF, and will reject an archive regardless of its size. Do not rename the ZIP to “.pdf”; that does not convert it and can make the file harder to recover. Use the site’s documented delivery option or send an iCloud Drive link if the recipient accepts links.

The scan is in the wrong folder
Use Files’ search and browse locations such as iCloud Drive or On My iPhone. Apple’s Files scanning workflow lets you choose where a new scan is saved, so check the location selected when it was created before scanning again.
iOS version and menu differences
The Apple Notes scanning instructions reviewed for this workflow are labeled for iOS 26. Apple’s Preview scanning instructions are presented for iOS 27, while Apple’s general scanning article covers Notes and Files workflows and mentions iOS 26 scan options. Your iPhone may show different menu positions or may not include every Preview control if it runs another release. Look for the same functions—save the PDF to Files, Compress the file, attach it in Mail, or share an iCloud Drive item—rather than relying on an identical screen layout.
What iPhone’s built-in tools do not guarantee
