To edit the words in a screenshot, run optical character recognition (OCR) on the image, then copy the recognized text into an editor—or use OCR in a PDF editor if you need to change text in a document. OCR recognizes the letters represented by pixels; it does not turn the original screenshot pixels into a native text document. Choose the workflow based on what you want to edit: copied text, text inside a PDF, or a new Word document.
What “editable” means for a screenshot
A screenshot is a raster image. Its letters are part of the image, like colored dots, rather than text you can select and replace. OCR analyzes those pixels and produces recognized text. Depending on the app, that text may be copied to the clipboard, placed in a document, or added as an editable/searchable text layer in a PDF.
That distinction matters: OCR can help you reuse or correct the words, but it does not reconstruct the original page as a perfectly editable design. Fonts, spacing, columns, tables, and other layout details may need manual adjustment. If you need to change only a few words, extracting the text and editing it in a document is often simpler than trying to reproduce the screenshot’s exact appearance.
Choose a workflow for the result you need
| What you need | Suitable workflow | What you get |
|---|---|---|
| Copy words from an existing screenshot | OneNote desktop: insert the image, use Copy Text from Picture, then paste | Recognized text to edit in OneNote or another app |
| Edit recognized text within an image-based or scanned PDF | Acrobat desktop: use Edit or All tools > Scan & OCR > Recognize text | A searchable PDF with recognized text that can be edited and saved |
| Turn a document image you are capturing into a Word document | Microsoft Lens for Android: choose Word as the output | A Word file with extracted text, formatting, and layout that can be edited |
The Lens workflow is capture-oriented; for a screenshot you already have, OneNote or a PDF workflow is more direct. OneNote for the web does not provide the picture-text copying command described for its desktop app.

Copy screenshot text with OneNote desktop
- Open the OneNote desktop app on Windows or Mac and open or create a page.
- Insert the screenshot on the page, or paste it there from the clipboard.
- Right-click the picture and choose Copy Text from Picture.
- Paste the copied text into OneNote, a word processor, an email, or another text field.
- Compare the pasted result with the screenshot and correct errors before using it.
The command may not appear as soon as the image is inserted: recognition can still be processing. Microsoft notes that whether text can be recognized depends on factors such as image complexity, legibility, and the amount of text. Its support documentation says some results may take 24–48 hours; that is a possible delay, not a promise that every image will take that long. If the command is missing, allow processing time, then try again. The OneNote web app is not a workaround for this command; use the desktop app.
When this method is a good fit
Use it when you mainly need the words, not a faithful recreation of the screenshot’s visual layout. It is also a straightforward route when the image is already in a OneNote page. OCR may not preserve the layout, and recognized text still needs proofreading.
Make recognized text editable in Acrobat
For an image-based or scanned PDF, Acrobat can apply OCR as part of its editing workflow. Adobe’s desktop instructions describe opening the PDF and choosing Edit; Acrobat automatically applies OCR and creates an editable PDF copy. If you want to run recognition explicitly, use All tools > Scan & OCR > Recognize text. Product controls may differ by platform or version, so check the controls in the Acrobat edition you are using.

If your starting point is a screenshot image rather than a PDF, Adobe also documents a web tutorial path of opening a photo or scanned image and choosing Convert > Recognize text with OCR. Availability and exact controls can depend on the product version and platform. Adobe recommends enhancing blurry or low-resolution source images before editing; recognition errors can also be reviewed and corrected in Acrobat.

What this does—and does not—preserve
OCR makes text in a PDF searchable and allows recognized text to be edited. Do not assume that it will reproduce every detail of the original screenshot as if it were a source file from a word processor or design app. Inspect line breaks, text placement, and formatting after editing, especially if the document must look close to the original.
Convert a document image to Word with Microsoft Lens
Microsoft’s Lens for Android documentation describes a capture workflow: capture a document image, choose Word as the output, and create a Word file containing text extracted from the image. The documented result has editable text, formatting, and layout. Lens is aimed at capturing a document into Word; it is not the most direct path for extracting words from an existing screenshot already saved on your device.

If you already have the screenshot, use an image-OCR workflow such as OneNote desktop for copyable text, or use OCR in a PDF workflow when the desired output is a PDF. If you are capturing the document now and want a Word file, Lens’s Word output is the relevant option.
Improve OCR results and check the text
- Start from the clearest available image. Use the original screenshot rather than a smaller copy if you have one. Blurring and low resolution make letters harder to distinguish; Adobe recommends enhancing blurry or low-resolution images before editing.
- Check names, numbers, punctuation, and small text carefully. A result that looks plausible can still contain a wrong digit or character.
- Inspect tables and columns against the image. OCR may recognize the words without preserving their original arrangement; confirm that relationships between rows and columns remain clear.
- Review uncertain words. Acrobat can flag uncertain recognition for inspection and correction. Microsoft recommends looking over OneNote’s copied text to ensure it was recognized properly.
- Keep the original screenshot unchanged. Work from a copy or retain the image alongside the extracted text so you can resolve ambiguities.
Handwriting, stylized type, cluttered layouts, and low-contrast or crowded text can be harder to recognize than clear, legible printed text. Do not treat OCR output as verified just because the app produced it. Proofread it against the image before relying on an address, a name, a figure, or a quotation.

Troubleshooting common problems
OneNote does not show “Copy Text from Picture”
Make sure you are using the desktop app and have right-clicked the inserted picture. Recognition may still be processing, so wait and check again. If you are in OneNote for the web, use the desktop app instead; the web-specific support page says this picture-copy command is not available there.

The copied text is empty or incomplete
Check that the screenshot is legible and that the text is not too small or obscured. Microsoft says recognition availability depends on image complexity, legibility, and text volume. Try a clearer source image if possible, allow processing time, and compare the result with the picture rather than assuming every word was captured.
OCR text contains errors
Correct the output manually after comparing it with the image. Pay particular attention to numbers, names, punctuation, and characters that look similar. If the source is blurry or low-resolution and you are using Acrobat, Adobe recommends enhancing the image before editing; Acrobat also supports reviewing and correcting uncertain words.
The PDF is not editable after opening it
If the PDF consists of scanned page images, run OCR: in Acrobat, choose Edit for the automatic OCR-to-editable-copy workflow, or All tools > Scan & OCR > Recognize text. Then select recognized text to make a change and save the edited copy. Confirm that OCR has completed before expecting image-only words to behave like text.

The edited result does not match the screenshot’s layout
OCR’s central job is recognizing text, not recreating the screenshot’s original source layout. Correct the wording first, then adjust formatting and placement in the destination document if visual similarity matters. A screenshot alone may not contain enough information to recover the original fonts, spacing, or structure exactly.

Can I edit text directly inside the screenshot image?
Not as native text: the original letters are pixels. Use OCR to get editable text, or edit a recognized text layer in a supported PDF workflow.
Does OCR guarantee an exact transcription?
No. Recognition depends on image quality and legibility, and the output should be checked against the screenshot.
Can a screenshot become a searchable PDF?
Acrobat documents OCR for scanned PDFs, creating recognized text that can be searched and edited. Interface details can vary by product platform and version.
