How to Make a Printable Pokémon TCG Card Checklist from the Universe Site

The dependable way to make a printable Pokémon TCG checklist is to use the official Pokémon Trading Card Database to identify every card in the exact expansion and language, then either download that expansion’s official checklist PDF or copy the numbered records into a spreadsheet with checkboxes. Keep the card number, name, rarity and variant together, print one expansion at a time, and verify the finished sheet against the database before filing it with your cards.

Use the right source before you print

A page on a Pokémon card “universe” or community site can help you discover a set, but it should not be the final authority for card identity. Start with the official Pokémon Trading Card Database. Its card records and expansion filters are the dependable reference for the spelling of names, collection numbers, rarity and other variant information.

As an Amazon Associate I earn from qualifying purchases.

That distinction matters when a checklist is used for trading or buying. A missing number, a translated name or a merged variant can make a printed list look complete when it is not. Keep the official numbering exactly as shown, even if you later add your own status columns.

Do not use the retired Card Dex as an export source

Pokémon Support states that Card Dex data “will not be exportable or transferrable in any way” and directs collectors to the Trading Card Database for card information. In practice, use Card Dex pages only if you are looking at them for personal reference; build the printable file from the database or an official expansion checklist instead.

Choose the expansion and language first

Before copying a single row, write the exact expansion name at the top of your working document. Also record the language you are collecting. A checklist for one language should not silently mix names or numbering from another.

  • Expansion: use the complete official set name, including any subtitle.
  • Language: keep separate sheets when you collect cards in different languages.
  • Numbering: preserve the printed collection number, including leading zeroes or suffixes.
  • Card identity: keep the name, rarity and any variant information beside the number.
  • Access date: put the date you checked the database or PDF in the document footer.

Keeping these fields together prevents a common maintenance problem: a collector updates the name column but loses the number that proves which card the row represents.

Collect the card rows from the official database

  1. Open the Trading Card Database and select the expansion filter. Search by the exact set name rather than copying results from a general web search.
  2. Confirm the result count and range. Check that the first and last collection numbers make sense for the expansion. Do not renumber rows just because your spreadsheet starts at 1.
  3. Copy one record per row. At minimum, copy the card number and card name. Add rarity and variant information when the database supplies it.
  4. Keep variants distinct. If the database lists two collectible versions separately, give each its own row or a clearly separated variant field. Never combine them merely to make the list shorter.
  5. Sort by official card number. Alphabetical sorting is useful for searching, but the printed checklist is easiest to reconcile with a binder when it follows the expansion’s numbering.
  6. Compare a sample against the source. Recheck the first few rows, a middle section and the final rows before printing. This catches a filter that was applied to the wrong expansion.

A practical row format is Number | Card name | Rarity | Variant | Owned | Missing | Duplicate | Condition | Notes. You can remove optional fields for a compact printout, but do not remove the number or name.

Use an official checklist PDF when one exists

Official Pokémon checklist PDFs are the fastest route because the expansion, numbering and visual layout are already prepared. The official Platinum checklist tells collectors: “Use the check boxes below to keep track of your Pokémon TCG cards!” That is the basic model to copy even when you are making your own sheet.

The Scarlet & Violet official checklist demonstrates the same numbered, checkbox-based format for a modern expansion. Look for the PDF that matches the exact expansion and language you collect; a PDF for a neighboring set is not a substitute.

How to validate a PDF before printing

  • Read the expansion name on the first page and compare it with the database filter you intend to use.
  • Check that the numbering style matches the cards you own.
  • Look for pages that continue the numbered sequence; do not assume the first page is the complete set.
  • Confirm that the PDF’s checkboxes are large enough to mark with a pen.
  • Save a local copy with the expansion name and access date so you know which version you printed.

If an official PDF covers only the base numbered cards while your collection tracks additional variants, use the PDF for the base list and add a separate variant section from the database.

Build a custom printable checklist in a spreadsheet

A spreadsheet is better than a PDF when you want filters, notes or a living inventory. Create a separate file or worksheet for each expansion. A “one sheet per set” organization keeps updates local; changing one expansion will not renumber unrelated sets.

Recommended columns

Column Purpose
Card number Preserves the official expansion identity and binder order.
Card name Provides the readable label you check while sorting cards.
Rarity Lets you identify the type of card without reopening the database.
Variant Separates versions that share a name but are tracked independently.
Owned An empty checkbox or small markable cell for cards in your collection.
Missing A quick purchasing or trading list.
Duplicate Tracks extra copies without changing the owned status.
Condition A short note such as the condition category you use consistently.
Notes Room for trade plans, binder location or a later verification.

The official identity fields should remain stable. Status fields can change as you buy, trade or sell cards, so place them after the identity columns and avoid sorting the entire sheet by a status field unless you can restore number order.

Add checkboxes without making the printout fragile

Use the spreadsheet application’s checkbox control if it prints as a visible square. Otherwise, reserve a narrow “Owned” column and insert an empty square character or leave a blank cell for pen marks. Print a test page before producing the entire set: some spreadsheet checkbox controls appear interactive on screen but become tiny or invisible on paper.

Set the page layout for real-world checking

  1. Choose portrait or landscape. Portrait works for number, name and one status column. Landscape is usually easier when you add rarity, variant, duplicate and notes fields.
  2. Turn on fit-to-page. Fit the width to one page when possible, but avoid shrinking text until it is hard to read. Let a large expansion continue onto additional pages rather than forcing microscopic type.
  3. Repeat the header row. If the expansion spans several pages, repeat the column headings at the top of every page.
  4. Leave writing space. A checklist is a paper tool; a narrow notes column is less useful than a readable one.
  5. Print one test page. Check that numbers, names and boxes are not clipped at the margins and that the checkbox can be marked.
  6. Print the remaining pages and label them. Put the expansion name, language and access date in the header or footer.

Keep each expansion as its own document even when you store the pages in one binder. Separate files make it easier to replace a revised checklist without reprinting every other set.

Official PDF or custom spreadsheet?

Approach Best when Strengths Trade-offs
Official expansion PDF You want a quick, visually consistent printout. Numbered rows and checkboxes are already laid out. You have less control over status fields, notes and filtering.
Custom spreadsheet You maintain buying, trading or condition information. You can filter, add fields, update rows and export a layout that fits your binder. You must verify every copied row and manage page settings yourself.

Both approaches work. The deciding question is whether you need a paper checklist only or an inventory that changes over time.

Choose an expansion sheet or a master sheet

Organization Advantages When it becomes difficult
One sheet per expansion Easy to print, replace and file; updates stay limited to one set. Cross-set searches require opening more than one sheet.
One master sheet Convenient for searching all cards in one place. The document becomes unwieldy as expansions, languages and variants accumulate.

For a paper collection, expansion-specific sheets are usually the cleaner choice. A master workbook can still be useful digitally, provided every row retains an expansion field and the official card number.

Store the checklist with the cards

A binder is a natural companion to a printed checklist. File the pages in the same expansion order as the cards, and leave room for a replacement page if you later correct a row. A physical checklist is most useful when it is near the cards rather than in a separate folder.

Third-party collection trackers may add binder planning, printable missing-card exports or other convenience features. Treat them as organizational tools, not as the authority for card identity. Compare their rows with the official database before printing, especially after an expansion receives an update.

Maintenance: keep the printout trustworthy

  • Label every version. Record the expansion, language and access date on the page.
  • Update locally. If one card name or number changes in your working file, do not silently alter other expansions.
  • Reconcile after trades. Mark owned, missing and duplicate statuses together so the three fields do not contradict one another.
  • Recheck uncertain rows. When a card’s variant or rarity is unclear, return to the database record rather than guessing from a scan.
  • Replace obsolete pages. Discard the old page or mark it superseded so two versions are not used accidentally.

Troubleshooting common checklist problems

The list contains cards from the wrong expansion

Cause: a broad search or neighboring expansion was selected. Fix: return to the official database, apply the exact expansion filter, and compare the first and last numbers before copying again.

Numbers do not match the cards

Cause: rows were alphabetized, renumbered or copied without leading zeroes. Fix: restore the official number exactly as displayed and sort by that field for printing.

A variant appears to be missing

Cause: the PDF or spreadsheet tracks only the base card identity. Fix: inspect the database record for variant information and add a separate variant field or row instead of overwriting the base card.

The PDF prints with clipped names or boxes

Cause: the printer ignored margins or the page was scaled beyond the printable area. Fix: enable fit-to-page, select the correct paper size, and print a test page before the full run.

Checkboxes are too small to use

Cause: too many columns were forced onto one page or interactive controls did not translate well to paper. Fix: switch to landscape, remove nonessential columns, increase row height, or use blank cells designed for pen marks.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The expansion is longer than one page

Cause: the set simply needs more rows. Fix: allow multiple pages, repeat the header row, and keep all pages under one expansion name rather than shrinking the entire list until it is unreadable.

Two languages were mixed

Cause: names were copied from a different regional database view or from a community list. Fix: create a language-specific sheet and verify names and numbering against the records for that language.

FAQ

Should I print a checklist for every expansion I collect?

Yes. Keeping one document per expansion prevents a correction or replacement from disturbing the numbering and pages of other sets.

Can an official PDF replace the database?

It can replace manual copying when it matches your exact expansion and language, but the database remains the reference to check card identity and variant details.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What should I do when a community tracker disagrees with the official list?

Keep the community tracker’s planning features if they help, but resolve the disagreement against the official Trading Card Database before printing or trading from the checklist.

Frequently Asked Questions

How should I mark a card that I own in two versions?

Keep one identity row for each version the official records distinguish, then mark the duplicate or variant status in its own field. Do not increase the official card number to represent an extra copy.

Is a digital spreadsheet still useful after I print the checklist?

Yes. Use the digital file for filtering and updates, and treat the dated printout as the paper snapshot stored with the expansion.

How do I handle an expansion whose checklist is revised later?

Save the revised file with a new access date, compare its numbering with your current pages, and replace only the affected expansion in your binder.
