Use a local retrieval-augmented generation (RAG) setup: a desktop app parses your files, creates searchable embedding vectors on your computer, retrieves relevant passages for each question, and sends only that retrieved context to a language model running locally. GPT4All LocalDocs, LM Studio, AnythingLLM Desktop, and Ollama-based stacks can do this without sending document contents to a cloud model—provided you disable optional cloud, web-search, and remote-provider features.
What local file search actually does
A local LLM does not automatically understand a folder full of PDFs or office documents. The application around the model supplies the search layer. This is usually called retrieval-augmented generation (RAG).

- Parse: The application extracts text from each supported file. Scanned pages may require optical character recognition, and unusual layouts can produce incomplete or badly ordered text.
- Chunk: Long documents are split into smaller passages. Chunk size and overlap determine whether a retrieved passage contains enough context to answer a question.
- Embed: An embedding model converts every passage into a numerical vector representing its meaning. GPT4All LocalDocs, for example, indexes a folder into text snippets with embedding vectors; AnythingLLM describes embeddings as the vectors that are stored and searched to provide RAG.
- Store: The parsed text, vectors, and index are kept in the application’s local storage or vector database.
- Retrieve: When you ask a question, the application embeds the question, searches for nearby vectors, and selects the most relevant passages.
- Generate: The selected passages are placed in the prompt sent to the local language model. The model then writes an answer from that context.
The model is therefore only one part of the system. A fast model with poor parsing or unsuitable chunks can miss the right passage, while a smaller model with clean retrieval can answer well. There is no authoritative cross-product accuracy percentage or universal speed benchmark for these tools.

These options overlap, but they emphasize different parts of the workflow. All can be used locally; each also has optional network-connected features that must be controlled deliberately.

| Option | Best fit | Document indexing | Model and provider choices | Storage and retrieval considerations |
|---|---|---|---|---|
| GPT4All LocalDocs | The simplest desktop route for a personal folder | Built-in folder indexing into snippets and embedding vectors | Runs local models; Nomic embedding models bring documents into chats on-device | Fewest moving parts; inspect its local index and model locations before importing sensitive data |
| LM Studio | A polished model runner with offline document chat | Document chat and RAG are integrated | Local models, with optional cloud models and network downloads | Its offline documentation says dragged-in documents stay on the machine; verify that cloud and web features are disabled when required |
| AnythingLLM Desktop | Multiple workspaces, provider controls, and more administrative detail | Workspace-based document ingestion and local vector databases | Built-in local embeddings, Ollama, and LM Studio are supported; remote providers can also be configured | Removing a workspace document deletes its vectors but can leave parsed data in My Documents until you delete it there too |
| Ollama plus a local RAG interface | A modular stack for users who want to choose each component | Ollama supplies the local model runtime; a separate interface performs parsing, indexing, and chat | Models run on the local device according to Ollama’s policy; the interface determines embedding and retrieval options | More configuration and more places to check, but components can be replaced independently |
For a first experiment, GPT4All LocalDocs or LM Studio usually involves the fewest decisions. Choose AnythingLLM when separate workspaces and provider controls matter. Choose Ollama with a RAG interface when you are comfortable assembling and maintaining a modular system.
What “local” protects—and what it does not
Keeping the model and index on your computer prevents document text from being sent to a hosted LLM during ordinary retrieval and generation. It does not make every operation offline. LM Studio states that when you drag a document into it for chat or RAG, the document stays on your machine. Its privacy information also distinguishes local use from model searches and downloads, updates, cloud models, and web search, any of which can involve network processing.
| Component or action | Can remain entirely local | May use the network |
|---|---|---|
| Document parsing, chunking, and embedding | Yes, when a local embedding provider is selected | A remote embedding provider would receive document text |
| Question answering | Yes, with a model running on the device | A cloud model receives the retrieved context if selected |
| Model installation | After the model files are already present | Initial model searches and downloads normally require connectivity |
| Web-enhanced answers | No web access is needed when the feature is off | Web search sends queries and possibly context to online services |
| Telemetry and updates | Can often be limited by application settings or operating-system controls | Enabled telemetry, update checks, and crash reporting can transmit data |
Local execution also does not defend against another account on the same computer, malware, a stolen unlocked laptop, or an accidentally shared backup. Use operating-system account permissions, full-disk encryption, and backups appropriate to the sensitivity of the files.

Download the application, the language model, and any local embedding model before disconnecting from the internet. A GPT4All documentation example lists one model download at 4.66 GB. That is an example file size, not a universal hardware requirement; model sizes vary widely. Leave additional disk space for the application, model files, parsed text, vector indexes, caches, and temporary downloads.
Decide where private data may be stored
Check the application’s model directory, document directory, vector database location, and cache location. Put them on an encrypted volume if the files are sensitive. If your computer has multiple user accounts, ensure the directories are not readable by other users. Make a backup plan before indexing irreplaceable material, but remember that a backup of a local index is also a copy of the document content.

Start with a controlled test set
Create a small folder containing representative files: a short text document, a long document, and one file whose layout resembles your real collection. Include a passage whose answer you know exactly. This lets you check parsing, retrieval, citations, and deletion before committing an entire archive.
Step-by-step: build a private local document chat
- Install one local application. Select GPT4All LocalDocs, LM Studio, AnythingLLM Desktop, or an interface that uses Ollama. Avoid installing several at once until you know which storage locations and providers each one uses.
- Download a local model and embedding model while connected. Confirm that the chat model and embedding provider are marked local. If an application offers a cloud model with a similar name, do not select it for a private workspace.
- Disable unnecessary network features. Turn off cloud-model routing, web search, remote embeddings, and telemetry where the application exposes those controls. If a setting is unclear, test with the computer offline and verify that the application still opens the model and index.
- Create a collection or workspace. Use the application’s document, workspace, or LocalDocs function and point it at the test folder. Do not begin with your entire home directory; indexing temporary files, browser profiles, or credential stores creates unnecessary risk.
- Run the initial index. Wait for parsing and embedding to finish. Note which files were accepted, skipped, or reported with errors. Record the location of the index and caches so you can remove them later.
- Ask a question with an observable answer. Request a short answer plus the exact passage or file name used. Questions that require a specific date, number, or quoted sentence reveal retrieval mistakes more reliably than broad summaries.
- Inspect the retrieved snippets. Check whether the right file, page, and surrounding context were supplied to the model. If the answer is wrong but the correct passage was retrieved, the model or prompt is the problem; if the passage is absent, adjust parsing, chunking, embeddings, or retrieval count.
- Expand gradually. Add larger folders in batches. Re-test after each batch, because a crowded index, duplicate files, or mixed versions can make the nearest results less useful.
Make answers auditable instead of merely plausible
Ask the model to identify the source file and quote the relevant passage. A response that includes a citation or snippet lets you distinguish a retrieval failure from a model hallucination. Treat a confident answer without supporting text as unverified, especially for legal, financial, medical, personnel, or safety-sensitive material.
Keep a small validation set of questions with known answers. Re-run it after changing the embedding model, chunk settings, retrieval count, or language model. Do not interpret one successful answer as proof that every file is indexed correctly.
Tune retrieval when the first results are poor
Parsing and file preparation
Open the extracted text, if the application provides a preview. Headers, tables, footnotes, columns, and scanned pages can be lost or reordered during extraction. If a file is image-only, use a trusted local OCR process before indexing, then verify the OCR text because recognition errors become searchable facts.
Chunk size and overlap
Smaller chunks make a precise sentence easier to retrieve but can omit definitions or conditions located nearby. Larger chunks preserve context but consume more model context and can dilute similarity results. Overlap keeps a sentence that crosses a boundary from being split apart, at the cost of duplicate vectors and a larger index. Change one setting at a time and test the known-answer questions.

Retrieval count and model context
Retrieving too few passages can miss a qualification; retrieving too many can bury the answer in irrelevant text and leave less room for the model’s response. If the application exposes a retrieval-count or top-results control, increase it for questions that require several sections and decrease it when unrelated passages dominate. The language model’s context limit constrains how much retrieved text can be supplied.
Embedding provider
Embeddings determine which passages are considered semantically similar. Use a local embedding provider when privacy is required. AnythingLLM supports built-in embeddings, Ollama, and LM Studio as local choices. Changing providers usually requires rebuilding the index so every document and query uses the same vector space.
Deletion is a two-stage privacy task
Removing a file from a chat view does not necessarily erase every local copy. Delete the indexed record, then follow the application’s procedure for deleting parsed files, vector caches, and temporary data.
AnythingLLM documents an important distinction: removing a document from a workspace deletes that workspace’s vectors but leaves the parsed file in My Documents. Deleting the item from My Documents removes the parsed source and cached embeddings. Other applications may use different names and locations, so inspect their storage controls rather than assuming that closing a workspace is full erasure.
- Remove the document from every workspace or collection that references it.
- Delete the parsed document and embedding cache from the application’s document storage.
- Empty any recycle bin or temporary directory used by the application.
- Search the model and application data directories for duplicate exports or backups.
- If the source file itself must disappear, delete it securely according to your operating system and retention policy.
File support and collection design
File-type support differs by application and version. Before importing a large archive, test the exact formats, encodings, tables, and scanned pages you rely on. A file being accepted by the interface does not guarantee that every page or layout element was extracted.

Organize collections around a clear purpose. A workspace containing one project or policy set is easier to validate than a single index mixing personal notes, old revisions, logs, and unrelated reference material. Keep filenames and version dates meaningful; they help you identify conflicts when two passages disagree.
Common failures and how to fix them
The application says the model is unavailable offline
The model may not have been downloaded, or the application may be trying to contact a provider instead of using the local file. Reconnect once to finish the download, select the installed local model explicitly, then test again with networking disabled.
The answer says the file contains nothing relevant
Inspect the parser output. The document may be image-only, encrypted, corrupted, in an unsupported format, or indexed from the wrong folder. Convert or OCR a copy locally, confirm that text is visible in the preview, and re-index that copy.
The correct file is indexed but never retrieved
Check whether the question uses different terminology from the document. Try a quoted phrase, then review chunk size, overlap, embedding provider, and retrieval count. Rebuild the index after changing the embedding model.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →The model quotes the wrong version
Remove obsolete revisions or place them in separate workspaces. Ask for the filename and date with every answer. If multiple passages remain relevant, require the model to show each one rather than silently choosing a single version.
Best Value
Answers become vague after adding more documents
A larger index can return more near-matches. Narrow the workspace, reduce the number of retrieved passages, improve filenames and metadata, or split the collection by project. More indexed files do not automatically produce better retrieval.
Deletion appears to work, but storage usage does not fall
Check both the workspace index and the application’s document or cache directory. Parsed text, embeddings, backups, and recycle bins may be separate from the visible workspace entry. Use the documented full-erasure path for that application.
Security practices for sensitive archives
- Use a separate operating-system account or encrypted volume for confidential collections.
- Keep the application and model files updated, but review update and telemetry settings before reconnecting a sensitive machine.
- Do not index password databases, private keys, browser profiles, or unrelated personal folders.
- Restrict file permissions so other local users cannot read the source, parsed text, or vector database.
- Protect backups with the same controls as the originals.
- Disconnect from the network during high-sensitivity work if the application remains functional offline, and reconnect only for deliberate downloads or updates.
- Assume that anyone who can use the local account may be able to query the indexed content; local RAG is not an access-control system.
Which setup should you use?
Choose GPT4All LocalDocs when the priority is a straightforward desktop folder search with minimal configuration. Choose LM Studio when you want a polished local model runner and document chat, while accepting that cloud models, web search, downloads, and updates need separate privacy checks. Choose AnythingLLM Desktop when workspaces, local-provider selection, and explicit storage management are important. Choose Ollama with a separate RAG interface when you need a modular system and are willing to configure more components.
Recommended Free Tools
Whichever route you choose, the privacy claim is conditional: the model, embedding process, and document index must remain local, and optional network features must be disabled or controlled. Validate the retrieved passages, tune the index for your files, and erase both the visible records and their parsed caches when a document must be removed.
