Choose the kind of separation you actually need
Start with one question: do you need separate browser data inside one person’s Chromebook session, or a separate ChromeOS user session with its own files?
| Method | Best fit | What stays separate | Important limits |
|---|---|---|---|
| Separate Chrome profiles | One person switching between work and personal browsing | Bookmarks, history, passwords, settings and other browser information | Anyone who can use the Chromebook may be able to switch profiles; profiles are not a security boundary against device access. |
| Separate Chromebook user accounts | Distinct ChromeOS sessions, files or several regular users sharing one device | Each user’s synced Chrome data, apps, wallpaper, bookmarks, information and files | The Chromebook owner or an organization can limit who may sign in. Managed devices may allow only approved accounts. |
| Chromebook Guest browsing | Short-term use without signing in to a Google Account | Guest-session files, cookies, website data and browsing activity are deleted when you exit | It is temporary, has feature limitations, and can be disabled by an administrator. It does not provide anonymity. |
| Incognito mode | A temporary private-browsing window where supported | Reduces local browsing-history storage in that window | Do not confuse desktop Chrome’s Incognito or Guest instructions with Chromebook Guest, which is a separate ChromeOS sign-in-screen mode. |
Google describes Chrome profiles as a way to keep “your different accounts, like work and personal, separate.” That is the right choice when the same person needs two clean browser environments but not two separate Chromebook desktops.

Use separate Chrome profiles for work and personal browser data
A Chrome profile has its own browser information. Switching profiles keeps work bookmarks, history, saved passwords, extensions and settings from being mixed with personal ones. You can give each profile a distinct name, image and color so the active context is visible before you open a tab.
Set up a second Chrome profile
- Open Chrome on the Chromebook.
- Select the profile control in the upper-right corner of the Chrome window.
- Choose the option to add a Chrome profile. The exact wording and placement can vary by ChromeOS and Chrome version.
- Choose a name, photo and color that clearly identify the profile, such as Work and Personal.
- Sign in to the appropriate Google Account when prompted, then enable the sync options you want for that profile.
Repeat the process for the other context if you started with only one profile. Keep work and personal accounts signed in to their matching profiles rather than adding both accounts to every profile; that reduces the chance of saving a password, bookmark or browsing history in the wrong place.
Make profile switching hard to get wrong
- Use unmistakably different colors and profile images.
- Pin or arrange work-specific extensions only in the work profile and personal extensions only in the personal profile.
- Before opening a sensitive site, check the profile icon and account avatar in the toolbar.
- When a website offers to save a password, confirm that you are in the intended profile first.
- Keep separate bookmarks folders for work and personal projects instead of combining them in one profile.
- Use profile names that describe the purpose, not just the account holder, especially if several Google Accounts have similar addresses.
Profiles improve organization and prevent accidental account crossover. They do not prevent another person with access to the unlocked Chromebook from opening or switching to another profile. If you need separation of local files and a full ChromeOS session, use separate Chromebook users instead.
Use separate Chromebook user accounts for sessions, files and regular sharing
A Chromebook user account creates a separate ChromeOS experience. When another person signs in, that person gets their own synced Chrome data, apps, wallpaper and bookmarks, while their information and files remain separate from the owner’s. This is the stronger fit when work and personal activity need different local files, apps or desktop settings, or when more than one person regularly uses the Chromebook.
Add another person to the Chromebook
- Sign out of the current Chromebook session.
- At the sign-in screen, select Add person.
- Choose the available setup type and follow the on-screen prompts.
- Sign in with the Google Account intended for that user session.
- Finish any requested sync, security or device setup steps before using the account for work or personal activity.
Labels can differ between ChromeOS releases. If you do not see Add person, the device may be managed, the owner may have restricted additional users, or the current sign-in flow may use a different label.
When a separate user is better than a profile
- You need work and personal downloads, Linux files or other local documents kept in different user areas.
- Each context needs a different set of apps, wallpaper, accessibility settings or browser extensions.
- Several people use the same Chromebook on a continuing basis.
- You want a full sign-out between contexts rather than merely switching browser windows.
Multiple Chromebook users can be used on one device, but some settings are shared. Google also warns that managed devices may limit which users can sign in. A separate account therefore provides stronger organization, not an absolute barrier against policies imposed by the owner or administrator.
Remember the owner and shared-device rules
The first account or designated owner can control important Chromebook settings, including whether additional people may use the device. Separate users should still sign out when finished, particularly on a shared or portable Chromebook. A user account keeps files and synced browser information in separate areas, but it does not change who owns the device or which organization’s policies apply to it.

Use Chromebook Guest browsing for a temporary session
Guest browsing is for someone who needs short-term access without signing in to a Google Account. It is not a second permanent personal profile. When you end the session, ChromeOS deletes files, cookies, website data and browsing activity stored during that Guest session.
Start a Guest session
- Sign out of the Chromebook.
- At the sign-in screen, choose Browse as Guest.
- Use the browser for the temporary task. Do not store anything you need to keep in the Guest session.
End Guest mode correctly
- Open the session controls.
- Choose Exit guest.
- Wait for the Chromebook to return to the sign-in screen before handing the device to someone else.
Because the local Guest data is removed on exit, Guest mode is useful on a borrowed Chromebook, for a visitor, or for a one-off task. It is a poor substitute for an everyday personal workspace: saved settings and files do not persist, and some Chromebook features are unavailable.
Save anything you must retain to an approved online location before leaving Guest mode. If a site requires an account, sign in only when that is acceptable for the device and network, and sign out of the site before exiting as an additional housekeeping step. Deleting local Guest data does not undo activity that a website or service has already received.
Do not confuse Chromebook Guest with Incognito
Chromebook Guest is a ChromeOS mode selected from the sign-in screen. Incognito is a temporary browsing window inside Chrome where supported. Desktop Chrome help discusses Guest and Incognito behavior, but those desktop instructions are not the setup path for Chromebook Guest.
Recommended Free Tools
Incognito mainly changes what is retained locally in that browsing window. It does not create a separate Chromebook user, separate local file area or separate synced profile. If the goal is to keep work bookmarks, passwords and settings apart from personal ones, create profiles. If the goal is to separate users and files, add a Chromebook account. If the goal is a disposable session, use Chromebook Guest.
Understand what this separation does—and does not—protect
What it helps prevent
- Saving a work password or bookmark into a personal browser profile.
- Opening a personal tab while signed in to a work-only browser context.
- Mixing downloads and local files between regular Chromebook users.
- Leaving a temporary visitor’s cookies and browsing history on the device after Guest mode ends.
What it does not hide
Google states that Guest browsing does not stop websites, signed-in services, an employer or school, the network operator, the internet provider or search engines from receiving or observing information about activity. The same basic limitation applies to Incognito: reducing local history is not the same as making network activity anonymous.
A work profile or work user account also does not override employer monitoring, filtering, logging or endpoint-management software. Keep personal activity in a personal context only when your organization’s policy allows it, and do not assume that a separate profile defeats device-level administration.

Separation is organization, not encryption
Profiles and users are built-in organization features. They reduce mistakes by presenting the right bookmarks, account, apps and files at the right time, but they do not promise that data is encrypted from the device owner, administrator or someone using an unlocked session. Use the Chromebook’s normal screen lock, sign out of accounts when appropriate, and follow your employer’s or school’s handling rules for sensitive information.
Managed Chromebooks can remove these choices
On a Chromebook owned or controlled by a company or school, administrators can restrict secondary accounts, profile use, user sign-ins and Guest sessions. A missing Add person, profile option or Browse as Guest choice may therefore be an intentional policy setting rather than a fault in your device.
What to check before troubleshooting
- Look for a message indicating that the Chromebook is managed by an organization.
- Confirm whether you are using a work or school account supplied by that organization.
- Check whether the organization permits personal Google Accounts on the device.
- Ask the administrator whether Guest browsing or additional users have been disabled.
Do not try to bypass management controls. If a required option is unavailable, contact the work or school administrator and ask which separation method is approved. Policies can also change after an update or account change, so an option that was visible previously may disappear without a hardware problem.
What does this setup cost?
Chrome profiles, Chromebook user accounts, Guest browsing and Incognito are software features included with Chrome or ChromeOS. They do not require a special accessory or a separate purchase. The practical cost is time spent setting up accounts, moving bookmarks that are already in the wrong profile, and learning which sign-in the device permits. A company or school may impose its own licensing or policy requirements, but those are administrative conditions rather than a shopping item.
A practical setup for common situations
One person with one Chromebook
Create two Chrome profiles when the main concern is browser data. Use a separate Chromebook user account instead if personal and work files, apps or desktop settings must also be divided. You can use profiles inside the appropriate user session, but avoid creating unnecessary layers that make the active context unclear.

A family or shared household Chromebook
Give each regular user a Chromebook account. Each person then signs in to their own session and keeps files and synced browser data separate. Reserve Guest mode for visitors who need temporary access and do not need anything saved.
A company- or school-issued Chromebook
Use the organization’s approved account and follow its policy. If you need personal browsing, ask whether a separate personal account or profile is allowed. If the option is absent, the administrator—not a hidden Chrome setting—is the likely source of the restriction.

A borrowed Chromebook or one-off task
Choose Browse as Guest if it is available. Finish by selecting Exit guest; otherwise the session remains open for the next person.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Keep the separation reliable over time
- Review the active context at the start of the day. Check the profile icon or ChromeOS user name before opening mail, documents or password prompts.
- Use matching account names. A clear Work or Personal label is easier to recognize than two similar email addresses.
- Audit saved data occasionally. Remove passwords, bookmarks, extensions or downloads that landed in the wrong context and move them manually where appropriate.
- Sign out before handing over the Chromebook. Profile switching inside an unlocked session is not the same as signing out of a user account.
- Respect policy boundaries. On managed hardware, ask before adding a personal account or storing personal data, even if the interface appears to allow it.
Troubleshoot the most common problems
“Browse as Guest” is missing
The device may be managed with Guest mode disabled, or the owner may have turned it off. Confirm the Chromebook’s management status and ask the administrator or owner. Do not treat Incognito as an equivalent if you need the disposable ChromeOS session.

Additional users may be restricted, especially on work or school devices. Sign out completely and check the sign-in screen again. If the control is still absent, request permission from the administrator.
Work and personal bookmarks still appear together
Check the profile icon before opening Chrome. You may be using one profile with two accounts rather than two profiles. Create or select the intended profile, then review its sync and bookmark settings. Existing bookmarks may need to be moved manually; creating a profile does not automatically reorganize items already saved in the wrong one.
A password or extension appears in the wrong context
Switch to the profile where it belongs and remove or relocate the item there. Then verify the profile name and avatar before saving future passwords, extensions or bookmarks. If the item is synchronized, review the account’s sync settings so the correction propagates only where intended.
Files are visible from the other user
Confirm that both people are not using the same Chromebook user account. Sign out and enter the intended account from the sign-in screen. Separate user accounts keep each user’s information and files apart; two browser profiles inside one user session do not provide that same file-level division.

Guest data did not remain
That is expected behavior. Guest files, cookies, website data and browsing activity are deleted when you choose Exit guest. Save needed work to an approved location before ending the session, and do not use Guest mode for files or settings you need later.

Use this decision checklist
- Separate bookmarks, history, passwords and settings: create two Chrome profiles.
- Separate ChromeOS sessions, files and apps: add a second Chromebook user.
- Temporary access with no lasting local session data: use Chromebook Guest.
- Only a short-lived browsing window inside an existing session: use Incognito where available, understanding its privacy limits.
- An option is missing on a managed device: contact the administrator rather than attempting to bypass policy.
Frequently Asked Questions
Are Chrome profiles enough to separate work and personal browsing?
Yes, when you mainly need separate bookmarks, history, passwords, extensions and settings for one person. Profiles are not a device-access security boundary, so use separate Chromebook users when files, apps or full sessions must also be divided.
What is the difference between a Chrome profile and a Chromebook user account?
A Chrome profile separates browser information inside a session. A Chromebook user account provides a separate ChromeOS session with its own synced data, apps, wallpaper, bookmarks, information and files.
Does Chromebook Guest save anything permanently?
No. When you choose Exit guest, files, cookies, website data and browsing activity stored in that Guest session are deleted. Guest mode is intended for temporary use, not an everyday workspace.
Does Guest mode hide browsing from my employer, school or internet provider?
No. Websites, signed-in services, employers or schools, network operators, internet providers and search engines may still receive or observe activity. Guest mode removes local session data; it does not provide anonymity.
Can I use Incognito instead of Guest mode on a Chromebook?
Incognito is a temporary browser window inside an existing ChromeOS session, while Chromebook Guest is selected from the sign-in screen. Incognito does not create a separate user, file area or synced profile, so it is not an equivalent replacement for Guest or a separate account.
Why can’t I find Add person or Browse as Guest?
The Chromebook owner or an organization may have restricted additional users or disabled Guest browsing. Work and school administrators can control these choices. Check the management status and ask the owner or administrator rather than trying to bypass the restriction.
Do I need to buy hardware or software for this separation?
No. Chrome profiles, Chromebook users, Guest browsing and Incognito are built-in features. The main work is choosing the right method and keeping account names, files and saved data in the intended context.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Can several Chromebook users be signed in at once?
Chromebooks can support multiple accounts, but some settings are shared and managed devices may limit which users can sign in. Separate users improve organization without overriding owner or administrator policies.
The Bottom Line
Use Chrome profiles for separate browser data, Chromebook user accounts for separate sessions and files, and Guest browsing only for temporary access. Incognito is just a temporary window, not a second user. None of these choices makes activity invisible to websites, networks or an employer or school, and managed Chromebooks may remove the options entirely. If a control is missing, ask the device owner or administrator.
