Move your notes in two separate phases: first make an independent copy and import a small test set into the new app; then configure that app’s sync and verify edits in both directions on every device you use. Keep the original library and a separate backup until the import, attachments, formatting, search, offline access, and cross-device edits all check out.
Migration and synchronization are different jobs
Changing note apps involves two systems that are easy to confuse. Migration is the one-time process of copying notes, folders, attachments and other content into the destination app. Synchronization is the continuing process that propagates later changes among your phone, tablet, computer and any web access.

A note can be imported successfully and still be unavailable on another device if sync is not enabled. Conversely, enabling sync in the new app does not move notes that remain in the old app. Treat the work as a controlled hand-off:
- Preserve the source library and make an independent copy.
- Confirm what the destination can import and which formats it accepts.
- Test a representative sample before moving everything.
- Import the full library and verify the result.
- Configure the destination’s documented sync method.
- Test an edit in each direction and retain a separate backup.
This sequence limits the damage from a bad conversion, an account mistake or an unexpected conflict. It also leaves you a way out if the new app does not preserve a feature you depend on.

1. Preserve the original notes before changing anything
Make a copy that is independent of the new app
Do not begin by deleting the old app, signing out of its account or moving its only data store. Export the source library, copy its files to another location, or do both. Keep the original library intact while you test the destination.
For a local-file application such as Obsidian, the notes are stored in a folder called a vault. Obsidian’s documentation describes backing up the vault files and lists local folders and external drives as possible storage locations. An external drive can hold a retained copy, but it is a backup destination, not a service that synchronizes your devices.
Use more than one recovery path when the notes matter
- Keep the untouched source library in its original location.
- Store an exported copy in a separate folder or on an external drive.
- If the source app offers several export formats, retain the most editable format as well as a rendered archive when practical.
- Do not overwrite the backup with files produced by the destination app.
Sync is designed to propagate changes, including accidental deletions or corrupt edits. It is therefore not a replacement for a retained export. A backup that is separate from the sync system gives you a clean point from which to retry the migration.
2. Identify the destination app’s import route and formats
Prefer a documented direct importer
Use an importer supplied by the destination app when one exists. Obsidian’s official import guide lists importers for OneNote, Evernote, Apple Notes, Google Keep and other applications. A direct importer may understand notebooks, metadata, attachments or links that a generic file conversion cannot.
Before exporting, read the destination’s current import instructions and answer these questions:
- Is importing available on desktop, mobile, web, or only one of those?
- Which file types are accepted?
- Does the process create editable notes or only attach a rendered document?
- Are folders, tags, links, dates, checklists, images, audio and other attachments retained?
- Does the importer require the destination account to be signed in first?
- Will importing create duplicates if you repeat the operation?
Understand what a rendered export loses
Some source apps export to PDF or another presentation format. A PDF can preserve how a note looked on the page while losing the underlying structure: text may not remain naturally editable, links can behave differently, and checklists, tags or embedded files may not become native objects in the destination.
Evernote’s help documentation describes PDF exports for Apple Notes and OneNote and says its desktop import settings can convert PDF, TXT, HTML, Markdown and DOCX files into editable notes. That does not mean every element of an Apple Notes or OneNote file will survive conversion. Check the result against the original, especially when the source export is a PDF.
Record the limits before starting a full import
Make a short inventory of content that would be costly to lose: scanned documents, handwritten pages, tables, drawings, voice recordings, shared links, encrypted notes, nested folders and notes with unusual formatting. The official vendor instructions describe the available routes, but they do not guarantee that every app-to-app conversion retains every feature.

3. Test a small, representative batch
A test batch is safer than importing thousands of notes and discovering a structural problem afterward. Choose examples that exercise the features you actually use rather than selecting only plain paragraphs.
What to include in the test
- A short plain-text note.
- A note with headings, lists, checkboxes, bold or other formatting.
- A note containing images or attached files.
- A note with internal and external links.
- A long note and a note with a table, if those are part of your library.
- A note stored in a deep folder or notebook.
- A note with dates, tags or other metadata you rely on.
Compare each imported item with its source before proceeding. Check the text, order, line breaks, formatting, attachments, filenames and links. Open attachments rather than merely confirming that an icon appears. Search for a distinctive phrase to see whether the destination indexes the imported content.
Decide whether the conversion is acceptable
Separate cosmetic changes from functional losses. A different font or heading style may be harmless; missing images, broken links, flattened checklists or unreadable attachments are not. If the test fails, stop and change the export format, use a direct importer, or plan to keep the original app for the affected material.

Once the sample passes, import the remaining notes using the same route. Keep the source copy available throughout the operation. Large libraries may take time to process, and an interrupted import can leave a partial set.
Verify counts and organization
- Compare the number of source and destination notes, allowing for any documented exclusions.
- Check that folders, notebooks or tags appear where expected.
- Look for duplicate notes created by a second import attempt.
- Inspect the oldest and newest notes, not only recently edited ones.
Verify content and discoverability
- Open notes with attachments and confirm each file can be viewed or downloaded.
- Follow representative links and check that they still point to the intended location.
- Search for words from imported notes and confirm the results include them.
- Check formatting, lists, checkboxes, tables and images.
- Confirm that dates, tags and other metadata are usable in the destination’s search and filters.
Verify the devices that matter
Do not declare the move complete after checking only the computer used for import. Open the destination on every device you intend to use. Confirm that the notes appear, attachments open and the app can search them. If you need access during travel or without a network connection, enable the destination’s offline option where provided and test it with connectivity disabled.
5. Configure sync in the destination app
After the imported library is correct, set up the destination’s documented synchronization method. The architecture differs among apps, so the account and storage choices matter.
Obsidian: local vaults plus a sync method
Obsidian stores notes as local files in a vault. Its official sync guide lists Obsidian Sync, third-party cloud services such as iCloud, OneDrive and Google Drive, and local or version-control approaches. Obsidian describes its own Sync service as the straightforward, officially supported method across Windows, macOS, Linux, iOS and Android; local copies remain on devices.

File-based providers monitor designated folders. Obsidian Sync instead connects local vaults to a remote vault. Those are different architectures, and they should not be treated as interchangeable.

- With a file-based provider, confirm that the same vault folder is available to the app on each device.
- With Obsidian Sync, sign in to the same Sync account and connect each local vault to the intended remote vault.
- Do not run competing file-sync systems on the same vault unless Obsidian documents that exact setup.
Obsidian says offline changes are queued and sync when the internet returns and Obsidian is open. Its guide warns that iCloud Drive on Windows may lead to file duplication or corruption, and advises keeping OneDrive vault files available offline. Those cautions apply to the specific combinations described by Obsidian; they are not a universal judgment about every cloud-storage setup.
Obsidian’s import documentation also emphasizes that its data is non-proprietary Markdown text stored locally. That portability means the files remain directly accessible outside the app, which is useful for future exports and backups.
Apple Notes: use the same Apple Account and iCloud Notes setting
Apple’s setup requires the same Apple Account on each device and Notes enabled in iCloud settings. On an iPhone or iPad, open Settings, select your Apple Account, choose iCloud, select Notes and turn on the iCloud sync option. On a Mac, open System Settings, select your Apple Account, choose iCloud, open Notes and enable syncing. The exact label can vary slightly by operating-system release, but the required conditions are the same: one account and Notes enabled for it.

Microsoft OneNote: put the notebook on OneDrive
Microsoft’s documented cross-device workflow requires the notebooks to be on OneDrive. A notebook saved only on a local disk will not follow the same cross-device path. Open the notebook on the desktop version, move or save it to the intended OneDrive location, then open it on the other devices while signed in to the corresponding account.
OneNote notebooks created in versions earlier than OneNote 2010 for Windows may require an upgrade to a newer format and movement to OneDrive before they can sync to iPhone or iPad. Resolve that legacy-format issue before judging the mobile sync result.
Microsoft also warns that very large notebooks may cause performance or stability problems during the first sync on iOS devices. If the first mobile download is unusually slow or unstable, allow the initial synchronization to complete before making further structural changes, and consider whether the notebook should be divided according to Microsoft’s guidance.

Evernote: sync is automatic, but importing is a desktop task
Evernote says notes sync automatically across connected devices. Its support information also says that reinstalling the desktop application can force a complete re-download from the cloud. Treat that reinstall as a troubleshooting measure, not as a migration technique; it does not import notes from another app.

Evernote’s import article states that imports are performed on desktop, not mobile. In its Settings import area, PDF, TXT, HTML, Markdown and DOCX files can be converted into editable notes. After the desktop import, allow the cloud copy to finish syncing before checking the mobile applications.
6. Run a two-way sync test before retiring the old app
Sync is not verified merely because the same note appears on two screens. Perform a harmless, identifiable edit in each direction.
- On the primary device, create a new test note with a unique title and one sentence.
- Wait for the destination app to show that synchronization has completed.
- Open the second device and confirm that the title and sentence appear.
- Edit the test note on the second device by adding a second sentence.
- Wait for that device to finish syncing, then confirm the edit on the first device.
- Open the same note offline on each device, if offline access is required, and confirm the expected local copy is available.
Delete the test note only after both directions have worked. If it remains on one device, stop making production edits and determine which account, notebook, vault or folder that device is using.
7. Prevent conflicts, duplicates and accidental overwrites
Know which storage model you are using
Conflicts are easier to diagnose when you know whether the app uses a provider-hosted notebook, a local folder watched by a file-sync service, or a dedicated remote vault. Two systems that both attempt to reconcile the same local files can create duplicate copies, conflict files or corruption.
For local-file workflows, use one documented synchronization method for a given vault. Do not point two independent file-sync systems at the same folder unless the app explicitly supports that arrangement.
Recognize common symptoms
- The same note appears twice with slightly different titles or timestamps.
- A note reverts after being edited on another device.
- Attachments exist on one device but show as missing on another.
- A folder contains conflict copies or files with unfamiliar suffixes.
- One device shows an older library because it is signed in to a different account.
Recover safely
- Stop editing the affected note on all devices.
- Take a fresh copy of the current local files or export the conflicting versions.
- Identify the newest correct content by comparing timestamps and text.
- Resolve the conflict using the app’s documented procedure, or create one clearly named merged note rather than deleting either version immediately.
- Allow synchronization to settle, then repeat the two-way test.
If the provider reports an error or the files appear corrupted, disconnect additional devices from the workflow until you have preserved the local copies. Reinstalling an app can redownload cloud data, but it cannot restore content that was never uploaded or was overwritten before the problem was noticed.

Choosing a note app for portability and cross-device use
When the move is motivated by a future need to switch again, evaluate the destination on more than its interface. Compare these dimensions before committing:
| Decision area | Questions to answer | Why it matters during a move |
|---|---|---|
| Device support | Which Windows, macOS, Linux, iOS, Android and web clients are supported? | A note library is only useful on the devices you can actually open. |
| Offline access | Are complete notes and attachments stored locally, and can you edit without a connection? | Offline work requires a local copy and a defined method for uploading queued changes. |
| Import and export | Which formats are accepted and produced? Are exports editable? | Portable formats reduce dependence on one app and make a later migration easier. |
| Structure retention | Do folders, tags, links, checklists, dates and attachments survive? | A visually similar import can still lose the data you use to organize and retrieve notes. |
| Sync architecture | Does the app use cloud notebooks, a watched folder or a dedicated sync service? | The architecture determines account requirements, conflict behavior and backup choices. |
| Conflict handling | What happens when two devices edit before they reconnect? | Clear recovery paths reduce the chance of silently losing one version. |
| Independent backup | Can you export the library without relying on the app’s live sync? | A separate copy is your recovery route after deletion, corruption or a failed import. |
No single documented workflow guarantees perfect conversion between every pair of applications. The exact result depends on the app version, operating system, account, export format and the content inside each note.
Troubleshooting by symptom
Notes appear on one device but not another
- Confirm both devices use the same account.
- Check that the relevant notebook, vault or folder is included in sync.
- Verify that synchronization is enabled for the app, not merely for the device’s general cloud settings.
- Open the app and leave it running while the initial upload or download completes.
- Check the web or remote view, when the service provides one, to determine whether the note reached the cloud.
The import created unreadable or non-editable notes
Return to the source copy and try a direct importer or a more structural format such as Markdown, HTML, TXT or DOCX when the destination supports it. A PDF may preserve appearance but not the editable structure you need. Re-test with a small batch before repeating the full import.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteAttachments are missing
Inspect the source export for separate attachment files or a documented package format. Confirm that the destination importer supports those files and that the account has finished downloading them. Do not delete the source attachments until you can open representative files on every required device.
There are duplicates after a second attempt
Pause the import and record which batch already arrived. Remove or archive duplicates only after comparing their content. Repeated imports can create a second copy rather than updating the first, so follow the destination’s documented behavior instead of assuming the process is idempotent.
Offline edits do not appear after reconnection
Keep the app open with the correct account selected and verify that the local device has network access. Check whether the app queues offline changes only while it is running; Obsidian, for example, says queued changes sync when the internet returns and Obsidian is open. If a conflict appears, preserve both local versions before resolving it.
A repeatable checklist
- Export or copy the source notes.
- Store an independent backup and leave the original library untouched.
- Read the destination’s current import and sync instructions.
- Choose a small test set covering your real note types.
- Compare imported content, structure, attachments and links.
- Import the remaining library only after the test passes.
- Verify counts, organization, search and important notes.
- Set up the destination account and documented sync method on each device.
- Wait for the initial upload and download to finish.
- Perform a two-way edit test and an offline test where needed.
- Keep the export or local-file backup after the move.
What a successful switch looks like
The finished setup has three distinct protections: a verified copy inside the new app, a working synchronization path to each required device, and an independent backup outside that live path. Keeping those layers separate prevents a sync error from becoming a migration failure and makes the next app change much less risky.
