If an important message keeps landing in Promotions, Updates, or Transactions, change the sender’s category, then use List View or All Mail so you can see every message in one place. For messages that must stay easy to retrieve, flag them or add the sender to VIP; for later action, use Remind Me. If the unread badge is understating your inbox, change it to count all unread messages instead of Primary only.
Apple Mail’s category system is useful for reducing clutter, but it changes what you see first and, in many configurations, what the Home Screen badge counts. The steps below cover the practical fixes, their limits, and the iOS-version differences that can change the labels or menu paths.

How iPhone Mail categories work
When Categories is enabled, Mail divides incoming messages into four views:

| Promotions | Coupons, sale notices, and marketing email | A time-limited offer or service notice may still matter to you. |
Apple says a Transactions, Updates, or Promotions message that contains time-sensitive information is also included in Primary. That does not mean every message you consider urgent will be recognized correctly, so recurring senders still need a deliberate retrieval strategy.

Categories are a presentation and sorting system, not a separate mailbox account. The messages remain in Mail; the category view changes which group is shown first. Category availability depends on country or region, and Apple has separate instructions for different iOS releases, including iOS 18.2, iOS 26, and iOS 27. A button or path can therefore look different on your iPhone.
Why an important message appears to be missing
You are looking only at Primary
Category tabs hide the other three groups until you select them. A confirmation, school notice, medical reminder, or travel change can be present in Transactions or Updates while Primary looks empty.
The sender is consistently classified elsewhere
Mail can apply a sender’s category to current and future messages. If a work contact, family member, clinic, airline, or school system is repeatedly sent to a low-attention category, changing that sender’s category is more reliable than moving individual messages one at a time.

The Home Screen badge counts fewer messages than you expect
With Categories enabled, the normal badge count is unread messages in Primary. Unread messages in Transactions, Updates, and Promotions can therefore exist without increasing the number shown on the app icon.
Your device does not offer the same category features
Apple does not make category availability universal across regions. Device model, iOS release, language, region, and feature limits also affect Apple Intelligence features such as Priority view. If a control described below is absent, first check which iOS release is installed and whether Categories is available for your account and region.

Move a recurring sender into the category you use
Use sender categorization when the same person or service is repeatedly misfiled. The change applies broadly, so inspect the sender carefully before applying it to an automated list or a large mailing list.
When the message is already in Primary
- Open a message from the sender.
- Tap More Actions.
- Choose Categorize Sender.
- Select the destination category.
- Confirm by tapping Continue if Mail displays the confirmation.
When the message is in Transactions, Updates, or Promotions
- Open the sender’s digest or grouped message.
- Tap More.
- Choose Categorize Sender.
- Select the category where you want this sender’s messages to appear.
- Tap Continue.
Apple states that “all current and future messages from the sender will appear in the category you choose.” That persistence is useful for a recurring work or family contact, but it also means a sender-wide choice can move every future message, including low-priority ones. Recheck the sender’s address before confirming automated services, newsletters, or shared mailing lists.
Use List View or All Mail to see everything together
If the main problem is that categories make you forget to check three other groups, change the view instead of retraining every sender.
Switch to List View
- Open the inbox.
- Tap More.
- Choose List View.
List View presents messages in one combined list, removing the need to inspect Primary, Transactions, Updates, and Promotions separately. It is the quickest option when you want the familiar single-inbox workflow while keeping category sorting available elsewhere.
Open All Mail
- Open the inbox with the category strip visible.
- Swipe left across the category strip.
- Tap All Mail when it appears.
Apple’s iOS 18.2 mailbox guidance identifies All Mail as the combined view reached by swiping left across the category strip. If you do not see the strip or All Mail, use List View or check whether your iOS release presents the control differently.

Create a high-priority path for messages you cannot lose
Flag a one-off message
Flagging is best for a specific receipt, deadline, approval, or reply that needs attention but does not justify changing the sender’s category.

- Tap Flag.
A flagged message remains in Inbox and also appears in the Flagged mailbox. If Flagged is not visible in your mailbox list:
- Go to the Mailboxes list.
- Tap Edit.
- Select Flagged.
- Tap Done.
When you no longer need the reminder, use the message’s flag control again to remove it.
Use VIP for an important person
VIP is suited to people whose future messages should remain prominent, such as a manager, close family member, doctor, teacher, or client. Add the sender to VIP using Mail’s sender or contact action. VIP messages receive a VIP flag and appear in the VIP mailbox, giving you a dedicated place to check independently of category placement.
Use VIP for a relationship rather than a single deadline. For one message, Flagged is less disruptive; for every future message from a person, VIP is the more persistent retrieval path.

Schedule a message to return with Remind Me
Remind Me is for deferred action: you have seen the message, but you need it back at a particular time.
- Open the message.
- Tap Reply.
- Tap Remind Me.
- Choose the date and time.
Apple says the message returns to the top of the inbox at the selected time. This is useful for a bill you will pay later, a travel check-in, or a work request that cannot be handled immediately. It does not change the sender’s category or make every future message from that sender prominent.
Make the unread badge count every category
If the Mail icon shows fewer unread messages than you have, change the badge setting from Primary-only counting to all unread messages.
Newer Settings layout
- Open Settings.
- Tap Apps.
- Tap Mail.
- Tap Notifications.
- Tap Customize Notifications.
- Under Badge Count, choose All Unread Messages.
Older Settings layout
On iOS versions that place Mail directly under Notifications, the path is Settings > Notifications > Mail > Customize Notifications. Under Badge Count, turn on All Unread Messages.
Apple describes this option as the way to show the total number of unread messages in all categories. It changes the Home Screen count; it does not move messages between categories or mark anything read.

Apple’s current filtering guidance says Mail can place Priority messages at the top of the inbox in Primary or List View. Apple ties this feature to Apple Intelligence on supported devices and notes that availability depends on device, language, region, and usage limits.
Priority view is therefore an optional layer, not a universal replacement for All Mail, sender categorization, Flagged, VIP, or Remind Me. If Priority is missing, unavailable in your language or region, or inconsistent with your needs, use the non-Intelligence retrieval paths above.
Understand the category-view limitation on flagging
Apple’s iOS 18.2 mailbox guidance says messages categorized as Promotions, Updates, or Transactions cannot be flagged from the category layout. If the Flag action is unavailable while you are browsing one of those tabs, the message has not become unimportant; the layout simply limits that action.

Practical workflows for common cases
A work contact keeps landing in Updates
- Open one of the contact’s messages in Updates.
- Use More > Categorize Sender.
- Choose Primary and tap Continue.
- For a deadline in the current message, flag it as well.
The category change handles future mail; the flag gives the current deadline its own retrieval path.
A delivery notice is unread but never appears on the badge
- Open All Mail by swiping left across the category strip, or switch to List View.
- Find the notice in Transactions.
- Change Badge Count to All Unread Messages if you want future transaction notices included in the icon total.
A newsletter contains a time-sensitive registration deadline
- Open the message in Updates or Promotions.
- Use List View or All Mail if Flag is unavailable in the category layout.
- Flag the message.
- Use Reply > Remind Me to bring it back before the deadline.
You want a clean inbox but cannot miss family messages
- Add the family member to VIP.
- Keep Categories enabled for newsletters and promotions.
- Check the VIP mailbox when you need a focused people-first view.
- Use All Unread Messages for a complete badge count if category unread mail is otherwise easy to overlook.
Troubleshooting when a step is missing
- No Categories strip: Categories may not be available in your region, may be disabled by the current view, or may be presented differently in your iOS release. Try List View and inspect the inbox’s More menu.
- No Categorize Sender option: Open a message from the sender rather than selecting a message from a list, then check More Actions or More. The available label differs between Primary and the other category digests.
- No Flag action: Leave the category layout and use List View or All Mail. Apple documents this restriction for Promotions, Updates, and Transactions in iOS 18.2.
- Badge still looks low: Confirm that Badge Count is set to All Unread Messages under Mail’s notification customization. Also check whether messages are in another account or mailbox rather than the categorized inbox.
- Priority is unavailable: Priority depends on Apple Intelligence support, device, language, region, and usage limits. Use Flagged, VIP, Remind Me, or All Mail instead.
Version and region considerations
Do not assume that a menu path shown for one iPhone matches another. Apple publishes separate Mail guidance for iOS 18.2, iOS 26, and iOS 27, and the Settings hierarchy has changed between releases. The newer path places Mail under Settings > Apps; older releases may show Mail directly under Notifications.
Category availability also varies by country or region. Apple Intelligence and Priority view add further requirements for supported hardware, language, region, and usage limits. If you are documenting steps for a team or publishing screenshots, identify the iOS release and regional availability alongside the instructions.

- Flag current messages with a specific follow-up requirement.
- Add high-value people to VIP.
- Set Remind Me on messages that must return at a known date and time.

This combination lets Categories continue separating routine mail without making the category tabs, sender rules, or badge count the sole way you discover something important.
