How to keep Edge work and personal profiles separate on Windows

The cleanest way to keep work and personal browsing apart on one Windows sign-in is to create two Microsoft Edge profiles: one for Work or school and one for Personal. Each profile has its own browser settings, favorites, extensions, themes and preferences, and Edge opens a profile in a separate window. Use the work account only in the work profile, the personal Microsoft account only in the personal profile, and review sync settings in both. If you need to separate Windows files, desktop settings and credentials as well, use separate Windows user accounts instead; that is a broader boundary than changing Edge profiles.

What an Edge profile separates

An Edge profile is a separate browser context inside the same Windows user account. Microsoft describes profiles as keeping these items distinct:

As an Amazon Associate I earn from qualifying purchases.

  • Favorites and other saved browsing data
  • Browser settings and preferences
  • Installed extensions and their configuration
  • The selected theme and other appearance choices
  • Profile-specific sign-in and synchronization choices

That separation is useful when the same PC is used for employment, school and personal activity. A work window can retain work favorites and extensions while a personal window retains personal browsing choices. It does not create a separate Windows desktop or prove that one context is invisible to an employer or device administrator.

Microsoft’s official instructions are in Sign in and create multiple profiles in Microsoft Edge. Menu wording can vary by Edge release, but the profile icon and profile-management commands remain the starting point.

Create a work profile and a personal profile

1. Open profile management

  1. Open Microsoft Edge on Windows.
  2. Select the Profile icon in the upper-right corner of the browser window.
  3. Select Set up a new profile.

2. Choose the context

When Edge asks what the profile is for, select Personal for your private browsing context or Work or school for an employer or education account. This choice labels the context; it does not by itself create a Microsoft account or configure an organization’s policies.

3. Decide whether to bring in synced data

Edge presents two important choices:

  • Sign in to sync data: sign in with the Microsoft account that belongs to this context if you want that profile’s supported data synchronized for the account.
  • Start without your data: begin with a clean profile without bringing in existing synced data during setup.

For a new work profile, use the work or school identity your organization permits. For a personal profile, use your personal Microsoft account. If you are unsure whether an account is approved on a managed PC, check your organization’s policy before signing in.

4. Finish the profile

  1. Select Confirm and start browsing.
  2. Edge opens the new profile in a separate window.
  3. Repeat the process from the Profile menu to create the other context.

Give each profile an unmistakable name or theme when those controls are available in your Edge version. A name such as Work or Personal, plus different colors, makes the active context easier to recognize before you enter a password, upload a file or submit a form.

Configure sync so the profiles do not pull in the wrong data

Creating separate profiles is only part of the setup. Sync is controlled separately for each signed-in account, and it can include sensitive information. Microsoft lists supported sync categories that may include favorites, passwords, history, extensions, settings, open tabs, autofill entries and payment information. The exact controls and labels can differ by Edge version.

Review sync in each profile

  1. Open the profile you want to check.
  2. Select the Settings and more menu, then Settings.
  3. Open Profiles, then Sync.
  4. Review the available data switches and turn on only the categories appropriate for that account.

Microsoft documents the sign-in process in Sign in to sync Microsoft Edge across devices and the individual controls in Change and customize sync settings in Microsoft Edge.

Sync category Why it matters when contexts are separate Practical choice
Favorites Work bookmarks can appear on every device using the work account, while personal bookmarks remain in the personal context. Enable only in the profile whose bookmarks you intend to carry to that account.
Passwords Saved credentials are sensitive and may synchronize to other devices signed in with the same account. Check the account and device policy before enabling; never assume the two profiles share a safe password store.
History and open tabs Browsing records and currently open pages can follow the signed-in account across devices. Keep work and personal browsing in their respective profiles and review this switch explicitly.
Extensions and settings An extension installed or configured for one context may be synchronized to other devices using that profile. Use separate extension sets and remove anything that is not appropriate for that identity.
Autofill and payment information Forms, addresses and payment details can expose personal or work information when the wrong profile is active. Inspect these categories before enabling sync, particularly on shared or managed hardware.

Microsoft does not describe the profile feature as a security isolation mechanism. Treat sync as an account-specific convenience, not as proof that data can never cross a device, policy or administrative boundary.

Use one identity per profile

A simple mapping prevents most accidental mixing:

Edge profile Recommended account Typical contents
Work or school Your organization-approved work or school Microsoft account Work favorites, approved extensions, work tabs and settings
Personal Your personal Microsoft account, or no account if you want a local-only profile Personal favorites, consumer services, private tabs and personal settings

This arrangement follows Microsoft’s description of separate profiles and account-specific sync. It is a practical organization method, not a guarantee that an employer cannot monitor a managed device or that a policy cannot affect both profiles.

Switch between work and personal Edge

Switch from the Profile menu

  1. Select the Profile icon in the upper-right corner of the current Edge window.
  2. Select the profile you want to use.
  3. Edge opens that profile in a new window.

Because Edge uses a separate window for the selected profile, keep the two windows visually distinct. Before entering a work password, uploading a company document or opening a personal payment page, check both the profile name and the window’s visual cues.

A short pre-action check

  • Read the profile name beside the Profile icon.
  • Confirm that the favorites and extensions shown match the task.
  • Check the account avatar or account name if you are signed in.
  • Look at the destination domain before submitting credentials.

Do not rely only on which Edge window is nearest or which tab was opened last. The profile indicator is the reliable cue supplied by Edge’s interface.

Edge profiles versus separate Windows accounts

Both approaches separate contexts, but they operate at different levels. Choose the smallest boundary that meets your need.

Decision point Separate Edge profiles Separate Windows user accounts
Scope Browser settings, favorites, extensions, themes, preferences and profile-specific sync. Broader separation of user files, sign-in credentials, browser data and desktop settings on the PC.
Switching Select a profile from the Edge Profile menu; the chosen profile opens in a separate browser window. Switch to another Windows user session, which changes the broader desktop context.
Best fit One Windows login used for distinct browsing identities and account contexts. Different people, stricter file separation or a need to isolate wider Windows settings.
Setup effort Quick browser-level setup inside Edge. Requires additional Windows user accounts and session management.
Policy considerations Still subject to device and organization policies. Still subject to Windows administration and organization policies, but provides a wider user boundary.

Microsoft describes separate Windows accounts as an option when you need broader separation on the same PC. Its guidance on user access is available at User Account Access in Windows. Windows account switching is more disruptive than selecting an Edge profile, so it is usually unnecessary for ordinary work-versus-personal browser separation.

Understand Microsoft account and OneDrive boundaries

Microsoft says that personal Microsoft accounts and work or school Microsoft accounts cannot be merged. Creating two Edge profiles therefore does not combine the identities, and signing in to one profile does not convert the other account into the same account.

Microsoft also says OneDrive storage remains separate when both account types are used on a PC. Keep that distinction in mind when choosing where to save or open a file: an Edge profile can help you select the right web account, but it does not merge or relocate OneDrive data.

For the account limitation, see Microsoft’s Combining Microsoft accounts guidance.

What profiles do not guarantee

Separate profiles are a usability and organization feature. The cited Microsoft documentation does not promise that they provide a security boundary, guarantee privacy from an employer, or override management policies on an organization’s device.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • An employer may manage the Windows device, Edge settings or permitted accounts.
  • Organization rules may restrict sync, extensions, sign-in or the use of personal accounts.
  • Profile separation does not make activity invisible to administrators, network operators or services you use.
  • A separate profile does not protect you from choosing the wrong window or signing in to the wrong website.

On a managed computer, follow the organization’s rules and ask the device administrator which accounts and sync options are allowed. Do not use a personal profile to bypass a work policy.

Troubleshoot common separation problems

The new-profile command is missing

Open the Profile icon menu rather than the general Settings page and look for Set up a new profile. Labels can vary by Edge version. If the device is managed, an administrator may restrict account or profile features; check the organization’s policy instead of attempting to circumvent it.

The new window shows the wrong account

Open the Profile menu and verify the profile name and signed-in account. If the wrong identity was used during setup, return to that profile’s Settings > Profiles area and review the account and sync choices. Do not enable sync until you have confirmed which identity the profile uses.

Personal favorites or passwords appear in the work profile

Open the affected profile’s Settings > Profiles > Sync page and inspect the enabled categories. Check whether the profile was created by signing in with an account that already contained the data. Disable inappropriate sync categories according to your organization’s rules, then keep future browsing in the intended profile.

Work data appears on another device

Sync is designed to carry supported data to devices signed in with the same account. Review the work profile’s sync switches and the list of devices where that account is used. If the account or device is managed, contact the administrator before changing settings.

You keep choosing the wrong window

Rename or theme the profiles when those controls are available, keep the Profile icon visible, and pause at the pre-action check before entering credentials or uploading files. Closing unused profile windows reduces the chance of acting in the wrong context, but it does not change the profile’s stored data or account.

Plan the split before you sign in

A few minutes of planning avoids having to sort mixed favorites, passwords and open tabs later. Start by listing the identities you actually use on the PC. Most people need one work or school identity and one personal identity, but a local-only personal profile is also possible if you do not want to sign in.

  1. Decide the boundary. If you only need separate browser data, use Edge profiles. If separate people will use the computer, or files and desktop settings must be isolated, plan separate Windows accounts instead.
  2. Choose the account for each profile. Use the organization-approved work account in the work profile and the personal Microsoft account in the personal profile. Do not sign in with whichever account happens to be offered first.
  3. Start clean when appropriate. During setup, choose Start without your data when importing existing synced information would mix contexts. You can configure the profile deliberately afterward.
  4. Label the windows. Select names, colors or themes that are visibly different when your Edge version offers those controls.
  5. Check sync before saving credentials. Open the Sync page in each profile and decide which categories are permitted for that identity.

This sequence is especially useful on a computer that has already been used for both purposes. A profile created with the wrong account can bring that account’s supported synced data into the new context, so verify the identity during setup rather than trying to clean up later.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep extensions and saved data intentional

Extensions are part of the profile context, and supported extension information may sync with the account. A work profile might need an organization-approved extension while a personal profile does not. Review the extension list in each window and remove or disable items that do not belong there, subject to your organization’s rules.

The same principle applies to favorites, settings and open tabs. A favorite bar that looks familiar is not proof that the correct account is active; confirm the profile indicator and account avatar. Open tabs can also be sensitive because they may reveal internal sites, customer information or private services. If open-tab sync is enabled, check which devices use that account.

Passwords, autofill entries and payment information deserve the most deliberate review. These categories can expose credentials, addresses or financial details if they are saved to or synchronized with the wrong account. Only enable the switches that fit the account, device and organization policy, and do not assume that turning on sync in one profile applies to the other.

When a separate Windows account is the better choice

Use separate Windows accounts when the browser is not the only thing that needs a boundary. A second Windows user has a separate session and broader separation for user files, sign-in credentials, browser data and desktop settings. That can be a better fit for a family computer, a personally owned PC used for regulated work, or any situation in which another user should not routinely see the first user’s desktop and files.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The trade-off is convenience. Switching Windows users changes the broader session instead of merely opening another Edge window. Programs, file locations and desktop customizations may be different, and you must manage another Windows login. For a single person who simply wants work bookmarks and personal browsing kept apart, two Edge profiles are usually the lower-friction option.

Neither choice overrides administration. A managed Windows account can still have policies applied, and an organization can restrict accounts, extensions or sync. Ask the device administrator which arrangement is permitted before adding a personal account to an employer-owned computer.

Use a repeatable routine on shared screens

Profiles reduce mistakes, but a routine makes the separation dependable. Before a sensitive action, read the profile name next to the Profile icon, check the signed-in account, and look at the web address. When working with a company file, confirm that the upload destination belongs to the work service. When paying a bill or entering a personal password, confirm that the personal profile is active.

Keep only the windows you need open. Closing an unused work or personal window does not delete its profile or change its sync settings; it simply removes one opportunity to click the wrong context. If both windows must remain open, place them in consistent positions or use clearly different themes. These are visual habits, not security controls, so continue to follow the device owner’s policy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A maintenance checklist for long-term separation

  • Keep the work or school account in the work profile and the personal account in the personal profile.
  • Review Settings > Profiles > Sync in both profiles after Edge updates or account changes.
  • Check sensitive categories such as passwords, history, autofill and payment information rather than accepting every sync option automatically.
  • Use profile names, colors or themes that are easy to distinguish.
  • Verify the profile indicator before opening a sensitive page, entering credentials or uploading a file.
  • Use separate Windows accounts when the required boundary includes files, desktop settings and broader user credentials.
  • Follow employer or school policy on managed Windows devices; profile separation does not override administration.

For most people sharing one Windows login, two Edge profiles provide the right balance of separation and convenience. Move to separate Windows accounts only when browser-level separation is not wide enough for the files, settings or people involved.

Frequently asked questions

These answers address the practical decisions that commonly arise after setup.

Frequently Asked Questions

How do I keep my work and personal Edge profiles separate on Windows?

Create one Edge profile for Work or school and another for Personal. Use the Profile icon, choose Set up a new profile, select the context, then choose whether to sign in and sync or start without existing data. Edge opens each profile in a separate window. Keep the work account in the work profile and the personal account in the personal profile.

How do I switch Edge profiles?

Select the Profile icon in the upper-right corner of the current Edge window and choose the profile you want. Edge opens that profile in a new window. Check the profile name and account avatar before entering credentials, uploading a file or submitting a form.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Will my work passwords and personal passwords be mixed?

They should remain in their respective profiles when each profile uses its own account and sync settings. However, passwords are a supported sync category, so inspect Settings > Profiles > Sync in both profiles. Do not enable password sync until you have confirmed the account, device and organization policy.

Can I use a work Microsoft account and a personal Microsoft account on the same PC?

Yes. Use the work or school account in the work Edge profile and the personal Microsoft account in the personal profile. Microsoft says personal and work or school accounts cannot be merged, and OneDrive storage remains separate when both account types are used on a PC.

Are Edge profiles a security or privacy boundary?

No guarantee of that kind is provided. Profiles separate browser settings, favorites, extensions, themes, preferences and profile-specific sync, but they do not make activity invisible to an employer, network operator or device administrator. Managed-device policies can still apply, and you can still choose the wrong window.

Should I use separate Windows accounts instead of Edge profiles?

Use Edge profiles when one Windows login needs distinct browser contexts and easy switching. Use separate Windows accounts when you need broader separation for user files, sign-in credentials, browser data and desktop settings, or when different people use the PC. Windows account switching is more disruptive but provides a wider user boundary.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why did personal favorites or tabs appear in my work profile?

Check which account was used to create the profile and open Settings > Profiles > Sync. Favorites, history and open tabs can sync for the signed-in account. Disable inappropriate categories according to policy, and keep future activity in the intended profile. If the device is managed, ask the administrator before changing settings.

What should I do if my organization blocks profile or sync features?

Follow the organization’s device policy rather than trying to bypass it. A managed device may restrict accounts, extensions, sync or personal use. Ask the device administrator which profiles and sync categories are allowed, and use a separate personal device or Windows account only when that arrangement is permitted.

The Bottom Line

Create separate Edge profiles, map one Microsoft identity to each, and review sync—especially passwords, history, autofill and payment information. If you need separation beyond browser data, use separate Windows accounts. Profiles improve organization and reduce mistakes, but they are not a promise of security isolation or privacy from device administrators.
