Keep an auditable record for every crypto asset and every transaction. For each event, save the date and time, asset and quantity, Australian-dollar value at that time, transaction type and purpose, the other party or wallet address, fees and professional costs, and a link to the original exchange, wallet or payment evidence. Preserve acquisition, holding and disposal records, then reconcile all wallets and exchanges so the history can be followed from purchase to final disposal.
The Australian Taxation Office (ATO) says records may be electronic or paper, must be in English or readily translatable, and should be exported regularly. Its practical tip is to export at least every three months and before closing an exchange account. ATO: Keeping crypto records

What the ATO expects you to document
The ATO’s rule is outcome-focused: you must keep records of each crypto asset and every transaction so you can work out whether a capital gain or loss occurred. A coin balance or an annual account statement by itself is not a complete audit trail. Your files should allow another person to identify what happened, when it happened, what the asset was worth in Australian dollars, and how the event connects to the relevant wallet or exchange evidence.

- the exchange or wallet name and account identifier;
- the date and time exactly as shown by the exchange or blockchain, with the time zone noted;
- the crypto asset, quantity and transaction type;
- the Australian-dollar value at the transaction time;
- the purpose, such as purchase, sale, payment, gift, staking receipt or transfer between your own wallets;
- the counterparty name or wallet address, where applicable;
- the blockchain transaction hash when one exists;
- network, trading, brokerage or other fees;
- any agent, accountant or legal cost connected with the event; and
- a file name or link pointing to the original receipt, statement, export or wallet record.
This structure preserves the context the ATO identifies as important: quantity alone is not enough, and the purpose and counterparty or wallet address help explain why an entry is not a disposal or why it is one. ATO record requirements
Acquisition evidence
For every acquisition, retain an invoice, exchange statement or equivalent record showing the asset, quantity, purchase price in Australian dollars, date and time, purpose, commissions or brokerage, and related professional costs. Keep the source document as well as the value entered in your ledger; an exported spreadsheet can be corrected or reformatted, while the original receipt preserves what the platform actually reported.
If you acquired crypto outside an exchange, keep the payment record and the wallet transaction evidence together. Name files consistently, for example by date, asset and transaction hash, so an entry can be traced without relying on a remembered description.

Preserve wallet records and the information needed to identify the wallet, including keys or recovery information. Keep private keys separately from tax exports and ordinary cloud folders: the tax file should prove the history without exposing the credentials that control the assets. Also retain the date and quantity of crypto received through staking or an airdrop, together with the wallet or platform record showing the receipt. ATO crypto record examples
Disposal evidence
For a sale, swap, payment or other disposal, save the exchange or wallet receipt, sale proceeds or other Australian-dollar value, date and time, purpose, selling fees and the calculation that produces the capital gain or loss. Keep the calculation tied to the acquisition records used for the cost base; otherwise it becomes difficult to show which units were disposed of and why the resulting amount is correct.
Build a reliable record system step by step
1. Inventory every account and asset
Start with a list of every exchange account, software wallet, hardware wallet and blockchain address you have used. Include accounts that are now closed and assets with a zero balance. This inventory is a control list: each source must either produce an export or be documented as unavailable and investigated during reconciliation.
Record the account’s currency and time-zone conventions, because two platforms can display the same blockchain event differently. Keep a copy of the account profile or wallet address list with the date you captured it. Do not assume that a current balance proves the history; the ATO needs records of transactions, not merely an end-of-year snapshot.

2. Export original histories before editing them
Download the exchange’s transaction history, deposits, withdrawals, trades, fees and account statements in the formats offered. Export wallet activity or obtain a transaction-history file for each address. Save the unedited downloads as read-only originals, then work from copies when adding labels or correcting an import. ATO guidance recommends exporting regularly to protect against losing access to an account; it specifically suggests a reminder at least every three months and exporting everything before closing an account. 3. Normalize each event into one ledger
Combine the source files in a spreadsheet or record-keeping application, but retain the original source and its file name in every row. Normalize dates without deleting the original timestamp. Keep quantities in the asset’s native units and add a separate Australian-dollar value column rather than overwriting the exchange’s amount.
Use a controlled set of transaction labels, such as acquisition, disposal, exchange, transfer, fee, staking receipt and airdrop. Add a notes field for unusual circumstances instead of changing the core transaction type. Consistent labels make it possible to filter all transfers, all fees or all staking receipts for review.
4. Capture the Australian-dollar value at the event time
Enter the Australian-dollar value for each transaction at the time it occurred, not just the coin quantity and not a later year-end price. Keep the valuation evidence or the exchange statement that supplied it, and note whether the displayed amount is a trade value, a conversion rate or another platform figure. If a platform reports only crypto amounts, retain the source used for the Australian-dollar conversion alongside the row so the method can be explained.
5. Separate fees and related professional costs
Record trading commissions, brokerage, network fees and other transaction charges as separate fields, then link each amount to the receipt that supports it. Also identify agent, accountant or legal costs connected with the transaction or with managing your tax affairs. Keeping these amounts distinct prevents a fee from disappearing inside a net proceeds figure and makes the eventual calculation reproducible. The ATO’s examples specifically call for commissions or brokerage and related professional costs in acquisition and disposal records. ATO crypto record examples
6. Attach evidence, not just descriptions
For each row, link to the original PDF, CSV, screenshot, email, invoice, wallet export or blockchain record. Keep bank records and payment confirmations where they establish how an acquisition was funded or how sale proceeds were received. A description such as “bought BTC” is not a substitute for a dated exchange record showing quantity and price.
7. Reconcile balances and transaction paths
At regular intervals, compare the ledger’s opening balance, acquisitions, disposals, fees and transfers with the closing balance reported by each exchange and wallet. Investigate every difference. Common causes include a missing withdrawal, a fee recorded in a second asset, a duplicated import or a transfer that appears once as a withdrawal and again as a deposit.
Mark internal transfers with both the sending and receiving addresses, the transaction hash and the matching entries on each side. This preserves the chain of custody and stops a movement between your own accounts being counted as a sale.
Transfers between wallets you own
The ATO’s Tax Time guidance states: “If you transfer crypto from one wallet to another wallet while maintaining ownership of it, it’s not a disposal for tax purposes and doesn’t need to be reported.” ATO Tax Time crypto guidance

That treatment depends on maintaining ownership, so document the facts that support it. Record the sending address, receiving address, date and time, asset and quantity, transaction hash, network fee and a note identifying both wallets as yours. Keep the exchange withdrawal record and the receiving-wallet record together. If another person or entity owns the destination wallet, or if the purpose is a payment, sale or gift, do not label it as an internal transfer without examining the event separately.
How often to export and back up records
Set a recurring reminder to export at least every three months, as the ATO recommends. More frequent exports are sensible during periods of heavy trading, staking or activity across several chains. Store each export with the date it was obtained and preserve an unedited copy.
Use at least two storage locations, such as an encrypted local drive and a separate backup. Keep a human-readable index listing the accounts, addresses, export dates and file names. Test that old files open and that a spreadsheet can still be read without the original exchange login. Export every record before closing an account or changing access credentials; a closed account can be much harder to reconstruct later.
How long to keep crypto records
Keep crypto records for five years from the later of:
- the date you prepared or obtained the record;
- the date the transaction or act was completed; or
- the end of the income year in which the capital gains tax event occurred.
The five-year period is not always the date of the trade. Apply the “later of” test to each record, and keep records longer when necessary to cover the relevant amendment period or to substantiate carried-forward losses. Records can be electronic or paper and must be in English or readily translatable. ATO retention rule
Do not delete an old acquisition record merely because the asset was sold recently. The acquisition evidence may be needed to support the disposal calculation, so retain the complete chain for as long as the applicable period requires.
What to do when exchange or wallet records are missing
Reconstruct the history systematically rather than estimating from a current balance. The ATO Community guidance identifies current wallet addresses, exchange records, wallet transaction histories, period emails and other documentation as useful sources. - Recover every accessible export. Check current and archived exchange accounts, email attachments, downloaded files and tax software exports.
- Trace each wallet address. Gather the address history and transaction hashes for every wallet you controlled during the period.
- Match external evidence. Use bank statements, invoices, payment confirmations and contemporaneous emails to establish dates, quantities, counterparties and purpose.
- Build a reconstruction log. For every inferred entry, identify the evidence used, what remains uncertain and how the Australian-dollar value was determined.
- Reconcile opening and closing balances. A reconstructed ledger should explain how assets moved between accounts and why the ending balance agrees with the surviving records.
- Get help when the gaps affect a return. The ATO Community response advises contacting the ATO and considering a registered tax agent for difficult unfiled or incomplete histories.
Never replace a missing receipt with an unmarked guess. Label an amount as reconstructed, preserve the supporting evidence and record the limitation so the calculation can be reviewed honestly.

Spreadsheet, professional software or a crypto tax calculator?
The ATO recognises a simple spreadsheet, professional software and a reputable Australian crypto tax calculator as possible record-keeping approaches; it does not endorse a particular provider. ATO software and spreadsheet guidance
| Approach | Best fit | Check before relying on it |
|---|---|---|
| Spreadsheet | Fewer accounts, modest transaction volume and a willingness to label and reconcile rows manually. | Whether it preserves original exports, supports Australian-dollar valuation, handles fees and prevents duplicate transfers. |
| Professional record-keeping software | Several exchanges or wallets, frequent activity and a need for repeatable imports and an audit trail. | Exchange and wallet import coverage, transfer matching, staking and airdrop fields, export formats and retention access. |
| Crypto tax calculator | Large or complex histories where automated synchronization can reduce manual classification. | Australian-dollar historical valuations, treatment of transfers and fees, staking and airdrop support, correction controls and the ability to retain a complete copy of the result. |
Regardless of the tool, keep the raw exchange and wallet exports outside the application. A sync can fail, an account connection can expire or a provider can change its interface; the original files are the evidence that remains under your control.
Common record-keeping failures and fixes
Only recording purchases and sales
Problem: deposits, withdrawals, staking receipts, airdrops and fees are absent, so balances cannot be reconciled.
Crashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minutePC Slower Than It Used to Be?

Keeping quantities without Australian-dollar values
Problem: a later price is substituted for the value at the transaction time.
Fix: add an Australian-dollar value and preserve the contemporaneous exchange statement or valuation evidence for each row.
Calling every wallet movement a sale
Problem: a transfer between two wallets you own is counted twice or treated as a disposal.
Fix: match both addresses and the transaction hash, label the event as an internal transfer and retain evidence of ownership.
Best Value
Editing exports until the source disappears
Problem: a corrected spreadsheet cannot be traced back to what the exchange or chain reported.
Fix: preserve an unedited original, work from a copy and document every manual adjustment.
Waiting until tax time to download history
Problem: an exchange account is closed, an export function changes or access is lost.
What’s actually slowing this PC down?

Fix: schedule exports at least every three months and export before closing an account.
Storing private keys with ordinary tax files
Problem: a tax backup becomes a security risk.
Fix: keep private keys and recovery information separately protected while retaining enough wallet-identification data to substantiate the records.
A practical pre-lodgment review
Before preparing the return, run this review for each income year:
- Every exchange account and wallet address is listed, including closed accounts.
- Original exports and wallet histories cover the full period.
- Each event has a date and time, asset, quantity, transaction type and Australian-dollar value.
- Purpose, counterparty or wallet address and transaction hash are recorded where relevant.
- Acquisition receipts, disposal receipts, staking and airdrop evidence are attached.
- Trading, network and brokerage fees and related professional costs are separately identified.
- Internal transfers have matching sending and receiving entries and are not treated as disposals when ownership was retained.
- Opening and closing balances reconcile for every account and asset.
- Capital-gain or capital-loss calculations can be traced to the underlying rows.
- Files are readable, in English or readily translatable, backed up and retained for the required period.
When professional help is warranted
Consider a registered tax agent when records span many exchanges or chains, contain long missing periods, involve uncertain ownership, or must be reconstructed for unfiled returns. Give the adviser the raw exports, wallet-address inventory, reconstruction log and your ledger rather than only a final number. The ATO Community guidance specifically points taxpayers with difficult incomplete histories toward contacting the ATO and considering a registered tax agent. ATO Community guidance
