How to Keep an Excel File Index Up to Date When Files Move or Change

The dependable way to maintain a live Excel file index is to use Power Query’s Folder connector, load file metadata into a worksheet table, and refresh the query whenever the folder contents change. Build each clickable link from the refreshed folder path and file name. A refresh captures additions, renames, moves within the monitored folder tree, and deletions; it does not repair a root folder that was itself moved until you change the query’s source path.

What an up-to-date Excel file index actually does

A file index is a searchable table of files and their metadata rather than a second copy of the files. A useful row normally contains the file name, extension, folder path, file type, and date modified. Power Query reads the selected folder and its subfolders, returns one row per file, and can load that listing into an Excel worksheet table. Microsoft documents this behavior for the Folder connector and the Folder.Files function.

As an Amazon Associate I earn from qualifying purchases.

When files are added, renamed, moved, or deleted, the index changes after a successful refresh. Until then, the worksheet is only a snapshot. A hyperlink assembled from an old path can therefore remain stale even though the underlying file still exists elsewhere.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

This approach is different from combining the contents of every workbook in a folder. A catalog needs the listing itself; it does not need to open or append every file. Content consolidation is a separate Power Query operation with additional format and schema requirements.

Choose the storage and Excel host first

The correct connector and link format depend on where the files live and where people will open the index.

Situation Connector or method Link target Important constraint
Local Windows folder Data > Get Data > From File > From Folder Local path, such as a drive path The computer refreshing the query must be able to reach that path.
Network share Folder connector with the accessible share or UNC path UNC path, for example \serversharefolderfile.xlsx Every user who clicks a link needs network access and appropriate permissions.
SharePoint document library SharePoint Folder connector A SharePoint web URL Users need read access to the site, library, and each folder leading to the file.
Excel desktop Power Query plus worksheet formulas Local, UNC, or web destination supported by the desktop environment Link behavior depends on the operating system and destination permissions.
Excel for the web Power Query features available to your account and deployment Web URL only for HYPERLINK A local Windows path is not a portable browser link.

Microsoft says that Excel’s HYPERLINK function can open a document on a network server, intranet, or the Internet, and that Excel for the web accepts web addresses only. For a browser-based workbook, use the file’s SharePoint or other approved web URL instead of a drive-letter or UNC path. See the Microsoft HYPERLINK documentation.

Build a metadata-only index with the Folder connector

1. Connect to the root folder

  1. Open the workbook in desktop Excel.
  2. Select Data > Get Data > From File > From Folder.
  3. Choose the root folder that contains the files you want to track, then confirm.
  4. When Excel offers Combine or Transform Data, choose Transform Data. Transform Data opens the file listing in Power Query Editor instead of trying to merge file contents.

The Folder connector includes subfolders. The source path must be an absolute path when used through Folder.Files; a relative path is not a reliable source for this inventory. Microsoft’s connector overview is at Power Query Folder connector, and the function reference is at Folder.Files.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Narrow the scope before loading

Power Query normally returns metadata for every file below the chosen root. Use the filter arrows in Power Query Editor to keep only what belongs in the index:

  • Extension: keep selected types such as .xlsx, .pdf, or .docx.
  • Folder Path: exclude subfolders when the index should cover only one directory, or retain only a particular branch.
  • Name: exclude temporary files such as names beginning with ~$.
  • Date modified: create a date window when an archive or historical tree should not appear.
  • Attributes or file type: remove hidden, system, or otherwise unrelated entries when those fields are available.

Filtering here keeps unwanted rows out of the loaded table and makes later refreshes predictable. A dedicated folder without unrelated files is especially useful when files will eventually be combined, although identical file structures are not required for a metadata-only catalog.

3. Keep the columns that make the index useful

Retain at least Name, Folder Path, Extension, Date modified, and File type when present. The connector also exposes file properties and a content link. You can remove binary content columns if the goal is only an index; keeping them is unnecessary and can make the query heavier.

Rename columns only if you can update the downstream formula accordingly. Power Query’s loaded names may differ slightly by Excel version or transformation steps, so inspect the final table headers before writing the link formula.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

4. Load the result as a worksheet table

  1. In Power Query Editor, select Home > Close & Load To.
  2. Choose Table and load it to a new worksheet or a specified location.
  3. Give the resulting Excel table a descriptive name, such as FileIndex, through Table Design > Table Name.

Because the output is a table, filters, sorting, structured references, and formulas can expand with refreshed rows. Do not type permanent notes inside the query output area; a refresh can replace that area. Put annotations in a separate worksheet or in columns maintained outside the query output.

Add clickable links that follow the refreshed path

Add a new column beside the query output, not inside Power Query, and use the current row’s path and name:

=HYPERLINK([@[Folder Path]]&[@Name],[@Name])

The first argument is the destination; the second is the text displayed in the cell. If the loaded table uses different header names, substitute those exact names. Some environments need a path separator between the folder path and name. If Folder Path already ends with a backslash, concatenating it directly is correct; if it does not, add the appropriate separator for the path format. Validate the result with a real row before filling the column.

For a local or network index in desktop Excel, the destination can be a local path or UNC path. For Excel for the web, use a web URL. A local path that works on one Windows computer is not automatically meaningful to a browser or to another computer with a different drive mapping.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Click several links after the first load. If a destination does not exist or cannot be navigated, Excel reports an error when the link is clicked. Check for a missing separator, an outdated row, a path that is inaccessible to the current user, or a web-versus-local mismatch.

Refresh the index after files change

Manual refresh

After adding, renaming, moving, or deleting files, select Data > Refresh All. Use Refresh on the specific query when the workbook contains unrelated connections. The refreshed table should add new rows, update names and paths, and remove rows for files that no longer fall within the source scope.

Refresh can also be initiated from the query’s context menu in the Queries & Connections pane. Microsoft’s instructions for manual and automatic options are in Refresh an external data connection in Excel.

Refresh when the workbook opens

  1. Open Data > Queries & Connections.
  2. Right-click the query or connection and choose Properties.
  3. On the Usage tab, enable the option to refresh data when opening the file, if that option is available in your Excel build.
  4. Save the workbook and test by changing a file in the monitored folder, closing the workbook, and reopening it.

Open-time refresh is convenient, but it still requires the source to be reachable and credentials to be valid. It is not an offline repair mechanism.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use a timed refresh when supported

Some Excel desktop connection properties provide a refresh interval. Set a practical interval in the connection’s properties rather than refreshing every few seconds; frequent scans can burden a large network share and still cannot report changes while the workbook is closed unless another supported automation system is involved. Availability of timed refresh varies by Excel host, deployment, connector, and account.

What happens when a file moves?

Moves or renames inside the monitored tree

If a file moves from one included subfolder to another, or is renamed within the root covered by the query, refresh the query. Power Query reads the current metadata and emits the new Name and Folder Path; the formula then builds a link from those refreshed values.

If the file is moved outside the root, the old row disappears and the file will not appear in the index unless the new location is also covered by the source or by another query. A file moved out of scope is not a broken link that Power Query can discover automatically; it is no longer part of that inventory.

  • Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft

The root folder itself moves or is renamed

The query’s source points to the original absolute path. If that root folder is moved or renamed, refresh can fail because the source no longer exists. Edit the query’s source step and replace the old path with the new absolute path before refreshing. After the source works again, verify the refreshed folder paths and links.

This is why a stable root—such as a consistently mapped share or a fixed SharePoint site—is preferable to a frequently relocated personal folder.

Local and network folders versus SharePoint

Local or network inventory

Use the Folder connector when the refresh computer can reach the folder directly. A network path may work for one person but fail for another if the share is unavailable, the drive letter is mapped differently, or credentials are missing. A workbook shared with colleagues does not transfer access to the underlying folder.

SharePoint inventory

For a SharePoint library, select the SharePoint Folder connector and enter the SharePoint site URL. The connector lists files in the selected location and its subfolders. Each person needs read access to the site, document library, and every folder on the path to the requested file. SharePoint’s connector documentation also warns that file names containing #, %, or $ can cause authentication errors in some circumstances. Review the SharePoint Folder connector documentation when diagnosing those cases.

For browser users, make the displayed link a SharePoint URL rather than the local cache path on one computer. The URL must still respect the user’s SharePoint permissions.

Metadata inventory or content consolidation?

Goal Load from Power Query Needs identical file structure? Typical result
Find and open files File listing and metadata No One row per file with path, name, type, and dates.
Merge data from many files File contents through a combine operation Usually; compatible formats and structures are expected A consolidated table built from selected files.

Do not select Combine merely because the source contains multiple files. Microsoft’s folder-import guidance recommends filtering unwanted files first and using compatible structures for combine operations. A metadata index can include mixed file types because it never attempts to interpret their contents.

Diagnose stale links and failed refreshes

The new file is missing

  • Run Data > Refresh All.
  • Check whether the file is below the configured root; the Folder connector includes subfolders, but not locations outside that tree.
  • Inspect the Extension and Folder Path filters for an exclusion.
  • Confirm that the refresh computer can see the file and that it is not still being created or locked by another process.

An old row remains after deletion

  • Confirm that the query actually completed successfully; an error can leave the previous output visible.
  • Check whether the row came from a separate query or a manually copied table.
  • Refresh the specific connection and then Refresh All if multiple queries feed the worksheet.

Every link shows an old location

The worksheet has probably not refreshed, or the formula is pointing to a copied path column rather than the current query output. Verify that the link formula references the loaded Folder Path and Name fields. If the root moved, update the source path first.

Refresh reports a path, credential, or permission error

  • Test the source path in File Explorer or the relevant web service from the computer running Excel.
  • Re-authenticate the data source in the query or connection settings.
  • For a network share, confirm the account has read access and that the share is online.
  • For SharePoint, verify access to the site, library, and every parent folder.
  • When the workbook is shared, ensure each user has the required source permissions; the workbook itself does not grant them.

Microsoft’s external-connection guidance identifies source reachability, valid credentials, permissions, and host support as prerequisites for a successful refresh.

Excel for the web opens the workbook but not the files

Replace local or UNC destinations with valid web URLs. Excel for the web’s HYPERLINK destination is limited to web addresses, so a drive letter or Windows path is not a portable browser target.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Design the index for reliable day-to-day use

  • Keep a stable source: choose a root folder or SharePoint site that will not be casually renamed.
  • Separate output and notes: store comments, owners, or review status in a companion table so refreshes cannot overwrite them.
  • Expose the source path: keep the query’s root path documented in a configuration cell or a short note outside the output table.
  • Use clear filters: filter extensions and Folder Path deliberately, and review them when the folder structure changes.
  • Test as the real user: a link that works for the file owner may fail for a colleague without the same share or SharePoint permissions.
  • Decide on refresh policy: manual refresh is easiest to troubleshoot; open-time or timed refresh reduces stale data when the host supports it.
  • Keep the link formula visible: rebuilding links from current path fields is safer than typing permanent paths into cells.

Feature availability and version considerations

Microsoft describes Power Query as available in Excel for Windows, Mac, and the web, while noting that capabilities can differ by host and deployment. Refresh documentation covers Excel for Microsoft 365 and Excel 2016, 2019, 2021, and 2024, but a particular connector, credential flow, or automatic-refresh option may not be present in every installation. Check the Excel build, account type, operating system, and storage location before standardizing a workbook. The Power Query overview explains the platform scope.

No refresh setting can overcome an unreachable source, a moved root path, expired credentials, or missing permissions. Treat the index as a repeatable query result, not as a file-monitoring service that updates independently of Excel.

A practical operating checklist

  1. Select a stable local, network, or SharePoint root and confirm that intended users can read it.
  2. Create the connection with Data > Get Data > From File > From Folder or the SharePoint Folder connector.
  3. Choose Transform Data, filter the scope, and retain the metadata columns needed for searching and linking.
  4. Load the listing as an Excel table.
  5. Add a HYPERLINK column using the refreshed path and name fields, and test local, UNC, or web behavior in the target Excel host.
  6. After file changes, run Data > Refresh All and check that additions, moves, renames, and deletions appear correctly.
  7. If the root location changes, edit the query source before refreshing.
  8. When sharing the workbook, document the required source permissions and test with a non-owner account.

Frequently Asked Questions

Can Power Query update the index immediately when someone moves a file?

No. The Folder connector produces a refreshed query result. The workbook must refresh manually, at open, or on a supported interval before the new path appears.

Should I use Combine Files to create a file list?

No. Choose Transform Data and load the metadata listing for a catalog. Combine Files is for extracting and merging contents from compatible files.

What’s actually slowing this PC down?

Why does the same hyperlink work in desktop Excel but fail in a browser?

Desktop Excel can use local or UNC destinations, while Excel for the web requires a web URL for HYPERLINK. Use the file’s SharePoint or other approved web address for browser access.

What must I change if the monitored folder is renamed?

Edit the query’s source step to the new absolute path, refresh successfully, and then verify the regenerated Folder Path values and hyperlinks.
