The safest approach is to switch off the specific AI feature before entering confidential material, then verify where that feature processes text, audio, transcripts, prompts and generated output. Do not assume that an app-wide privacy statement, a “no training” promise or an “on-device” label applies to every action. Cloud processing with short retention is still cloud processing.
Use the workflow below to identify each data path, disable unwanted processing, check voice features separately, and set organization-wide controls where available. Vendor documentation changes, so confirm the exact app version, device, plan and region before trusting a sensitive workflow.

Start with a five-minute lockdown
If a note may contain credentials, health information, legal advice, customer data, unreleased plans or another protected category, pause AI actions until you know their processing path.
- Stop automatic AI actions. Turn off features such as automatic summaries, rewrite suggestions, semantic search, meeting capture and voice assistants in the app or operating system.
- Disable workspace availability. If you administer a team account, remove the AI feature for the workspace or organization rather than relying on each user’s preference.
- Separate text from voice. Turn off meeting recording, dictation and transcription independently. Audio can be uploaded even when you believe you are saving only a text note.
- Check the exact feature documentation. Look for the processing location, subprocessors, retention period, deletion behavior, training use and offline support for that feature on your device and plan.
- Use a harmless test. If documentation is unclear, test with invented content, inspect the app’s stated data-use behavior and do not use confidential notes to discover what is transmitted.
When a vendor cannot clearly explain whether a sensitive action sends content to a service, leave that action disabled and use a manual, non-AI workflow.

Map every AI action instead of judging the app by one privacy label
One app may use several unrelated pipelines. Treat each as a separate decision.

Document the result for each action. “The app does not train models on customer data” answers only the training question; it does not establish local processing, limited retention or restricted synchronization.
Confirm where processing occurs
On-device processing
Local processing means the relevant computation occurs on the device. Verify that the statement applies to the exact feature, not merely to the product’s general privacy page. Check whether the device model, operating-system version, language, region or plan changes the path. A feature can process short commands locally while uploading larger notes or audio.
Private or vendor cloud processing
A service may receive content, process it in a protected environment and delete it quickly. That can reduce exposure, but it remains a transmission to a cloud service. Ask whether data is encrypted in transit and at rest, which entities can access it, what logs are created, and what deletion actually removes.
Outside AI subprocessors
Some apps route requests to model or transcription providers. Identify the provider, processing region, contractual limits, retention period and whether the provider may use submissions for training. A vendor’s promise about its own systems may not describe every subprocessor.
Mixed routing
Apple describes Apple Intelligence as a mixed model: when a request is made, the system evaluates whether it can be processed on the device or requires Private Cloud Compute. Read the explanation at Apple’s Privacy – Features. Therefore, an “on-device” capability does not guarantee that every request stays on the device. Ask whether a request can be routed differently when it is longer, includes attachments, uses a different language or triggers a feature unavailable locally.
What Notion’s meeting-note path illustrates
Notion’s documentation shows why feature-level checking matters. Its AI Meeting Notes feature sends meeting audio to subprocessors for live transcription. Recordings made on mobile are uploaded to Notion’s servers, and the feature is not supported offline. Notion describes temporary audio retention and deletion behavior in its help materials, but that does not turn the workflow into local processing.

Audit audio, dictation and transcription separately
Voice features create more than one copy: the microphone recording, an intermediate transcript, the final note and an AI-generated summary. Each copy can have its own retention and deletion rules.
Check operating-system indicators
Apple’s Siri, Dictation & Privacy documentation explains that device settings indicate whether Siri or Dictation is processed on-device. When the setting does not indicate local processing, audio or dictation is sent to Apple servers. Review Siri, Dictation and app-integration permissions individually; disabling one does not necessarily disable another. Apple also documents controls for turning off Siri and Dictation, so use those controls when a microphone path is not required.

- Open the note app’s meeting, recording or transcription settings.
- Turn off automatic recording and automatic transcription.
- Revoke microphone permission for the app if voice capture is not required.
- Check the operating system’s Siri, Dictation and voice-assistant settings.
- Disconnect calendar, conferencing or messaging integrations that can start capture.
- Delete any locally cached recordings, transcripts or exports created during testing.
Tell meeting participants when recording is active and follow the consent and recording laws that apply to your location. A text-only workflow is safer only if the microphone and transcription paths are actually disabled.
Read retention, deletion and training terms as separate questions
Ask the vendor these questions for every AI action:
- What exact content is transmitted: source notes, selected passages, prompts, attachments, audio, transcripts, outputs or diagnostic logs?
- Which company and subprocessors receive each item, and in which countries or regions?
- How long is each copy retained, including backups, abuse-monitoring logs and cached recordings?
- Does deleting a note also delete prompts, transcripts, summaries and provider-side copies?
- Is customer content used to train, fine-tune or evaluate models? Are there exceptions for safety, legal requests or human review?
- Can an administrator set retention, deletion or regional-processing rules?
Vendor statements can be useful but are not independent audits. For example, Otter says its AI service providers do not store API-submitted customer data and do not use that data to train those providers’ models; see its Privacy & Security page. That statement concerns the described API submissions and providers, not every Otter feature or another app.
Notion’s meeting-note documentation likewise describes temporary handling of audio, but you still need to ask what remains as a transcript, summary, log or backup after the audio copy is deleted. Short retention is not the same as no transmission. If your policy forbids cloud handling, a promise to delete data after processing does not satisfy it.

Request-based processing controls
Some apps let users disable AI processing in a privacy panel. Nota’s published policy says users can disable AI processing under Settings > Privacy & Permissions; read the vendor’s Privacy Policy for its description. This is a policy statement, not independent verification of network behavior, so confirm that the setting covers summaries, transcription, search and any voice assistant separately. Record the setting’s date and app version because a label or menu can change.

Workspace and administrator controls
For team accounts, an owner or administrator should disable the feature at the workspace level before users add sensitive notes. Check whether members can re-enable it, whether guests are covered, and whether connected integrations remain available. A user-level switch is not enough if a shared template, bot or integration can invoke the same AI action.
Microsoft documents a broad organization control for connected experiences that analyze content. When an organization turns off those experiences, “Microsoft Copilot features won’t be available” in the listed Microsoft 365 applications, including OneNote. Details and supported versions are in Microsoft’s Data, Privacy, and Security for Microsoft Copilot documentation. This is a deliberate functionality trade-off: the same control that blocks content analysis also removes Copilot features. Confirm that every supported current version in your organization receives the policy and test OneNote after deployment.
Do not confuse AI privacy with synchronization or sharing
An app can avoid AI processing and still synchronize confidential notes to a cloud account. Review these controls independently:

- Sharing: links, team spaces, guest access, comments and inherited permissions.
- Connected accounts: calendars, email, drives and messaging services that an AI feature could search.
- Backups and exports: device backups, downloaded files and exported PDFs or audio.
- Encryption and keys: whether encryption is documented for the exact plan and whether the provider controls the keys.
The cited product documentation does not establish a universal sync switch or a universal encryption property for AI note apps. Verify those details for the particular service instead of inferring them from an AI setting. Removing an AI permission also does not retract a note already synchronized, shared or exported.
Check offline behavior before relying on it
“Works offline” must refer to the exact AI action. An app may let you read and edit notes without a connection while disabling summaries, search, transcription or voice capture offline. Notion explicitly says AI Meeting Notes is not currently supported while offline. Confirm all of the following for any other feature:
- Can the feature start and finish with Wi-Fi and mobile data disabled?
- Does it queue prompts or recordings for upload when connectivity returns?
- Are temporary audio files or transcripts stored locally?
- Does the app display an offline warning or silently fall back to a cloud service?
Do not infer offline privacy from ordinary note editing. If documentation does not explicitly describe offline processing, leave the AI action off while disconnected and during reconnection.
Verification procedure for a new app or feature
- Record the scope. Write down the app name, feature name, device, operating-system version, account type, plan and region.
- Read feature-specific help. Search for processing location, audio handling, subprocessors, retention, deletion, training and offline limitations.
- Inspect settings. Capture the exact labels and note whether controls exist at user, workspace and operating-system levels.
- Disable first. Turn off AI, recording, transcription and connected-account access before importing confidential notes.
- Test with invented text. Use a unique, harmless phrase and observe the app’s documented status indicators; never use a real secret.
- Check delayed transmission. After the test, keep the device offline while reopening the app, then reconnect and see whether the feature queues work. Do not treat this as a security audit; it only checks the documented workflow.
- Remove test artifacts. Delete the test note, audio, transcript, export and any shared links, then follow the vendor’s documented deletion process.
- Approve by feature. Permit only the actions whose data path and retention terms meet your policy.

Training and transmission are different. Recheck the processing location and retention terms; disable the feature if those details are not acceptable.

Reading and editing may work offline while AI actions wait for a connection or fail. Verify the feature-specific offline behavior and inspect for queued uploads.

“I turned off summaries, but recordings still appear.”
Recording and summarization are separate actions. Disable microphone permission, automatic capture and transcription, then remove existing audio and transcript files.
“The account privacy page says local, but one feature sends data.”
General statements may not cover every model, platform or plan. Use the feature’s own documentation and check whether routing changes for long notes, attachments or unsupported languages.
“A team member re-enabled the assistant.”
Apply the workspace or organization control, restrict who can change it, and document an approval process for exceptions.
“I deleted the note, so every copy is gone.”
Deletion may leave a transcript, generated summary, export, backup or provider log. Follow the service’s deletion instructions for each artifact and ask what the deletion request covers.
Maintain the controls
Recheck settings after app updates, operating-system upgrades, plan changes and new integrations. Keep a short register containing the approved feature, processing location, data types allowed, retention terms, administrator owner and review date. Remove approval when a vendor changes subprocessors, regions, retention or offline behavior without an acceptable explanation.
The practical rule is simple: sensitive notes stay out of an AI action until you can describe exactly what leaves the device, who receives it, how long every copy remains and which control stops it. If you cannot answer those questions from current, feature-specific documentation, leave the action disabled.

Does turning off model training keep sensitive notes off the cloud?
