AI meeting notes are not a single file. A meeting assistant may handle live audio, a transcript, summaries, action items, prompts, chat, and meeting metadata, with each artifact stored and shared under different controls. The reliable way to protect them is to map every output, limit who can create and access it, set a short approved retention period, and tell participants what is happening.
Start with the data map, not the recording button
Turning off a recording does not necessarily turn off every form of capture or retention. Some assistants process audio live, create a transcript, generate notes, retain prompts and responses, or copy results into mailboxes and cloud drives. Treat each item as a separate record.

| Possible artifact | How it is created | Questions to answer |
|---|---|---|
| Audio or video | A meeting recording or a live-processing feature | Is media saved? Who can play or download it? Where is it stored? |
| Transcript | Speech-to-text during or after the meeting | Is a transcript generated without a recording? Can participants search, copy, download, or share it? |
| Summary and action items | An AI recap generated from audio, transcript, or meeting content | Are notes saved in a mailbox, workspace, or assistant history? Who can edit or forward them? |
| Prompts and responses | Questions asked of the assistant and its answers | Are interactions retained under an organizational policy even when recording is off? |
| Chat, files, and metadata | Meeting chat, attachments, attendee list, title, and timestamps | Do normal chat and document permissions create additional copies? |
| Downstream copies | Downloads, email forwards, exported documents, screenshots, or integrations | Who controls those copies, and does deletion of the original remove them? |
Write this inventory before enabling an assistant. For each row, record the owner, storage location, access group, retention rule, deletion method, and any third-party processing. If a vendor does not clearly state one of those items, treat it as unknown and do not use the feature for confidential material until an administrator verifies the setting.

Decide whether AI notes are necessary
The strongest privacy control is not creating an artifact you do not need. Classify the meeting before it starts:

- POWERFUL SECURITY KEY: The Security Key C NFC is the essential physical passkey for protecting your digital life from phishing attacks. It ensures only you can access your accounts.
- WORKS WITH 1000+ ACCOUNTS: Compatible with Google, Microsoft, and Apple. A single Security Key C NFC secures 100 of your favorite accounts, including email, password managers, and more.
- FAST & CONVENIENT LOGIN: Plug in your Security Key C NFC via USB-C and tap it, or tap it against your phone (NFC) to authenticate. No batteries, no internet connection, and no extra fees required.
- TRUSTED PASSKEY TECHNOLOGY: Uses the latest passkey standards (FIDO2/WebAuthn & FIDO U2F) but does not support One-Time Passwords. For complex needs, check out the YubiKey 5 Series.
- BUILT TO LAST: Made from tough, waterproof, and crush-resistant materials. Manufactured in Sweden and programmed in the USA with the highest security standards.
- Open or routine: An assistant may be reasonable if participants understand the capture and the resulting notes have a defined owner and short retention period.
- Confidential: Use AI only when the business purpose, access list, and retention period are approved. Disable recording, transcription, and recap features that are not required.
- Highly sensitive: Consider conducting the discussion without AI capture. If the platform offers end-to-end encryption, check exactly which recording, transcription, compliance, and discovery functions it disables before choosing it.
Do not rely on a meeting title such as “private” or “confidential.” Privacy comes from technical permissions and handling rules, not from a label alone.
Configure Microsoft Teams deliberately
Teams has several distinct paths to notes. The setting you choose determines both what is created and where it is kept.
Understand intelligent recap storage
Microsoft documents intelligent recap as requiring meeting transcription and recording. AI-generated notes and tasks are stored in Exchange folders in meeting participants’ mailboxes. For a meeting with recording and transcription enabled, transcript copies are stored in the organizer’s Exchange Online account and with the recording in OneDrive. When only transcription is enabled, Microsoft says a transcript copy is stored in the organizer’s Exchange Online account. These artifacts follow the applicable recording-retention policy.

A transcript in Exchange, a note in a participant mailbox, a task, an exported document, or a downloaded copy may remain. The organizer and administrator should identify every location before promising participants that the material has been deleted.
Use Copilot without recording or transcription when appropriate
Teams documents a Copilot mode for calls and meetings that can generate notes and tasks without recording or transcribing. In that mode, turning on Copilot does not automatically start transcription. It is useful when a group needs live assistance but does not need a persistent transcript.
There are two important limits:
- Copilot prompts and responses may still be retained under the organization’s Microsoft Purview retention policies, even when recording and transcription are off.
- The documented mode does not provide post-meeting Copilot in Recap unless recording or transcription was enabled.
Before the meeting, ask the administrator which Purview policy applies to prompts and responses, how long it keeps them, and how a user can request deletion. “No recording” describes only one artifact; it does not guarantee that assistant interactions disappear.
Review Teams permissions
Use the tenant, meeting, and participant settings to answer these questions before enabling recap:

- Which roles can start recording, transcription, or an AI assistant?
- Can attendees view the transcript during the meeting, after the meeting, or both?
- Who may download, copy, edit, or share the recap and tasks?
- Can guests or people outside the organization access the recording, transcript, or notes?
- Who can delete each artifact, and does deletion require an organizer, mailbox owner, or administrator?
Use the smallest practical audience. If notes are needed by a project team, do not grant access to the entire organization. Disable external sharing and downloads when the work can be completed with browser viewing. Recheck permissions after the meeting because a forwarded link or exported file can bypass the original meeting audience.
Choose encryption with its operational trade-offs
Teams end-to-end encryption
Teams standard communications are encrypted in transit and at rest. End-to-end encryption is available for eligible one-to-one calls and, with Teams Premium, for scheduled meetings configured to require it. When end-to-end encryption is in use, recording, transcription, and related AI recap are unavailable. It also limits server-side records-management and eDiscovery functions.
For a discussion where preventing server-side processing matters more than having a searchable record, that trade-off may be appropriate. For a regulated meeting that must be recorded, retained, or discoverable, standard service encryption with tightly controlled permissions may better fit the requirement. Decide with the records owner and security team rather than assuming one encryption mode is universally safer.
Google Meet storage and encryption
Google states that Meet recordings and other content are stored in its data centers and encrypted in transit and at rest. Its help guidance also describes end-to-end encryption for calls in the newer Meet app. Do not treat that calling mode as equivalent to the handling of ordinary scheduled Meet recordings. Verify which meeting type, edition, and administrator setting you are using before relying on an end-to-end-encryption claim.
Third-party model processing
Some services send meeting inputs to third-party generative-AI model providers. Their documentation may describe zero-data-retention arrangements while allowing narrow trust-and-safety exceptions; technical documentation may also describe temporary retention of content for as long as 30 days unless a longer period is required by law. These statements can apply to different features or account configurations.
Ask the provider or administrator to identify the exact feature, model provider, data category, retention window, legal exceptions, and account setting in force. Do not convert a general statement about one service into a blanket claim that all AI meeting data is never retained.
Set retention and deletion as a tested process
Use the shortest period that meets operational, legal, and records-management requirements. A useful policy names each artifact separately:

| Artifact | Owner to assign | Deletion test |
|---|---|---|
| Recording | Meeting organizer or records owner | Delete it, then confirm playback and sharing links fail for an authorized and an unauthorized account. |
| Transcript | Organizer, mailbox owner, or administrator | Search the organizer’s mailbox, meeting workspace, and compliance locations after deletion. |
| AI notes and tasks | Each mailbox or workspace owner | Check participant mailboxes and task lists, not just the meeting page. |
| Prompts and responses | Administrator or information-governance owner | Confirm the applicable Purview or equivalent policy and its deletion schedule. |
| Exports and downloads | Every recipient who created a copy | Ask recipients to remove local files, email attachments, and duplicated documents. |
Run a deletion test with a low-risk meeting before adopting the policy broadly. Record the date, account used, artifact searched, result, and any location that still contained content. If a retention hold, legal requirement, backup, or discovery system prevents deletion, document that exception and restrict access until the hold ends.

- Define the audience. List the people who need the notes, not everyone invited to the meeting. Remove optional attendees from persistent access when the platform permits it.
- Use groups with an owner. A managed security or project group is easier to review than a collection of individual links. Assign someone to remove departing members.
- Restrict external access. Disable anonymous links and guest access for sensitive meetings. If an external party must receive a result, send a deliberately redacted summary rather than the full transcript.
- Limit downloads and resharing. Browser-only viewing, watermarking, and expiration can reduce uncontrolled copies, although none prevents screenshots or retyping.
- Audit access. Review viewing, downloading, sharing, and deletion logs where available. Investigate access by people outside the intended group.
- Separate working notes from the source record. If a task tracker or document system receives action items, apply the same classification and retention rules there.
Remember that a participant can copy text into another system even when the meeting platform is configured correctly. Technical controls should be paired with a clear handling rule: do not forward, paste, or upload meeting content to an unapproved service.
Notify participants and meet legal obligations
Tell people before capture begins. A concise notice should state:
- which tool is active;
- whether it records audio or video, transcribes speech, or only produces live notes;
- what summaries, tasks, prompts, or other outputs may be created;
- where those outputs are stored;
- who can access, share, download, or delete them;
- how long they will be retained; and
- how a participant can ask questions or object.
University of British Columbia guidance published in 2025 discusses notice and consent practices for meeting transcription in its institutional context. It is not a universal legal standard. Requirements vary by jurisdiction, sector, employment relationship, the subject of the meeting, and whether participants are in different locations. Obtain legal or privacy-office advice for a recording or transcription program; do not assume that one participant’s consent covers everyone.
If someone objects, offer a practical alternative where possible: disable the assistant, allow that person to leave before capture starts, or provide a non-recorded channel for sensitive contributions. Do not pressure participants to disclose confidential information merely because a tool is available.

Secure the account that holds the notes
Content controls cannot help if an attacker takes over the organizer’s or participant’s account. Use unique passwords, phishing-resistant multifactor authentication, current operating-system updates, screen locks, and managed devices for work meetings.
Microsoft recommends phishing-resistant methods such as FIDO2 security keys and passkeys for Microsoft Entra sign-in. A FIDO2 hardware key is a device-bound passkey: its private key remains on the physical key, which can reduce exposure to phishing. Microsoft highlights these methods for highly regulated environments and elevated-privilege users.

- FIDO2 & Passkey Ready: Business-ready and FIDO2 L1 certified. This key is supported by major management suites and is ideal for both individual and enterprise deployment. Works seamlessly with Gmail, Facebook, GitHub, Dropbox, Coinbase, and more.
- Dedicated Manager App: Use the Thetis Manager App for the initial hardware PIN setup. Setting the PIN on the device first ensures a smooth registration process. Once the PIN is configured, you can begin registering the key across your favorite FIDO2-compatible online services.
- USB TYPE C Connectivity & DONGLE Design: Designed for PCs, Macs, laptops, iPhones, and Android devices that utilize a USB-C port. Plug and stay, or carry it on a keychain. (Item Size: 0.73 x 0.60 x 0.30 inches)
- Enhanced MFA (FIDO2 & TOTP/HOTP): Strengthen your security with flexible options. Use the Manager App to access TOTP/HOTP features for accounts that do not yet support FIDO2.
- Check FIDO2 compatibility before purchase - Known limitations: ID Austria is not supported (requires FIDO2 Level 2). Windows Hello login only works with Windows Enterprise editions that support Entra ID. NFC functionality is not supported.
A hardware key protects authentication, not the transcript or summary. It does not set retention, encrypt a mailbox, restrict meeting permissions, or delete downloaded copies. Plan recovery keys, replacement procedures, device compatibility, user training, and account-provider support before requiring a physical key. A passkey on a supported device can provide similar phishing resistance without a separate token.
Use a sensitivity-based decision framework
| Meeting situation | Recommended capture posture | Controls to verify |
|---|---|---|
| Routine internal status update | Live notes or a short-lived recap may be acceptable | Participant notice, project-group access, short retention, download limits |
| Customer or partner discussion | Capture only with explicit notice and an agreed output | External access, contractual data-processing terms, export and deletion process |
| Personnel, health, legal, or security matter | Default to no AI capture unless approved | Legal basis, restricted audience, encryption choice, records hold and deletion test |
| Highly regulated meeting requiring a record | Use the approved recording and records system rather than an ad hoc assistant | Retention schedule, eDiscovery, audit logs, administrator ownership, controlled exports |
| Discussion where server-side processing must be minimized | Consider end-to-end encryption only after confirming the resulting feature limits | Whether recording, transcription, recap, compliance recording, and discovery remain available |
What to do when privacy settings fail
A transcript exists even though recording was off
Check whether transcription or a live Copilot mode was enabled independently. Search the organizer’s mailbox, meeting workspace, assistant history, and compliance repositories. Preserve relevant audit information, restrict access, and ask the administrator to apply the correct retention or deletion policy.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsSomeone can open a recap who was not supposed to
Remove the link or group permission, revoke guest access, and check whether the person downloaded a copy. Review sharing and access logs, then correct the meeting template or tenant default that granted broader access.
Deleting the recording did not remove the notes
Search participant mailboxes, Exchange folders, task lists, OneDrive or equivalent storage, exported documents, email attachments, and downstream systems. A retention hold or legal requirement may block deletion; involve the records owner rather than repeatedly deleting the visible meeting page.
End-to-end encryption removed a required feature
Confirm whether the meeting now lacks recording, transcription, recap, compliance capture, or eDiscovery. If the record is mandatory, use the organization’s approved encrypted recording workflow instead of weakening controls informally. If confidentiality is the priority, keep the encryption mode and document that no searchable record will be produced.
A provider’s retention statements conflict
Identify the exact product edition, AI feature, model provider, administrator setting, and publication date for each statement. Ask for the current contract or tenant configuration. Keep the feature disabled for sensitive meetings until the discrepancy is resolved in writing.
A repeatable pre-meeting and post-meeting checklist
Before the meeting
- Decide whether an AI assistant is necessary.
- List audio, video, transcript, notes, tasks, prompts, chat, metadata, and possible exports.
- Choose the minimum audience and disable anonymous or unnecessary external access.
- Set the retention period and name the deletion owner.
- Verify whether the selected mode records, transcribes, or stores prompts independently.
- Check encryption and understand which recap, compliance, and discovery functions it disables.
- Give participants notice and obtain any consent required for the locations and subject matter involved.
- Confirm that organizer and administrator accounts use phishing-resistant authentication where supported.
During and after the meeting
- Watch for on-screen indicators that recording, transcription, or an assistant has started.
- Stop capture as soon as the business need ends.
- Review the generated notes for sensitive or inaccurate content before sharing.
- Share only the necessary summary, not the full transcript, when a shorter record is sufficient.
- Apply the approved permissions and expiration date.
- Delete or archive each artifact according to its separate schedule.
- Check for mailbox, drive, task, export, and download copies.
- Record exceptions such as legal holds, investigations, or contractual retention requirements.
Keep platform documentation current
Meeting products change feature availability, defaults, licensing, storage locations, and retention behavior. Recheck the administrator documentation and tenant settings before publishing internal instructions or relying on an old meeting template. A control that was correct last year may now create a transcript, store prompts, or expose a recap through a different permission path.
