How to Invoice Clients for Travel Time, Mileage, and Expenses

Agree on travel charges before you go, then list travel time, mileage, and reimbursable expenses as separate invoice items. Your contract—not an IRS or federal mileage table—sets what a private client owes. Keep a dated trip log and supporting bills or receipts for your own records, too.

Agree on the travel terms before the trip

Travel billing is a pricing and contract decision. The U.S. federal sources cited here do not set one universal travel-time charge or mileage amount for private client work. Put the terms in your proposal or agreement so both sides know what the invoice will include.

  • Travel time: Say whether it is billable, when the clock starts and stops, and whether it uses your normal hourly rate, a different agreed rate, or a flat fee.
  • Mileage: State the agreed per-mile amount or reimbursement method. Do not assume the IRS rate automatically determines what your client must pay.
  • Other costs: Identify which expenses qualify, such as parking, tolls, or lodging, and whether the client must approve them in advance.
  • Limits and evidence: Set any caps and specify whether you will provide an expense statement, receipt copies, or a mileage log.

Choose a billing method that fits the engagement. A flat travel fee can make the total predictable; separate time and cost lines show how the total was calculated. Agree on the method, rate, approval process, and documentation expectations before travel rather than leaving them to invoice day.

Separate travel time, mileage, and expenses on the invoice

Use distinct, understandable lines tied to the trip or date. This is a clarity practice, not a universally mandated invoice format.

XKDOUS 2 Pack Invoice Books, 2-Part Carbonless Receipt Books
  • Two-Part Carbonless Invoice Book: Each invoice book has 50 sets of invoices, each with a white/light yellow section, with the yellow section retained in the invoice book to maintain detailed records.
  • Consecutively Numbered: Enlarged red 6-digit numbers in the upper right corner of each invoice receipt book help you quickly navigate through your orders.
  • Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
  • 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
  • Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.
Invoice line What to show Example calculation
Travel time Date or trip, billable hours, and agreed time rate Travel time — [date/trip], [hours] × [agreed hourly rate] = [amount]
Mileage Business miles and the rate agreed with the client Mileage — [business miles] × [contracted mileage rate] = [amount]
Other approved costs Each item’s description and amount; identify approval or applicable cap where relevant Parking/tolls/lodging — [itemized description] = [amount]

Apply the agreement consistently: use the agreed rates, show the date and trip, and check the arithmetic. Include your ordinary payment terms and total due. Provide receipt copies or an expense statement if the agreement calls for them; retain your own supporting records whether or not you attach them.

Choose a mileage amount without confusing tax rates with client pricing

For a private client, the invoice amount comes from the agreement. IRS standard mileage rates are tax references, while GSA rates apply to qualifying federal official travel under their stated conditions; neither automatically sets a private client’s bill.

$0.70 per business mile IRS standard business mileage rate for 2025 IRS Publication 463 (2025); this is a 2025 tax reference, not the 2026 rate. IRS Publication 463
72.5 cents per business mile IRS standard business mileage rate stated in its January 20, 2026 notice IRS Notice 2026-10; GSA later described an IRS increase effective July 1, 2026, so this January notice alone does not describe the second half of 2026. IRS Notice 2026-10 and GSA Bulletin FTR 26-03
$0.76 per mile GSA federal automobile rate effective July 1, 2026, when an automobile was authorized or no government-owned automobile was authorized and available Qualifying federal official travel only; GSA lists $0.235 per mile when a government-owned automobile was authorized and available but the traveler chose a personal car. GSA POV mileage reimbursement rates

GSA rates can depend on the trip date, vehicle, and availability of an authorized government vehicle. The effective date matters: do not treat a federal rate as a full-year figure without checking the applicable period and conditions. For an ordinary private engagement, use the mileage method and rate the client agreed to.

Keep a trip record and supporting documents

Record the details while they are easy to verify: the travel date, start and end or duration, destination, client or project, business purpose, business miles, and each separate expense. Keep bills and receipts that support costs. IRS Publication 463 identifies records such as an account book, diary, log, expense statement, trip sheets, or a similar record, and says computer-prepared records count as adequate records. It also describes supporting information for amount, time, place or description, and business purpose, generally with documentary evidence such as receipts, canceled checks, or bills, subject to exceptions.

The IRS says an independent contractor should adequately account for client travel reimbursements or allowances and keep adequate records even when not accounting to the client. If you do not adequately account for a reimbursement or allowance for costs incurred on a client’s behalf, the publication says it must be included in income. This is federal tax and recordkeeping guidance; it does not set the amount a private client must reimburse. See IRS Publication 463 (2025), Chapter 5.

Use the right rules for the engagement

Federal travel and contracting rules have defined scopes. GSA mileage tables concern qualifying federal official travel, not all business trips. FAR 31.205-46 addresses covered contractor transportation costs for official company business: mileage rates, actual costs, or a combination may be used when the method results in a reasonable charge. That federal-contract cost-allowability rule is not a general private-client invoice rule. See FAR Subpart 31.2.
