A payment reconciliation mismatch near a settlement cutoff is not automatically a missing payment. First identify which stages and timestamps you are comparing, then check the processor’s sales-day boundary, payout model, business-day schedule and adjustments. Only escalate a shortfall after the expected batch and bank-funding window have passed.
What exactly is mismatching?
Reconciliation follows the movement of funds through distinct stages: authorization, capture, settlement, payout or funding, and bank credit. A transaction recorded at capture is not necessarily settled yet, and a settled transaction is not necessarily already visible in the business bank account. Adyen defines reconciliation as matching documentation to the actual movement of funds from payment initiation until they reach the account (Adyen Help Centre).

Before investigating, write down the two records that disagree. Include amount and currency, merchant or balance account, transaction and batch identifiers, and the timestamp field on each record. That field might be capture time, processor event time, batch close, payout instruction, bank posting, or accounting date. Also label each amount as gross sales, a batch total, net payout, or bank credit; these are not interchangeable.
Check the sales-day cutoff and timezone
A processor’s “day” may not match the day in your ledger. Adyen defines a sales day as a 24-hour period and documents a default midnight-to-midnight boundary in the balance account’s local timezone; the closing time can be configured to a later time (Adyen sales-day payout documentation). Check the setting for the relevant account rather than assuming the default applies.
#1 Best Overall
Compare that boundary with the timezone and date rule used by your accounting system. If the processor groups by local sales day while the ledger groups by UTC, a transaction near midnight can fall on different dates in the two systems. That is a likely grouping difference to test—not evidence by itself that the payment is missing.
- Find the account’s configured sales-day closing time and timezone in the processor settings or account documentation.
- Identify the timestamp your ledger uses to assign a transaction to a day, such as capture time in UTC or local accounting date.
- Re-group transactions around the cutoff using the processor’s boundary, then compare totals for the same window.
Identify the payout model before matching totals
The payout model determines whether a sales-day total should map neatly to a payout. Adyen documents two different patterns; do not assume they apply to other processors or to every Adyen account.

| Model | How funds are grouped | Reconciliation implication |
|---|---|---|
| Sales-day settlement | Captured funds are assigned to batches associated with a sales day. | Compare the sales-day activity with its corresponding batch, then account for the configured settlement delay. |
| Pass-through payout | Funds follow scheme and payment-method timelines; one sales day can be paid in multiple batches. | Do not expect one sales day to equal one payout. Adyen says this model does not support reconciliation by day totals and requires automated reconciliation (Adyen Pass-through payout). |
Confirm the model for the account and the relevant payment methods. Under pass-through payout, a payout may also combine activity from multiple sales days, so matching only daily totals can conceal the actual batch composition.

Recalculate the expected settlement window
Use the account’s configured delay and working-day calendar, not a simple count of calendar days. Adyen says available funds are settled on working days, excluding bank holidays, and its examples show holidays moving settlement later. In one documented example, a two-business-day delay moves Monday sales to Wednesday; when Tuesday and Wednesday are bank holidays, settlement shifts to Friday (Adyen sales-day payout documentation).

Adyen’s typical payout-delay examples are provider-specific: the documentation describes two business days for accounts meeting a stated currency and acquisition-region condition, and three business days for other stated typical accounts, with exceptions. The same documentation says currency and acquisition region affect the delay. These figures are not a universal schedule; account configuration and applicable terms determine the expected date.
Stripe’s educational overview describes card settlement as typically one to three business days and funding as two to three business days in its typical timeline, while noting that arrangements vary by processor, payment method, and bank (Stripe: Payment processing explained). Treat that as general educational context, not a promise about a specific Stripe account or a substitute for its payout schedule.

- Check the currency and acquiring region if the provider uses them to determine timing.

Bridge gross sales to net funding with adjustments
A net payout need not equal the gross captured sales for the same sales day. Fees, refunds, chargebacks, reversals, and other adjustments may enter a batch when they occur, even when they relate to a transaction from a different sales day. Adyen’s documentation describes these adjustments in its payout and reconciliation guidance (sales-day payout; pass-through payout).

- Compare the resulting net amount with the payout instruction and then the bank credit.
This bridge helps distinguish an explained net difference from an unaccounted-for transaction. If your accounting ledger uses a different date for adjustments than the processor, note that rule explicitly in the comparison.

Choose the report that answers the question
For Adyen, use the Settlement Detail Report to reconcile a payout by payable batch. For detailed invoice reconciliation, use the Payment Accounting Report. Adyen warns that other reports may not have the granularity or timezone cutoffs needed for a complete invoice match (Adyen Help Centre: How reports help with reconciliation).
The Payment Accounting Report includes event, payment-method, fee, and payable-batch fields useful for checking transaction and fee lines. Its interactive version supports a specified date range and timezone; Adyen’s help page says the invoice timezone is AMS. Use the report’s stated timezone when matching invoice dates rather than silently comparing them with a ledger grouped in another timezone.
Classify the mismatch and decide whether to escalate
- Timing boundary: The activity appears in a later sales day or expected batch after applying the correct timezone and cutoff.
- Expected settlement delay: The batch or funds are still within the configured business-day window, including applicable bank holidays.
- Explained net difference: Recorded fees, refunds, chargebacks, reversals, or other adjustments account for the gap.
- Unresolved exception: The expected batch, amount, or bank credit remains absent after checking the model, schedule, cutoff, adjustments, and appropriate report.
For an unresolved exception, contact the processor or bank with a specific discrepancy: account and currency, expected and actual amounts, batch and transaction identifiers, relevant timestamps with timezones, and the expected settlement or posting date. A precise evidence trail is more actionable than a daily sales total that may not correspond to the provider’s payout structure.

For a multi-account or multi-provider reconciliation process, keep the operational differences visible rather than applying one universal rule:
- Payout model: sales-day batching or pass-through.
- Sales-day closing time and timezone.
- Configured settlement or payout delay and payout frequency.
- Currency, acquisition region, and applicable working-day and holiday calendar.
- How and when adjustments enter batches.
- Report granularity and the timezone used by the report.
Published provider examples explain how a schedule can work; the account’s actual settings and terms govern an individual payout.
