How to Investigate a Suspicious Email Without Clicking Its Links

You can investigate a suspicious email safely by leaving every link and attachment untouched, examining the real sender address and message context, previewing destinations without clicking, checking your provider’s warnings, and confirming any plausible request through a separate trusted channel. If you already entered information or opened a file, stop investigating and begin account, device, and financial-response steps instead.

This guide is U.S.-oriented where it discusses FTC reporting channels. Provider labels vary by app and device, and technical indicators are clues rather than proof.

Why a suspicious email deserves a no-click investigation

Phishing messages are designed to make the supplied action feel safer than independent checking. The message may imitate a bank, delivery company, employer, colleague, cloud service, or government office; display a familiar logo; and demand immediate payment, password confirmation, or account recovery. The Federal Trade Commission says email was the top method scammers used to contact people in 2024, in an alert published in 2025. That ranking does not make every unexpected email fraudulent, but it does justify treating an unplanned request as untrusted until verified.

Microsoft’s consumer guidance states: “If you suspect that an email message, or a message in Teams is a scam, don’t open any links or attachments that you see.” Read the message as evidence, not as a directory of links or phone numbers. A polished design, correct spelling, or familiar company name can be copied.

The evidence you can safely examine

Evidence What it can tell you What it cannot prove
Displayed sender name and actual address Whether the visible identity and the address appear to match the expected organization or person. That the mailbox is legitimate; compromised accounts can send genuine-looking mail.
Message context Whether you expected the request, recognize the relationship, and understand why the action is being requested now. That an urgent or plausible story is true.
Link preview Where a link appears to lead when you hover over it on a desktop, allowing comparison with the stated organization. That the destination is safe; redirects and changing content can obscure intent.
Provider warning or authentication status Whether the mail service detected an unverified sender or authentication problem. A final malicious-or-safe verdict. Microsoft cautions that not every authentication failure is malicious.
Headers Technical routing and authentication details that an IT or security team can correlate with other records. A conclusive answer for an ordinary recipient working from headers alone.

Step 1: Pause, preserve, and remove the opportunity to act

  1. Do not click or tap. Do not follow a button, text link, image, QR code, or “view in browser” link. Do not click an unsubscribe link in an unsolicited message.
  2. Do not open or download attachments. Leave documents, archives, spreadsheets, and executable files unopened. Do not enable macros or other active content.
  3. Do not reply. A reply confirms that your address is monitored and gives the sender another way to pressure you.
  4. Do not call or message numbers supplied in the email. Treat contact links, callback numbers, and names in the message as untrusted.
  5. Keep the original available. Use your provider’s built-in reporting control or your employer’s process rather than casually forwarding the message, which can remove useful information such as headers.

Reading the visible text is generally different from activating a link or attachment. Avoid interacting with the message beyond what your mail application needs to display it safely.

Step 2: Read the request and the surrounding context

Ask whether you expected the message

Consider whether you recently opened an account, placed an order, submitted a support request, or were told to expect a document. An unexpected message is not automatically a scam, but it requires independent confirmation before action.

Identify the requested action

Flag requests for passwords, multifactor codes, payment, gift cards, wire transfers, tax or identity numbers, or a change to bank details. Be especially cautious when the message combines a threat or deadline with a request to bypass normal approval. FTC guidance describes common impersonation messages that claim an account or payment problem and push the recipient to act urgently.

Check the actual sender address

Expand the sender details so you can see the complete address, not just the display name. Look for a domain that differs from the organization named in the message, an added word or hyphen, a misspelling, or a free-mail address where a corporate address would normally be used. A matching address is useful context, not authentication of the request: an attacker may control a look-alike domain or a legitimate account may have been compromised.

Do not treat logos, signature blocks, conversational tone, or grammar as a verdict. These features are easy to reproduce and can also appear in a real message sent during an unusual situation.

Step 3: Inspect link destinations without following them

Desktop hover check

  1. Move the pointer over the link without pressing the mouse button.
  2. Read the destination preview shown by the mail client, usually in a status area or small pop-up.
  3. Compare the destination’s domain with the organization named in the message and with the visible link text.

A destination that uses an unrelated domain, a misspelled name, an unexpected country-code domain, or a URL-shortening service is a warning. A destination that appears to match is not a guarantee: attackers can compromise a legitimate site, use redirects, or place a deceptive path after a genuine-looking domain. Never click merely to reveal a destination.

Touchscreen and mobile check

Touch interfaces often have no hover state. Do not press and hold a link unless your mail application clearly offers a safe preview without opening it; behavior varies by app and device. If you cannot inspect the destination safely, skip this step and verify the request through an independently obtained website or phone number.

Step 4: Use provider warnings and headers as supporting clues

Gmail indicators

Google’s Gmail guidance recommends checking whether the sender name and address match, whether the message is authenticated, where links lead, and what the headers show. Gmail may display warnings or an authentication indicator near the sender details. Treat those signals as additional evidence, not permission to click. Follow Google’s current instructions in Avoid & report phishing emails if the interface differs from what you see.

Outlook indicators

Outlook can mark an unverified sender when authentication cannot identify the sender or the identity differs from the displayed From address. Microsoft’s Phishing and suspicious behavior in Outlook guidance cautions that an authentication failure does not mean every message is malicious. An unfamiliar sender, a failed check, and an urgent request together warrant more caution; a successful check still does not validate the requested payment or credential action.

When headers are useful

Full headers can show routing and authentication results, but they are easy to misinterpret without knowledge of your provider’s systems. An ordinary recipient should not attempt a tenant-wide investigation from headers alone. Preserve the original message and give it to workplace IT or a security team when escalation is appropriate.

Step 5: Verify the request through a separate trusted route

If the request could plausibly be real, do not use any contact path supplied by the email. Start a new browser session or tab and:

Step 6: Report, preserve appropriately, and delete

Use your mail provider’s phishing control

Use the provider’s built-in “Report phishing” or equivalent control so the service receives the message in its original context. In Outlook and Outlook.com, Microsoft documents the path as Report > Report phishing. Interface names can change, so use the current control shown in your account.

Other reporting routes

Microsoft support directs people using other mail clients to attach the original email to a new message sent to [email protected], rather than forwarding it, so message information can be examined. The FTC accepts reports at ReportFraud.ftc.gov. The Anti-Phishing Working Group accepts forwarded phishing email at [email protected]. These are U.S.-oriented channels; elsewhere, use your provider’s reporting function and your national cybercrime or consumer-protection authority.

Workplace messages

Follow your employer’s security or help-desk procedure first. It may require using a reporting button, preserving the original in a designated mailbox, or notifying a security team. Do not send a suspicious work message to coworkers as a warning unless policy tells you to; spreading it can create more exposures.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Delete after reporting

Once the message has been reported or preserved according to policy, delete it and empty the trash only if your organization’s retention rules allow that. Removing the copy from your inbox prevents an accidental later click.

If you already clicked, opened a file, or submitted information

Switch from investigation to response promptly. Do not keep testing the link or trying to determine what happened by interacting with the message.

Credentials or multifactor information entered

  1. Reach the legitimate service independently, not through the email, and change the exposed password.
  2. Change that password anywhere else you reused it.
  3. Enable multifactor authentication where available.
  4. Review recent sign-ins, recovery addresses, forwarding settings, mailbox rules, and active sessions; remove anything you do not recognize.
  5. Tell workplace IT or security immediately for a work account, even if you changed the password.

Financial or identity information submitted

Contact your bank, card issuer, payment service, or other institution through a known number and explain exactly what was disclosed. Ask what to freeze, replace, or monitor. If identity or financial information was exposed in the United States, the FTC directs consumers to IdentityTheft.gov for a recovery plan.

An attachment was opened

Disconnect the device from sensitive work systems if your organization’s procedure instructs you to do so, and contact IT or security. Do not delete logs or repeatedly open the file to reproduce the problem. A security team can assess endpoint activity and determine whether containment or remediation is needed. Merely opening every email does not automatically cause an infection; the FTC’s warning is specifically about unexpected links and attachments, which should still be treated seriously.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Report the incident

Record the approximate time, message subject, sender address, link or attachment name, information entered, and devices used. Give those details to your employer, provider, or financial institution. Early reporting can allow sessions to be revoked, payments to be stopped, or other recipients to be warned.

What an organization should do beyond the recipient’s check

For a business or school, an individual’s no-click inspection is only the front door to incident response. Microsoft’s Phishing investigation playbook, updated May 31, 2026, describes a broader workflow for responders:

  1. Identify the original message and its Message-ID.
  2. Determine which recipients received it and whether delivery was completed or blocked.
  3. Find out whether users opened the message, clicked, or submitted credentials.
  4. Correlate those events with sign-in records, audit logs, and endpoint activity.
  5. Remove the message where appropriate and remediate affected accounts or sessions.
  6. Block relevant indicators, contain affected endpoints when warranted, and complete recovery and process improvements.

These actions require administrative access and security expertise. An ordinary recipient should not attempt tenant-wide message tracing or endpoint containment; report the message and the interaction details to the designated team.

Fast decision guide

What you observe Safest next action
Unexpected request; sender, context, or destination looks wrong Do not interact. Report through the provider or workplace process, then delete.
Request seems plausible, but you cannot independently confirm it Pause the transaction and verify through a bookmark, known phone number, or established alternate channel.
Provider shows an authentication warning or unfamiliar sender Treat it as a risk signal, not a verdict. Do not click; verify independently or report.
Credentials, payment details, or identity data were submitted Secure the legitimate account or financial relationship immediately and notify the relevant organization.
An attachment was opened or a work account was involved Contact workplace IT/security or a qualified support team and preserve the message and timeline.

Common mistakes that defeat a safe investigation

  • Clicking to “see what happens.” A destination preview is enough; activation can expose credentials or trigger a download.
  • Calling the number in the email. An attacker can operate the entire support conversation. Obtain the number independently.
  • Trusting the display name. Expand the address and compare the complete domain.
  • Assuming authentication equals legitimacy. Technical checks concern message identity and delivery; they do not approve a payment or password request.
  • Forwarding the message casually. Forwarding can alter or omit information useful to investigators and can expose another recipient.
  • Waiting for certainty after an interaction. Prompt password changes, session review, financial notification, and IT escalation reduce potential damage.

Sources and scope

The consumer workflow is based on guidance from Microsoft, Google, and the FTC.
