Integrate warehouse automation by assigning ownership before selecting technology. Your order management system (OMS) or ERP should own commercial order processing and financial decisions, the warehouse management system (WMS) should own warehouse inventory and movement where appropriate, and a warehouse-control layer or external system should direct equipment execution. Then define the messages that cross those boundaries, select interfaces supported by the products you actually run, and make inventory and progress feedback operational controls rather than one-time data loads.
There is no universal OMS-WMS-automation stack. SAP’s guidance changes with warehouse complexity, Microsoft documents a deployment in which an external ERP handles orders while its warehouse application handles logistics, and Oracle describes XML exchange between OMS and WMS through queues or web services. Use those patterns as design references, not as a reason to force unlike products into one architecture.

Start with an ownership map
Draw the responsibility boundary before drawing APIs, queues or equipment connections. For every business fact, identify one authoritative owner, the systems that consume it, and the event that changes it. A useful first map looks like this:
| Capability | Potential owner | What downstream systems need to know | Decision to document |
|---|---|---|---|
| Commercial order and customer promise | OMS or ERP | Order number, lines, quantities, dates, destination, service level and cancellation state | When an order is released to the warehouse and whether changes are still allowed |
| Warehouse inventory and storage | WMS, unless the selected architecture assigns some functions elsewhere | Available, reserved, held, damaged and in-transit quantities; location and lot or serial details where used | Which stock states can be promised or reserved upstream |
| Warehouse movements | WMS | Receiving, put-away, replenishment, picking, packing, staging and shipping progress | Which system creates, prioritizes and closes each movement |
| Equipment-level execution | Warehouse-control system, external warehouse controller or another designated platform | Work orders, destinations, acknowledgements, alarms and completion or interruption events | Whether equipment receives work directly from the WMS or through an intermediate controller |
| Financial posting and customer-facing status | OMS or ERP | Shipment confirmation, invoice-relevant quantities and customer-visible status | Which warehouse event is sufficient to post or communicate completion |
SAP’s documentation for a fully automated warehouse says the split depends on warehouse structure and automation functions. It describes WMS responsibilities such as managing stock and storage bins, triggering warehouse movements, performing inventory work and selecting bins, while an external system takes over warehouse controlling. Treat that as a documented SAP design option, not an industry rule that applies to every facility.

Simple automation
In a relatively simple automated warehouse, the WMS generally retains warehouse-management tasks while an external system handles warehouse control. The WMS decides what warehouse work is required; the control layer translates that work into equipment instructions and returns progress. This boundary is easier to operate because inventory and movement decisions remain in one warehouse application.
Complex automation
With more complex automation, SAP says the external system can take on some warehouse-management tasks. That can be appropriate when the automation environment has its own sophisticated routing, buffering or execution logic, but it creates a larger synchronization obligation. Specify exactly which decisions move out of the WMS and which inventory facts remain authoritative there.
External ERP with warehouse-management-only deployment
Microsoft documents a different pattern in which an external ERP performs order and financial processing while Dynamics 365 Warehouse management only mode performs logistics warehouse operations. In this arrangement, the ERP sends shipment-order information, the warehouse application executes inbound and outbound work, and logistics progress and inventory information must flow back to the ERP. The pattern illustrates why product names alone do not define ownership; the deployment mode does.

Define the information contract before choosing transport
List the business information exchanged in both directions. Microsoft groups the integration content into master data, document data and progress data. Use those categories to create a contract that business and technical teams can review together.
Master and reference data
- Items, units of measure, dimensions and handling attributes.
- Sites, warehouses, zones, locations and staging points.
- Business partners, ship-to addresses, carriers and service levels.
- Packaging, license-plate or container definitions where the selected products use them.
- Status codes, reason codes and any mapping required between systems.
For each reference object, record its owning system, identifier, effective date, allowed changes and propagation method. Do not assume that identical labels mean identical semantics: an OMS’s “available” quantity may not equal a WMS’s pickable quantity.
Document data
Inbound and outbound shipment orders normally contain a header and lines. Define the minimum required fields rather than copying every field from one application into another.

| Message or document | Typical content | Direction | Key design questions |
|---|---|---|---|
| Inbound shipment order | Supplier, expected date, item lines, quantities, purchase or transfer reference and receiving instructions | OMS or ERP to WMS | Can the warehouse receive partial quantities? How are substitutions, overages and damaged goods represented? |
| Outbound shipment order | Customer or destination, item lines, quantities, promised date, carrier service and fulfillment constraints | OMS or ERP to WMS | When is the order eligible for release, and what happens if a line is changed after work starts? |
| Adjustment or inventory event | Item, location or inventory dimension, quantity delta, reason, timestamp and reference | WMS to OMS or ERP | Is the receiving system applying a delta or replacing an absolute balance? |
| Shipment or receipt confirmation | Completed quantities, exceptions, package or load references and completion time | WMS to OMS or ERP | Which event authorizes customer notification, invoicing or the next financial step? |
Progress data
Progress messages tell other systems what happened after an order entered the warehouse. Include receiving, put-away, picking, packing, staging, dispatch and shipment completion where those states matter to the business. For each state, document whether it is informational, reservation-affecting or financially significant.

For every message or event, specify:
- A stable business identifier and a transport or message identifier.
- The owning system and the direction of exchange.
- Required fields, optional fields and validation rules.
- Permitted status transitions and the event that causes each transition.
- The expected response, acknowledgement or completion signal.
- An exception path for rejection, timeout, partial completion and manual intervention.
The vendor documentation establishes the need for order, progress and inventory exchanges, but it does not prescribe one vendor-neutral schema, retry policy or idempotency rule. Those are implementation decisions. Confirm them against the selected products, versions and deployment model instead of presenting them as universal standards.
Design inbound and outbound flows explicitly
Inbound flow
- The OMS or ERP creates an inbound shipment order from a purchase, transfer or other approved source.
- The order message is validated for item, quantity, warehouse and date data.
- The WMS accepts, rejects or places the message in an exception state and reports that result.
- The WMS creates receiving work and, where applicable, sends execution instructions through the warehouse-control layer.
- Receiving and put-away events update the WMS’s inventory position.
- Receipt quantities, discrepancies and completion status are sent upstream according to the contract.
Decide how partial receipts, over-receipts, shortages, damaged goods and late arrivals affect the original document. A message that merely says “received” is not enough if the OMS or ERP needs accepted, rejected and damaged quantities separately.
Outbound flow
- The OMS or ERP releases an eligible order or shipment order to the WMS.
- The WMS validates availability and creates warehouse work according to its allocation and release rules.
- Work is dispatched to automated equipment through the supported control interface.
- The control layer and equipment return acknowledgements, completion events or interruptions.
- The WMS records picked, packed, staged and shipped quantities and communicates the relevant progress upstream.
- The OMS or ERP updates customer-facing status, availability and any financial process that depends on shipment completion.
Define what happens when an order is cancelled or edited after warehouse work begins. The contract should distinguish a change that can be applied safely from one that requires a stop, reversal or manual decision.
Match the integration mechanism to the actual products
Interface technology is product-specific. The documented examples below are not interchangeable requirements.
| Platform documentation | Documented mechanisms or pattern | What it demonstrates | What you still must confirm |
|---|---|---|---|
| Microsoft Learn: “Exchange data between systems” | Dataverse, OData and data-management import options for shipment-order messages; incoming messages can be queued and processed by a message processor | A warehouse application can support multiple exchange mechanisms and asynchronous processing | Supported interfaces for your product version, field mappings, queue behavior, throughput and operational ownership |
| Oracle: “Warehouse Management System Integration Overview” | XML messages passed through a queue or web service for OMS-WMS exchange | Inventory and warehouse activity can be exchanged through message-based or service-based integration | Message schemas, endpoint behavior, authentication, retry handling and deployment boundaries |
| SAP Help Portal: “Interface Between the WMS and External Systems” | WMS-WCU interface using transactional RFC for warehouse control units, forklift control systems, carousels and decentralized systems | Transactional RFC can temporarily store data before sending, decoupling application and communication | Applicable SAP release, interface scope, transaction monitoring, network design and the equipment controller’s supported protocol |
Before committing to an interface, verify the product version, cloud or on-premises deployment, supported APIs or message interfaces, network boundaries, expected volume, latency needs and who will monitor failures. The cited documentation does not provide a cross-vendor security profile or a neutral performance benchmark, so do not select a mechanism on an assumed universal speed or reliability advantage.

Buzzer can be set to mute to allow for a quiet operation.(Note: It does not work with square POS / Divalto / DoorDash / Lightspeed POS system)
Make inventory alignment an operating control
Inventory synchronization is not finished when the initial item and balance load completes. Oracle warns that if an OMS does not receive a WMS inventory adjustment, it can reserve stock that the warehouse no longer has. Microsoft also identifies on-hand alignment and inventory reconciliation as part of an external-ERP warehouse scenario.
Define the inventory facts
- On-hand quantity by warehouse and the inventory dimensions the business uses.
- Reserved, allocated, picked, packed, staged, shipped and held quantities where those states affect availability.
- Adjustments caused by counting, damage, loss, expiry, found stock or location correction.
- Transfers between locations and warehouses.
- Whether the OMS receives absolute balances, deltas, or both for audit purposes.
Choose visibility points
Decide when a quantity becomes visible upstream. For example, a business may expose stock after receipt and quality approval, reduce promiseable stock at allocation, and finalize shipment quantities only after dispatch confirmation. The correct points depend on your commercial and warehouse rules; the important requirement is that the contract states them unambiguously.
Reconcile and investigate
Define how discrepancies are detected, who investigates them and how corrections are recorded. A practical control should include:
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors- A regular comparison of OMS or ERP balances with WMS balances for agreed warehouses and inventory dimensions.
- A queue or report for messages that are rejected, delayed or applied out of sequence.
- An auditable reason for every manual adjustment.
- A procedure for temporarily restricting allocation when the authoritative balance cannot be established.
- An owner for reopening, replaying or correcting a failed transaction.
Neither Microsoft nor Oracle establishes one universal reconciliation interval or service-level target. Set those values from order volume, risk, operating hours and the consequences of over-promising stock.
Use a staged implementation plan
- Map the operation. Document receiving, storage, replenishment, picking, packing, staging, shipping, counting and exception work. Mark every point where a person, WMS, controller or equipment system makes a decision.
- Assign authority. Name the system of record for orders, inventory, movements, equipment instructions and customer status. Record exceptions, such as a controller temporarily owning a buffer or routing decision.
- Inventory the product capabilities. Confirm versions, deployment models, licensed modules, supported APIs, message formats, queue options and equipment interfaces with the implementation team and vendors.
- Create the data dictionary. Define identifiers, units, locations, status values, reason codes, timestamps and ownership. Resolve semantic conflicts before mapping fields.
- Specify message behavior. Document validation, acknowledgement, rejection, retry, duplicate handling, ordering, timeout and manual-recovery behavior. Treat these as approved implementation decisions, not assumptions.
- Build the smallest end-to-end slice. Start with one inbound path and one outbound path that include order creation, warehouse execution, progress feedback and an inventory change.
- Test business exceptions. Include partial receipt, short pick, damaged stock, order cancellation, late equipment acknowledgement, duplicate message, unavailable endpoint and inventory adjustment.
- Reconcile before expanding. Compare balances and event histories between systems. Do not add more automation zones or warehouses while basic inventory and status accounting is unresolved.
- Pilot with operational ownership. Give warehouse supervisors, customer-service teams, finance users and technical support a shared escalation process. Define who can pause releases and who can authorize recovery.
- Scale by pattern, not by copy-and-paste. Reuse approved mappings and monitoring, but revalidate locations, equipment behavior, local processes and inventory dimensions for every additional site.
Test the failure modes readers usually discover late
| Symptom | Likely boundary problem | Investigation and correction |
|---|---|---|
| Orders exist in the OMS but never appear in warehouse work | Release rule, validation failure or queued message that was not processed | Trace the business and message identifiers, inspect validation and queue status, then correct the source data or replay through the approved recovery path |
| Warehouse work completes but the OMS still shows an open order | Progress or completion event is missing, rejected or mapped to the wrong state | Compare the WMS event with the OMS state transition and verify that the completion signal contains the required quantities and references |
| OMS promises stock that the warehouse cannot find | Adjustment, damage, count or transfer was not communicated upstream | Reconcile the affected item and location, identify the missing event, apply the controlled correction and review why the original update failed |
| Equipment repeats or receives duplicate work | Duplicate message handling or acknowledgement semantics are undefined | Compare message identifiers and controller acknowledgements; implement the agreed duplicate-detection and recovery behavior |
| Quantities differ after a partial shipment or receipt | The systems treat a delta as an absolute balance, or partial completion is not represented | Review the quantity semantics in the contract and test partial scenarios with business users before changing mappings |
| Automation stops while upstream orders continue releasing | No operational circuit breaker or interruption event is defined | Agree who can pause release, how the interruption is communicated and how queued work is resumed without losing inventory or order state |
Keep warehouse-floor devices in perspective
Barcode readers are relevant warehouse data-entry devices. SAP names barcode readers as an example of mobile devices that transfer captured data into its system. A reader can improve receiving, picking, counting or shipping capture, but it does not by itself integrate the OMS, WMS or equipment controller.
Do not choose a reader based only on a connector label or scanner capability. Confirm the operating environment, mobile application, symbologies, network coverage, ergonomics, battery model, data-entry workflow and compatibility with the specific WMS installation. The available documentation does not establish a preferred model, interface or compatibility claim for an unspecified warehouse.

The available Microsoft, SAP and Oracle documentation does not provide a neutral head-to-head performance comparison or prove that one platform is best for a particular facility. Select the design that gives your team clear authority, supported interfaces and recoverable operations.
Set realistic requirements for cost and staffing
No reliable implementation price, return-on-investment percentage or savings estimate is established for this topic. Cost depends on the number of warehouses and automation zones, data cleansing, product modules, custom mappings, equipment interfaces, testing, cutover and ongoing support.
Budget and staff for more than interface development. You need business owners for order and inventory policy, warehouse operators for process validation, technical owners for each platform, integration monitoring, reconciliation and a controlled procedure for exceptions. Confirm security, authentication, network segmentation, retention and performance requirements with the selected products and deployment model; the cited documentation does not prescribe one generally applicable profile.
Document the design so it can be operated
Your final architecture package should include the ownership map, process diagrams, field dictionary, message examples, state-transition rules, interface inventory, error and recovery procedures, reconciliation reports, test evidence and escalation contacts. Record product versions and deployment assumptions next to every interface. This prevents a valid design for one release or warehouse from being mistaken for a universal pattern.
