How to Integrate Finance Orchestration Software with an ERP and Accounting Systems

Integrate finance orchestration software by defining which records move between systems, assigning a source of truth to each, choosing a connector that supports the required direction and operations, and deliberately mapping accounts, vendors, currencies, and payment methods. Then test the full workflow—including failures and reconciliation—before enabling production writes. “Integration” does not automatically mean two-way, real-time synchronization.

Start with the records and workflow, not the connector

Finance orchestration software may coordinate bills, invoices, approvals, payments, receipts, or other finance events. An ERP or accounting ledger may remain the system of record for vendors, customers, chart-of-accounts categories, journal entries, and posted transactions. A bank or payment provider may own transaction execution and settlement data. The exact objects available depend on the product and connector.

For each workflow, document the record, its authoritative system, the direction of travel, the event that triggers a transfer, the expected timing, and what proves that the destination accepted it. Include changes, reversals, and payment-status updates—not just initial record creation.

  • Bills and invoices: Is the orchestration system sending approved records to the ledger, or importing records from it?
  • Vendors and accounts: Which system owns the master record, and how are matching identities and accounting categories maintained?
  • Payments: Does the workflow only record payment status, or does it initiate payment through a bank or provider?
  • Transactions and journals: Are bank transactions brought in for reconciliation, or are accounting documents replicated between ERP systems?

These distinctions matter in real products. SAP Central Finance third-party FI interfaces describe replication of specified financial-accounting data from a source into a central system; that is not evidence of a general-purpose two-way sync. Request Finance describes syncing bills into accounting software and updating payment status. Agicap describes two-way synchronization. Ramp documents direct bank feeds as well as a separate manual file-upload route.

Choose an integration method that fits the workflow

Prebuilt connectors, APIs, bank feeds, and file exchange solve different problems. Compare the actual product, edition, release, tenant, geography, objects, operations, direction, latency, mapping controls, error visibility, audit trail, permissions, customization, and payment rails in scope.

Integration pattern Useful when Important checks
Prebuilt connector The vendor supports the exact accounting or ERP product and the workflow’s records. Check editions, read/write operations, direction, exceptions, and whether access is generally available. Request Finance’s documentation labels QuickBooks Online, Xero, and NetSuite bill synchronization as early access; confirm current eligibility before relying on it.
Native or unified API The integration needs API-based access to financial objects or must connect multiple providers. Knit’s Unified Accounting / ERP API describes normalized interfaces for invoices, payments, expenses, journal entries, and purchase orders. Its passthrough API is intended for custom objects or fields outside the unified schema; validate each provider’s behavior and unsupported operations.
Bank feed Transaction visibility and reconciliation are required. Coverage depends on provider and account type. Ramp documents direct feeds for selected providers and checking or operating accounts, excluding Investment Accounts.
SFTP or managed file transfer A legacy or less API-friendly system needs scheduled file exchange. Agicap lists API and SFTP among its integration methods. Confirm file formats, delivery cadence, acknowledgements, and how rejected records are surfaced.
Manual OFX or CSV exchange A temporary or fallback process can tolerate manual handling. Ramp documents OFX export and manual upload for ERP reconciliation. Manual steps require an owner and a way to prevent duplicate or omitted uploads.
ERP-specific replication interface The source and target fit an ERP’s supported replication architecture. SAP Central Finance third-party FI interfaces have source-system constraints; do not infer support from the fact that both endpoints are SAP systems.

These patterns are not interchangeable. A bank feed can provide transaction data without creating bills; a bill connector may not execute payments; file exchange may move records without offering immediate status visibility. Agicap’s vendor documentation recommends considering connector breadth, two-way sync, data freshness, payment execution coverage, security, and open API access. Treat its stated connectivity and supported methods as product claims that can change, and verify coverage for your organization.

Map master data and accounting treatment before writing records

Establish how orchestration records correspond to ledger records before production use. Agree on a stable vendor or customer matching rule, the chart-of-accounts category for each bill line, the cash or asset account for each payment method, and the treatment of currencies and dates. Resolve unmatched or duplicate records rather than allowing a connector to guess.

Request Finance’s setup documentation says that connecting reads the chart of accounts and vendor list, and its bill workflow permits bill creation or editing. It requires review of vendor matching and mapping each payment method to an asset account. Newly added vendors may need to be created in both systems and matched. Its documentation also notes that account and vendor lists may refresh on a 24-hour schedule, so a newly created mapping may not be available immediately.

Validate currency and account-category compatibility explicitly. Request Finance lists missing currency and unsupported system-controlled Xero categories among possible sync errors. It also documents a product-specific crypto accounting method: bill valuation at end-of-day pricing on the issuance date, with gains or losses recorded separately under the configured cost-basis strategy. Do not assume that treatment applies to other products or ledgers.

Connect the correct environment with appropriate authorization

  1. Confirm the target. Identify the legal entity, company file or ERP tenant, region, and whether the connection is for production or a test environment.
  2. Use an authorized administrator. Request Finance says setup and bill syncing require an Admin, Finance Manager, or Accountant role. Check the chosen connector’s own role requirements rather than assuming that permission applies elsewhere.
  3. Review the requested access. Confirm which records the integration reads and writes, who can approve access, and how credentials will be maintained or revoked.
  4. Check ERP-specific eligibility. SAP’s Central Finance documentation says its third-party system interface does not support SAP ECC or SAP S/4HANA as source systems, citing consistency, compliance, maintenance, and compatibility reasons. It documents specific exceptions for SAP Business One and some older releases; verify the release-specific SAP documentation and notes for the actual landscape.

For a failed QuickBooks Online connection, Ramp’s troubleshooting guidance identifies authorization and mapping validation as possible causes. Recheck those settings against the exact connected company file before treating the issue as a data-transfer defect.

Test end to end and monitor synchronization

Before go-live, run representative records through the entire workflow. Check that the destination record has the intended vendor, account, currency, date, amount, status, and references—not merely that a record appears. Include updates and reversals, and payment adjustments where the connector supports them. Reconcile resulting ledger entries and bank activity against the orchestration record.

Use the connector’s available job history or sync states and preserve identifiers that link an orchestration event to its ERP posting. Request Finance documents the states Not synced, Synced, Syncing in progress, and Sync failed. SAP’s Central Finance replication documentation describes reconciliation reports with drill-down to original source transactions. Where a product provides these views, decide who reviews them and how often.

Define the failure path before launch: who sees the alert, who corrects the source data or mapping, whether a retry is safe, and how the team confirms that a retry did not create a duplicate. Keep an exception queue for records that cannot be matched or posted instead of silently dropping them.

Assign ownership for exceptions and change

Give named roles responsibility for connector credentials, account and vendor mapping changes, failed-sync review, retries, reconciliation exceptions, and escalation to the software vendor. Set a process for new vendors, new payment methods, and new ledger categories. If source lists refresh on a schedule, communicate that delay to the people creating records and provide a safe route to resolve urgent unmatched items.

When using a unified API layer, account for provider-specific fields, rate limits, object semantics, and endpoints outside the common schema. Normalization can simplify work across providers, but it does not remove the need to confirm what each connected product actually supports.

Use a go-live checklist

  • The exact ERP/accounting product, release, region, tenant, and edition are supported.
  • Every in-scope record and operation is documented with its owner, direction, trigger, and expected timing.
  • Vendor/customer identities, account categories, payment-to-asset mappings, currencies, and date handling are validated.
  • Required user roles, permissions, credentials, and the target environment are confirmed.
  • Creation, edits, payment updates, reversals, supported adjustments, and reconciliation have been tested.
  • Sync errors, unmatched records, retries, duplicate prevention, and escalation have clear owners.
  • Finance can trace a posted destination record back to its source event and investigate discrepancies.
