Integrate enterprise software by designing the business flow first, then selecting the least-coupled interface that meets its response time, volume, security and reliability requirements. Map systems of record and data ownership, choose synchronous APIs for immediate responses or queues and events for decoupled work, add an API-management layer when several consumers need a governed interface, and operate the connection with explicit retry, duplicate, monitoring and ownership rules.
This approach works for SaaS applications, cloud services, databases, web services and on-premises software. It avoids the common failure mode of wiring every application directly to every other application and then discovering that a schema change, network outage or traffic spike breaks the business process.

What enterprise integration actually has to accomplish
Integration is not merely moving fields from one screen to another. It is a controlled business process in which one system initiates an action, another system owns or changes a record, and one or more other systems must receive a useful result. A good design makes those responsibilities visible and keeps each dependency replaceable.

The design must answer which application is authoritative for the customer number, whether the risk check blocks the user, what happens if the ERP is down, and how a repeated message is handled. Those decisions matter more than the brand of integration product.

Microsoft’s integration-requirements guidance recommends documenting trigger type, volume, frequency, seasonality, workload validation and stakeholder workflows before choosing a pattern. Treat that work as an architectural deliverable, not an informal conversation.
Map the process and requirements before choosing a tool
Describe the business outcome
Start with a sentence that can be tested, such as “When an order is paid, the fulfillment system receives an approved order within five minutes and the customer receives a confirmation.” Identify the person or system that starts the process, the completion condition and the business consequence of delay or failure. Separate a user-facing decision from background work; they rarely need the same interaction pattern.
List every system and its system of record
Create an inventory of the CRM, ERP, data warehouse, databases, SaaS applications, file stores, web services and on-premises applications involved. For every entity—customer, product, order, invoice or employee—name one authoritative owner. Other systems should normally consume that record or hold a clearly defined projection rather than competing as equal masters.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Define data direction and transformation
Record whether each flow is one-way, request-and-response, bidirectional or publish-and-subscribe. Note required fields, code translations, units, time zones, validation rules and privacy classifications. Decide whether the integration sends a complete record, a change event or a reference that lets the receiver retrieve details. This prevents a “synchronization” project from silently creating two conflicting versions of the same data.
Measure timing, volume and seasonality
Capture average and peak transactions, message size, concurrent callers, acceptable latency and recovery time. Include predictable spikes such as payroll, billing, enrollment or holiday sales. A flow that handles 100 requests per hour may need a different design from one that receives 100,000 events in a short burst. Confirm assumptions with process owners and users, then validate them with representative workload tests.
Assess the consequence of failure
Classify each operation as reversible, retryable, manually reviewable or legally/financially critical. A duplicate notification is inconvenient; a duplicate payment or shipment is a serious incident. The classification determines whether you need idempotency keys, human approval, a compensating transaction, a durable queue or a strict transaction boundary.

| Requirement | Questions to answer | Design effect |
|---|---|---|
| Trigger | What starts the flow: user request, record change, schedule, file arrival or external event? | Determines whether an API, webhook, poller, batch job or event subscription is appropriate. |
| Latency | Must the caller receive a result before continuing, or can processing finish later? | Immediate answers favor synchronous APIs; deferred work favors queues, events or a job pattern. |
| Volume | What are normal, peak and seasonal rates and payload sizes? | Sets concurrency, throttling, batching, partitioning and capacity targets. |
| Availability | Which dependency can be unavailable, and for how long can work wait? | May require durable messaging, circuit breaking, a fallback or manual recovery. |
| Ownership | Who owns each record, interface, schema and incident? | Prevents conflicting writes and makes change approval explicit. |
| Compliance | Where may data travel, how long may it be retained, and who may read it? | Influences network topology, encryption, logging, residency and deployment geography. |
Choose the interaction pattern that fits the work
Synchronous API calls for immediate decisions
In a synchronous design, a caller invokes an endpoint and waits for a response. Use it for a user-facing lookup, validation or command when the dependency can meet the latency and availability target. Define request and response schemas, timeout values, authentication, error codes and a correlation identifier.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteThe trade-off is coupling: the caller is affected by backend latency, outages and throttling. Keep the call short, avoid chaining many synchronous dependencies in a browser request, and return a job identifier when the operation is too long to complete reliably within the user-facing timeout.
Microsoft’s basic enterprise-integration reference notes that workflow automation is better suited to integrations where low latency is not required; a user interface that must not block needs a technology designed for that response target.
Queues for work that can finish later
A queue stores a command until a consumer is ready. It buffers temporary outages, smooths bursts and lets the sender continue without waiting for the receiving system. A worker acknowledges a message only after successful processing; unprocessable messages can be moved to a dead-letter queue for investigation.
Queues introduce obligations. Consumers must tolerate redelivery, because a message may be delivered again after a timeout or worker failure. Write operations should therefore be idempotent: processing the same business event twice produces the same final state. Store an idempotency key or durable event identifier and enforce uniqueness at the point where the side effect occurs.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Events and publish/subscribe for decoupled reactions
An event states that something happened, such as OrderPaid or EmployeeChanged. Publishers do not need to know every subscriber, so a new consumer can be added without changing the source application. Subscribers can process independently and at different speeds.

Events are not a substitute for ownership. Include the event type, identifier, version, occurrence time, source and correlation ID, and document whether the payload is a snapshot or a notification that requires a follow-up read. Decide how subscribers handle out-of-order or duplicate delivery. Microsoft’s queue-and-event architecture guidance describes the buffering and decoupling benefits while emphasizing the need to design retries, ordering, idempotency and monitoring.
Batch and scheduled synchronization
Batch transfer remains useful for predictable, high-volume work such as nightly reconciliation, data-warehouse loads or systems that expose only files. Define a watermark or change token so a rerun does not resend an unbounded history. Include a manifest with record counts, checksums and a processing window, and make partial failure visible rather than reporting a file as complete when only some rows succeeded.
| Pattern | Use when | Main risks to control |
|---|---|---|
| Synchronous API | The caller needs a bounded, immediate answer. | Timeouts, cascading outages, rate limits and tight coupling. |
| Queue | Work can complete later or the receiver may be temporarily unavailable. | Duplicate delivery, poison messages, backlog growth and ordering. |
| Event publish/subscribe | Several consumers should react independently to a fact. | Schema evolution, replay behavior, subscriber lag and eventual consistency. |
| Batch or schedule | Timing is predictable and the source is file- or report-oriented. | Stale data, large reruns, partial files and reconciliation gaps. |
Use an API gateway when a shared interface solves a real problem
An API gateway or API-management layer is valuable when multiple consumers need a stable, discoverable and governed front door. It can validate access tokens, enforce quotas and rate limits, proxy calls, transform requests and responses, cache safe reads and publish documentation through a developer portal. Clients depend on the gateway contract rather than on the topology or version of every backend.
Keep the gateway’s responsibilities narrow. It should not become a hidden database, a place for complex business decisions or a single point that every internal call must traverse without a reason. Transformations that encode business semantics belong in an owned service or workflow. Caching is appropriate only when freshness, authorization and invalidation rules are explicit.
In the Microsoft reference design, API Management presents a consistent interface while workflow orchestration calls backend systems and identity and secret services protect access. This is an example of a useful separation, not a requirement to adopt a particular vendor stack. Add the layer when you have multiple consumers, a need for centralized policy or a backend that must change without breaking clients.
Fit the integration to your existing estate
Inventory interfaces and connectivity
For each source and target, record available protocols and constraints: REST or SOAP APIs, webhooks, database drivers, message protocols, SFTP, files, proprietary SDKs or direct application extensions. Note whether the system is SaaS, in a public cloud, in a private network or on-premises. A connector that works for a cloud endpoint may not reach a database behind a firewall without a private network path or gateway.

Compare capability categories, not product labels
Google Cloud describes Application Integration as an integration-platform-as-a-service category that connects applications such as Salesforce, databases such as MySQL and event-driven systems such as Pub/Sub, including payload transformation. AWS groups related capabilities in its enterprise application integration overview: API Gateway for APIs, AppFlow for SaaS-to-cloud transfer, EventBridge for event routing and SNS for publish/subscribe messaging. Microsoft’s architecture combines API Management and workflow automation, with optional messaging and event components.
These examples illustrate capability classes rather than a neutral ranking or a guarantee that every connector supports your edition, region, quota or operation. Before committing, test the actual connector against your systems and read current limits and authentication requirements.
- Connector and protocol coverage: Verify create, update, delete, query, pagination, webhook and bulk behavior—not just whether a connector is listed.
- Network reach: Confirm private connectivity, firewall rules, proxy support, DNS, egress control and regional routing for on-premises targets.
- Identity and secrets: Check support for your identity provider, workload identities, certificate rotation and secret stores.
- Transformation and orchestration: Determine whether mapping, enrichment, branching, compensation and long-running state are expressible and maintainable.
- Throughput and latency: Validate quotas, concurrency, payload limits and scaling behavior under peak load.
- Operations: Inspect retry policies, dead-letter handling, replay, tracing, alerting, audit logs and exportable metrics.
- Deployment and compliance: Confirm regions, data residency, isolation, backup, disaster recovery and change controls.
- Skills and ownership: Assign people who can operate the platform and the business interfaces after launch.
- Total cost: Estimate executions, API calls, messages, storage, networking, support and the cost of a second environment for testing.
A practical implementation sequence
- Write the process contract. State the trigger, expected outcome, owner of each record, allowed delay, volume range and failure consequence. Obtain sign-off from process owners and the teams responsible for the source and target systems.
- Draw the current and future flows. Show systems, data stores, trust boundaries, network paths, synchronous calls, queues, events and human checkpoints. Mark every write and identify the authoritative system.
- Choose the smallest suitable pattern. Use a direct API for a simple, low-latency interaction; introduce a queue or event broker when decoupling, buffering or fan-out is needed; use batch where timing and source capabilities make it safer.
- Define contracts before mapping fields. Specify endpoint or event names, schemas, required and optional fields, error semantics, versioning, idempotency keys and correlation IDs. Publish examples and state whether unknown fields may be ignored.
- Build connectivity in a non-production environment. Establish private routes, firewall rules, DNS, certificates and test identities. Prove that the integration can reach each endpoint without opening broader network access than necessary.
- Implement authentication and authorization. Use short-lived tokens or workload identities where supported, grant the minimum scopes, and keep secrets and certificates in a managed store with rotation and audit access.
- Implement transformation and business rules. Keep code translations, validation and enrichment explicit. Reject malformed data with an actionable error; do not silently coerce a currency, time zone or identifier into a different meaning.
- Make side effects safe to retry. Pass a stable idempotency key, store processed event IDs, use conditional writes or unique constraints, and design compensating actions for operations that cannot be rolled back.
- Add resilience controls. Set bounded timeouts, exponential backoff with jitter, a maximum retry count, circuit breaking where appropriate and a dead-letter or failed-run path. Avoid retrying permanent validation errors.
- Instrument the complete business transaction. Propagate a correlation ID across calls and messages. Capture technical metrics such as latency, error rate and queue depth alongside business metrics such as orders completed, records rejected and time to fulfillment.
- Test realistic failure and load cases. Simulate expired credentials, throttling, duplicate messages, out-of-order events, partial database failure, unavailable endpoints, large payloads and seasonal volume. Verify that operators can find and replay a failed item without creating a duplicate side effect.
- Release in a controlled wave. Start with a low-risk slice or a read-only flow, compare source and target counts, then enable writes. Keep a rollback or pause procedure and a reconciliation report for each release.
- Operate it as a product. Document on-call ownership, service-level objectives, dependency contacts, schema-change notice periods, runbooks, dashboards, access reviews and retirement criteria. Review backlog, failure and reconciliation trends after launch.
Security, identity and network boundaries
Protect both the interface and the data it carries. Authenticate every client or service, authorize actions by role or scope, encrypt traffic in transit and protect stored payloads and logs. Do not place long-lived credentials in source code, workflow definitions or tickets. Centralize secrets, keys and certificates so rotation does not require rewriting every integration.
Microsoft’s example uses Microsoft Entra ID for client authentication, API Management to validate tokens and Key Vault for secrets, keys and certificates. That is one implementation pattern; equivalent controls can be provided by another identity provider and secret-management service.
For on-premises systems, decide whether the integration runtime initiates outbound connections, whether a private link or VPN is required, and which subnets and ports are permitted. Keep administrative interfaces off the integration path. Log access decisions and certificate changes, but redact tokens, passwords and sensitive business fields from diagnostic output.
Reliability and operations: the controls people forget
Retries and backoff
Retry only transient failures such as a timeout, connection reset or service-unavailable response. Use exponential backoff with jitter so thousands of workers do not retry simultaneously. Set a deadline for the whole business operation; an unlimited retry can turn a temporary outage into an invisible backlog.
Best Value
Dead letters and manual recovery
After the retry limit, preserve the original payload, error, timestamps, attempts and correlation ID in a protected failed-work area. Give operators a way to correct data, replay once, or mark the item as intentionally rejected. A dead-letter queue without an owner and runbook is merely an unattended data graveyard.
Duplicates and ordering
Assume at-least-once delivery unless the service contract explicitly proves otherwise. Enforce idempotency at the business boundary, not only in a temporary worker cache. If order matters, partition by the relevant key, include sequence information and define what happens when a sequence number is missing. If order does not matter, do not pay the throughput cost of strict global ordering.
Observability and reconciliation
Technical success does not prove business completion. A request can return successfully while a downstream write is rejected later. Track a transaction from trigger to final state, alert on age and backlog as well as error count, and run periodic reconciliation between authoritative and derived systems. Set thresholds that reflect the business process rather than generic infrastructure health.
Outage and recovery drills
Verify how many messages accumulate during a planned outage, how quickly consumers catch up, whether retention is sufficient and whether replay creates duplicates. Test expired credentials, a changed schema and a full dead-letter store. Record the recovery steps and the person authorized to resume writes.
Data contracts and change management
Version interfaces deliberately. Additive fields are often safer than renaming or changing the meaning of an existing field, but consumers still need a compatibility policy. Publish an owner, change-notification channel, deprecation period and contract tests for every API and event type.
Use canonical identifiers and explicit time and money representations. State whether timestamps are UTC, whether amounts include tax, and which currency code applies. Keep a mapping document for legacy codes, but assign ownership for changing that mapping. When a system cannot supply a required field, choose a documented default or reject the record; never invent a value that looks valid.
Minimize the data copied into queues, logs and caches. Set retention and deletion rules, classify personal or regulated data, and make replay access subject to the same authorization as the original transaction.

How to compare architecture options
Score each candidate against the same workload and operating model rather than selecting a tool from a feature checklist. A simple weighted review can use latency and user experience, connector fit, resilience, security, observability, compliance, delivery speed, skills and five-year operating cost. Weight the criteria that reflect the business consequence of failure.
| Option | Best fit | Choose it when | Watch for |
|---|---|---|---|
| Direct API-to-API | One or two systems, low complexity and immediate response. | The interface is stable, both systems share a trust boundary and the caller can tolerate dependency availability. | Point-to-point sprawl, coupled releases and cascading timeouts. |
| Workflow or integration platform | Several connectors, transformations and business steps. | You need managed orchestration, visual monitoring or long-running state and the platform supports your actual endpoints. | Opaque logic, execution limits, per-run costs and difficult source control if not governed. |
| API gateway plus services | Many consumers or backends that must evolve independently. | You need a stable contract, centralized policy, quotas, documentation and controlled exposure. | Another production component, policy sprawl and accidental centralization of business logic. |
| Queue/event architecture | Asynchronous work, bursty traffic and multiple independent consumers. | Buffering, fan-out and outage tolerance are more important than an immediate response. | Eventual consistency, duplicate handling, replay governance and monitoring backlog. |
| Batch exchange | Scheduled, high-volume or file-oriented systems. | Minutes or hours of staleness are acceptable and reconciliation can be performed. | Stale data, large reruns and partial-file ambiguity. |
Common failure modes and fixes
- Every system writes every record. Assign one system of record, make other copies projections and route authoritative changes through a defined owner.
- A browser waits on a long chain of services. Return a bounded response or job ID, move deferred work to a queue and expose status separately.
- Retries create duplicate orders or payments. Add an idempotency key, enforce a unique constraint at the side-effecting system and test worker restarts.
- A queue grows silently during an outage. Alert on message age and depth, set retention limits, document drain capacity and rehearse catch-up.
- One malformed record blocks the entire batch. Isolate failed items, retain row-level errors and allow corrected records to be replayed without resending successful rows.
- A connector works in a demo but not in production. Check edition, API version, quotas, pagination, network routes, licensing, regional availability and authentication scopes with a representative account.
- Logs cannot explain a customer complaint. Propagate a correlation ID, record state transitions and connect technical events to the business identifier while redacting sensitive values.
- A schema change breaks an unseen consumer. Maintain an inventory of subscribers, use contract tests, publish versions and enforce a deprecation window.
- The integration has no accountable owner. Assign service, data, security and incident owners before launch; include escalation contacts in the runbook.
A decision checklist before production
- The process outcome, trigger, owner and completion definition are documented.
- System-of-record decisions and data direction are approved by the responsible teams.
- Normal, peak and seasonal workload figures have been validated.
- The selected pattern has an explicit latency, availability and consistency rationale.
- API, event or file contracts include versioning, errors, correlation and idempotency rules.
- Network paths, identities, least-privilege permissions and secret rotation have been tested.
- Retries, timeouts, dead letters, replay, duplicate handling and ordering behavior are documented.
- Dashboards and alerts cover both technical health and business completion.
- Load, outage, credential, schema, duplicate and recovery tests have passed.
- Reconciliation, rollback, runbook and on-call ownership are in place.
Final decision rule
Choose the simplest architecture that meets the measured business requirement, not the most elaborate platform available. Start with clear ownership and a contract, use synchronous calls only where an immediate answer is necessary, move deferred or bursty work through durable queues or events, and add an API gateway when shared governance justifies another operating component. The integration is ready when its normal path, failure path and ownership path are all as explicit as its data mapping.
