The dependable way to include a dashboard screenshot in a report email is to use the dashboard platform’s scheduled-delivery or subscription feature. Choose an inline image or preview for quick reading, add a link for drill-down, and schedule the message after the data refresh finishes. A screenshot is a point-in-time rendering, not a continuously live panel, so label it with its capture time and timezone.
Before enabling delivery, check recipient permissions, privacy and sensitivity settings, rendering prerequisites, authentication behavior, and email-size limits. The exact controls differ between Power BI, Grafana, Looker, and Tableau.
Use this delivery pattern
- Refresh the data first. Select an “after refresh” trigger when the platform offers one. Otherwise choose a fixed time with enough margin for the refresh and query execution to finish.
- Put the visual in the message. Select a dashboard preview, PNG, or embedded image when recipients need an at-a-glance status without opening another application.
- Add an interactive link. The link lets an authorized reader filter, drill down, or inspect the current dashboard. The recipient may need to sign in or hold a license even when the image itself is visible in the email.
- Use PDF for a formal attachment. PDF is better for printing, archiving, or a fixed multi-page record, but it is less immediate than an inline image.
- Test with real recipients. Send a preview to the same mail clients, permission groups, and external domains that will receive the recurring report.
Call the email a “snapshot” or “as of” report rather than implying that the image updates after delivery. Put the capture date, time, and timezone in the subject or message body so readers can judge freshness.

Configure scheduled screenshots on major platforms
Microsoft Power BI
Power BI subscriptions email a snapshot of a report or dashboard on the schedule you set. A subscription can include a report-page preview and a “Go to report” link.
- Open the report or dashboard in Power BI.
- Choose Subscribe, then create a subscription.
- Set the cadence and delivery time. If your tenant exposes an after-refresh option, select it so the message follows the relevant data refresh.
- Enable the report-page preview when an inline image is appropriate.
- Add the report link, enter recipients, and save.
- Send a test to representative recipients and verify both the image and the link.
Power BI’s subscription email and preview image do not receive sensitivity labels. If the report contains sensitive information, disable Preview image and use a controlled link or another approved delivery method instead. Check the sensitivity policy for your tenant before distributing a preview outside the normal audience.
For an automated PDF attachment, use Power Automate to export the report and send the resulting file on a schedule. That is a file-based workflow, not an inline live image, so test attachment size and export permissions separately.
Grafana
Grafana Reporting sends automated, scheduled emails from dashboards. Image and PDF generation require SMTP configuration and the Grafana image-renderer service. The redesigned reporting feature is documented as public preview, so confirm that it is enabled and supported in your edition before committing to it operationally.

- Set the schedule, recipients, and dashboard time range.
- Enable Embed dashboard image for an inline visual.
- Enable Include a dashboard link when recipients need interactive investigation.
- Use Send preview to validate rendering and mail delivery.
Check SMTP connectivity and renderer health when a report arrives without an image. Grafana does not send PDF, CSV, or embedded-image attachments larger than 10 MB by default. Reduce the dashboard’s visual density or adjust the applicable size setting only after confirming your mail infrastructure accepts the resulting message.

Google Cloud Looker
Looker scheduled dashboard delivery can place a PNG visualization inline or send a PDF attachment. A PNG is an image of the dashboard as a single PNG file; PDF is the better choice when a paginated document is required.
- Open the dashboard and its Schedule delivery menu.
- Choose Email as the destination.
- Select PNG visualization for an inline dashboard image, or PDF for an attachment.
- Set the schedule, recipients, filters, and timezone.
- Save the delivery and verify the first message with a recipient account.
Looker may use valid cached results or rerun the query when the cache is absent or expired. That means the scheduled time is not always the moment a warehouse query starts. If the instance administrator enforces a Send Link Only email policy, the message will contain a link rather than the selected image or file. Linked dashboards require the recipient to authenticate, so test the policy with the intended audience.
Tableau Cloud or Server
Tableau subscriptions email an image or PDF snapshot of a view or workbook at regular intervals. A recipient can select the image, or the link in a PDF subscription, to open the Tableau view or workbook; access to that linked content still depends on Tableau permissions.

- Open the view or workbook.
- Choose Subscribe.
- Select image or PDF and set the schedule and recipients.
- If your environment ties subscriptions to a refresh schedule, select the refresh-aligned option; otherwise leave enough time after the extract or data-source refresh.
- Send a test and confirm that Tableau Cloud or Server mail is allowed by your organization’s SMTP and security rules.
An image is convenient for a status email, while PDF is useful when the recipient needs a fixed record. In both cases, the subscription is a rendered snapshot rather than an interactive session.
Make freshness and access explicit
Schedule after the right refresh
Identify which dataset, extract, or query powers the visuals. A report can show an old cache even when the dashboard page opens successfully. Use an after-refresh trigger where available; with a fixed schedule, set the delivery after the longest normal refresh and query window, then monitor for late runs.

Show capture time and timezone
Add an “As of” label to the dashboard itself or to the email text. Include the timezone and, when useful, the refresh completion time. This prevents a recipient in another region from mistaking the send time for the data time.
Separate viewing from drill-down permissions
The email image may be readable by someone who cannot open the linked dashboard. Confirm that every recipient is allowed to see the displayed fields, and state that the link may request sign-in. Do not rely on an image as a way to bypass the dashboard’s access model.

Preview images can follow different labeling and governance rules from the source report. Remove or mask confidential fields before scheduling, use the platform’s approved recipient groups, and inspect the rendered email—not only the dashboard—for exposed values.
When the platform has no suitable scheduler
You can build a browser-based workflow when a vendor cannot deliver the required format or trigger. Treat this as an operational service, not a one-off screenshot:
- Run a browser session with an account that is authorized to view the dashboard.
- Navigate to the exact dashboard URL and wait for the page’s loading indicator or a known visual to appear.
- Wait for filters, asynchronous queries, and lazy-loaded charts to finish. A fixed sleep alone is unreliable when query duration varies.
- Dismiss consent banners and other overlays only when your organization permits that interaction. Never automate around a bot check or CAPTCHA.
- Capture the required viewport or full page, add the capture timestamp, and save a deterministic filename.
- Attach the image or PDF to your mail system, include the dashboard link, and record success or failure.
- Send a test to a mailbox that represents the final audience before enabling a recurring schedule.
Keep credentials in a secret store, restrict the capture account, and alert on login failures, blank renders, timeouts, and unusually large files. A browser workflow can also become stale when the dashboard layout or authentication flow changes, so assign an owner to maintain it.

Troubleshoot missing or incorrect report images

Should I send PNG or PDF to executives?
Use PNG when the goal is quick scanning inside the message. Use PDF when recipients need a printable, paginated record or must archive the attachment.
Can I send a screenshot to someone without dashboard access?
Technically an image may display in email, but you must verify that sharing the displayed data is permitted. The linked dashboard will still enforce its own authentication and permissions.
What should the subject line say?
Include the dashboard name and an “as of” date/time with timezone, for example “Operations dashboard — as of 30 September 2026 09:00 UTC.”
