Start by identifying the kind of error
Before changing models, compare the transcript with what was actually said. A wrong word can come from several different causes, and each calls for a different intervention.

- Wrong language or locale: the selected locale does not match the speech.
- Missed or garbled speech: background noise, overlapping speakers, poor recording quality, or microphone distance may be interfering.
- Repeated errors on names or technical terms: the recognizer may not know the expected vocabulary.
- Errors tied to an accent or speaking style: the audio may differ from what the base model handles well; representative audio and human-labeled transcripts may help where customization is supported.
These causes can overlap. Fix recording and locale problems before treating every error as a model problem.

Choose the right language and locale
When a speech-recognition workflow requires a locale, set it to match the speech. Microsoft notes that a mismatch can reduce accuracy. Supported languages and customization options vary by service, model, and locale, so check Microsoft’s current language and locale support before building a workflow.

If you use language identification
For automatic language identification, provide a small, accurate set of likely locales where the workflow allows it. Microsoft says constraining the choices can improve detection, particularly for short or noisy audio. If identification returns an unexpected locale, a fixed locale may be more appropriate for a recording whose language is already known. See Microsoft’s language identification guidance.
Improve the recording before changing recognition settings
Listen to the source audio, not just the transcript. Background noise, people speaking over one another, poor input quality, and a speaker too close to or too far from the microphone can all reduce recognition accuracy. Microsoft’s Custom Speech evaluation guidance also emphasizes testing in the environments and with the devices used in the target scenario.

- Move the microphone to a useful, consistent distance from the speaker.
- Reduce avoidable noise and echo where possible.
- Limit overlapping speech; separate speakers or record them in turn if the workflow permits.
- Check for clipped, distorted, or unusually quiet speech.
- Evaluate with the same types of microphones, rooms, and recording conditions expected in real use.
A better microphone may improve capture quality when the existing recording is poor, but it cannot by itself correct an unsupported locale or teach a recognizer specialized vocabulary.
Try a phrase list for a short set of important terms
If the main issue is a manageable set of names, locations, acronyms, homonyms, or technical terms, a phrase list is the lightest vocabulary intervention to try. It provides runtime hints about words likely to appear; it does not change the recording or guarantee a particular transcription.

Microsoft documents phrase-list support for real-time and fast transcription, but not batch transcription. Check the guidance for the specific endpoint and workflow before implementing one: Improve recognition accuracy with phrase list.
- Include only terms likely to occur in the audio.
- Use the spelling and form you expect the recognizer to produce.
- Keep the list focused: Microsoft advises not exceeding 2,000 phrases and warns that a longer phrase list can affect quality and latency.
- Do not assume the feature applies to batch transcription.
A phrase list is most suitable when the vocabulary is known in advance and the workflow supports the feature. For a large or persistent domain vocabulary, investigate Custom Speech instead.

Consider Custom Speech for persistent vocabulary or acoustic mismatch
Custom Speech can address problems that a runtime hint may not solve. Microsoft describes text data for adapting domain vocabulary and audio paired with human transcripts for certain acoustic adaptation scenarios, including accents or speaking styles. What is available depends on the base model, locale, and eligible training data; verify those details in Microsoft’s Custom Speech overview and the current language support table.

For accent-related work, the audio should represent the actual target use case rather than an abstract idea of an accent. Include realistic variation in speakers, devices, and environments, and use accurate word-by-word human transcripts when the customization path calls for them. Microsoft’s dataset guidance states: “Audio with human-labeled transcripts offers the greatest accuracy improvements if the audio comes from the target use case.” See Training and testing datasets.

Custom Speech involves preparing data, evaluating results, and deploying a model. It is a more involved option than adding a short phrase list, so first establish that errors persist across representative recordings and that the relevant locale supports the needed customization.

Use the same audio for a before-and-after comparison and compare each output with a human reference transcript. A transcript that sounds better on one clip may still perform poorly on the mix of speakers, terms, and recording conditions that matters in practice.
- Build a representative test set. Include the accents, technical vocabulary, microphones, and environments expected in use.
- Keep evaluation audio separate from customization data. A held-out set makes it easier to judge whether a change generalizes beyond the examples used to adapt a model.
- Compare outputs to human transcripts. Keep the locale, audio, and other settings constant when comparing a base model with a phrase list or custom model.
- Inspect the error pattern. Word error rate (WER) and, where applicable, term error rate (TER) summarize performance; also look for insertions, deletions, and substitutions to see what changed.
- Record the test conditions. Note the locale, microphone, environment, vocabulary, and model configuration so future comparisons remain fair.
Microsoft’s evaluation guidance explains comparing recognition results with reference transcripts. Its Speech quality evaluation examples give scenario illustrations such as less than 10% WER for dictation or voice-assistant recognition, less than 30% for call-center quality, and less than 50% for video captions. These are Microsoft’s examples for different scenarios, not performance guarantees for a particular recording, model, or deployment.
Where MAI-Transcribe-2 fits
Microsoft’s documentation describes MAI-Transcribe-2 as supporting 60 languages and features including keyword biasing and noise robustness. The same page labels it public preview and says preview has no service-level agreement and is not recommended for production workloads. Check the current MAI-Transcribe-2 documentation before relying on its availability, language coverage, or deployment terms; preview status and capabilities can change.
