How to Host Your Own Email Server on a VPS

You can host email on a VPS when three conditions are true: the provider gives you a static public IP, lets you set reverse DNS (PTR), and permits outbound TCP port 25. A practical stack uses Postfix for SMTP delivery, Dovecot for IMAP mailbox access, TLS certificates for encryption, and SPF, DKIM, and DMARC in DNS. If port 25 is blocked or the address has poor reputation, keep inbound mail on the VPS and send outgoing messages through an authenticated SMTP relay.

This guide covers the architecture, provider checks, installation sequence, DNS and authentication records, security controls, testing, troubleshooting, and the trade-off between a hand-built Postfix/Dovecot server and an integrated mail distribution.

Decide whether VPS-hosted email is suitable

Running your own mail server gives you control over data, policies, mailbox names, software versions, and migration. It also makes you responsible for every layer: operating-system updates, abuse handling, backups, encryption, queue management, DNS, reputation, and recovery. Email is not simply an application listening on one port; other providers judge the sending IP and domain continuously.

Use a VPS when these requirements are acceptable

  • You can administer Linux as root and respond to security alerts.
  • Your domain’s DNS is under your control.
  • The VPS has a dedicated static IPv4 address (and, if you use IPv6, a stable IPv6 address with matching reverse DNS).
  • The provider allows you to set PTR/reverse DNS and permits outbound TCP port 25.
  • You can allocate storage for mailboxes, indexes, logs, and at least one separate backup copy.
  • You can monitor delivery failures and investigate abuse complaints.

Use a relay or hosted mailbox service instead when

  • The provider permanently blocks port 25 and will not offer an exception.
  • You cannot obtain a clean, dedicated IP or set its PTR record.
  • You need high-volume or highly critical delivery but cannot manage reputation and incident response.
  • You cannot maintain backups, certificate renewal, patching, and monitoring.

A hybrid design is often the least risky compromise: accept inbound mail on your VPS, while Postfix submits outbound mail to an authenticated relay with an established sending reputation.

Understand the mail-server architecture

A normal message follows several independent paths. A sender’s SMTP server looks up your domain’s MX record, connects to your server on TCP port 25, and Postfix accepts or rejects the message. Postfix delivers accepted mail to a local mailbox format. Dovecot authenticates the user and serves that mailbox over IMAP, normally on port 993 with TLS. Users submit outgoing mail to port 587 (or optionally implicit-TLS port 465) after authenticating; Postfix then delivers directly to recipient servers or hands the message to your relay.

Internet SMTP servers --TCP 25--> Postfix --> mailbox storage --> Dovecot --IMAPS 993--> mail client
Mail client --submission 587/465 + SASL--> Postfix --> recipient MX or authenticated relay
DNS: MX, A/AAAA, PTR, SPF, DKIM, DMARC

Add a DKIM signer (for example, OpenDKIM or a signer integrated with your filtering layer), spam and malware filtering, and webmail only when your use case needs them. Every additional component creates another update and backup obligation.

Choose and verify the VPS before installing anything

Provider policies determine whether direct delivery is possible. Confirm these items in writing or in the provider control panel before paying for a server.

Requirement What to verify Why it matters
Static address A dedicated public IPv4; document IPv6 behavior if enabled Recipient systems score the sending address, and changing it can invalidate reputation and reverse DNS.
Reverse DNS You can set PTR to a hostname such as mail.example.com Major providers expect valid forward and reverse DNS for SMTP hosts.
Outbound port 25 Test whether TCP 25 is open, or obtain an unblock after provisioning Without it, direct server-to-server delivery cannot work.
Firewall controls Cloud firewall and host firewall rules, with logging You need to expose only required services and diagnose rejected connections.
Backups Snapshot or backup scope, retention, and restore procedure A snapshot alone may not protect mail received after the last backup; test a real restore.
Abuse policy How the provider handles spam complaints, scans, and suspension A compromised account can trigger a shutdown even when your configuration is correct.

After deployment, test port 25 from the VPS with a TCP utility such as nc -vz recipient.example 25. A successful connection proves reachability from that location, not inbox placement.

Prepare the hostname, forward DNS, and reverse DNS

  1. Choose one permanent fully qualified hostname, for example mail.example.com. Set it as the VPS hostname using your distribution’s supported hostname tool, then verify with hostname --fqdn.
  2. Create an A record for mail.example.com pointing to the VPS IPv4 address. If you will send over IPv6, create an AAAA record only after confirming stable IPv6 routing and PTR control.
  3. Ask the provider to set the sending address’s PTR to mail.example.com. Check that the PTR resolves to the same address and that the forward lookup returns it; this forward-confirmed reverse DNS relationship should also match the hostname Postfix announces in its SMTP greeting.
  4. Set the server timezone, keep its clock synchronized, and ensure firewall rules allow established connections. Incorrect time can make TLS and log correlation difficult.

Do not point an MX record at an address literal. The MX target must be a hostname with an address record, and that hostname should be the same identity used for PTR and SMTP greetings.

Install and harden Postfix and Dovecot

Install the packages

Package names and prompts vary by distribution. On a Debian- or Ubuntu-style system, install Postfix, Dovecot’s IMAP service, a SASL authentication component, and a DKIM signer or filtering package from the distribution repositories. Select “Internet Site” only when the installer asks for a mail configuration and enter the server’s fully qualified hostname. Review every generated setting instead of accepting an unknown domain as the system name.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Separate server-to-server SMTP from user submission

Keep TCP 25 for SMTP conversations between mail servers. Enable a dedicated submission service on TCP 587 and require SASL authentication there; 465 can be enabled for clients that require implicit TLS. Submission must never permit plaintext authentication or unauthenticated relay.

In Postfix, configure relay restrictions so an unauthenticated Internet host can deliver only to local domains, while authenticated users can submit to external recipients. A typical policy combines smtpd_relay_restrictions with SASL authentication and rejects unauthorized destinations. Test the effective configuration with postconf -n; do not rely on comments in a sample file.

Configure Dovecot for secure IMAP

Expose IMAPS on port 993 with a certificate matching the mail hostname. Disable clear-text authentication unless the connection is already protected by TLS. Use Dovecot’s authentication socket to let Postfix authenticate submission users, and ensure the socket is readable only by the Postfix process. Choose one mailbox format (Maildir or mbox) deliberately; changing it later requires a migration.

Limit exposed ports

  • TCP 25: public SMTP, with connection and message-rate controls.
  • TCP 587: authenticated submission with STARTTLS or equivalent encryption.
  • TCP 465: optional implicit-TLS submission.
  • TCP 993: IMAPS for mailbox access.
  • SSH: restricted to administration addresses or protected with keys, a non-default policy, and rate limiting.

Do not expose Dovecot’s unencrypted IMAP port 143 or POP3 ports unless you have a specific, TLS-protected compatibility requirement. If you expose them for STARTTLS, enforce TLS before authentication and understand that firewall exposure is still broader.

Obtain and automate TLS certificates

Request a certificate for the exact hostname users and other servers will see, normally mail.example.com. An ACME client such as Certbot can issue and renew the certificate. Give Postfix and Dovecot read access to the certificate and private key through the distribution’s recommended group or deployment hook; do not make the private key world-readable.

  1. Issue the certificate after the hostname resolves to the VPS and the ACME challenge can reach it.
  2. Configure Postfix’s SMTP TLS certificate and private-key paths.
  3. Configure Dovecot’s ssl_cert and ssl_key paths.
  4. Reload both services and inspect their logs for key or chain errors.
  5. Run the ACME client’s renewal test and attach a deploy hook that reloads services after a successful renewal.
  6. Alert before expiry and whenever renewal fails; a certificate that is valid today can still expire silently later.

Create mailboxes, aliases, and credentials safely

Start with the smallest set of accounts. Separate human mailboxes from aliases such as postmaster and abuse, which should reach a monitored mailbox. Use virtual mailbox mappings rather than operating-system login accounts when possible, so a mail password cannot become an SSH password.

  • Generate long, unique passwords and store only salted, slow password hashes supported by Dovecot.
  • Grant each account only the mailbox and submission access it needs.
  • Protect DKIM private keys with restrictive ownership and permissions; the signing process needs read access, but users and web applications do not.
  • Document mailbox paths, aliases, quotas, and recovery contacts outside the server.
  • Apply per-user and per-IP submission limits to contain a stolen credential.

Publish MX, SPF, DKIM, and DMARC records

DNS changes can take time to propagate, so publish and validate records before sending production mail. The following examples use example.com and must be replaced with your domain and actual sending services.

Record Example Purpose and cautions
MX example.com. MX 10 mail.example.com. Directs inbound mail to the mail hostname. The target must have an address record.
SPF example.com. TXT "v=spf1 ip4:203.0.113.10 -all" Authorizes the VPS address. Include every legitimate sender and publish one SPF record, not several.
DKIM selector1._domainkey.example.com. TXT "v=DKIM1; k=rsa; p=..." Publishes the signer’s public key. The selector and key must exactly match the message header and private key.
DMARC _dmarc.example.com. TXT "v=DMARC1; p=none; rua=mailto:[email protected]" Requests reporting while you validate alignment. Replace p=none with a stricter policy only after reports are clean.

SPF authenticates the envelope sender, DKIM signs selected headers and the body, and DMARC checks whether an aligned SPF or DKIM identity matches the visible From domain. Forwarding can break SPF, so DKIM and alignment matter even when SPF passes for the original sender. Keep the DMARC reporting mailbox monitored and protect it from unbounded report volume.

Secure the server against relay abuse and compromise

Postfix’s own documentation describes the SMTP service as exposed to “the big bad world of junk email and viruses.” Treat every public listener as hostile.

  • Require authentication on submission and reject relay attempts from untrusted networks.
  • Use a host firewall and provider firewall with a documented rule set.
  • Patch the operating system, Postfix, Dovecot, the DKIM signer, and filters on a schedule; subscribe to security advisories.
  • Use fail2ban or equivalent controls for repeated authentication failures, but avoid bans so broad that they block legitimate recipient servers.
  • Set maximum message size, recipient count, header size, concurrent connections, and queue lifetime appropriate to your users.
  • Scan attachments and URLs with maintained spam and malware filters. Quarantine suspicious mail rather than silently deleting it until you understand false positives.
  • Log authentication, queue IDs, SMTP responses, TLS handshakes, and administrative changes. Protect logs from unauthorized access and retain enough history to investigate abuse.

Never test relay restrictions by sending unsolicited mail. Use controlled test accounts and recipient addresses that you own.

Back up data and configuration

A restorable backup includes mailbox contents, Dovecot indexes or a documented way to rebuild them, Postfix and Dovecot configuration, virtual-domain and alias maps, DKIM private keys, TLS deployment information, firewall rules, and the DNS zone data. Back up to storage independent of the VPS and encrypt it at rest.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Take an initial backup after creating the first mailbox and again after configuration changes.
  2. Schedule incremental or daily backups according to how much mail you can afford to lose.
  3. Keep at least one copy unavailable to the VPS account so ransomware cannot erase every copy.
  4. Restore a mailbox and configuration on a test instance periodically, then verify that users can authenticate and old mail opens.

Test delivery before handing the server to users

  1. Send a message from an external account to each domain and confirm that the MX host accepts it, stores it, and exposes it through IMAPS.
  2. Submit a message through port 587 with a test account. Confirm that unauthenticated submission is rejected and that authenticated mail reaches an external provider.
  3. Inspect the recipient’s headers for the connecting IP, hostname, TLS, SPF, DKIM, and DMARC results. Confirm that the visible From domain is aligned with the authenticated identities.
  4. Send representative plain-text and HTML messages with normal attachments. Check bounces, queue state, spam placement, and delayed delivery rather than judging only a single successful message.
  5. Test aliases, nonexistent users, oversized messages, expired passwords, certificate renewal, and backup restoration.

Useful operational commands include postqueue -p to inspect queued mail, postsuper -d QUEUE_ID to remove a message you have verified is unwanted, and journalctl -u postfix -u dovecot to review service logs on a systemd-based distribution. Remove only the queue entries you understand; deleting the queue can destroy evidence and legitimate mail.

Understand deliverability requirements and reputation

Google’s sender guidance states that all senders to Gmail accounts need SPF or DKIM, valid forward and reverse DNS, TLS, and a spam rate below 0.3%. Senders exceeding 5,000 messages per day to Gmail must use SPF, DKIM, and DMARC and align the visible From domain. The 5,000-message threshold and 0.3% spam-rate ceiling are Google’s 2024 requirements; they describe Gmail’s systems, not a guarantee that a new VPS address will reach the inbox.

Google has reported that its defenses block more than 99.9% of spam, phishing, and malware and that unauthenticated messages received by Gmail users fell by 75% after authentication measures. Those statistics describe Google’s global service and cannot predict your server’s placement. A new IP may have little or no reputation, while an address previously used for abuse may be blocked before your first message.

Build a positive sending history

  • Send only mail recipients requested and make unsubscribe or preference controls clear for bulk or notification traffic.
  • Start with normal volumes and increase gradually; sudden bursts from a new IP look unlike established traffic.
  • Process bounces promptly and stop sending to invalid addresses.
  • Keep complaint rates low, monitor blocklists and provider postmaster tools, and investigate every unexplained spike.
  • Separate transactional and bulk streams by domain or IP when their risk and volume differ.

If reputation problems persist despite correct authentication, route outbound mail through an authenticated relay with an established reputation while retaining the VPS for inbound mail.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Troubleshoot common failures

Symptom Likely cause Fix
Connection to recipient on port 25 times out Provider or firewall blocks outbound TCP 25 Request an unblock, open the correct egress rule, or configure an authenticated relay. Do not repeatedly retry a blocked path.
Recipient reports reverse-DNS failure PTR is missing, points elsewhere, or the forward record does not return the sending IP Set PTR to the mail hostname, publish matching A/AAAA data, and use that hostname in the SMTP greeting.
Your server is an open relay Relay restrictions are absent or submission trusts an entire network Require SASL on 587/465, restrict relay destinations for unauthenticated clients, reload Postfix, and test from an external network.
SPF fails Sending IP is absent, multiple SPF records exist, or the DNS lookup limit is exceeded Publish one SPF policy containing every legitimate sender and remove obsolete records.
DKIM fails Wrong selector, malformed TXT key, changed private key, or unreadable key file Compare the selector in the header with DNS, verify the complete public key, check permissions, and sign a new test message.
DMARC fails alignment Authenticated domain differs from the visible From domain Sign with the From domain or configure the envelope sender so SPF or DKIM aligns; use aggregate reports to find the offending stream.
Messages land in spam or are blocked Low IP reputation, complaints, bursts, bad list hygiene, or content and authentication issues Reduce volume, send only requested mail, process bounces, verify authentication and TLS, and consider an established relay.
TLS warning or client login failure Expired certificate, hostname mismatch, incomplete chain, or plaintext authentication disabled without TLS configured Renew and deploy the correct certificate, provide the chain, reload services, and test the exact client hostname.
Mail disappears after a disk failure No independent backup or untested restore Restore mailbox data and configuration from a verified backup; then test delivery and authentication before reopening service.

Hand-built Postfix/Dovecot versus an integrated distribution

A hand-built stack and an integrated distribution can both deliver mail. The right choice depends on how much control you need and who will perform maintenance.

Consideration Hand-built Postfix and Dovecot Integrated distribution such as poste.io
Control and portability Fine-grained control over services, files, policies, and migration; components remain familiar Linux packages. Centralized defaults and a packaged layout; migration depends on the distribution’s data and configuration format.
Setup time Longer: you assemble SMTP, IMAP, authentication, DKIM, filtering, webmail, and monitoring. Faster initial deployment because major functions are presented in one administration workflow.
Spam and antivirus You select, tune, update, and integrate the filter yourself. Advertises built-in spam filtering and antivirus, reducing initial integration work.
Updates You track each package, compatibility issue, and service reload. Fewer moving parts for the operator, but you must follow the project’s image or release process and its security notices.
Observability Native logs and tools expose each service separately, which helps deep diagnosis but requires your own dashboards and alerts. A unified interface can simplify routine administration; component-level troubleshooting may require learning its container and log layout.
Backups You define mailbox, key, map, and configuration backups and can restore components independently. You must understand the distribution’s volume layout and export procedure so a container backup is actually restorable.
Support model Community and upstream documentation for each component; responsibility is clearly yours. One project may cover more of the stack, but its release cadence and support policy become dependencies.

Choose the hand-built route when policy control, package portability, and component-level diagnosis matter more than convenience. Choose an integrated distribution when a small team needs a quicker, consolidated administration surface and accepts its packaging and update model. In either case, verify relay restrictions, TLS, DNS authentication, backups, and restore procedures yourself.

Operate the server after launch

  • Review deferred, bounced, and rejected queues daily at first, then at a cadence appropriate to volume.
  • Watch disk usage, inode usage, load, memory, certificate expiry, and backup success.
  • Review authentication failures and unusual outbound volume for compromised credentials.
  • Apply security updates promptly, with a rollback or snapshot plan.
  • Recheck DNS records whenever you change an IP, relay, selector, or sending domain.
  • Run a restore drill and a test message after major upgrades.
  • Keep postmaster and abuse addresses monitored; ignoring these addresses can turn a manageable complaint into a provider suspension.

Self-hosted email is viable when you can meet the network prerequisites and operate the security and reputation lifecycle. The reliable sequence is static IP and PTR first, then hardened Postfix/Dovecot, encrypted submission and IMAP, correctly aligned SPF/DKIM/DMARC, disciplined sending, tested backups, and continuous monitoring.
