Handle a player’s data request as a documented case, not as a one-click account setting. Accept the request in ordinary language, verify identity only as far as necessary, search every system and supplier that may hold the player’s information, then provide a secure access package or erase data that has no continuing lawful basis. Record what you did, what you retained and why.
The detailed rules depend on where the publisher operates, the player’s age, the operator’s role as controller or processor, and the facts of the request. The workflow below reflects UK and EU privacy principles and United States COPPA guidance; check the law and platform terms that apply to your service before setting a policy.

Start by separating access from erasure
An access request asks what personal data you process and for a copy of it. It also requires meaningful context about the processing. An erasure request asks you to remove personal data, but erasure rights apply only in defined circumstances and are not absolute. A player can ask for both in the same message, so log each purpose separately and apply the correct test to each.
Before promising an outcome, establish whether your studio controls the data, processes it for another company, or relies on a platform that controls part of the account. A processor may need to route the request to its controller rather than decide independently. Platform terms, payment providers, crash-reporting tools, moderation services and advertising partners can each affect what you can access or delete.

Accept and log the request in any ordinary form
Accept verbal, written and in-game requests
Do not require the player to use legal wording, quote a regulation, or complete a special form. UK Information Commissioner’s Office guidance says an erasure request may be verbal or written, can be made to any part of an organisation and need not mention Article 17. Train support agents to recognise plain-language requests such as “How do I delete my game account?” or “Can I get a copy of everything you have about me?” Record a verbal request and confirm your understanding of its scope with the player.
Offer a clearly labelled electronic route where possible, such as a privacy option in the account centre and a monitored support address. Keep other channels open for players who cannot sign in. If a child may be involved, use language the child can understand rather than sending an adult legal notice.
Create a case record immediately
The case record is the evidence that the request was received, assessed and completed. Capture:
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems- the date and time received, the channel and the staff member who accepted it;
- the requester’s account identifiers and any alternative identifiers supplied;
- whether the request is for access, erasure, or both;
- the scope, such as a particular game, platform account, region, date range or data category;
- identity checks requested, evidence received and the reason each check was necessary;
- systems and vendors searched, including the result for each;
- the legal or operational reason for any retention or refusal;
- deletion actions, recipient notifications, delivery method and the final response; and
- the deadline calculation and any extension notice.
Limit the record itself to information needed to manage the request. A support ticket should not become an uncontrolled duplicate of the player’s complete history.
Verify identity without creating unnecessary risk
Use authenticated context first
If the request arrives from a signed-in account, use the existing authentication and account history when that provides reasonable assurance. Confirming a known account email or an in-game account identifier may be enough for a low-risk request. The stronger the information at stake, the stronger the check should be.
Ask for more only when there is reasonable doubt
When the requester is not authenticated, an account is shared, or the request would expose sensitive information, ask for proportionate evidence tied to the risk and purpose. Do not make a photocopy of a government identity document the automatic default. If an identity document is genuinely needed, explain what will be checked, restrict access, protect the file and delete it when the check is complete.
The Federal Trade Commission’s COPPA FAQ says that when government identification is used to verify a parent, the operator should promptly delete the identification after verification. Apply the same minimisation principle to other verification material: keep a note that the check passed, not a permanent archive of the document, unless a separate legal obligation requires retention.

Handle failed or incomplete verification carefully
Tell the requester what additional information is needed and why, without revealing account data to an unauthorised person. If the supplied information does not resolve a reasonable doubt, pause disclosure or deletion of the disputed account and explain the next safe route. Keep the request date and update the deadline calculation when the applicable rule starts the response period after requested identity information is supplied.
Search a practical data map, not just the player profile
Build an inventory that follows the service’s actual data flows. The exact list will differ by game, but a useful search commonly covers:
- the game account, platform account links, usernames, player IDs and authentication logs;
- customer-support tickets, chat transcripts, email correspondence and call notes;
- gameplay, telemetry, achievement, anti-cheat and moderation records;
- billing, refunds, subscription and transaction records;
- analytics, crash reports, fraud tooling and marketing or messaging systems;
- community, tournament and publicly visible profile data; and
- processors, hosting providers and other vendors that receive the relevant identifiers.
This is an implementation checklist, not an exhaustive list prescribed by one regulator. Adapt it to the game and document why a system was included or excluded. Search using all reliable identifiers, such as the player ID, account email, console identifier, transaction reference and support-ticket number. Record the query or search method and the result for every system so another reviewer can explain how coverage was achieved.
Resolve controller and vendor boundaries
For each data set, identify who determines the purpose and means of processing. If a vendor acts only on your instructions, use the contract and operational process to obtain the relevant data or carry out deletion. If a platform or partner is an independent controller, tell the player which part of the request must be directed to that organisation and provide the appropriate contact route if you can do so safely. Do not claim to have deleted records you cannot control.

How to answer an access request
Provide a copy plus useful processing information
The European Commission’s GDPR summary describes an access response as confirmation of whether personal data is processed, a copy of the personal data, and information about the processing. Include, where applicable:
- the categories of personal data held;
- the purposes for which each category is used;
- the recipients or categories of recipients, including relevant processors;
- the retention information or criteria used to determine it;
- the source of data that was not collected directly from the player; and
- the player’s available rights and complaint route.
A link to a generic privacy notice is not a substitute for the player’s data. Export the actual records in a usable format, with enough labels or explanation for the player to understand fields, codes and event dates.
Review third-party and restricted information
Before delivery, check whether the export would reveal another person’s personal data, confidential security information or material restricted by applicable law. Separate or redact that content where required, and document the reason. Do not use a broad redaction rule to avoid the work: provide the player’s information that can safely be disclosed.

Test the request against the applicable grounds
Erasure is conditional. Assess the data category, the purpose for which it was collected, the player’s objection or withdrawal where relevant, and any other ground recognised by the applicable law. A request to close an account does not automatically require every record to disappear immediately.
Identify records that must remain
Some information may need to be retained to comply with a legal obligation or to establish, exercise or defend legal claims. Examples can include a transaction record required by financial or tax rules, or a narrowly limited security record needed to defend a fraud dispute. Retain only the fields and duration supported by the continuing basis. Isolate retained records from active game operations and prevent their use for unrelated purposes.
Delete what has no continuing basis
For data that should be erased, remove it from the live account, support tools, analytics views and other systems under your control. Disable identifiers and access tokens so the closed account cannot continue to be used. Check derived records and search indexes where they contain personal data rather than assuming that deleting the visible profile is sufficient.
Explain a refusal or partial result
If all or part of the request cannot be fulfilled, state which category remains, the specific reason, and the practical effect for the player. Tell the person about the right to complain to the ICO or another relevant supervisory authority and to seek a judicial remedy, as applicable. A fee or refusal for a request is generally limited to cases that are manifestly unfounded or excessive; the organisation must be able to support that characterisation. An irritated tone or a previous request, by itself, does not prove abuse.
Calculate deadlines and communicate early
| Situation | Timing in the reviewed UK guidance | What the operator should do |
|---|---|---|
| Access or erasure request | Without undue delay and generally within one calendar month | Log the start date, calculate a calendar-month deadline and send the substantive response by then. |
| Complex request or multiple requests | Up to two additional months may be available | Within the initial month, tell the player that an extension is being used and explain why the request is complex. |
| Identity information requested for an erasure request | The response period may begin after the requested identity information is supplied | Record when the necessary information arrived and preserve the earlier correspondence in the case file. |
| Internal operational target | A 28-day target can help teams meet a calendar-month deadline | Use it as a planning target, not as a universal statutory day count. |
A calendar month is not always 30 days. For example, a request received on 31 January reaches its one-month point at the end of February under the applicable calendar calculation. Have a privacy lead review edge cases, public holidays and jurisdiction-specific rules rather than relying on a fixed number of days.
Send a holding message when clarification or verification is needed. It should identify what is missing, explain the reason in plain language and avoid implying that the request has been rejected. If an extension is justified, give the reason within the initial month; do not wait until the original deadline has passed.

Propagate deletion and close the case
Notify recipients and vendors
Use the data map to identify every recipient that received the erased data. Make the required deletion or restriction notification and keep evidence of the request and response. Where data was made publicly available, reasonable steps may be needed to alert other controllers that the player has requested removal of links, copies or replications.
Define a backup and restoration policy
The guidance reviewed here does not establish one universal deadline for physical backup rotation or restoration handling. Set a documented policy with jurisdictional advice. It should explain how a deleted record is prevented from returning during restoration, when backup media expire under the normal schedule, what happens if a backup is restored for an incident, and how access to residual copies is restricted until disposal.

The closing response should state whether the access package was supplied, what was erased, what remains and the reason for retention, which recipients were notified, and how the player can complain or request a remedy. Keep the case record, deletion logs and delivery evidence according to your retention schedule, while avoiding unnecessary copies of the player’s personal data.
Children, parents and family accounts need extra care
Use age-appropriate communication
Children should be able to understand what will happen to their data. Use short explanations, define unfamiliar terms and avoid directing a child to disclose more information than needed. UK ICO guidance gives particular weight to erasure requests involving data collected from children, including cases where the person is now an adult but consent was given while they were a child.
Apply COPPA rules where they cover the service
For US services within COPPA’s scope, the FTC says operators generally must obtain verifiable parental consent before collecting personal information from children under 13, subject to exceptions. One narrow exception permits contact information to be collected solely to answer a child’s one-time request and requires prompt deletion after the answer. Do not use that exception as a general account-registration route.
Do not assume a parent automatically controls every request
Verify the requester’s authority and consider the child’s rights under the law that applies to the service and the circumstances. A family account, shared device or parent-paid subscription may help establish context but does not by itself settle every access or erasure question. Document how authority was assessed and limit disclosure to what that authority permits.
Design choices to settle before launch
Write the workflow around explicit trade-offs rather than optimising one metric:
Best Value
- Identity assurance versus player friction: use the existing sign-in context where it is reliable, and add checks only when the risk justifies them.
- System coverage versus implementation effort: map the systems and vendors that actually receive player data, then maintain the map as the service changes.
- Complete access versus collateral disclosure: give the player meaningful data and context while screening out other people’s information and protected material.
- Deletion completeness versus valid retention: erase broadly where the basis has ended, but preserve only the minimum required for law or claims.
- Child safety versus speed: make language understandable and authority checks reliable even when that takes an extra step.
- Fast responses versus justified extensions: use an extension only for documented complexity or multiple requests and explain it within the original period.
Common failure modes and their fixes
Rejecting a request because it did not use a form
Fix: accept the plain-language request, record the scope and ask focused clarification questions only where necessary.
Demanding a passport or driving licence from every player
Fix: start with authenticated account evidence, match additional checks to the information at risk, and delete verification documents promptly when the check ends.
Searching only the live game database
Fix: search support, billing, moderation, analytics and vendor records identified in the data map, and record the result for each system.

Deleting the profile while retaining active copies elsewhere

Operational checklist for every case
- Accept the request through the channel used and create a dated case record.
- Separate access and erasure scopes, then identify the responsible controller or processor.
- Use authenticated context and apply a proportionate identity check only when needed.
- Search each mapped internal system and vendor, recording queries and results.
- For access, assemble the personal-data copy, processing context and safe delivery method.
- For erasure, test the grounds, remove data without a continuing basis and isolate justified retention.
- Notify relevant recipients, address public disclosures and follow the documented backup policy.
- Calculate the calendar-month deadline, explain a justified extension within the first month, and send a clear completion or refusal notice.
- Store the case evidence under the retention schedule without creating unnecessary duplicate personal data.
UK ICO erasure guidance is under review following the Data (Use and Access) Act, so confirm the current wording before relying on it. The same discipline applies elsewhere: check the law in each market, the player’s age, the game’s distribution platforms and the contracts that allocate responsibility for player data.
