A second address added as an alias usually still delivers into your personal inbox, while delegation or a shared mailbox gives another account access to an existing mailbox. Those choices solve different problems, so decide first whether you need a genuinely separate inbox, a routing address, or controlled access to a mailbox you already own.
Choose the right kind of email access
An email address is not automatically a security boundary. The boundary comes from the mailbox behind it and the permissions granted to the AI integration. Before creating anything, identify which of these three arrangements matches your goal.

| Choice | What you get | Best fit | Main limitation |
|---|---|---|---|
| Separate account or mailbox | A distinct address, inbox, login and mailbox data | You want the assistant isolated from personal mail | The email provider and AI integration must support the account and authorization method you plan to use |
| Alias | Another address attached to an existing account and inbox | You need a public-facing or routing address but do not need a separate mailbox | Messages remain in the existing mailbox; an alias is not a separate Google Account and cannot receive Gmail delegate access |
| Gmail delegation | Another Google account can read, send and delete mail in the owner’s mailbox | A person or authorized service must manage an existing Gmail inbox | The delegate works in the owner’s mailbox rather than an isolated inbox and cannot change the owner’s password |
| Microsoft shared or delegated mailbox | Access to a shared mailbox or to another user’s mailbox under Microsoft permissions | A team or authorized account must monitor and reply from a business address | Microsoft permissions must be configured first; connecting an AI app does not create those rights |
Google distinguishes a separately created account from an alternate email address. Its Workspace documentation explains that an alternate address can send and receive from an existing inbox. Gmail Help describes delegation as allowing another user to read, send and delete mail in the owner’s account. Microsoft likewise treats shared-mailbox access and delegate access as permission models, not as new identities.

What separation does provide
- Personal messages do not appear in the assistant’s mailbox unless you deliberately forward or copy them.
- You can revoke the assistant’s connection without disconnecting your personal account.
- Sent messages and automated replies have a distinct address and history.
- You can apply mailbox-specific retention, filters and notification rules.
What separation does not guarantee
A separate mailbox does not make the whole workflow risk-free. The AI service may still retain or process messages that you allow it to read, and an integration may be able to send mail if that action is enabled. Separation limits what is exposed by default; it does not replace reviewing the connector’s permissions, workspace policy or data handling.
When an alias is enough—and when it is not
An alias is an additional address associated with an existing account. Mail sent to the alias normally arrives in the same inbox as the primary address, and replies can often be configured to use the alias. It is useful for a public contact address, a sign-up address or simple routing.
Do not use an alias when your requirement is “the assistant must not see my personal inbox.” Because the messages share the existing mailbox, connecting an integration to that mailbox can expose mail addressed to every address on it. Google also says an alias is not a Google Account, so you cannot add an alias as a Gmail delegate. Create a separate account if the assistant needs an independent Gmail identity.

Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →When delegation or a shared mailbox makes sense
Gmail delegation
Gmail delegation lets another Google account work inside the owner’s mailbox. Google’s description is explicit: “A delegate is someone who can read, send, and delete emails in your account for you.” Delegates cannot change the owner’s password, and Google excludes access to account settings and some other integrated features.
Use delegation when the mailbox itself is the shared workspace—for example, a support or scheduling inbox—and you want an authorized account to process it. It is not a substitute for a dedicated assistant mailbox because the delegate can see the existing mailbox contents that its permissions cover.

Microsoft shared and delegated access
Microsoft describes a shared mailbox as a mailbox that one or more people can access. Delegate access allows someone to monitor and respond on another user’s behalf. These arrangements are useful for business addresses and team workflows where the mailbox owner, organization or administrator controls membership.
The permission grant happens in Microsoft’s administration and account systems. An AI connector cannot create shared-mailbox membership merely because you connect an account. The connected Microsoft account must already have the necessary access.

Set up a dedicated mailbox for the assistant
The exact signup screens, plan eligibility and regional requirements vary by provider and account type. Use the provider’s current account-creation process rather than relying on a generic shortcut. The sequence below keeps the personal inbox out of the connection.
- Define the mailbox’s purpose. Decide whether it will receive requests, send replies, collect alerts, or all three. Choose an address that identifies the function without exposing unnecessary personal information.
- Create the account or mailbox. Complete the provider’s current verification and recovery steps. Use recovery details that you can control independently of the assistant’s day-to-day access.
- Secure the account before connecting anything. Set a strong, unique password and enable the provider’s available multifactor authentication. Do not give the AI service your personal mailbox password, and do not reuse that password elsewhere.
- Apply mailbox rules. Create folders, labels, filters or retention rules for the messages the assistant will handle. Keep sensitive categories out of the workflow unless they are genuinely required.
- Open the AI service’s official connection page. Select the email provider or connector that supports the new mailbox. Use its sign-in and consent screen so authorization is issued to the correct account.
- Review the consent screen. Check whether the integration can read, create, send, delete or modify messages. Approve only the capabilities needed for the assistant’s job.
- Send a controlled test. From a non-sensitive test address, send one message to the new mailbox. Confirm that the assistant can see only that mailbox, that any reply uses the intended From or on-behalf-of identity, and that the message appears in the expected Sent folder.
- Record how to revoke access. Note where the provider and AI service display connected applications or sessions. You should be able to remove the integration without deleting the mailbox.
Because current provider pricing and signup requirements differ by region and account type, verify those details on the provider’s account page before committing to a plan. They are not universal properties of a separate mailbox.
Configure Gmail delegation on a computer
If you intentionally want an account to work in an existing Gmail mailbox, configure delegation at Gmail first. An alias cannot be used as the delegate because it is not a separate Google Account.

- Sign in to the owner’s Gmail account on a computer.
- Open Gmail settings and go to the section for accounts or account access.
- Choose the option to grant access to another account and enter the delegate’s Google account address.
- Complete the confirmation step required by Gmail. The invited account may need to accept before access becomes active.
- Sign in as the delegate and verify that the mailbox appears with the expected delegated controls.
- Send a test message and confirm whether Gmail displays it as sent by the delegate or on behalf of the owner, according to the configured behavior.
Delegation grants access to the existing mailbox; it does not create a clean inbox for the assistant. Remove the delegate from the same Gmail access settings when the arrangement ends, then review connected-app access separately if an AI service was involved.

Connect a shared or delegated Microsoft mailbox to ChatGPT
For the supported Outlook connection in ChatGPT, connect the Microsoft account that already has access to the shared or delegated mailbox. ChatGPT does not grant Microsoft sharing or delegation permission.
- Have an administrator or mailbox owner configure access in Microsoft. The connected account must be a member of the shared mailbox or have the appropriate delegate permissions before you open ChatGPT.
- Sign in to ChatGPT with the intended account. Open the connector or app area and choose the supported Outlook connection.
- Authorize the Microsoft account that has mailbox access. If the browser offers several accounts, select the one that was granted access—not an unrelated personal account.
- Complete any Microsoft Entra consent required by your organization. A workspace administrator may need to approve the requested permissions.
- Check workspace controls and enabled actions. The available operations can vary with workspace settings, Microsoft permissions and the actions enabled for the connection.
- Test reading and sending separately. Confirm that the assistant can access the intended mailbox and determine whether outgoing messages are sent as the mailbox or on behalf of a user. Do not assume the behavior from the address alone.
If the mailbox does not appear, return to Microsoft permissions rather than repeatedly reconnecting ChatGPT. A successful OAuth sign-in proves that an account authenticated; it does not prove that the account has access to every shared or delegated mailbox.
Control what the assistant can do
Mailbox isolation is only one layer. Before enabling automation, write down the minimum operations the assistant needs and disable the rest where the connector permits it.
- Read: required to summarize or classify incoming messages. Limit the mailbox or folders if the integration supports that scope.
- Compose: allows drafts but not necessarily delivery. This is safer for approval-based workflows.
- Send: permits outbound mail and can create reputational or compliance consequences. Require a human review where available.
- Delete or archive: changes mailbox state and can make recovery harder. Avoid granting it unless processing genuinely requires cleanup.
- Modify labels, folders or rules: can affect how future messages are handled. Treat this as a separate administrative capability.
Keep a clear distinction between “send as” and “send on behalf of.” “Send as” makes the message appear to come directly from the mailbox; “send on behalf of” identifies the acting user as well. Which form is available depends on the provider’s permissions and the connector.

Prevent accidental exposure of your personal inbox
Before connecting
- Confirm the account name and mailbox address shown in the authorization window.
- Sign out of unrelated provider accounts or use a private browser window if account selection is ambiguous.
- Remove personal forwarding rules from the assistant mailbox unless they are intentional.
- Decide which categories—such as financial, medical or legal mail—must never be forwarded into the workflow.
During operation
- Use a test message with no personal content before enabling live automation.
- Inspect the assistant mailbox’s Sent folder and activity history regularly.
- Keep human approval for high-impact actions such as payments, account changes, legal responses or bulk mail.
- Review the AI connector’s enabled actions after workspace or provider policy changes.
When access should end
- Disable the assistant’s automation or scheduled actions.
- Revoke the AI service’s authorization in the provider’s connected-app or security settings.
- Remove Gmail delegation or Microsoft shared/delegate membership at the provider level.
- Rotate the dedicated mailbox password if it was ever used outside the supported authorization flow.
- Inspect forwarding rules, filters, sessions and sent mail for changes made before revocation.
Troubleshoot the common failure modes
The “separate” address still shows personal messages
It is probably an alias or a forwarding arrangement rather than a separate mailbox. Check whether the address has its own login and inbox. If it does not, create a distinct account and reconnect the AI service to that account.
The alias cannot be added as a Gmail delegate
This is expected. Google says delegates must be Google accounts; an alternate address attached to an account is not one. Invite the delegate’s separate Google account or use a dedicated mailbox.
The Outlook connector authenticates but cannot see the shared mailbox
Authentication and mailbox authorization are separate. Ask the Microsoft administrator or mailbox owner to verify membership, delegate rights and any organization policy. In ChatGPT, also check workspace settings and Microsoft Entra consent. Reconnect only after the underlying permission is correct.
The assistant can read mail but cannot send
Read permission does not necessarily include send permission. Review the provider’s send-as or send-on-behalf-of rights and the connector’s enabled actions. Test with a non-sensitive recipient before using the workflow operationally.
Recommended Free Tools
The wrong account appears in the consent window
Cancel the flow, sign out of the unintended provider account, then restart with the account that owns or has permission to the assistant mailbox. Do not approve access and hope to change the mailbox later; the authorization may be tied to the wrong identity.
Best Value
A practical decision checklist
- Do I need a genuinely independent inbox and login? Choose a separate account or mailbox.
- Do I only need another public address that routes to my existing mail? An alias may be sufficient.
- Should another authorized account read and manage my existing mailbox? Use Gmail delegation or Microsoft shared/delegated access.
- Must the assistant send as the mailbox, on behalf of a user, or only create drafts? Verify the provider’s exact permission model.
- Does the intended AI connector support this provider and permission type? Confirm before provisioning a workflow.
- Can I revoke the connector and provider permissions independently? If not, redesign the setup before adding sensitive mail.
What to expect from the arrangement
The cleanest design for keeping personal email private is a dedicated mailbox connected through supported authorization, with only the minimum actions enabled. An alias is a convenience address, not an isolated identity. Delegation and shared mailboxes are appropriate when the assistant or another user must operate inside an existing team or owner mailbox, but their permissions should be treated as access to that mailbox—not as a new inbox.
Frequently Asked Questions
Can I give an AI assistant an alias instead of creating another account?
Yes, if you only need a second address that uses your existing inbox. An alias does not create an independent mailbox, so it is unsuitable when the assistant must be prevented from seeing personal messages.
Does connecting an AI app automatically grant access to a shared mailbox?
No. The connected account must already have the required Microsoft or Google permission. The AI connection authorizes the app for that account; it does not create mailbox membership or delegation.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesCan a Gmail delegate change my password?
Google’s Gmail delegation documentation says delegates can read, send and delete mail but cannot change the account password. Access to account settings and some integrated features is also unavailable.
Should I let the assistant send email automatically?
Only when the consequences are acceptable and the connector’s identity and permissions are clear. For sensitive or high-impact messages, use draft creation or human approval instead of unrestricted sending.
