How to give AI agents least-privilege access to your accounts and files

Give an AI agent its own attributable identity, a narrowly defined job, only the data and tools that job requires, and a separate approval step for consequential actions. Enforce those limits in your identity provider, APIs, tool gateways, and operating environment—not in the agent’s prompt. Then log what it does, review effective permissions, and rehearse how to disable it.

What least privilege means for an AI agent

Least privilege is an access design, not a setting called “safe mode.” An agent receives the smallest set of permissions that can complete a defined task, for the shortest practical time, in the smallest relevant environment. The design must answer five questions:

As an Amazon Associate I earn from qualifying purchases.

  • Who is acting? A distinct agent or workload identity that can be attributed and disabled independently.
  • Why is it acting? A written task, owner, and approval authority.
  • What may it access? Named accounts, sites, folders, records, files, and operations.
  • How may it act? Specific tools and API actions, such as reading a folder but not deleting or sharing its contents.
  • Where may it run? A defined host, tenant, filesystem, network boundary, and downstream service.

Microsoft’s identity guidance summarizes the principle this way: “Bind permissions to the initiating principal and task, limit them to the minimum required scope, and issue them for the shortest practical duration.” Apply that sentence to the agent, every connector it calls, and every service behind that connector.

Start with a written trust boundary

Before creating credentials, write a one-page access record. Treat the agent, each plugin or MCP server, each tool, and each downstream service as separate trust decisions. This prevents a broad connector permission from silently becoming the agent’s effective permission.

Record the job and owner

State the task in operational terms, such as “classify invoices in the Accounts Payable folder and prepare a draft report.” Name the business owner, technical owner, approving user, data owner, environment, and expected end date. Do not describe the purpose as “help with files”; that wording cannot be tested against an access request.

List allowed and forbidden data

Identify the exact account, tenant, site, folder, mailbox, database, or record type. Explicitly list exclusions: personal folders, other tenants, production databases, legal-hold material, credentials, and unrelated customer records. A prohibition is useful only when a control can enforce it, so map each exclusion to an API scope, resource policy, network rule, or tool restriction.

Define actions, not just resources

“Access to the drive” is too broad. Separate read, create, edit, move, share, export, delete, and permission-management actions. A report generator may need to read files and create a report in one output folder, but not rename source files or change sharing settings.

Create a permission register

Field Example entry Why it matters
Agent identity Invoice-classifier workload identity Separates attribution and disablement from a person’s account.
Owner and approver Accounts Payable manager; security administrator Establishes accountability for grants and exceptions.
Resources One tenant, one site, and /AP/Incoming Prevents an all-tenant or all-drive default.
Operations Read PDFs; create drafts in /AP/Drafts Distinguishes a required write from unnecessary mutation.
Tools Document parser and approved storage API only Blocks unreviewed plugins and side channels.
Environment Staging tenant for testing; production job runner Makes deployment and boundary changes reviewable.
Expiry and review Recheck when workflow, tool, data, or environment changes Stops temporary access becoming permanent.

Give the agent a separate identity

Never give an agent a person’s everyday password, session cookie, or broad personal access token. Use a dedicated agent, application, or workload identity whose owner is identifiable. Managed or federated workload identity is preferable where the platform supports it because it reduces persistent shared secrets.

Make actions attributable

Logs should show the agent identity and, where applicable, the human on whose behalf it acted. Delegation must not erase the distinction between “the user requested this” and “the agent performed this.” A separate identity also lets an administrator suspend the workflow without locking a person out of unrelated work.

Keep credentials short-lived

Use short-lived tokens or federated exchanges when available. Limit refresh-token lifetime and storage, and do not place secrets in prompts, source files, notebooks, or agent-readable documents. If a long-lived credential is unavoidable, store it in a managed secret system, restrict where it can be used, monitor its use, and document its rotation owner.

Review effective permissions

Inspect the permissions the identity actually receives after group membership, inherited folder rights, connector defaults, delegated access, and downstream service policies are combined. Reviewing only one connector’s configuration can miss an inherited tenant-wide role or a second tool that reaches the same files.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Grant the narrowest scopes and resources

Start with no access, then add one required scope at a time. Prefer read-only access whenever the job does not require writing. If writing is needed, limit it to a named resource and operation rather than granting a general “modify everything” scope.

Choose resource boundaries

  • Limit an API application to the specific site, folder, mailbox, project, or record set.
  • Prevent cross-tenant paths unless the task explicitly requires them and an owner approves the exception.
  • Separate source and destination locations so an agent cannot overwrite evidence while producing output.
  • Use a development or test tenant to validate authentication and resource filters before production deployment.

Choose operation boundaries

For mail, a read-only mail scope is materially different from mail modification or full mailbox access. For files, reading a folder is different from editing, deleting, exporting, sharing, or changing permissions. For records, querying selected fields may be sufficient; avoid a database-wide write role when the agent only inserts a status value.

Remove unused access

Do not approve a broad scope because it might be useful later. Record the reason for every grant, set an owner, and remove it when the workflow changes or ends. Recheck permissions after adding a tool, moving the agent to another environment, changing a data source, or expanding the prompt’s business purpose.

Restrict tools and the execution environment

The model can only be as constrained as the tools it can invoke. Allow an explicit list of reviewed tools and integrations. A tool gateway should validate the caller, action, resource, and parameters before forwarding a request.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Local filesystems

For a locally running agent, expose only the directories required for the task. Make sensitive home-directory, credential, source-code, and system paths unavailable. Use separate input and output directories when possible, and make temporary data disposable. A shell sandbox may restrict shell commands without restricting a dedicated file tool or a separately running MCP server; verify each path independently.

  • [Dont Hesite to Order] 24 hours customer services and professional technology team are standing by

Network access

Permit only required hosts, ports, and protocols. Block arbitrary outbound access when the workflow does not need it. Check whether a parser, browser, plugin, or MCP server can make its own network requests outside the controls applied to the main process.

Tool-specific checks

  • Require the tool to receive the agent identity, not an unscoped user token.
  • Validate resource identifiers against an allowlist before execution.
  • Reject wildcard paths, tenant-wide selectors, and missing target fields.
  • Return only the minimum data needed for the next step.
  • Keep high-impact operations unavailable to autonomous calls, or route them to an approval service.

Verify the sandbox rather than assuming it

Run tests that attempt to read an excluded file, reach an unapproved host, invoke an unreviewed tool, and access a second tenant. Confirm that each attempt is denied and logged. Test shell commands, dedicated file APIs, plugins, and separately deployed servers because a boundary covering one interface may not cover another.

Put consequential actions behind fresh approval

Least privilege reduces what an agent can do; approval controls reduce what it may do without a human decision. Require a new confirmation for actions that are external, irreversible, financially consequential, privacy-sensitive, or privilege-changing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Actions that normally need confirmation

  • Sending external email, messages, or published documents.
  • Deleting, overwriting, moving, exporting, or sharing data.
  • Purchases, payments, refunds, or changes to billing details.
  • Adding users, changing roles, granting permissions, or creating credentials.
  • Deploying production changes or altering security controls.

Bind approval to the exact action

The approval screen should identify the agent, operation, target, material content or amount, and destination. “Allow this agent to manage mail” is not an adequate approval for one message. A confirmation for deleting one file must not authorize later deletions. For critical operations, use step-up authentication in addition to the normal session.

Make the workflow fail closed

If the target changes, parameters are added, the approval expires, or the identity differs, require approval again. Never treat a model-generated statement such as “the user approved this” as proof. Authorization belongs in deterministic identity, API, or tool controls.

Keep authorization outside the model

Prompt instructions are useful for describing behavior but are not a security boundary. Prompt injection can arrive through an email, document, web page, or retrieved record and instruct the agent to reveal data or bypass its task. The model may follow that text even when the original prompt says not to.

Enforce permissions in the identity provider, API scopes, resource policies, tool gateway, network layer, and approval service. Treat retrieved content as untrusted input. Limit the data supplied to the model, separate instructions from data, and require policy checks immediately before sensitive tool calls.

Log enough to investigate and revoke

Record every meaningful tool call and authorization decision. At minimum, capture:

  • Agent and workload identity.
  • Owner, delegated user, or initiating principal where relevant.
  • Role and effective scope at the time of the call.
  • Tool, operation, target resource, and important parameters.
  • Timestamp, result, denial reason, and correlation identifier.
  • Approval identity and the exact action approved.

Protect logs from alteration, restrict who can read them, and retain them according to your organization’s requirements. Review for unexpected resources, denied-call spikes, unusual times, token reuse, and actions outside the documented task.

Test the emergency procedure

  1. Disable the agent identity and verify that new calls fail.
  2. Invalidate active access and refresh tokens.
  3. Rotate any credential that may have been exposed.
  4. Remove group memberships, API grants, folder permissions, and tool registrations.
  5. Confirm that already queued jobs cannot continue with cached authorization.
  6. Search logs for the identity’s recent activity and preserve relevant evidence.
  7. Re-enable only after the owner and security reviewer approve the corrected configuration.

Compare an ordinary setup with a least-privilege setup

Control area Broad setup Least-privilege setup
Identity Person’s account or shared token Dedicated, attributable workload identity with an owner
Data scope Entire drive, mailbox, or tenant Named folders, sites, records, or mail scope
Operations General read/write or administrator role Specific read, create, or update operations only
Tools Any installed plugin or server Reviewed allowlist with parameter validation
Credentials Persistent shared secret Short-lived or federated credentials with rotation
High-impact actions Autonomous execution Fresh, target-bound approval and step-up authentication when critical
Local execution Unrestricted filesystem and network Verified path and host allowlists across every interface
Audit Generic application logs Identity, scope, tool, target, approval, result, and correlation data
Recovery Unclear disablement process Tested disable, token invalidation, rotation, and grant removal

Use this implementation sequence

  1. Define the trust boundary. Document the task, owner, account, approved data, operations, tools, runtime, and exclusions.
  2. Create the identity. Use a dedicated managed or federated workload identity where possible; assign an accountable owner.
  3. Start with minimum scopes. Grant named resources and read-only operations first, then add narrowly justified writes.
  4. Constrain tools and runtime. Allow reviewed integrations, restrict filesystem and network paths, and test shell, file-tool, and MCP boundaries separately.
  5. Implement approval gates. Require fresh, target-bound confirmation for sending, deletion, sharing, payment, privilege, and production actions.
  6. Instrument and rehearse. Log effective access and calls; test disabling the identity, invalidating tokens, rotating secrets, and removing permissions.

Common failure modes and fixes

“The prompt says not to access confidential files.”

That is an instruction, not enforcement. Remove the files from the accessible resource scope and make the API or tool reject them.

“The connector is restricted, so the agent is restricted.”

Check inherited roles, group memberships, other connectors, downstream services, and separately running tools. Review effective permissions for the identity and the complete call path.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“Read-only is safe enough.”

Reading can still expose personal, regulated, or secret data. Restrict the resource and returned fields, limit retention, and prevent export to unapproved destinations.

“The sandbox blocks the shell, so files are protected.”

Test dedicated file tools, plugins, and MCP servers. Apply controls to every interface that can read or write data.

“Approval was granted once for the whole workflow.”

Use action-specific approvals. Reconfirm when the target, amount, content, operation, identity, or environment changes.

“We can revoke it if something goes wrong.”

Practice revocation before deployment. A plan that does not cover cached tokens, queued jobs, inherited permissions, and credential rotation is incomplete.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What least privilege can and cannot guarantee

Least privilege limits the potential consequences of a compromised, misdirected, or manipulated agent; it does not guarantee that prompt injection will never succeed. OpenAI’s guidance recommends limiting the data an agent can access where possible and notes that safeguards may not prevent every prompt injection. Layer narrow authorization with untrusted-input handling, deterministic policy checks, approval, monitoring, and a tested shutdown process.

Exact control names vary by identity provider, agent framework, API, and deployment model. Validate the current documentation for the account and tools you operate, and repeat the review whenever the workflow, data scope, integrations, or runtime environment materially changes.
