What an applicant tracking system does—and what it does not mean
An applicant tracking system (ATS) helps an employer collect and manage applications. Depending on the employer, it may also help organize, sort, rank, or screen resumes. It is not one universal gate that treats every application the same way: employers configure hiring processes differently, and people may review applications at different stages.

For federal jobs, USAJOBS says that some agencies use automated resume review, after which a human resources specialist verifies information. Its Help Center states, “Real people, human resource specialists, do look at resumes.” That description applies to the federal hiring guidance there; it should not be assumed to describe every employer’s workflow. Universities describe ATS tools as collecting and organizing applications, and in some cases helping employers screen them. The practical implication is not to search for a magic phrase or formatting trick, but to make your relevant qualifications easy to identify in the employer’s process. Tailor your resume to the specific job
Start with the job posting and compare its requirements with your actual experience. Create a version for that position, emphasizing the qualifications that are both relevant and true. Use the employer’s terminology for a skill when it accurately describes your experience; do not claim a qualification you lack.
Make the match concrete
- Move the most relevant experience and skills where a reviewer can find them quickly.
- Use specific examples of work, responsibilities, or accomplishments to support important skills.
- Use relevant words from the posting naturally, connected to evidence rather than repeated as a list.
- Remove or shorten material that distracts from your fit for this role.

Make the document easy to read
A resume needs to work for both software and people. Use conventional section headings, a straightforward layout, and clear descriptions. Follow the employer’s requested file type and application instructions rather than assuming one format is always best. Indeed’s ATS resume guidance and UT Austin Career Services’ ATS guidance both emphasize readable, conventional presentation.
- Use familiar labels such as “Experience,” “Education,” and “Skills” where they fit your background.
- Keep job titles, employers, dates, and descriptions clear and consistent.
- Choose a simple structure over visual effects that make the information harder to interpret.
- Submit the file type the employer requests; if the application provides specific instructions, follow them.
Do not hide keywords in white text or otherwise add content intended to be invisible. Microsoft notes that hidden text may be noticed by a hiring manager, and Concordia cautions that trying to trick an ATS is ineffective when a recruiter reads the resume. Complete the application accurately
Your resume is only one part of an application. Answer screening questions truthfully, provide the information requested, and complete required fields. If an employer specifies how to submit materials or asks for a particular document, follow that process. A polished resume cannot correct an incomplete application or substitute for an eligibility requirement.

A referral or a short, professional message to a recruiter may help bring your application to someone’s attention, but the available guidance does not establish that either guarantees a resume review or overrides the employer’s process. Keep the application in the required system unless the employer explicitly says otherwise.

If you contact a recruiter
- Identify the role and explain briefly why your experience is relevant.
- Keep the message courteous and concise; avoid repeated follow-ups.
- Do not ask the recruiter to bypass stated application requirements.

No universal ATS shortcut can guarantee a human review. A fixed claim such as “75% of resumes are rejected by ATS” should not be treated as a general fact without a traceable original source, date, population, and definition of rejection. The cited guidance does not establish a single share of resumes that reach a human reviewer.
If you are unsure whether your resume clearly demonstrates your fit, ask a university career service or a qualified resume reviewer for feedback. A review can help improve clarity and relevance, but no service can promise that an employer will advance your application.
