How to Generate and Validate an E-Invoice in India (2026 Guide)

To generate an e-invoice in India, prepare the invoice data in your billing system or the Invoice Registration Portal (IRP), submit it for registration, and use the returned Invoice Reference Number (IRN), digitally signed invoice data and QR code on the invoice. Validation then means checking that the IRN is present, the signed data matches the invoice and the QR code verifies through an IRP facility. An e-invoice is therefore a registered electronic invoice record, not merely a PDF created by an accounting application.

The exact process depends on the supplier’s GSTIN, turnover history, exemption status and reporting method. The workflow below follows the current IRIS IRP material and separates portal registration from the accounting and tax review your business still has to perform.

What an Indian e-invoice actually is

Under the GST e-invoice system, a supplier sends structured invoice information to an Invoice Registration Portal. The IRP checks the submission, detects duplicate registration attempts and, when the document is accepted, creates an IRN. It digitally signs the invoice JSON and returns a QR code that can be placed on the invoice issued to the recipient. The IRP operator describes the IRN as being generated from a hash algorithm when a valid tax invoice, debit note or credit note is submitted: IRIS IRP for E-Invoicing.

This registration is different from creating a printable document. A PDF or accounting-system invoice without an IRP registration response does not, by itself, provide the IRN, signed invoice data or verifiable QR code required by the e-invoice workflow.

#1 Best Overall
XKDOUS 2 Pack Invoice Books, 2-Part Carbonless Receipt Books
  • Two-Part Carbonless Invoice Book: Each invoice book has 50 sets of invoices, each with a white/light yellow section, with the yellow section retained in the invoice book to maintain detailed records.
  • Consecutively Numbered: Enlarged red 6-digit numbers in the upper right corner of each invoice receipt book help you quickly navigate through your orders.
  • Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
  • 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
  • Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.

Who should check whether e-invoicing applies

Start with the GSTIN that will issue the document, not just the current year’s sales. The IRIS IRP mandate page says the threshold was expanded to an aggregate annual turnover (AATO) of ₹5 crore from 1 August 2023. AATO in any preceding financial year from FY 2017–18 onward is considered, and the figure is based on GST returns. Confirm the current mandate and any exemptions before relying on a turnover calculation: E-invoicing Mandate Under GST.

Applicability check What the IRP material establishes Action for the supplier
Turnover history AATO of ₹5 crore is the published expansion threshold, effective 1 August 2023; any preceding financial year from FY 2017–18 onward is considered. Review GST-return-based AATO for every relevant GSTIN and financial year, rather than checking only current-year revenue.
GSTIN status The GST system identifies eligible GSTINs. A taxpayer may need to update status through the GST system when the portal does not show the expected enablement. Check the GSTIN’s live e-invoice enablement and resolve status issues before issuing covered documents.
Entity or role Regular taxpayers and SEZ developers can generate e-invoices. An e-commerce operator can generate them on a seller’s behalf. Identify who is acting as the supplier and who is only providing a platform or service.
Recipient or transporter The IRP material says only suppliers generate e-invoices; recipients and transporters do not generate them. Do not create a second e-invoice for the same supply merely because the recipient or transporter is involved.
Exemption Applicability and exemptions can change through GST notifications and portal controls. Check the current GST notification position and the live IRP applicability facility for the specific GSTIN.

The ₹5 crore figure is a published mandate threshold, not a guarantee that every business above or below it will have the same portal status. GSTIN-level enablement and any applicable exemption must be checked together.

Prepare before opening the IRP

Registration works best when the commercial invoice has already been reviewed. Gather the information your selected upload format requires and make sure the source system can reproduce it consistently.

  • Supplier identity: use the GSTIN that is actually issuing the document and verify the legal name and address populated or entered for it.
  • Recipient identity: the web-form guide requires the recipient GSTIN. Confirm that it belongs to the intended customer and is entered in the correct format.
  • Document information: prepare the document type, invoice or note number, document date and related references required by the applicable schema.
  • Line-item information: provide the product or service designation and the correct HSN or SAC for each line. Keep quantities, rates, taxable values and totals aligned with the commercial invoice.
  • Tax treatment: enter the values that determine whether IGST, CGST and SGST apply. The web form calculates tax values from the details entered, but the resulting treatment still needs accounting review.
  • Access and authentication: set up the required portal access and multi-factor authentication (MFA). The prerequisites material identifies MFA setup as required for portal access: IRP prerequisites.
  • Duplicate control: make sure the same supplier, document type and document number have not already been sent for registration. The IRP checks duplicate invoice registration.

Keep the original accounting record and the data submitted to the IRP together. Registration confirms what was submitted; it does not replace a review of whether the underlying supply, classification, place-of-supply treatment or tax calculation is correct.

Choose a generation method

The IRP material describes three practical routes. Select the one that minimizes re-keying while preserving a reliable record of the response.

Rank #2
Adams Sales Order Book, 2-Part, Carbonless, White/Canary, 4-3/16 x 7-3/16 Inches, 50 Sets per Book (DC4705)
  • QUALITY INVOICES: Adams Order books provide a professional invoice or customer receipt; a great way to create and maintain a professional image for small businesses and service providers
  • 50 TWO-PART CARBONLESS FORMS: Customers get the perforated white top copy; retain the canary and pink copies for your records
  • WRAP-AROUND COVER: Fold the back cover between sets to keep invoices neat and legible
  • ROOM FOR CUSTOMIZATION: A blank space at top leaves room for your company stamp; a big savings over custom-printed forms
  • CONSECUTIVELY NUMBERED: Large 6-digit numbers in the upper right hand corner help you thumb through orders quickly
Method Best fit How it works Main control
Single-invoice web form Low-volume or occasional invoicing Sign in to the portal, enter one invoice’s details and submit it for registration. Check every field before submission because manual entry can introduce GSTIN, HSN/SAC or amount errors.
Bulk spreadsheet upload Several invoices whose data is already structured Use the portal’s Excel utility or bulk upload format, then submit the prepared file. Validate column formats, dates, totals and row-level GST details before uploading.
ERP or API integration Businesses that issue invoices from an accounting or ERP system Send invoice data from the system to the IRP API and write the returned IRN, signed response and QR data back to the document record. Implement response handling, duplicate prevention, retries and an exception queue rather than assuming every call succeeds.

The IRP pages describe the web form, bulk generation and API integration here: Generate Through Web Form and IRIS IRP for E-Invoicing.

Generate one e-invoice through the web form

The portal guide describes a seven-step web-form flow. Labels can change as the portal is updated, so follow the current on-screen schema while keeping the sequence below.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Sign in and select the issuing GSTIN. Complete the portal login and MFA process, then choose the GSTIN for which the document is being generated.
  2. Start a new document. Select the relevant document type, such as a tax invoice, debit note or credit note, and enter the document number and date required by the form.
  3. Review supplier details. The selected GSTIN can auto-populate some supplier fields. Check the populated values and edit fields that the form permits you to change.
  4. Enter the recipient. Supply the recipient GSTIN and complete the recipient information requested by the form. Confirm that the customer identity matches the commercial invoice.
  5. Add item lines. Enter each product or service designation, HSN or SAC and the other item values requested. Do not combine lines merely to shorten the entry if they have different classifications or tax treatments.
  6. Review tax and totals. The form computes tax values and the IGST, CGST or SGST applicability from the entered details. Compare the calculated result with the approved accounting invoice before sending it.
  7. Submit and save the response. Submit the document to the IRP. For a valid submission, save the returned IRN, digitally signed invoice JSON and QR information, then ensure the issued invoice displays the returned details.

Some fields may be auto-populated from the GSTIN and remain editable. An editable field is not an invitation to override a legal or master-data value without checking the source records.

Generate invoices in bulk

Bulk processing is useful when invoice data is already held in a structured spreadsheet. Use the current Excel utility or portal upload template, map each source-system field to the required column and run your internal checks before uploading.

  1. Download or open the current upload utility and use its prescribed column names, formats and code values.
  2. Export invoice rows from the accounting system instead of retyping them where possible.
  3. Check that every row has the correct supplier GSTIN, recipient GSTIN, document type, number, date, HSN/SAC and tax values.
  4. Recalculate totals independently in the source system and compare them with the upload file.
  5. Upload the file through the portal and retain the upload file, validation response and any row-level error output.
  6. Correct rejected rows without changing accepted documents, then submit only the unresolved documents that still need registration.
  7. Reconcile every successful row to its IRN, signed response and QR data in your accounting record.

Bulk upload does not remove the duplicate check or the obligation to review the returned registration data. Treat the spreadsheet as an input file, not as proof that an invoice was registered.

Connect an ERP or API workflow

An API integration should be designed as a transaction, not as a one-way “send” button. The ERP or billing application should retain the exact payload, the IRP response and the status of each document.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Before submission: validate mandatory fields, GSTIN format, document numbering, HSN/SAC, dates and tax totals in the ERP.
  • At submission: send the document through the supported IRP API and record the request identifier or integration log entry.
  • On success: write the IRN, signed invoice JSON and QR payload or returned representation to the invoice record and render the required details on the customer-facing invoice.
  • On duplicate or validation failure: stop automatic retries that could create confusion, display the returned error, correct the source data and resubmit only when the cause is understood.
  • For reconciliation: produce a report of invoices issued by the ERP versus invoices with successful IRP registration, including documents awaiting action.

The IRP describes API integration for returning registration information into existing business systems. The live schema and API documentation should be treated as the authority for field-level requirements because the material cited here does not list every validation rule.

What the IRP returns after a successful submission

A successful registration should give you three linked artifacts:

  • IRN: the unique registration reference for the submitted document.
  • Digitally signed invoice data: the signed JSON response representing the registered invoice data.
  • QR code: the code generated from the registered information and intended to be displayed on the invoice.

Save all three with the original invoice record. If an integration stores only the IRN but discards the signed response or QR payload, later verification and reconciliation become harder. The registration data is also passed to GST systems and the E-way bill system, and the mandate material says invoice information is used for return population: E-invoicing Mandate Under GST.

Validate the e-invoice you generated or received

Validation should combine an IRP check with an accounting review. The QR code is an important access and verification mechanism, but QR presence alone does not prove that every commercial or tax decision in the source invoice was correct.

  1. Confirm the IRN is present. Match the IRN printed or displayed on the invoice to the IRN stored in the accounting or ERP record.
  2. Check the signed data. Obtain the digitally signed invoice JSON returned by the IRP and confirm that supplier, recipient, document number, date, line items, values and tax details correspond to the issued invoice.
  3. Verify the QR code through the IRP. Use the portal’s “Verify QR Code” facility against the invoice. Do not rely solely on a generic QR-scanner application.
  4. Verify the signed e-invoice. Use the portal’s “Verify Signed E-Invoice” facility to check the signed response. The prerequisites page identifies these verification services in the portal navigation: IRP prerequisites.
  5. Reconcile the commercial record. Compare the verified data with the approved order, delivery or service record and accounting entry. Investigate differences instead of assuming that a successful IRP response corrected them.

The IRP is the authority for IRN registration and checks duplicate registration against IRN data held in a central depository. Its registration response confirms the data submitted by the supplier; it is not a substitute for an independent review of the transaction’s accounting treatment or tax position.

Time-sensitive rules and portal controls

30-day reporting limit for AATO of ₹10 crore or more

IRIS IRP release notes state that, from 1 April 2025, taxpayers with AATO of ₹10 crore or more must report invoices, credit notes and debit notes within 30 days from the invoice date. After that period, IRN generation is restricted. This is a reporting control in addition to the broader e-invoice applicability check, so businesses at or above this AATO level should build an ageing alert into billing operations rather than waiting for a submission failure. See the dated release notes at Notified E-invoice Schema and dated release notes.

Cancellation within 24 hours

The IRP says its basic access permits cancellation of an IRN within 24 hours of generation. Cancellation in the portal does not automatically settle every accounting, commercial or tax consequence. Follow the business’s credit-note, customer-communication and GST-return procedures separately, and retain evidence of the cancellation and any replacement document: IRIS IRP for E-Invoicing.

Narrow RSP validation change from 1 February 2026

The 1 February 2026 release note relaxed Total Item Value validation for RSP-based tax calculations when both conditions are met: at least one line item has an HSN notified for RSP-based calculation, and the document date is on or after 1 February 2026. The note lists suppression of validation errors 2194, 2234 and 2235 on the API, web form, Excel utility and JSON upload platforms. This exception is limited to that RSP scenario; it should not be applied to ordinary invoices. Consult the current release note and schema before changing an integration: Notified E-invoice Schema and dated release notes.

Multi-factor authentication

MFA setup is identified as a prerequisite for portal access. Complete it before an urgent invoice run and maintain an approved recovery or administrator process so that a lost authentication method does not stop billing: IRP prerequisites.

Common failure points and practical fixes

The GSTIN is not enabled

First recheck the GSTIN, turnover history and exemption position. If the business believes the GSTIN should be enabled, use the GST system’s status-update path described by the IRP prerequisites and then recheck the live IRP status. Do not create a substitute invoice workflow that omits registration without confirming the applicable rule.

The portal reports a duplicate document

Search the ERP, bulk-upload logs and prior IRP responses for the same supplier, document type and number. If an earlier attempt succeeded, use that IRN and signed response instead of submitting another document. If the earlier attempt failed, preserve the error response and correct the source record before retrying.

Amounts or tax type do not match

Compare the line-level taxable values, HSN/SAC, place-of-supply inputs and entered tax values with the approved invoice. The web form calculates IGST, CGST and SGST applicability from entered details, so a wrong input can produce a technically registered but commercially incorrect result. Correct the source data and follow the applicable cancellation or credit-note process rather than silently editing a registered invoice.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

An upload or API file fails schema validation

Use the current schema, utility and release notes. Check data types, mandatory fields, date formats, code values and line-to-header totals. Because the cited portal material does not enumerate every field-level rule, use the exact error response and the live schema for diagnosis instead of guessing at a fix.

The QR code will not verify

Confirm that the QR data came from the successful IRP response and was not altered while rendering or printing. Try the IRP’s “Verify QR Code” service, then compare the displayed invoice values with the signed JSON. A visually present QR code that fails the IRP check should be treated as an unresolved registration or rendering problem.

Recommended control checklist

  • Check applicability for each issuing GSTIN using turnover history, entity status and current exemption information.
  • Confirm MFA and portal or API credentials before the invoice date.
  • Use one controlled document-numbering sequence across the accounting system and IRP submissions.
  • Validate recipient GSTIN, HSN/SAC, document date, line values and tax treatment before sending.
  • Store the source invoice, submitted payload or upload row, IRP response, IRN, signed JSON and QR representation together.
  • Verify a sample or every required invoice through the IRP facilities according to the business’s control policy.
  • Monitor the 30-day reporting window when AATO is ₹10 crore or more.
  • Route cancellations, corrections and credit notes through accounting and tax review as well as the portal function.
  • Reconcile ERP-issued invoices to successful IRNs and investigate any document with no registration response.
  • Review current GST notifications, portal notices, schema versions and release notes whenever the IRP changes its controls.

Keeping the process reliable as volume grows

A web form is practical when invoices are occasional, but repeated manual entry increases the chance of inconsistent GSTINs, classifications and totals. Bulk upload reduces re-keying when the business already maintains structured data. ERP or API integration provides the strongest audit trail when the system can capture responses, prevent duplicate retries and place failed documents in a visible exception queue.

Whichever method you choose, keep registration and verification as separate checkpoints: the first proves that the IRP accepted the submitted document and returned an IRN; the second confirms that the issued invoice still corresponds to the registered data. That separation makes it easier to identify whether a problem is a portal-status issue, a data-quality issue, an integration failure or an accounting decision that needs professional review.
