Generate an Indian GST e-way bill on the official GST e-way bill portal by signing in with your GSTIN (or a Transporter ID), entering the invoice or delivery-challan information in Part A, adding the actual transport details in Part B, and submitting the form. Part A can be saved temporarily when the vehicle or transporter is not yet known, but the document is not complete until the required Part B information is entered.

What an e-way bill is—and when you need one

An e-way bill is the electronic document used to record the movement of specified goods under India’s GST system. The official FAQ describes it as a document required for a person in charge of a conveyance carrying a consignment whose value exceeds ₹50,000, under Section 68 of the GST Act and Rule 138.

That ₹50,000 figure is the general rule, not a universal requirement for every shipment. Exemptions, special categories, and state or notification-based provisions can change the result. The official FAQ specifically notes that some handicraft movements and some job-work consignments may require an e-way bill even below ₹50,000. Before entering anything, check the current CGST Rules, applicable notifications, and any state or Union-territory provisions for your movement.

Movements commonly covered

  • A taxable supply, including a sale or transfer between businesses.
  • A supply that is not a sale, such as a return, replacement, transfer between branches, or other business movement.
  • Movement for reasons such as processing, job work, or delivery under a document other than a tax invoice, where the rules call for an e-way bill.

Documents that can support the movement

Have the applicable invoice, bill of supply, delivery challan, or bill of entry ready. The document number and date must match what you enter online. The person in charge should carry the relevant document and either a copy of the e-way bill or its number in electronic form. An inspecting officer can use the number to verify the record.

What you need before opening the portal

Preparing the information first prevents most validation errors and avoids starting the validity clock before the vehicle is ready.

  • Portal access: a GSTIN and the registered contact used for authentication, or an existing portal login.
  • Two-factor authentication: the portal landing page states that two-factor authentication is mandatory for taxpayers and transporters from 1 April 2025. Keep access to the registered mobile or other configured authentication method.
  • Source document: invoice, bill of supply, delivery challan, or bill of entry, including its number, date, value, and applicable tax details.
  • Party details: consignor and consignee names, addresses, and GSTINs where applicable.
  • Goods details: description, quantity, unit, taxable value, tax rates or amounts, and the applicable HSN information.
  • Transport information: transporter ID, vehicle number for road transport, or the relevant transport-document number for another mode.

If a consignor or consignee is not registered under GST, enter URP in the corresponding GSTIN field, as directed by the official FAQ. Do not substitute a made-up GSTIN.

Registering or signing in

GST-registered business

  1. Open the official GST e-way bill portal and choose the registration option for a GST-registered person.
  2. Enter the GSTIN and the requested business and contact details.
  3. Authenticate the registered mobile or email contact with the one-time password (OTP) and complete the portal’s two-factor setup.
  4. Use the issued credentials to sign in. If the GSTIN was already enrolled, use the existing login and the portal’s recovery process rather than creating a duplicate registration.

Unregistered transporter

A transporter that is not registered under GST must enroll on the portal to obtain a 15-digit Transporter ID, also called a TRANSIN. That ID identifies the transporter in e-way bill transactions. A GST-registered consignor can use the transporter’s ID when the transporter is handling the movement.

Transporter acting for a consignor

The consignor can prepare the transaction information and assign the entry to the transporter. The transporter then supplies the vehicle or transport-document information. Agree in advance who will enter Part B so that the bill is completed before movement begins.

How to generate an e-way bill online

1. Confirm the requirement and choose the transaction type

After signing in, open the portal’s option to generate a new e-way bill. Select the appropriate transaction type and the reason for movement. Use the source document—not an estimate—as the basis for the entry. If the movement is exempt, do not generate a bill merely because the goods are being transported; first establish that the applicable rule requires one.

2. Enter the document and party information (Part A)

Part A records the commercial transaction. Enter the document type, document number, document date, value, and the consignor and consignee details requested by the form. Match spelling, addresses, GSTINs, and dates to the invoice, bill of supply, delivery challan, or bill of entry.

Then enter the goods lines: description, HSN, quantity, unit, taxable value, and the relevant tax components. Review the total against the source document before proceeding. A mismatch can trigger a validation failure or create a record that does not describe the physical consignment.

3. Save a Part-A slip when transport details are unavailable

If the vehicle, transporter, or transport-document number is not known yet, save the entry as a Part-A slip. You can assign the entry to the transporter where appropriate so that the missing transport information can be completed later.

A Part-A slip is only a saved transaction entry. It is not a completed e-way bill and, by itself, does not authorize movement. The transporter or authorized user must add Part B before the goods move.

4. Complete Part B

Part B identifies how the goods will actually travel.

  • Transshipment or a vehicle change: the transporter or authorized generator can update the Part B information during the validity period so it reflects the current leg of the journey.

Use the vehicle or document that will genuinely carry the consignment. Do not enter a placeholder vehicle number simply to obtain a bill; the transport details must correspond to the movement.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

5. Submit and record the e-way bill number

Check every field against the source document and submit the entry. The portal issues an e-way bill number (often called the EBN) and displays the completed record. Save the number with the invoice or challan and make it available to the person in charge of the conveyance.

Validity begins when the first Part B information is entered—not when Part A was prepared. If Part B is entered hours or days after the Part-A slip, the validity calculation starts at that later time.

Part A versus Part B

Section What it contains Can goods move on it alone?
Part A Transaction, document, party, and goods information No. A saved Part-A slip is incomplete.
Part B Vehicle number or the relevant transport-document and movement information Yes, once the required fields are submitted and the e-way bill is generated.

Think of Part A as what is being moved and Part B as how it is moving. Both must describe the same consignment.

How long an e-way bill remains valid

The official FAQ uses distance-based validity. The regular rate is one day for every 200 km, or part of 200 km. Over Dimensional Cargo (ODC) uses one day for every 20 km, or part of 20 km.

Movement type Validity increment Illustrative calculation
Regular transport 1 day per 200 km or part thereof 401 km requires 3 days (200 + 200 + the remaining 1 km).
Over Dimensional Cargo 1 day per 20 km or part thereof 41 km requires 3 days (20 + 20 + the remaining 1 km).

The regular 200-km rate is the GST e-Way Bill System’s stated update effective 1 January 2021, replacing the previous 100-km rate. The FAQ text checked on 11 October 2026 states the 20-km rate for ODC.

Validity starts with the first Part B entry and expires at midnight on the last validity day. Adding a later Part B update does not recalculate or restart the original validity period. Plan the first Part B submission accordingly, especially when a vehicle is being arranged in advance.

What to do when details change in transit

Vehicle or mode changes

When a vehicle is replaced, or the consignment changes transport mode, the transporter or another authorized user can update Part B within the bill’s validity period. Enter the new vehicle or transport-document information promptly so the electronic record follows the actual movement.

Exceptional delay

Extension is intended for exceptional circumstances, not routine late planning. It requires transporter action and updated movement information. If a delay threatens expiry, check the portal’s current extension facility and the rules that apply to the consignment before the existing validity ends.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

After expiry

An expired bill does not remain usable simply because the truck has not arrived. The FAQ states that, absent a valid extension for an exceptional circumstance, the goods should not be moved under the expired bill. Resolve the situation through the current portal procedure and applicable rules before continuing.

Correcting a wrong e-way bill

Review carefully before pressing submit. According to the official FAQ, a submitted e-way bill cannot be edited or corrected. If the document, value, party, goods, or transport information is wrong, the stated remedy is to cancel the incorrect e-way bill and generate a new one with the correct details.

  1. Stop relying on the incorrect record for the movement.
  2. Use the portal’s cancellation function, subject to the time and status restrictions shown there.
  3. Correct the source information and generate a replacement e-way bill.
  4. Give the replacement number to the transporter and person in charge, and retain the cancellation and replacement records with the transaction file.

Do not create a second bill merely to hide an error while continuing to use the first one. The document accompanying the goods should be the valid bill that matches the actual consignment.

What the person in charge should carry

  • The applicable invoice, bill of supply, delivery challan, or bill of entry.
  • A copy of the e-way bill or its number in electronic form.
  • Current vehicle and transporter details that match Part B.

The number can be quoted to an officer for verification, so it should be accessible even when a printed copy is not used. A printer or special stationery is not a prerequisite for the online process.

Common errors and practical fixes

Symptom Likely cause What to check
OTP or two-factor authentication fails Using an unregistered contact or an incomplete post-1 April 2025 setup Confirm the GSTIN’s registered contact, complete the portal’s two-factor enrollment, and use the recovery process if the account already exists.
GSTIN validation rejects a party The party is unregistered or the GSTIN was mistyped Verify the number; use URP only for a genuinely unregistered party where the form requires it.
Vehicle details are unavailable Transport was booked after the commercial entry Save a Part-A slip and have the transporter complete Part B before movement.
Portal rejects a goods line HSN, unit, tax amount, or value does not reconcile Compare each line with the invoice and current portal validations. Official announcements list additional generation validations effective 2 December 2025, so a rejection can reflect a rule that was added after an earlier workflow.
Entry contains an error after submission Submitted bills are not editable Cancel the incorrect bill and generate a corrected one; do not overwrite the source document.
Validity is shorter than expected Part B was entered earlier than planned, or the distance category was misapplied Recalculate from the first Part B time using 200 km per day for regular transport or 20 km per day for ODC, then check the portal’s current extension rules.

Portal validations change over time. The official announcements include a validation relaxation effective 1 February 2026 for certain HSNs subject to retail-sale-price-based calculation, among other system changes. That notice is relevant only when the goods and calculation method fall within its scope; it is not a general exemption from entering accurate data.

For businesses generating many bills

The official FAQ describes API integration for a registered person’s own system. An accounting, logistics, or ERP system can therefore be connected where the business meets the portal’s registration, authentication, and technical requirements. Integration does not remove the obligation to supply accurate document and transport data, monitor validity, or correct a rejected transaction.

Before automating, define who owns each step: invoice creation, Part A entry, transporter assignment, Part B completion, vehicle-change updates, cancellation, and exception handling. Keep an audit trail linking the source document, e-way bill number, amendments or cancellation, and the final transport details.

A final pre-dispatch checklist

  1. Confirm that the movement is covered by the current GST rule or notification and check any exemption.
  2. Verify that the invoice, bill of supply, delivery challan, or bill of entry is final.
  3. Check consignor, consignee, GSTIN or URP, address, goods, HSN, quantity, value, and tax details.
  4. Confirm the transporter ID and the vehicle number or transport-document number.
  5. Complete Part A and Part B; do not treat a Part-A slip as the finished bill.
  6. Record the e-way bill number and compare the generated record with the source document.
  7. Calculate validity from the first Part B entry and ensure the planned journey fits within it.
  8. Give the valid number and supporting document to the person in charge before dispatch.

This process produces a usable e-way bill without assuming that every consignment needs one. The legal requirement depends on the movement, goods, value, and current rules; the portal entry must then accurately reflect the transaction and the actual transport.
