How to Free Up System Data Storage on Your Mac: Complete Guide

System Data is a broad macOS storage category, not a folder to delete. This guide shows how to identify its real sources and reclaim space safely.

System Data is not one folder you can safely delete. On macOS Ventura 13 and later, it is a broad classification for Apple and third-party files that do not fit categories such as Applications, Documents, Photos, Music, or Messages. It can include caches, logs, local Time Machine snapshots, iPhone and iPad backups, application data, update resources, virtual machines, developer files, and other items macOS cannot classify more specifically.

The safe approach is to identify the actual space consumers, remove only data you recognize as expendable, and allow macOS time to recalculate storage. Apple’s explanation and built-in cleanup recommendations are documented at Apple Support.

What “System Data” means

The Storage graph is a classification system, not a diagnosis. macOS system files are essential operating-system components and should not be manually removed. System Data is a mixed bucket that may contain removable user or application data. Purgeable space is data macOS may reclaim automatically when necessary; it is not a directory to delete.

A large figure can be legitimate, temporarily overstated while storage is recalculated, or caused by a program that is continually creating files. Deleting 20 GB does not guarantee that the System Data label will fall by exactly 20 GB: the display may update later, another category may absorb the files, or free space may simply increase.

Before you remove anything

  • Make a current backup, especially before removing backups, application data, or developer files.
  • Record the available free space and close large applications.
  • Restart the Mac, then wait for the Storage calculation to finish again.
  • Keep enough working space for the immediate task, such as an update or file copy. A fixed 15–20% requirement is not an Apple specification; practical needs vary by workload.

Step 1: Check storage in System Settings

  1. Open Apple menu  > System Settings.
  2. Select General, then Storage.
  3. Wait until the calculation completes.
  4. Select categories and choose More Info where available to review large files, applications, downloads, messages, media, and backups.

On older macOS releases, use Apple menu  > About This Mac > Storage. If the number looks implausible, restart and check again before deleting anything.

Step 2: Use Apple’s built-in recommendations

Depending on your Mac and account, Storage may offer:

  • Store in iCloud and Optimize Storage for iCloud-managed files and media.
  • Empty Trash Automatically.
  • Reduce Clutter and reviews of large files, downloads, documents, applications, messages, media, and device backups.

iCloud optimization can remove local copies, but it uses your iCloud quota and is synchronization—not a standalone backup. Apple’s U.S. support page currently lists a 50 GB entry tier at $0.99 per month; pricing and tiers vary by country and can change.

Step 3: Find large personal files with Finder

  1. Open Finder and select your internal drive under Locations.
  2. Choose File > Find, add a file-size criterion such as “greater than,” and sort the results.
  3. Review old .dmg and .pkg installers, ZIP archives, screen recordings, video exports, disk images, virtual machines, Downloads, and duplicate project archives.
  4. Move files you must retain to a reliable external drive, then empty Trash only after verifying the originals are no longer needed.

Be careful with synchronized folders: deleting a local iCloud Drive or other synced file may delete it on other devices too.

Step 4: Remove old iPhone and iPad backups

Old device backups are a legitimate cleanup target. Connect the device if necessary, open Finder, select it in the sidebar, and use the device-management controls to view and delete backups that are clearly obsolete.

The usual local backup directory is ~/Library/Application Support/MobileSync/Backup. Folder names are not readable identifiers, so do not delete one merely because it looks old. Confirm that a backup is unnecessary and that another current backup exists first.

Step 5: Check local Time Machine snapshots

When the Time Machine destination is unavailable, macOS can keep local APFS snapshots. They record changed blocks while unchanged blocks remain linked to existing data, so an apparent snapshot size is not necessarily equivalent to that much additional disk usage. tmutil listlocalsnapshots /

Use the exact identifiers returned by your Mac. To remove one specifically named snapshot:

sudo tmutil deletelocalsnapshots YYYY-MM-DD-HHMMSS

Never invent a date or delete blindly. A commonly used thinning request is:

sudo tmutil thinlocalsnapshots / 10000000000 4

Behavior and syntax can vary with macOS release, APFS state, backup configuration, and permissions. Check the local manual first with man tmutil. macOS may also reduce snapshots automatically when space is required; if snapshots are not the cause, removing them will not materially change the category.

Step 6: Review caches without deleting application data

Many caches can be regenerated, but deleting support data is a different operation. Quit the owning application, then in Finder choose Go > Go to Folder and enter ~/Library/Caches. Delete only clearly identifiable cache contents. The system-wide location /Library/Caches requires more caution and administrator authentication.

  • The next launch may be slower and an app may redownload content.
  • Do not delete an entire folder under ~/Library/Application Support unless you understand its contents; it may contain libraries, presets, profiles, offline data, or project files.
  • Do not routinely erase all logs, preferences, or /private/var contents. Running services may depend on them.

Step 7: Investigate app and professional-workflow data

On developer and creative Macs, System Data is often application-created rather than macOS itself. Inspect these sources through their owning products:

  • Homebrew and Node package caches.
  • Adobe media caches, Final Cut Pro render and proxy files, Logic Pro sound libraries, and creative-app autosaves.
  • Game assets, messaging attachments, local AI models, and launcher downloads.

Use Xcode’s storage controls, Docker’s cleanup interface, or the virtualization product’s manager so dependencies are visible. Do not run destructive commands copied from a generic cleanup list.

Step 8: Inspect usage with Terminal

These commands inventory usage; they do not delete anything:

du -sh ~/Library/* 2>/dev/null | sort -h
du -sh ~/Library/Application Support/* 2>/dev/null | sort -h
du -sh ~/Library/Containers/* 2>/dev/null | sort -h

For system-wide inspection:

sudo du -sh /Library/* 2>/dev/null | sort -h
sudo du -sh /private/var/* 2>/dev/null | sort -h

sudo grants elevated access. Use it for inspection only unless you have a documented, reversible cleanup procedure for the specific application or service.

Step 9: Remove unused applications properly

Use an application’s official uninstaller when one is supplied. Otherwise, remove the application and inspect related Application Support, Containers, saved states, plug-ins, and helper tools only after confirming it is no longer needed. Do not delete shared frameworks or system extensions merely because their names resemble the app.

Step 10: Review Mail, Messages, media, and Downloads

  • Erase junk and deleted mail.
  • Remove downloaded films, podcasts, or music that can be downloaded again.
  • Review Downloads and old exports.
  • Remember that Mail attachments and Messages attachments can occupy local storage independently of visible message text.
  • Move large Photos, iMovie, or other media libraries to a properly formatted, reliable external drive if appropriate.

An external drive must stay connected when the library is needed and must be included in your backup plan. Moving files is not the same as backing them up.

Step 11: Use Safe Mode for emergency space

Apple says Safe Mode clears certain system caches and can temporarily free enough room for an update or another urgent operation. It is not a complete System Data cleanup method.

Apple silicon

  1. Shut down the Mac.
  2. Press and hold the power button until startup options appear.
  3. Select the startup volume, hold Shift, and choose Continue in Safe Mode.
  4. Log in, perform the urgent task, then restart normally.

Intel

  1. Shut down or restart the Mac.
  2. Immediately hold Shift.
  3. Release it when the login window appears, complete the task, and restart normally.

Why the number may not shrink

Symptom Likely explanation What to do
Deleted files still appear Trash is not empty or Storage has not recalculated Confirm the files, empty Trash, restart, and wait for Storage to update
Space returns after cleanup An app, sync service, backup, or cache is recreating data Identify the owning folder, monitor it, and update or reconfigure the responsible app

What not to delete

Do not mass-delete /System, /usr, /bin, /sbin, /private/var, or /Library. Some subfolders may contain removable data, but handle them through the responsible application or a documented Apple procedure—not by deleting the directory wholesale. Never delete everything in ~/Library.

Do you need a cleanup utility?

Usually not. Apple Storage settings, Finder, Safe Mode, and careful Terminal inspection resolve many cases.

  • iCloud+: useful for ongoing local optimization of iCloud-managed data, but it adds subscription cost and internet dependence.

Choose inspection-first tools rather than any product promising to “delete System Data” with one click.

When to get help or consider reinstalling macOS

Stop deleting files and seek Apple or software-vendor support if storage grows continuously, the Mac reports disk errors, applications lose data, or you cannot identify the owner of a large folder. Reinstalling macOS should be a last resort after a verified backup and diagnostics; it is not a substitute for removing a runaway app, virtual disk, or backup set.

Quick checklist

  1. Back up and record free space.
  2. Restart and recheck System Settings > General > Storage.
  3. Use Apple’s recommendations and empty Trash after review.
  4. Find and move or delete large personal files, installers, and archives.
  5. Remove obsolete iPhone/iPad backups.
  6. List and carefully manage local Time Machine snapshots.
  7. Inspect caches, application support data, containers, developer files, and media caches through their owning apps.
  8. Use Safe Mode if temporary cache space is blocking an urgent operation.
  9. Use a disk analyzer only when the source remains hidden, and review every deletion.
