How to Fix the 0x80004005 Mail Error in Outlook and Windows Mail

Start by correcting the code: the commonly documented mail error is 0x80004005, not 0X080004005. It is a generic Windows HRESULT, so it does not identify one fault by itself. The right fix depends on whether you use classic Outlook, new Outlook for Windows, the retired Windows Mail/Mail & Calendar apps, or Windows Live Mail, and on whether the failure affects sending, receiving, one folder, one message, or an entire account.

Check the connection, Outbox, credentials and software updates first. Then test classic Outlook without add-ins, repair or recreate its profile, repair Office, and run SCANPST.EXE only when a local PST file may be damaged. If several Microsoft 365 users are affected, investigate service health instead of repeatedly changing local settings.

What 0x80004005 means in a mail application

0x80004005 is an “unspecified error” HRESULT used by more than one mail component. In practice, the same value can accompany a failed connection, expired credentials, a blocked attachment, a damaged Outlook profile or PST file, an incompatible add-in, an Office installation problem, or a server-side Exchange condition. The text surrounding the code and the action that triggered it are more useful than the number alone.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft has documented several different mail incidents carrying this HRESULT. A message that appears when you choose Send/Receive > Update Folder in classic Outlook is not diagnosed the same way as an error while adding an account in Mail & Calendar or a POP3 failure in Windows Live Mail.

Identify the client before changing anything

Client or service Typical trigger Most relevant first checks
Classic Outlook for Windows Send/Receive, Update Folder, sending, receiving, or a reply/forward Connection status, Outbox, credentials, updates, Safe Mode and profile health
New Outlook for Windows Account synchronization or sending and receiving Account sign-in, service status and current app updates; classic-Outlook Safe Mode does not apply
Windows Mail or Mail & Calendar Adding an account or saving app settings Account authentication and app support status; old re-registration advice is only a conditional workaround
Windows Live Mail POP3 download or send operation Webmail access, mailbox contents, authentication and account configuration; historical guidance may not fit a current provider

Use the symptom to narrow the cause

What you observe Likely scope Start here
One message remains in Outbox Message content, attachment size or a single recipient Open the oldest Outbox item and remove or replace a large attachment
All mail stops and the status bar says Disconnected or Working Offline Network, account sign-in or Outlook connection Restore internet access, turn off Work Offline and authenticate again
Only one folder fails when you select Update Folder Mailbox-folder synchronization, possibly server-side Install current updates and check the Microsoft 365 server-build fix
Outlook works in Safe Mode only An add-in is interfering with the client Disable add-ins one at a time and retest
Several people cannot connect Microsoft 365 or Exchange service availability Have an administrator review Service health
Failure occurs only for one reply or forward recipient Malformed AutoComplete recipient entry or an older Office build Update Office and recreate the recipient entry

Manual fixes, in the order to try them

1. Confirm internet access and Outlook’s connection state

  1. Open a browser and load a site you normally use. If it does not load, fix the network, VPN or captive-portal problem before changing Outlook.
  2. In classic Outlook, read the status bar at the bottom of the window. Disconnected, Working Offline or Trying to connect… indicates that the client is not communicating normally.
  3. Choose Send/Receive > Work Offline to clear Work Offline when it is selected. Wait for the status to return to connected, then choose Send/Receive All Folders.
  4. If the browser works but Outlook remains disconnected, continue with authentication and profile checks rather than repeatedly clicking Send.

2. Inspect the Outbox and the oldest stuck message

  1. Open the Outbox and start with the oldest unsent item. A failed item can hold up later messages.
  2. Open the message, remove its attachment, save it, and try again. Microsoft’s current send/receive guidance uses 20 MB as an example size at which some providers reject an attachment; the actual limit belongs to the sender’s and recipient’s services.
  3. For a large file, upload it to a cloud-storage service that both parties can access and send a link instead.
  4. If the message has no large attachment, copy its text into a new message and address it again. This distinguishes a damaged draft from an account-wide failure.

Do not delete an important unsent message until you have copied its contents and attachments somewhere safe.

3. Sign in again after a password or security change

  1. Sign in to the mailbox through the provider’s webmail page. This confirms that the account itself accepts the current password and may reveal a security prompt that Outlook cannot display.
  2. If the password was changed on the provider’s website, enter the new password when Outlook asks for it. Do not keep retrying an old saved password.
  3. Some providers require an app password for desktop mail. Generate that credential in the provider’s account-security settings and enter it in Outlook instead of the normal sign-in password.
  4. If the provider has blocked a sign-in, complete its verification or unblock process before testing Outlook again.

4. Install Windows and Office updates

Microsoft identifies out-of-date software and corrupted Outlook profiles as two common reasons for failed sending and receiving. Install pending Windows updates, then update Microsoft 365 or Office from any Office application’s File > Account > Update Options > Update Now menu when that menu is available. Restart Windows and test the same mail action again.

Updating matters especially when the error began after a Microsoft 365 service change or when your build predates a documented fix. Record the Office version and build before and after updating so an administrator can correlate the change with the failure.

5. Test classic Outlook in Safe Mode

  1. Close Outlook.
  2. Press Windows key + R, type outlook.exe /safe, and press Enter. If Windows cannot find the command, browse to the Office installation or use the Run dialog from a standard Outlook installation.
  3. Try the operation that failed, such as sending a short message or updating a folder.
  4. If mail works in Safe Mode, an add-in is a likely cause. Close Safe Mode, open File > Options > Add-ins, choose COM Add-ins in the Manage box, select Go, clear the add-ins, and restart Outlook normally.
  5. Re-enable add-ins one at a time, testing after each change. The add-in that brings the error back should remain disabled or be updated by its vendor.

Safe Mode is a diagnostic test for classic Outlook. It does not repair a server problem and it is not the same as starting Windows in Safe Mode.

6. Repair or recreate the Outlook profile

A profile contains account and connection settings. Repairing it can correct a bad configuration without touching mail stored on the server.

  1. Use Outlook’s account or profile repair flow when it is offered, then restart Outlook and send a test message.
  2. If repair fails, close Outlook and open the Windows Control Panel. Search for Mail, open Mail (Microsoft Outlook), choose Show Profiles, and select Add to create a new profile.
  3. Configure the account in the new profile and choose Always use this profile after confirming that folders synchronize and new mail arrives.
  4. Keep the old profile until you have verified that required accounts, signatures, contacts and local archives are available. A new profile does not automatically copy a standalone PST archive.

For a Microsoft 365 or Exchange mailbox, most mail remains on the server and can synchronize into the new profile. POP3 and locally archived PST content requires extra care because it may exist only on the computer.

7. Repair the Microsoft 365 or Office installation

  1. Save your work and close every Office application.
  2. Open Settings > Apps > Installed apps (or Apps & features on older Windows).
  3. Select Microsoft 365 or your Office installation, choose Modify, and run the available repair option. Use the more comprehensive online repair when a quick repair does not correct the client.
  4. Restart Windows, install any remaining Office updates, and test Outlook with the repaired installation.

Repairing Office can reset components and may require you to sign in again. It does not restore a PST that is physically damaged; use the data-file repair step for that condition.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

8. Check a PST with the Inbox Repair Tool

Use this step only for an account or archive that uses an Outlook Data File with a .pst extension and shows signs of local corruption, such as folders that will not open, repeated synchronization errors or Outlook closing while reading one folder.

  1. Close Outlook and make a backup copy of the PST before attempting a repair.
  2. Locate and run Microsoft’s SCANPST.EXE (the Inbox Repair Tool) from the Office installation. If several Office versions are installed, choose the tool that matches the Outlook installation using the file.
  3. Browse to the PST, start the scan, and save the scan log. Allow the tool to create a backup before repair when prompted.
  4. Open Outlook after the repair and test the previously failing folder. A repair may recover folder structure but cannot guarantee recovery of every damaged item.

Do not run SCANPST against an OST cache simply because the error mentions synchronization; rebuilding an Exchange or Microsoft 365 cache is a different operation and should follow the account or administrator’s guidance.

9. Check Microsoft 365 service health when the problem is widespread

If multiple users lose Exchange connectivity, or several devices fail at the same time, local profile repair is unlikely to be the first answer. A Microsoft 365 administrator should sign in to the admin center and review Service health for Exchange Online and related identity services. The administrator can also run Microsoft’s Outlook User Connectivity diagnostic.

Collect the time of failure, affected users, client versions, exact error text and whether webmail works. Those details help distinguish a tenant or service incident from a single damaged computer. Wait for the service issue to be resolved before rebuilding profiles on every device.

Microsoft’s current classic Outlook folder-sync issue

Microsoft’s June 23, 2026 known-issue entry describes classic Outlook users whose mailbox folders stop synchronizing. Manually choosing Send/Receive > Update Folder can return Task ‘ ’ reported error (0x80004005): The operation failed. Microsoft marks that issue STATUS: FIXED and says the server-side rollout is available in builds greater than 15.21.0155.000.

This is a server-build condition, not evidence that your PST is corrupt. Install current Office updates, allow time for the mailbox to move to a server build above that level, and test again. If the hosted mailbox is still on an older server build, Microsoft advises contacting Support rather than repeatedly deleting local data or profiles.

When the error appears only on reply or forward

Microsoft also documented a separate non-delivery problem carrying 0x80004005-0x00000000-0x00000000. It was fixed in Version 2403 Build 17425.20146, released March 29, 2024.

  1. Install current Office updates before attempting invasive repairs.
  2. Send a new message to the same address. If a new message works but reply or forward fails, the stored AutoComplete recipient entry may be malformed.
  3. Remove the recipient from the address field’s suggestion list, select the address again from the address book or type it afresh, and retry.
  4. If the problem follows the recipient on more than one device, ask the recipient to confirm the address and check any transport or policy rejection shown in the non-delivery report.

Legacy Windows Mail and Mail & Calendar

A January 2020 Microsoft Q&A thread records 0x80004005 while updating Mail & Calendar settings. A volunteer suggested re-registering the microsoft.windowscommunicationsapps package with PowerShell. That advice is dated and conditional, not a universal current fix.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Back up important mail and confirm that the account is accessible through webmail.
  2. Open Windows PowerShell (Admin).
  3. Run the package re-registration command:
Get-AppxPackage -allusers Microsoft.windowscommunicationsapps | ForEach {Add-AppxPackage -DisableDevelopmentMode -Register "$($_.InstallLocation)AppXManifest.xml"}
  1. Restart Windows and test the Mail app.
  2. If the package is missing, the command reports deployment errors, or the app is no longer supported in your Windows release, stop troubleshooting the retired app and move the account to a supported mail client.

Do not use this PowerShell step to fix classic Outlook. It targets the Windows communications-app package and can produce errors when the package is not installed for the current user.

Windows Live Mail and POP3: treat old advice as historical

A 2015 Microsoft Q&A thread describes 0x80004005 with a POP3 account and discusses mailbox contents, webmail cleanup, account reconfiguration and authentication as possible factors. Windows Live Mail is an old client, and provider requirements have changed since that discussion.

  1. Sign in to webmail and check whether the mailbox is full or contains a message that the POP3 client cannot process.
  2. Confirm the current incoming and outgoing server names, ports, encryption and authentication requirements with the mail provider.
  3. Remove or move a problematic message in webmail only after saving a copy if it is important.
  4. Recreate the POP3 account in a supported client using the provider’s current settings. Preserve local folders and exported mail before deleting the old account.

Do not assume that a setting from the 2015 discussion remains valid for your provider, and do not present that historical thread as proof of one universal Windows Live Mail fix.

Choose the next step by account type and scope

Account type Where the authoritative mail normally lives Risk to local data Best escalation
Exchange or Microsoft 365 Mailbox server, with a local cache Usually low when creating a profile, but local archives still need backup Service health, server-build status, profile recreation
IMAP Server folders, with local synchronization Local-only folders and exports need backup Webmail test, credentials, provider limits and a new profile
POP3 Often the computer after download High if mail exists only in a PST or local folder Back up data, verify webmail, then reconfigure carefully

What not to do

  • Do not treat the five-digit-looking title code as a precise diagnosis; verify the hexadecimal value shown by the client.
  • Do not delete a profile, account or PST before backing up local archives and unsent messages.
  • Do not keep retrying a message with an attachment that exceeds the provider’s limit.
  • Do not run PST repair tools against an unrelated OST cache without a reason.
  • Do not apply a 2020 Mail app workaround or a 2015 Windows Live Mail discussion as though it were current Microsoft guidance.
  • Do not rebuild every user’s profile during a tenant-wide outage; check Service health first.

As an optional shortcut after the manual checks, Outbyte PC Repair can look for common Windows problems, damaged system elements, invalid redirects, shared DLL issues, settings that increase CPU, RAM or disk load, temporary and cache files, and app-crash clues. It runs on Windows 11, 10, 8 and 7 and offers a free trial by category for at least two days before a subscription; it complements an antivirus rather than replacing one, results vary, and no tool repairs every crash.
