Error 5 means the account running the copy cannot perform an operation under the applicable permissions. Error 32 means another process has the file open in a way that blocks Robocopy. Read the error number, operation, and complete path first; then use backup mode only for authorized permission failures, or identify and safely release the process holding a locked file.
Start with the exact error, operation, and path
Do not change Robocopy switches before identifying what failed. A log entry may occur while copying file data, creating a directory, deleting an extra destination item, or reading a security descriptor. The same command can therefore show different errors for different paths.

Capture a diagnostic run with a log file or echoed output:
robocopy "C:\Source" "D:\Destination" /E /R:2 /W:5 /LOG:"C:\Logs\robocopy.log" /TEE
/LOG: writes the run to a file, while /TEE displays output in the console as well as writing it when a log switch is used. Record these details from the failing line:

A Microsoft Q&A case illustrates why this matters: one run reported error 32 while deleting extra destination files and error 5 while accessing a protected destination directory. That report is an example, not a universal diagnosis for every machine.
Read the operation, not just the headline
An access-denied line for a destination directory points toward permissions on that directory or its parent. A sharing violation on a file that Robocopy is trying to delete points toward a process holding that file open. A failure while applying security metadata may be caused by the selected copy flags rather than by the ability to read ordinary file data. Classifying the operation prevents an otherwise successful copy from being misdiagnosed because one cleanup or metadata step failed.
Error 5: fix an access-denied failure
Verify the paths and the account first
Confirm that the source and destination are the intended locations. A typo, an unexpected mapped drive, or a destination that is more restricted than expected can look like a Robocopy permission problem.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsNext, identify the Windows account and context that actually launches Robocopy. A scheduled task, service, remote-management session, and interactive administrator prompt may use different credentials. The account needs the intended access to the source and destination, and network shares also apply share-level permissions in addition to NTFS permissions. Authentication, server-side permissions, and security software are machine-specific; no switch can guarantee access to a resource the account is not authorized to use.
For a network path, test the exact UNC location or mapped-drive context used by the job. A drive mapping visible in an interactive session may not exist for a scheduled task or service. Give the administrator the UNC path, account context, timestamp, and failing operation so share permissions and server logs can be checked on the correct system.
Use backup mode only when you are authorized
For an authorized copy blocked by file or folder ACLs, Robocopy provides two related modes:
| Switch | Behavior | When to choose it |
|---|---|---|
/B |
Runs in backup mode and overrides ACLs that would otherwise block the operation. | Use when the operator and account have the required backup privilege and policy explicitly permits bypassing normal ACL checks. |
/ZB |
Starts in restartable mode and switches to backup mode if access is denied. | Useful when a restartable transfer is preferred but an authorized backup-mode fallback is available. |
These switches do not make an unauthorized copy legitimate. They do not cancel data ownership, privacy rules, retention requirements, or organizational policy. Run an elevated command prompt only when your organization permits it, and use the least powerful mode that completes the authorized job.
For example, an authorized copy that should continue after a brief interruption could be tested with:

robocopy "C:\Source" "D:\Destination" /E /ZB /R:2 /W:5 /LOG:"C:\Logs\authorized.log" /TEE
If you know the account has the required privilege and the transfer specifically requires backup mode, use /B instead of /ZB. If the command still returns error 5, inspect the exact operation and path rather than repeatedly adding switches.
Do not copy security metadata by accident
Robocopy’s documented default /COPY:DAT copies data, attributes, and timestamps. It does not automatically copy every security property. Security-related options change the rights and privileges required and should match the migration requirement:
| Option | What it adds or selects | Risk or prerequisite |
|---|---|---|
/COPY:DAT |
Data, attributes, and timestamps; the documented default. | Appropriate when content and basic file metadata are required but security descriptors are not. |
/COPY:S |
NTFS security descriptors. | Requires the rights needed to read and write the selected security information. |
/COPY:O |
Owner information. | Ownership operations can require elevated or specially delegated privileges. |
/COPY:U |
Auditing information. | Use only when audit settings are part of the migration and the account can apply them. |
/SEC |
Data plus security information, equivalent to copying data with security descriptors. | Do not add it merely to silence an access-denied message. |
/COPYALL |
All supported file information, including security-related properties. | Use only for a deliberate full-fidelity migration with the necessary privileges. |
When a failure occurs while applying security metadata, removing a security switch may be the correct fix; when the migration requires that metadata, correct the account’s rights and policy instead of silently omitting it. Document any intentional difference between source and destination permissions so a later administrator does not mistake it for corruption.
Error 32: fix a sharing violation
What error 32 means
Windows defines Win32 error 32 (ERROR_SHARING_VIOLATION) as: “The process cannot access the file because it is being used by another process.” This is an open-file conflict, not simply a missing ACL. Error 33 is different: it is a lock violation involving a locked portion of a file.
Backup mode does not normally solve error 32. If another process has an incompatible handle open, retrying with /B or /ZB does not release that handle.
Distinguish a persistent lock from a brief one
A short-lived scanner or editor save may release the file between retries, while a database, service, or synchronization workload can hold it continuously. The error number alone cannot tell you which situation applies. Look at whether the same path fails repeatedly, whether the owning process is a known workload, and whether the operation is a delete, overwrite, or read. Do not assume that a successful retry proves that copying a changing application file is safe.
Find which process has the file open
Microsoft Sysinternals Handle is designed to search open file and directory references. Run it with administrative rights, search for the full path or a distinctive part of the file name, and note the process name and process ID. Process Explorer can provide a graphical way to search handles and is also referenced in Microsoft guidance for lock diagnosis.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Handle inspection tells you who has the reference; it does not prove that terminating the process is safe. Services, indexing components, antivirus scanners, synchronization clients, editors, and backup agents can all hold files temporarily. Check the owning application’s purpose and whether it has an approved pause, close, or backup procedure.

Release the file safely, then retry
- Ask the application or service owner whether the file is expected to be active.
- Use the application’s normal save, close, maintenance, or quiesce procedure.
- If the workload is a service, stop or pause it through its supported administration method, observing change-control and availability requirements.
- Confirm with Handle or Process Explorer that the conflicting reference has disappeared.
- Retry Robocopy with bounded retry settings and a log.
Do not routinely force-close a handle. Handle documentation warns that forcibly closing one can destabilize the application or Windows, cause data loss, or leave an application in an inconsistent state. If a vendor specifically documents a safe handle-release procedure, follow that procedure rather than improvising.
Be especially cautious with live application data
A database, virtual-machine disk, mail store, or other actively maintained data file may be internally inconsistent if copied while it is changing. Prefer the application’s supported backup, snapshot, export, or quiesce procedure. Microsoft SQL Server guidance for its own error-32 scenarios recommends identifying the process with Process Explorer or Handle; that is a useful lock-diagnosis example, not a guarantee that copying a live database file with Robocopy is safe.
Control retries so a failed run finishes predictably
Robocopy’s documented defaults are extremely persistent: /R:1000000 retries an unsuccessful operation one million times, and /W:30 waits 30 seconds between retries. A persistent lock can therefore make a command appear hung for a very long time.
Recommended Free Tools
| Switch | Meaning | Diagnostic example |
|---|---|---|
/R:n |
Number of retries after a failed operation. | /R:2 allows two retries. |
/W:n |
Wait in seconds between retries. | /W:5 waits five seconds. |
/R:2 /W:5 is an editorially suggested diagnostic setting, not a Microsoft-required value. Choose a longer window when a known short-lived lock is expected, or a low value when you need rapid feedback. Once the underlying permission or lock issue is fixed, set retry behavior according to the workload’s reliability requirements.
Bound retries during testing so logs show the real failure promptly. Do not interpret a command that eventually succeeds after many retries as evidence that the permissions are correct; it may simply mean a process finally released a file. Conversely, a low retry count should not be used as a substitute for a supported application backup when the source is live data.
Check /MIR and /PURGE before rerunning
/MIR is equivalent to /E plus /PURGE. It copies the complete source tree, including empty directories, and deletes destination files and directories that do not exist in the source. It can also overwrite destination directory security settings.
A sharing violation while deleting an extra destination file is still an error-32 lock conflict. A permission error while entering or modifying a destination directory is still an error-5 access problem. Mirroring does not repair either condition.

A practical decision workflow
- Capture the failure. Add
/LOG:or/TEE, then preserve the exact error number, operation, and full path. - Classify the error. Treat error 5 as an access or permission branch, error 32 as an open-file sharing branch, and error 33 as a separate locked-region condition.
- For error 5, verify authorization. Confirm the account, source, destination, local versus network context, and required permissions.
- Choose copy metadata deliberately. Keep the default
/COPY:DATunless security descriptors, ownership, or auditing are explicitly required. - Use
/Bor/ZBonly for an authorized ACL-blocked copy. Do not use backup mode as a general response to every failure. - For error 32, identify the holder. Search the path with Handle or Process Explorer using administrative rights.
- Quiesce the workload safely. Close the file through the application or use its supported maintenance and backup procedure; do not force-close handles as routine maintenance.
- Bound the next attempt. Set explicit
/Rand/Wvalues and retain a log. - Review destructive switches. Treat
/MIRand/PURGEas a separate deletion and destination-security decision. - Escalate machine-specific causes. If the path is a network share or security software is involved, investigate authentication, share permissions, server logs, and policy with the system owner.
Common symptoms and the right response
| Symptom | Likely branch | Next action |
|---|---|---|
| “Access is denied” while entering a protected destination directory | Error 5 | Verify the account and path; use authorized backup mode only if ACL access is the actual blocker. |
| Error 32 while deleting destination-only files during a mirror | Sharing violation | Find the process holding the file, release it safely, then retry; changing ACL switches will not unlock it. |
| The command keeps repeating for hours | Retry defaults | Set explicit /R:n and /W:n values while diagnosing. |
| Files copy but permissions or owners do not match | Metadata selection | Review whether /COPY:S, /COPY:O, /COPY:U, /SEC, or /COPYALL is required and authorized. |
| Destination files disappear after synchronization | /MIR or /PURGE |
Verify deletion intent and paths; use a preview or an additive copy when deletion is not wanted. |
| The same file alternates between success and error 32 | Intermittent open-file conflict | Identify the holder and determine whether the workload has a supported pause or backup window before increasing retries. |
Example commands for controlled troubleshooting
Basic diagnostic copy without mirroring
robocopy "C:\Source" "D:\Destination" /E /R:2 /W:5 /LOG:"C:\Logs\robocopy.log" /TEE
This keeps the default data, attribute, and timestamp copy behavior, includes subdirectories including empty ones, and avoids the deletion behavior of /MIR.
Authorized ACL-blocked copy with fallback
robocopy "C:\RestrictedSource" "D:\AuthorizedBackup" /E /ZB /R:2 /W:5 /LOG:"C:\Logs\authorized-backup.log" /TEE
Use this only when the operator is authorized, the account has the required privilege, and organizational policy allows backup-mode access.
Mirror preview before allowing deletions
robocopy "C:\Source" "D:\Destination" /MIR /L /R:2 /W:5 /LOG:"C:\Logs\mirror-preview.log" /TEE
Review the listed changes before removing /L. If the preview identifies a locked destination file, resolve the holder before the real run.

What Robocopy cannot determine by itself
Robocopy reports the operation that failed, but it cannot decide whether a user is legally or organizationally authorized to bypass an ACL, whether a database file is transactionally safe to copy, or whether a server-side share policy should be changed. It also cannot identify every cause of a network authentication failure from the client-side error alone.
When the error persists after the correct branch is followed, involve the resource owner or administrator with the log, exact paths, account context, and timestamps. Those details allow them to inspect ACLs, share permissions, service state, security software, and open handles without turning a narrowly scoped copy problem into a risky permissions or process change.
Frequently Asked Questions
How do I fix Robocopy access denied (error 5)?
First verify the source, destination, account, and operation that failed. If an authorized copy is blocked by ACLs, test /ZB or use /B when the account has the required backup privilege and policy permits it. Do not use backup mode to bypass organizational authorization, and review security-copy switches if the failure occurs while applying metadata.
Why does Robocopy show ERROR 32?
Windows error 32 (ERROR_SHARING_VIOLATION) means another process is using the file in a way that blocks the requested operation. Find the open reference with Sysinternals Handle or Process Explorer, ask the application owner to close or quiesce the workload safely, confirm the handle is gone, and retry. Changing ACL switches will not release an open handle.
How do I fix “The process cannot access the file because it is being used by another process”?
Treat it as a sharing violation. Identify the process holding the file, use its supported close, pause, maintenance, or backup procedure, and then rerun Robocopy with explicit retry and wait values. Avoid forcibly closing handles as routine maintenance because that can destabilize the application or Windows and can cause data loss.
Best Value
Is error 33 the same as error 32?
No. Error 32 is a sharing violation caused by another process using the file. Error 33 is a lock violation involving a locked portion of a file, so it requires the same careful identification of the active workload but is a separate Win32 condition.
Will /B or /ZB fix a sharing violation?
Normally no. /B overrides ACLs in authorized backup mode, and /ZB falls back to backup mode after an access denial. Neither switch releases an incompatible file handle held by another process.
Why does Robocopy keep retrying for hours?
The documented defaults are /R:1000000 and /W:30: one million retries with a 30-second wait. Set explicit diagnostic values such as /R:2 /W:5 so an unfixable permission or lock problem finishes promptly, then choose production values appropriate for the workload.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Can I use /MIR while troubleshooting access errors?
You can preview it, but understand the consequences first. /MIR equals /E plus /PURGE, so it deletes destination-only files and can overwrite destination directory security settings. Use /L to review the operation, verify both paths, and remove /MIR when you need an additive copy rather than synchronization and deletion.
What should I do if files copy but permissions or owners are wrong?
The default /COPY:DAT transfers data, attributes, and timestamps. Decide whether security descriptors, owner information, or auditing are actually required, then select the corresponding security options only when the account has the necessary rights. Do not add /COPYALL merely to suppress an error.
How can I troubleshoot a Robocopy failure on a network share?
Confirm the exact UNC or mapped path and the account context used by the process. Network shares combine share-level and NTFS permissions, and scheduled tasks or services may not have the same mappings as an interactive user. If the error persists, have the system owner check authentication, server-side permissions, logs, and security software.
The Bottom Line
Error 5 is an authorization and ACL problem; error 32 is an open-file conflict, and error 33 is a separate locked-region condition. Capture the exact operation and path, verify the account, use /B or /ZB only for authorized ACL-blocked copies, and use Handle or Process Explorer to locate a conflicting process. Quiesce live workloads safely, bound /R and /W, and treat /MIR and /PURGE as deliberate deletion and security decisions.
