Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsThe fix depends on where the error appeared. A Microsoft setup page that asks you to redeem a new key is a one-time redemption problem; a Word, Excel, Outlook, or other installed app showing an activation prompt is an account, entitlement, installation, or licensing problem. Record the complete message and error code, then follow the matching branch below.
Do not keep re-entering a key until you know whether it was already redeemed, typed incorrectly, sold through the wrong licensing channel, left inactive by a retailer, blocked, restricted to another region, or attached to an account that does not own the installed edition.

Start by identifying the screen and exact error
Microsoft handles product-key redemption and in-app activation as separate processes. On a setup page, you are trying to associate a one-time key with a Microsoft account. In an installed Office app, you are proving that the signed-in account has a valid entitlement for that app and installation.

Key-redemption screen
You are on the redemption path if a browser page asks for a 25-character product key before Office is installed or associated with an account. Messages such as INVALID_PRODUCT_KEY, ERR_INVALID_TOKEN, KEY_NOT_ACTIVATED, or a statement that the key has already been used usually occur here.

- To install and use on one PC or Mac
Installed-app activation screen
You are on the activation path if Word, Excel, PowerPoint, Outlook, Access, Publisher, or another installed app displays a sign-in or activation banner. Microsoft says that when an unactivated Microsoft 365 app starts, it prompts you to sign in to Microsoft 365. See Microsoft’s activation guidance for Office on Windows.
Write down the full wording, including punctuation and the error code. “Invalid key,” “already used,” “not meant for your region,” and “products we found in your account can’t be used to activate” identify different causes and require different remedies.
Error-to-action map
| Message or situation | What it usually indicates | Next action |
|---|---|---|
| “This product key has already been used” | The one-time redemption has already been completed. | Sign in to the Microsoft account that redeemed it and install or manage Office from Services & subscriptions. |
INVALID_PRODUCT_KEY or ERR_INVALID_TOKEN |
A transcription error, wrong Microsoft product, wrong edition, or wrong licensing route is possible. | Recheck every character, product, edition, and license channel before trying again. |
KEY_NOT_ACTIVATED |
The seller did not activate the key at the point of sale. | Ask the retailer that sold it to activate the key. |
| “This product key isn’t meant for your region” | The key was purchased in a different country or region from the current redemption location. | Contact Microsoft Support and follow the key’s geographic restrictions. |
| The activation wizard says the key is blocked or not valid | The key may be unauthorized, abused, or no longer usable. | Contact the seller and request a refund; do not expect reinstalling to unblock it. |
| “Products we found in your account can’t be used to activate” | The signed-in account, installed app, and owned edition do not match. | Check the account and whether the purchased edition includes the app you opened. |
ERR_MISSING_PARTNUMBER or ERR_INVALID_TOKEN on setup |
An older key, business subscription, or volume-license key may be using the wrong entry route. | Identify the licensing type; use the business route or contact the organization’s administrator when applicable. |
If the key has already been used
Microsoft product keys for these Office products are generally redeemable only once. A second attempt will not create another entitlement and does not mean the original license disappeared.
Find the account that redeemed it
- Open the Microsoft account sign-in page from the account used when the key was first redeemed.
- Sign in with each likely personal Microsoft account if you have more than one. For an organization purchase, try the work or school account instead.
- Open Services & subscriptions.
- Look for the Office product or Microsoft 365 subscription, then choose the available install or management option.
If the product is listed, stop entering the key. The account record—not the physical card or email containing the code—is now the place to install, reinstall, or manage that license.
Microsoft 365 Family sharing
A Microsoft 365 Family owner should share the subscription benefit with another person through the owner’s account instead of sending that person the already-redeemed key. The recipient accepts the invitation with their own Microsoft account and installs from that account.
If Microsoft says the key is invalid or unrecognized
An “invalid” result does not prove that the code is fraudulent. Microsoft documents several possibilities, so diagnose the key before purchasing anything else.
Check the product and edition
- Confirm that the code is for Office, not Windows or another Microsoft product.
- Compare the key’s stated version and edition with the product you intend to install, such as a one-time Office edition versus a Microsoft 365 subscription.
- Check whether the purchase is for home use, Microsoft 365 business, or an organization’s volume license.
- Verify that you are using the redemption route intended for that license type. Business and volume-license keys may not work on the consumer retail setup page.
Check the characters and source
Re-enter the code carefully, paying particular attention to characters that are easy to confuse. For an online purchase, copy the key directly from the confirmation email rather than transcribing it from a screenshot or printed note. Keep the original receipt and email; the seller or Microsoft Support may need them.
Older and organization keys
An older key can produce ERR_MISSING_PARTNUMBER or ERR_INVALID_TOKEN when entered on a newer consumer page. A business key may require the business-account flow, while a volume-license key belongs to an organization’s licensing administrator. Ask the administrator which account and portal are authorized instead of repeatedly trying a retail redemption page.
If the retailer did not activate the key
KEY_NOT_ACTIVATED is a point-of-sale problem. Microsoft identifies the retailer as the party that must activate a newly purchased key.
- Keep the receipt, card, order confirmation, and the exact error screenshot.
- Contact the retailer’s customer service or return to the store where the key was bought.
- Ask them to verify and activate the product at point of sale.
- Retry redemption only after the retailer confirms activation.
Microsoft Support cannot perform the retailer’s point-of-sale activation. If the seller cannot activate the code or will not correct the transaction, use the seller’s refund or dispute process and retain the purchase records.
If the key is blocked or the activation wizard says it is not valid
Microsoft’s key-entry guidance says: “If your Office product key doesn’t work, or has stopped working, you should contact the seller and request a refund.” Read the full guidance at Where to enter your Office product key.
A separately sold key may have been stolen, abused, or distributed without authorization. A key that is blocked in the activation wizard is not made legitimate by uninstalling Office, reinstalling Windows, or entering it more times.
What to do
- Stop retrying the blocked code.
- Ask the seller for a refund and provide the exact Microsoft message.
- If the seller is unknown or refuses, use the payment provider’s dispute process where appropriate.
- For a replacement, buy a complete Office license through a legitimate seller and verify the exact edition and region before paying.
Do not publish the full key in a support forum or send it to an unverified helper. Treat it as a license credential.
If the key is not meant for your region
A region error means Microsoft detected that the key was purchased in a different country or region from the location where you are trying to redeem it. It is not fixed by changing the computer’s clock or repeatedly changing language settings.
- Confirm the country or region in which the key was purchased.
- Check the seller’s receipt or terms for geographic restrictions.
- Contact Microsoft Support with the exact region message and proof of purchase.
- Follow Microsoft’s instructions for the permitted redemption region, or ask the seller for a region-eligible refund or replacement.
Do not assume that a key advertised online is globally transferable. Eligibility can be tied to both the sale location and the redemption location.

If redemption succeeded but an Office app will not activate
A successful key redemption creates an entitlement, but the installed app still has to find that entitlement. Most failures at this stage involve account identity, edition mismatch, or an installation that does not correspond to the license.

Use the account that owns the license
- In the app, sign out of the current Microsoft account.
- Sign back in with the personal Microsoft account that redeemed the key, or with the work or school account assigned the business license.
- Close all Office apps and reopen the affected app to let it refresh the entitlement.
Signing in with a different account can make a valid license look absent. If the product appears under another account’s Services & subscriptions, that is the account that should manage the installation.
Check that the edition includes the app
Compare the app you opened with the edition shown in the account. Microsoft specifically cites Outlook, Publisher, and Access as examples of apps that are not included in certain editions. If Word activates but Outlook does not, the issue may be entitlement scope rather than a defective key.
- Open the account’s product details and note the exact edition.
- Confirm that the app is listed as included.
- If it is not included, uninstalling and reinstalling the same app will not add that entitlement; obtain the appropriate license or use an included app.
Match the installed version
A preinstalled Office app can be a different version or licensing channel from the product you redeemed. In the documented Office 2019 scenario, Microsoft directs users to update the preinstalled app or install the matching version. Remove conflicting older installations only after confirming which product the account owns and keeping any required documents backed up.

Retail redemption instructions are intended for consumer purchases. Microsoft 365 business subscriptions and volume licenses are administered differently.
Microsoft 365 business
Use the work account assigned by your organization and the organization’s Microsoft 365 setup process. If a business key produces an invalid token or missing-part-number message on a consumer page, stop using that page and ask the organization’s administrator which portal and license assignment apply.
Volume licensing
A volume-license key is normally controlled by an organization rather than an individual retail buyer. Contact the administrator or IT help desk for the correct installation media, account, and activation method. Microsoft Support may need the organization to verify its agreement before resolving an entitlement issue.
Use Microsoft’s activation troubleshooter only for a matching case

- Follow its prompts and allow it to inspect the Office installation and sign-in state.
- Restart Office when it asks you to, then sign in with the account that owns the entitlement.
- Record any new code or recommendation before contacting support.
This tool is not established as a universal fix for every product-key error. It cannot activate a retailer-inactive key, change a region restriction, turn a volume license into a retail license, or restore a blocked code.
A complete troubleshooting sequence
Use this order when the message is unclear or several symptoms appear at once.
- Capture the evidence. Save the complete message, code, screenshot, receipt, confirmation email, product name, edition, and purchase country.
- Classify the screen. Decide whether the failure happened during one-time browser redemption or inside an installed Office app.
- Check for prior redemption. Search the likely Microsoft account’s Services & subscriptions before entering the key again.
- Validate the license type. Confirm Office versus Windows, version, edition, consumer versus business, and retail versus volume licensing.
- Correct seller-side problems. Send
KEY_NOT_ACTIVATEDto the retailer; send a blocked-key message to the seller with a refund request. - Resolve geography. For a region message, contact Microsoft Support and the seller rather than using a VPN or misrepresenting your location.
- Fix identity and entitlement. In an app, use the owning account and verify that the edition includes the app.
- Repair only the matching installation. Update or install the version that corresponds to the entitlement; do not treat a reinstall as a cure for an invalid license.
- Run the troubleshooter when applicable. Use it for the documented activation scenario on Windows 10 or higher.
- Escalate with records. Give Microsoft, the seller, or your organization administrator the exact code and evidence instead of a vague report that “Office will not activate.”
Choose the right support channel
| Problem owner | Contact | Information to provide |
|---|---|---|
| Microsoft account or entitlement | Microsoft Support | Account used, product shown in Services & subscriptions, app name, edition, and error code. |
| Retailer point-of-sale activation | The retailer that sold the key | Receipt, order number, key-card details, and KEY_NOT_ACTIVATED message. |
| Blocked or unauthorized key | The seller and, if needed, payment provider | Blocked-key wording, transaction record, and refund request. |
| Region restriction | Microsoft Support and the seller | Purchase country, current redemption location, and region error. |
| Business or volume license | Organization administrator or IT help desk | Work account, agreement or subscription details, device, and setup error. |
Buying a replacement without repeating the problem
A new product card is appropriate only when diagnosis shows that you do not have a usable license. It will not repair an account mismatch, a retailer’s unactivated code, or an app that is excluded from your edition.
- Buy from Microsoft or a reputable authorized seller.
- Verify the exact product name, edition, device limits, and purchase region.
- Prefer a complete product purchase with a receipt over a standalone code from an unknown marketplace seller.
- Keep the confirmation email and receipt until redemption and in-app activation both succeed.
Microsoft warns that separately sold keys may be stolen, abused, or unauthorized. If a seller cannot explain the license channel or provide a verifiable receipt, do not rely on the key as your only proof of purchase.

Microsoft’s key-entry page states that support for Office 2021, Office 2019, and Office 2016 has ended. That status was shown on the page accessed October 13, 2026; check Microsoft’s current lifecycle information when making a new purchase because support policies can change. End of support does not by itself identify why a particular key failed, but it affects the help and security updates available for those editions.
When the error still will not clear
Escalate after you have identified the screen, checked the owning account, verified the product and licensing channel, and contacted the party responsible for any seller-side or region problem. Give support the exact wording rather than paraphrasing it, and do not disclose the complete key publicly.
The practical rule is simple: an already-redeemed key belongs in its original account; a retailer-inactive key belongs with the retailer; a blocked key belongs with the seller for a refund; a region error belongs with Microsoft Support; and an installed-app failure belongs to the account, edition, and matching installation that Office can validate.
