Metadata problems usually have a simple cause: the server has not discovered the file, matched it to the wrong title, been able to reach a provider, or is being overridden by local metadata. In Plex, use Scan Library Files for file-system changes and Refresh Metadata for an item that already exists. In Jellyfin, use a dedicated library type, clear names and folders, provider IDs for ambiguous titles, and inspect local NFO files and artwork when remote data is not appearing.
Identify the problem before changing anything
Start by deciding which symptom you actually have. The correct fix depends on whether the server cannot see the file, has matched it to the wrong work, or has identified it correctly but cannot retrieve complete metadata.

The file or folder is missing entirely
If an episode, film, album, or season does not appear in the library, metadata settings are not the first thing to change. Confirm that the server account can read the folder, that the folder is inside a library path, and that the file has not been moved or renamed outside the library. A metadata refresh cannot update an item that the server has not discovered.
The item exists but has the wrong title or poster
This is normally an identification problem rather than a discovery problem. The server found a file, but its name, folder context, library type, or provider result led to the wrong match. Fix the organization or add an unambiguous provider identifier, then refresh the existing item.

The title is right but details or artwork are missing
A correct title with an empty summary, stale cast list, or missing image points to a metadata retrieval or override issue. Check provider access, agent or library settings, local NFO files, and artwork before renaming a file that is already matched correctly.
The language is wrong
In Plex, the library’s primary language controls metadata gathered from the internet. Changing that setting does not retroactively rewrite existing items; existing content needs the appropriate refresh action.
Plex: use a scan for files and a refresh for metadata
Plex treats discovery and metadata retrieval as separate operations. A scan examines the folders assigned to a library and detects new, removed, renamed, or moved files. A refresh asks metadata agents to retrieve information and artwork for content that is already represented in the library. They can occur together for a new or unmatched item, but they solve different problems for existing content.

| Symptom | Plex action | What it does |
|---|---|---|
| A file was added, removed, renamed, or moved | Scan Library Files | Checks the library folders for file-system changes and discovers new or changed media. |
| An existing item has stale or missing details | Refresh Metadata | Retrieves metadata and artwork for the selected item. |
| Library-wide agent or source settings changed | Refresh All Metadata | Reprocesses existing items, including those that already have metadata; a large library may take a long time. |
Run Scan Library Files after file changes
- Place the media inside a folder that is included in the intended Plex library.
- Open the Plex web app and select the library in the left sidebar.
- Open the library’s three-dot menu and choose Scan Library Files.
- Wait for the scan to finish, then search for the new or changed item.
A scan is the right response to an item that is absent because a file was added, removed, renamed, or moved. Plex may retrieve metadata for newly discovered or unmatched content as part of that process, but scanning is not a substitute for refreshing an item that already exists with stale information.
Refresh one existing item
- Open the movie, show, season, episode, or other item in Plex.
- Open the item menu and select Refresh Metadata.
- Allow the operation to complete before judging the result; artwork and extended fields can arrive after the basic title appears.
Use this item-level refresh when only one entry is incomplete or out of date. It avoids reprocessing an entire library and makes it easier to verify whether the change solved the specific match.

Refresh an entire library after configuration changes
Choose the library menu’s Refresh All Metadata command when you changed the metadata agent, source priority, or another setting that should apply to existing items. This operation processes items that already contain metadata, not only entries with blank fields, so a large collection can take considerable time. Leave the server running until the job completes and avoid starting repeated full refreshes while one is still active.
Check Plex library type, scanner, agent, and language
Open the library’s settings and verify that its content type matches the media. A movie library, television library, and music library use different matching expectations. Also check the selected scanner and metadata agent. Plex describes agents as the components that obtain rich information from local and online sources; their source order can be adjusted so one provider is preferred over another.

Existing items keep their current metadata until you run the refresh operation Plex specifies for applying the changed agent. In practice, run Refresh All Metadata after confirming the new agent and source priorities.
Apply a new primary language to existing content
Set the library’s primary language to the language you want Plex to request from internet sources. A language change alone does not update records that were already collected. Select the appropriate refresh command afterward so existing movies and shows are fetched again under the new language preference.
When a Plex scan appears to do nothing
- Confirm the path shown in the library settings is the parent folder that actually contains the media.
- Check permissions from the Plex server’s operating-system account, not only from your own desktop account.
- Verify that the file extension and folder are supported by the library’s content type.
- Run the scan after the file copy has completely finished; scanning during a partial transfer can leave an incomplete or unrecognized item.
- If the item appears but remains wrong, stop scanning and use item-level metadata refresh or correct the match inputs instead.
Jellyfin: organization and provider access determine matching
Jellyfin’s identification process depends heavily on the library definition, folder structure, names, and reachable metadata providers. A clean organization removes ambiguity before you start changing images or editing records.

Use a dedicated library type
Create separate libraries for movies, television shows, and music when those categories are present. Jellyfin explicitly discourages the mixed library type because it produces unreliable metadata results. A dedicated type tells Jellyfin what kind of work it should expect and which matching rules and providers are relevant.
Free tools Windows power users keep installed
One-click scans. No signup required.
When diagnosing a wrong match, inspect the library that contains the item and verify that it is the intended type. Moving a film out of a mixed library into a movie library can resolve identification errors that no amount of artwork refreshing will fix.
Make names and folders unambiguous
Use a folder structure that clearly separates works and, for shows, separates seasons and episodes. Include the title and release year when two works share a name. The goal is not a particular punctuation style; it is to provide enough context that a provider can distinguish the work from similarly named films, series, editions, or remakes.
For a television series, keep episodes under the correct series folder and season folder. For a movie, keep the video and its supporting files in a folder named for that movie. After reorganizing, rescan the affected library so Jellyfin sees the new paths.
Check which providers are available
Jellyfin lists TMDb, OMDb API, and local NFO files among its default metadata sources. Other providers, including TheTVDB, may be available through the plugin catalog. Provider availability is not identical in every location: Jellyfin notes that some services, including TMDb and TheTVDB, may not be accessible in mainland China. A failed match can therefore reflect network or regional provider access rather than a bad filename.

Before repeatedly renaming files, check the provider configuration and server connectivity. If a provider is unavailable from the server’s geography, select an accessible source or rely on local metadata and identifiers that the server can process.
Use provider IDs when a Jellyfin title is ambiguous
Names alone are sometimes insufficient. Jellyfin documents adding provider identifiers to a movie or show file or folder name so the server can select the exact record. This is especially useful for remakes, alternate editions, similarly titled episodes, and series with translations or regional titles.
TMDb and IMDb examples
Add the identifier in the documented bracketed form, such as [tmdbid-680] or [imdbid-tt12801262]. Keep the identifier attached to the movie or show name, then rescan or refresh the item. Verify the number at the provider first; an incorrect ID produces a confidently wrong match.
Other supported identifiers
Jellyfin also supports TVDb and OMDb/IMDb-based identifiers. Use the provider’s documented identifier format for the relevant media type. Do not copy an ID from a similarly named work, a different season, or a different cut of the film. The ID is a disambiguation key, not a replacement for a sensible folder and file name.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
After adding an ID
- Rename the movie or show file or its containing folder to include the verified provider ID.
- Ensure the renamed path remains inside the Jellyfin library.
- Trigger a library scan so Jellyfin notices the path change.
- Refresh the item’s metadata and check the title, year, plot, and artwork.
If the result is still wrong, inspect local metadata before adding another provider ID. A local override can make a correct identifier appear ineffective.
Best Value
Jellyfin local NFO files and artwork can override remote data
Jellyfin gives local metadata priority over remote provider metadata. A refresh will not replace a value that an NFO file or local artwork supplies. This is the most common explanation for an item that repeatedly returns to an unexpected title, plot, rating, or image.
Find NFO files next to the media
Inspect the movie, show, season, and episode folders for NFO files. Read the title, plot, year, provider IDs, and image references in the file. Correct an outdated value or remove an unintended NFO when you want Jellyfin to use provider data instead. Jellyfin currently does not provide a switch to disable local metadata altogether, so the file itself must be corrected or removed.
Check local artwork paths
Look for poster, backdrop, thumbnail, and other image files in the media folders, as well as image paths or URLs referenced by the NFO. Jellyfin gives these local image values priority over remote image providers and artwork found in the media folders. Replace the wrong image, correct the path, or remove the override when the provider’s artwork is preferred.

- Back up an NFO before editing if it contains custom descriptions or ratings you want to preserve.
- Correct the XML values or image references using a text editor, or remove the file when it was created accidentally.
- Save the file in the same media folder and confirm that the Jellyfin server can read it.
- Run a library scan, then refresh the affected item so the corrected local data is loaded.
A complete troubleshooting workflow for either server
The following order prevents a metadata refresh from masking a file-access or matching problem.
Quick Recap
- Locate the symptom. Decide whether the item is absent, wrongly identified, incomplete, or displayed in the wrong language.
- Verify access and scope. Confirm that the server can read the media path and that the path belongs to the intended library.
- Fix discovery. In Plex, run Scan Library Files. In Jellyfin, scan the affected library after correcting its path or folder organization.
- Fix the library definition. Use the correct Plex content type or a dedicated Jellyfin movie, show, or music library instead of a mixed library.
- Improve identification. Clarify names and folders. In Jellyfin, add a verified TMDb, TVDb, or IMDb/OMDb identifier when the title remains ambiguous.
- Check provider conditions. Review Plex agent and source priority, Plex language, and Jellyfin provider availability from the server’s region.
- Look for local overrides. In Jellyfin, inspect NFO files and local artwork before assuming a remote provider is returning bad data.
- Refresh at the smallest useful scope. Refresh one item for an isolated problem; use Plex’s full metadata refresh only when library-wide settings changed.
- Verify the result. Check the title, year, synopsis, artwork, season and episode numbering, and language. If one field remains wrong in Jellyfin, return to the NFO and artwork check rather than repeatedly refreshing.
Common failure patterns and targeted fixes
| What you see | Likely cause | Next action |
|---|---|---|
| New file never appears in Plex | The path is not included, permissions block access, or discovery has not run. | Verify the library path and server permissions, then select Scan Library Files. |
| Plex item exists but poster and summary are old | Metadata is stale, or the current agent and source priority have not been applied. | Refresh the item; after agent changes, use Refresh All Metadata. |
| Plex language changed only for new items | Language settings do not retroactively update existing records. | Set the library language and refresh existing metadata. |
| Jellyfin film is matched to a similarly named title | Ambiguous name, wrong library type, or provider limitation. | Use a dedicated movie library, clarify the folder name, verify provider access, and add a provider ID. |
| Jellyfin keeps restoring a wrong plot or poster | An NFO file or local artwork has priority over remote data. | Edit or remove the local override, then scan and refresh. |
| Jellyfin cannot identify a title from a region with provider restrictions | The selected provider may be unreachable from the server’s geography. | Check provider availability, choose an accessible source, or supply accurate local metadata and identifiers. |
Plex and Jellyfin: what differs in practice
| Decision point | Plex | Jellyfin |
|---|---|---|
| File discovery | Scan Library Files detects additions, removals, renames, and moves. | Scan the library after path or organization changes. |
| Existing metadata | Use item-level Refresh Metadata; use Refresh All Metadata for library-wide changes. | Refresh after correcting organization, providers, identifiers, or local files. |
| Matching controls | Library content type, scanner, agent, source priority, and primary language. | Dedicated library type, names and folders, provider availability, and identifiers. |
| Disambiguation | Correct the library configuration and refresh the affected content. | Add documented TMDb, TVDb, or IMDb/OMDb identifiers to the file or folder name. |
| Local precedence | Agent and library settings determine retrieval behavior. | Local NFO metadata and image references take priority over remote providers and cannot currently be disabled globally. |
Prevention checklist
- Keep movies, shows, and music in separate, correctly typed libraries.
- Use stable, descriptive names and a consistent folder structure before importing media.
- Add the release year when titles are shared by multiple works.
- Record a verified provider ID for titles that are routinely misidentified.
- Keep NFO files and local artwork intentional; remove stale files when you want provider data.
- After changing Plex agents, source priority, or language, refresh existing items instead of waiting for future imports.
- Run a scan after file-system changes and a metadata refresh after content or provider settings change.
- Check provider reachability from the server’s location before treating every failure as a naming error.
