Crashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minutePC Slower Than It Used to Be?

If the gaps remain, rebuild the signature from plain text. In Classic Outlook for Windows, select the signature and set line spacing to Single with Before and After set to 0 pt.
The correct fix depends on whether the gap is a blank paragraph, paragraph spacing, line height, an image or table forcing extra space, or a difference between Outlook clients.

Identify your Outlook version first
Menu names and formatting controls differ between Outlook editions.
- New Outlook for Windows: Settings > Accounts > Signatures.
- Outlook on the web: Settings > Accounts > Signatures.
- Classic Outlook for Windows: File > Options > Mail > Signatures, or in a message choose Message > Signature > Signatures.
Use Microsoft’s current setup instructions for these paths: Outlook signature settings. Outlook.com may expose a slightly different web layout, but its signature is edited in the account’s settings.

What “double spacing” means
Look at the actual symptom before changing anything:
- A completely blank line appears between every line: extra paragraph breaks are likely.
- Every paragraph has a consistent gap above or below it: paragraph Before/After spacing is likely.
- Characters within one paragraph sit farther apart vertically: line height or font metrics may be responsible.
- The gap occurs only before or after the signature: an empty paragraph may surround the signature.
- The editor looks compact but the composed or received message does not: inherited HTML or client-specific rendering may be changing it.
- A logo, table row, or large font creates the apparent gap: the layout object, not paragraph spacing, may be controlling the height.
Fix New Outlook or Outlook on the web with Shift+Enter
New Outlook and the web editor generally treat Enter as a new paragraph. A paragraph can carry more vertical space than a manual line break. For adjacent lines such as a name, job title, phone number, and website, use a soft break instead.
- Open Outlook and select Settings.
- Go to Accounts > Signatures.
- Select the affected account and signature.
- Click between two lines that have too much space.
- Delete the existing break.
- Press Shift+Enter once.
- Repeat for each line that belongs to the same compact block.
- Use ordinary Enter where a genuinely separate section should begin, such as before a legal disclaimer.
- Select Save, then open a new message and inspect the inserted signature.
This Shift+Enter approach is Microsoft Q&A troubleshooting guidance, not a guarantee that every HTML signature will render identically: Microsoft Q&A on Outlook signatures.

Fix paragraph spacing in Classic Outlook for Windows
Classic Outlook exposes more Word-style paragraph controls than the newer editor.

- 256 GB SSD of storage.
- Multitasking is easy with 16GB of RAM
- Equipped with a blazing fast Core i5 2.00 GHz processor.
- Open a new email and choose Message > Signature > Signatures.
- Select the signature you want to change.
- Highlight the affected lines in the Edit signature box.
- Open the paragraph-formatting dialog or use the Format Text ribbon after inserting the signature into a message.
- Set Line spacing to Single.
- Set Before to 0 pt and After to 0 pt.
- Choose Save, then OK, and test the signature in a fresh message.
Line spacing controls space within a paragraph; Before and After control space between paragraphs. Microsoft’s explanation is in Word’s line-spacing guidance.
Rebuild a signature that contains hidden formatting
Copied content from Word, a website, an old email, or a signature generator can carry paragraph styles, empty tags, or other HTML that survives visible editing.
- Copy the signature text and separately record important URLs, image files, legal wording, and colors.
- Paste the text into Windows Notepad or another plain-text editor.
- Copy the cleaned text back into Outlook.
- Reapply only the required font, size, bolding, links, images, and layout.
- Use Shift+Enter for lines that should touch.
- Save and test in a new HTML message.
Plain-text cleanup removes hidden formatting, but it also removes hyperlinks, images, colors, tables, and other rich content. Reinsert those items deliberately rather than assuming they survived.

True plain-text messages cannot preserve a logo, colors, tables, or rich spacing. In New Outlook or Outlook on the web, check Settings > Mail > Compose and reply and ensure the message format is HTML. This is a diagnostic check, not a universal cure: HTML can still contain unwanted paragraph margins or breaks.

If the spacing still appears
- Check for blank lines: place the cursor at the start and end of the signature and remove empty paragraphs.
- Check the selected account and signature: editing one account does not change another. Classic Outlook can assign different signatures to new messages and to replies or forwards.
- Inspect tables: cell padding, row height, or paragraph spacing inside a cell can create the gap. A table improves logo alignment but does not automatically remove spacing.
- Inspect images: an oversized logo or baseline alignment can force a taller row.
- Compare clients: New Outlook, Classic Outlook, Outlook on the web, Gmail, and mobile apps may render the same HTML differently. Microsoft discusses paragraph tags and rendering differences here: cross-client Outlook formatting guidance.
- Check replies and forwards: they may use a different default signature from new messages.
- Check the actual sent copy: the settings preview is not a substitute for viewing an inserted and received message.
Use a test sequence that matches real recipients
- Create a new HTML message and verify the signature before sending.
- Send it to another Outlook account and view it in both New Outlook and Classic Outlook when available.
- Open the message in Outlook on the web.
- If external recipients matter, check Gmail or a mobile mail app as well.
- Optionally send a plain-text test so you know what formatting will be lost; a plain-text message cannot retain the rich signature design.
Build a business-safe signature
- Use common fonts and modest font sizes.
- Keep adjacent contact lines in one compact block with soft breaks.
- Use a simple table only when a logo-and-text layout genuinely needs stable alignment.
- Keep images small, provide meaningful alternative text where supported, and test whether they arrive inline rather than as attachments.
- Make phone numbers, email addresses, and websites clickable.
- Test new messages, replies, forwards, internal mail, and external mail.
If one person has a spacing problem, the built-in editor is normally sufficient. If an organization needs centrally controlled logos, disclaimers, contact details, or campaign banners across many users and clients, administrators can evaluate platforms such as Exclaimer, CodeTwo Email Signatures 365, Opensense, or Crossware Mail Signature. Those services are organizational controls, not prerequisites for fixing one signature.
Frequently Asked Questions
Why does Enter create extra space in an Outlook signature?
Enter generally starts a new paragraph, and paragraph styles or margins can make that paragraph taller than a manual line. Use Shift+Enter for lines that belong to the same compact block.
Can I set a permanent default line spacing in New Outlook?
The newer signature editor does not expose the same Word-style Before, After, and line-spacing controls as Classic Outlook. Replacing paragraph breaks with Shift+Enter and rebuilding pasted HTML are the practical workarounds described by Microsoft Q&A guidance.
Recommended Free Tools
Do I need to create the signature twice?
Microsoft’s support documentation notes that signatures may need to be created separately in Outlook and Outlook on the web. Check each client and account rather than assuming they share one saved signature.
Will plain-text mode keep my logo and links?
No. Plain-text messages cannot preserve images, colors, tables, rich fonts, or clickable HTML formatting.
