First identify the symptom: an absent Copilot button, a license-validation message, an “Unsupported file state” warning, a prompt that fails after the pane opens, or a #NAME? result from a worksheet formula. Each symptom has a different fix.
Work through the checks below in order. Confirm the signed-in account and subscription, verify any work or school tenant policy, move the workbook to OneDrive or SharePoint in a supported .xlsx format, check SharePoint checkout status, and use the platform and Copilot mode your account supports. If the error is from =COPILOT(...), it is a separate retired worksheet function, not proof that the Copilot pane is broken.

Start by identifying what is failing
Do not apply every possible fix at once. The visible symptom narrows the cause and prevents you from changing a setting that is unrelated to the problem.

Microsoft’s support wording is explicit: “If you don’t see Copilot in Word, Excel, PowerPoint, or OneNote, it might not be included with your Microsoft 365 subscription or available based on your organization’s settings.” That means a missing control is not, by itself, evidence that Excel needs reinstalling.

Verify that your subscription is eligible
Copilot in Excel is not included with every Microsoft 365 installation. Microsoft lists these eligibility categories:
- Microsoft 365 Personal or Family with an AI credits plan.
- Microsoft 365 Premium.
- A commercial Microsoft Copilot subscription.
- An eligible Copilot Chat business or enterprise subscription.
Open your Microsoft 365 account or subscription page and check the entitlement for the account you actually use in Excel. A subscription purchased under one Microsoft account does not automatically authorize a different account signed in to the desktop app. If the plan is paid by an employer or school, the administrator must assign the appropriate license; buying a personal plan will not override an organization’s policy.
Check the account inside Excel
- Open Excel and choose File > Account (on Excel for Mac, open the Excel menu and locate the signed-in account information).
- Compare the displayed address with the account that owns the eligible subscription.
- If more than one account is listed, sign out of the account that lacks the entitlement, then sign in with the licensed account.
- Close all Excel windows and reopen the app so the license token is refreshed.
For a work or school workbook, use the organization account that has the organization’s Copilot entitlement. A personal, Family, or Premium subscription does not substitute for a work tenant license when the file and policy are controlled by that tenant.

Commercial and education access can depend on tenant configuration in addition to the user license. Ask the Microsoft 365 administrator to confirm that your account is assigned the required Copilot service and that organizational policy allows Copilot in Excel. An administrator may also need to check whether the feature has reached your organization’s rollout ring. If the administrator cannot see an assigned license or an enabled service, local Excel troubleshooting will not make the button appear.
Resolve license-validation errors
License validation can fail even when a subscription is valid. The identity used for validation, the type of file, browser privacy settings, and storage location all matter.

Use the right identity for the file
When a workbook belongs to an employer or school, sign in to Office with that organization identity. If you open an organization file while Excel is validating a personal account, the service can reject the request or show no Copilot entitlement. Conversely, a personal workbook should be opened with the personal account that owns the eligible plan.
Allow third-party cookies for web validation
Microsoft flags third-party cookies as a possible requirement for license validation in a browser. If Copilot works in the desktop app but the web version reports that it cannot verify your license, review the browser’s privacy or cookie settings and allow third-party cookies for the Microsoft 365 sites involved. Corporate browser policies may prevent changing this setting; in that case, contact the administrator rather than weakening security settings globally.
Move files from unsupported third-party storage
Microsoft’s license-validation guidance identifies third-party storage as a possible source of validation and other errors. Copy the workbook to OneDrive or SharePoint, open that copy in Excel, and test Copilot there. Keep the original unchanged until you have confirmed that the copied file behaves correctly. A successful test in OneDrive or SharePoint isolates storage integration from subscription and account problems.
Put the workbook in a supported state
Copilot needs to read and, for editing requests, write to a workbook that Excel can save in a supported location and format. A normal-looking file can still be blocked by its format or SharePoint state.
Use a modern Excel format
Save a working copy as .xlsx with File > Save As. Microsoft identifies Strict Open XML Spreadsheet as an unsupported format for the relevant Copilot scenarios. Do not simply rename the extension: open the file in Excel and use Save As so the workbook is converted properly. If the file contains macros, preserve the original macro-enabled copy and test a format that your organization permits; conversion can remove or alter features that depend on VBA.

Check SharePoint checkout status
An “Unsupported file state” message can occur when a SharePoint workbook is checked out. In the SharePoint document library, select the file and choose Check in, add a comment if your organization requires one, and complete the check-in. Close the workbook in Excel, reopen it from SharePoint, and test again. If your workflow intentionally keeps the file checked out, try Excel for the web where appropriate or ask the library owner whether Copilot editing is allowed for that document.
Use OneDrive or SharePoint for the test
- Save or copy the workbook to a OneDrive or SharePoint folder where you have edit permission.
- Confirm that the copy has a supported extension such as
.xlsx. - Close the file in every Excel session, then reopen the cloud copy.
- Check that the file is not checked out and that it has finished syncing.
- Open Copilot and run a small, non-destructive request, such as asking for a summary of a selected table.
Do not assume that a successful copy grants access to everyone who used the original. Sharing permissions, sensitivity labels, and tenant policy still control what each user can do.
Check platform and available Copilot mode
Microsoft lists Windows, Mac, and web availability for edit, chat, and plan modes, but mobile support differs. Chat is listed for Android, while editing support on iPad and iPhone is described in rollout terms. Availability can vary by account, subscription, app version, and rollout stage.

If Copilot appears in Excel for the web but not in the desktop app, your subscription is probably recognized and the difference is more likely platform, rollout, installation, or policy related. If it is missing everywhere, return to subscription and tenant checks.

- Record the symptom. Note whether the button is absent, a license message appears, the file is unsupported, the pane fails after opening, or a formula returns
#NAME?. - Confirm the entitlement. Check that the signed-in account has one of Microsoft’s listed Copilot-eligible subscription categories.
- Separate personal and organization identities. Use the work or school account for organization files and ask the administrator to verify the tenant assignment and policy.
- Refresh sign-in. Sign out of the unlicensed Office account, close Excel, reopen it, and sign in with the licensed identity.
- Test the web app. In a browser, allow third-party cookies if Microsoft 365 cannot validate the license, then open Excel for the web with the same account.
- Prepare a cloud copy. Copy the workbook to OneDrive or SharePoint, save it as a supported
.xlsxfile, and make sure it is not checked out. - Retry a simple request. Select a small table and ask Copilot for a summary or a clearly reversible formatting change. This distinguishes basic access from a complex prompt or workbook-specific limitation.
- Compare platforms. If the web test works, investigate the desktop installation or platform rollout. If none works, provide the administrator with the account, tenant, file location, format, and exact message.
When Copilot opens but cannot complete a request
An available pane does not guarantee that every operation can run. Copilot must be able to read the workbook, interpret the selected data, and save changes when the request is an edit.
Make the data easy to interpret
- Select the table or range that the request concerns instead of leaving the entire sheet ambiguous.
- Use clear column headers and avoid merged cells in the area you want analyzed.
- Save the workbook before retrying an edit so Excel has a current version to modify.
- Ask for one operation at a time. A narrowly scoped request is easier to diagnose than a prompt that combines analysis, restructuring, and formatting.
Check permissions and protection
If you can read a workbook but cannot edit it, verify that you have edit permission and that the sheet or workbook is not protected in a way that blocks the requested change. A SharePoint file can be readable while its library state or permissions prevent saving. Resolve the permission or checkout issue first; changing the wording of the prompt will not grant write access.
Use a clean comparison copy
Make a copy of the workbook in OneDrive or SharePoint, remove unrelated sheets if permitted, and test a simple prompt. If the clean copy works, compare its format, protection, connections, and storage state with the original. Keep the original as the authoritative file until you understand the difference.
Understand the #NAME? result from =COPILOT(...)
The Copilot pane and the worksheet function are different features. Microsoft says the preview COPILOT worksheet function was no longer available starting September 14, 2026. Previously calculated results may remain cached, but recalculating the formula returns #NAME?.
Do not interpret that error as evidence that the Copilot pane has stopped working. Remove or replace the worksheet formula according to your workbook’s requirements and use the Copilot pane for comparable tasks. If the formula is part of a shared template, tell collaborators that reopening or recalculating can expose the error even when an old displayed value was still present.
How to treat AutoSave guidance
Microsoft’s current Copilot-in-Excel tips say Copilot can run with AutoSave enabled or disabled. A separate Microsoft subscription FAQ still states that AutoSave must be enabled and the file saved to OneDrive. Those statements conflict, so AutoSave is not a settled universal first fix.
Use the feature-specific guidance that applies to your account and workbook. Regardless of the setting, save a copy before an edit, make sure the file is in OneDrive or SharePoint when required by your scenario, and confirm that changes are synchronized. Turning AutoSave on should not be presented as a guaranteed remedy for a missing button, a license mismatch, a checked-out file, or the retired worksheet function.

What to give support or your administrator
If the checks do not resolve the issue, provide enough context for the person managing the account to reproduce the correct branch:

- Whether the workbook is personal, work, or school owned.
- The account address type used in Excel and whether it owns the eligible entitlement.
- The subscription category shown in Microsoft 365 account settings.
- The exact message, including “Unsupported file state” or license-validation wording.
- The workbook extension, storage location, and whether it was checked out in SharePoint.
- Whether third-party cookies are blocked in the browser used for web validation.
- Whether Copilot appears in Excel for the web or on another supported platform.
- Whether the failure is the pane, an edit request, or a
=COPILOT(...)formula returning#NAME?.
This information distinguishes an entitlement problem from a file-state problem and gives an administrator the details needed to check tenant policy without asking you to repeat unrelated fixes.
