An e-Way Bill error usually points to one of five different problems: a mistyped GSTIN, taxpayer data that has not synced from the GST Common Portal, an incorrectly formatted vehicle number, a VAHAN/RTO record issue, or a change of vehicle after the bill was generated. Identify the category first; each has a different official remedy. The steps below reflect the E-Way Bill System FAQ and related official guidance reviewed on 9 October 2026. Portal labels and rules can change, so confirm the wording shown in your account before submitting or cancelling a bill.

Start with the error category

Do not keep re-entering random values when the portal rejects an e-Way Bill. Note the exact message, whether you are creating a bill or updating Part-B, and whether the bill has already been submitted or verified. Then match the symptom to the appropriate path.

Error category What it usually indicates Correct first action
Invalid GSTIN or taxpayer not found A typing error or unavailable/out-of-date GST Common Portal data Re-enter the number and use Search Taxpayer; refresh details with Update My GSTIN if the registration was amended
Invalid vehicle format The registration was entered in a form the portal does not accept Compare it with the registration certificate and use the portal’s standard format
Vehicle unavailable in VAHAN or linked to multiple RTOs A government vehicle-record problem rather than just a keystroke mistake Ask the concerned RTO to correct or update the registration record
Vehicle changed after generation Breakdown, trans-shipment or another legitimate change in the vehicle carrying the goods Update the actual vehicle in Part-B within the bill’s original validity period
Another submitted-field error A value other than Part-B is wrong after submission Use the FAQ’s cancellation-and-fresh-generation route only when its conditions are met

Save a screenshot or copy of the exact message before changing anything. API users should also record the response code and the supplier or consignee identified in the response.

Fix an “Invalid GSTIN” message

1. Check the number character by character

Re-enter the GSTIN from the registration certificate or a trusted business record. Check the state code at the beginning, the PAN-derived characters in the middle, the entity number, the alphabetic check character and the final checksum character. Remove spaces and punctuation unless the field itself displays a different instruction. A single transposed character can produce the same message as a genuine database problem, so verify the source document before escalating.

2. Confirm recognition with Search Taxpayer

In the E-Way Bill system, open Search and choose Taxpayer, then enter the GSTIN. The official FAQ explains that “Invalid GSTIN” can mean either that the number is wrong or that the taxpayer’s details are not available from the GST Common Portal. Search Taxpayer separates those possibilities: if the number is not recognized there, correct the entry or investigate the registration record before attempting the bill again.

The portal has also issued guidance directing users who see an Invalid GSTIN problem to Search → Taxpayer and enter the GSTIN. Use that route for both your own GSTIN and the other party’s number, rather than relying on an old invoice or saved browser value.

3. Refresh recently changed registration data

If the legal name, address, business status or another registration detail was recently amended, sign in and use Update My GSTIN. This fetches the current details into the E-Way Bill system. Allow the update to complete, sign out and back in if the portal requests it, and then verify the displayed taxpayer information before generating a bill.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If the refreshed information is still wrong, the defect is in the underlying GST Common Portal registration. Amend that registration through the GST process first; the E-Way Bill system depends on those records and cannot permanently repair an incorrect source record. Keep the amendment acknowledgement or reference number for your records in case the help desk asks when the change was filed.

4. Distinguish supplier and consignee errors in an API response

For integrations, the official API error list identifies 208 as “Invalid Supplier GSTIN” and 212 as “Invalid Consignee GSTIN.” Code 208 means the supplier value needs checking; code 212 points to the consignee value. Validate the affected party with Search Taxpayer and confirm that the API payload contains the same characters as the recognized GSTIN. The published list is explicitly incomplete, so use the GetErrorList API for the current catalogue rather than assuming an unlisted code has no meaning.

Correct stale or missing taxpayer details

A GSTIN can be valid while the E-Way Bill form still shows old details. This often occurs after a registration amendment, a change of principal place of business, or a recent update that has not yet been pulled into the E-Way Bill account. The remedy is a data refresh, not a different spelling of the GSTIN.

  1. Open the E-Way Bill account associated with the GSTIN.
  2. Select Update My GSTIN and allow the system to retrieve the current registration information.
  3. Review the returned legal name, address and other fields before starting the bill.
  4. If the returned data remains incorrect, correct the registration in the GST Common Portal and wait for that change to become available to the E-Way Bill system.
  5. Retry the bill only after the taxpayer search and displayed details agree with the registration record.

Do not create a bill using a colleague’s remembered address or an old master-data file simply to get past the error. A successful submission with stale details can create a separate compliance problem that a GSTIN refresh would have prevented.

Fix an invalid vehicle-number format

Use the registration format shown by the portal

The vehicle field expects a standard registration format, not necessarily the spacing or punctuation printed on a document. The official FAQ gives this example: a registration displayed as TN 10 DE 45 is entered as TN10DE0045. Follow the exact field guidance visible in your portal version, including any instruction about leading zeroes, letters or trailers.

  1. Read the registration number directly from the registration certificate or the vehicle record.
  2. Remove spaces and separators unless the field specifically asks for them.
  3. Preserve every letter and zero; do not substitute a similar-looking letter or omit a block because the number appears short.
  4. Compare the completed value with the portal’s example format for that state and vehicle series.
  5. Submit again and retain the exact value used in the bill and transport documents.

For API integrations, error 225 is labelled “Invalid Vehicle Number Format.” Treat it as a formatting or payload-validation failure first. If the value follows the displayed format but the portal still rejects it, move to the VAHAN/RTO checks below instead of repeatedly changing characters.

When the portal reports a VAHAN or RTO problem

Vehicle not available in VAHAN

An alert that the vehicle number is unavailable in VAHAN may indicate that the government registration record is missing or has not been updated. The official FAQ warns that a vehicle absent from VAHAN may later be disallowed for e-Way Bill generation. Confirm the number against the registration certificate, then contact the concerned RTO to check and correct the record. This is not necessarily a typing error that the consignor or transporter can fix inside the E-Way Bill form.

Vehicle shown under more than one RTO

If the portal says the vehicle is registered in more than one RTO, ask the RTO to update the office details in the registration record. Provide the vehicle number and supporting registration documents and request correction of the duplicate or outdated association. Retry the e-Way Bill only after the authoritative record has been updated; changing the same number in different formats will not resolve a duplicate RTO mapping.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not confuse a record alert with a temporary browser failure

Record the wording and time of the alert, then try once more after signing in again. If the same VAHAN message persists, treat it as a registration-data issue and pursue the RTO route. Keep the response or acknowledgement from the RTO so the transporter, taxpayer or help desk can see that the government record—not merely the form entry—was checked.

Update Part-B when the vehicle changes

A vehicle can change after an e-Way Bill is generated. A breakdown, trans-shipment or similar event may require the goods to continue in another vehicle. In that situation, the transporter or the bill generator can update the vehicle number in Part-B so the bill reflects the vehicle actually carrying the goods.

  1. Open the existing e-Way Bill and choose the Part-B vehicle-update function available to your role.
  2. Enter the replacement vehicle using the portal’s accepted registration format.
  3. Check that the replacement is the vehicle physically carrying the consignment and that the transport document details remain consistent.
  4. Submit the Part-B update and save the acknowledgement or updated bill view.
  5. Continue the movement within the original validity period shown for the bill.

This route is for a genuine change in the vehicle, not for disguising an incorrect vehicle entered at generation. If the original number was simply typed incorrectly and the goods have not moved, assess the cancellation rules instead.

What to do when another detail is wrong after submission

The official E-Way Bill FAQ states: “The e-way bill once generated cannot be edited or modified. Only Part-B can be updated.” That means an incorrect invoice value, date, address or other submitted field is not corrected by reopening the bill and overwriting it.

Cancellation and fresh generation

The FAQ provides a cancellation route for a bill when the goods are not transported or are not transported as stated in the bill. It says an incorrect bill may be cancelled and generated afresh within 24 hours. Treat that as a condition-bound remedy, not an unrestricted editing window. Verify the current status and portal wording before cancelling, because the facts of the movement determine whether the route applies.

When cancellation is blocked

A bill that has already been verified by an officer cannot be cancelled. Check the bill’s status before attempting the action. If verification has occurred, do not generate a second bill merely to replace the first one; preserve the existing records and seek official guidance on the compliant next step.

Safe decision sequence

  1. Confirm whether the error is in Part-B or another submitted field.
  2. Confirm whether the goods have moved and whether the bill says they were transported as stated.
  3. Check the generation time against the FAQ’s 24-hour cancellation period.
  4. Check whether an officer has verified the bill.
  5. Only if the FAQ’s conditions are satisfied, cancel the bill and generate a new one with verified details.

API and integration checks beyond GSTIN and vehicle fields

The official API error list is described as incomplete and includes failures for addresses, PIN codes, state codes, transporter IDs and other required fields. When an integration rejects a request, capture the HTTP response, application error code, field name and payload used. Compare each value with the master data shown in the portal rather than assuming a GSTIN error is responsible for every failed request.

  • For code 208, validate the supplier GSTIN.
  • For code 212, validate the consignee GSTIN.
  • For code 225, validate the vehicle-number format.
  • For any other code, retrieve the current details through the GetErrorList API and correct the named field before resubmitting.

Keep API credentials, request identifiers and timestamps private when sending a case to support. Share only the information the help desk needs to reproduce the error.

Escalate when portal, GST and vehicle records disagree

Use the official E-Way Bill Contact Us page for the help desk and grievance-redressal portal when Search Taxpayer, Update My GSTIN, the format check and the relevant RTO action do not resolve the problem. A precise case is more useful than a description such as “bill not working.”

Prepare the following before opening the complaint:

  • Exact error text, including capitalization and any numeric code.
  • GSTIN of the supplier, consignee or transporter involved, as applicable.
  • e-Way Bill number, generation time and current status, if a bill already exists.
  • Vehicle registration number exactly as entered and the format shown on the registration certificate.
  • Screenshots that do not expose passwords, API secrets or unrelated personal data.
  • Search Taxpayer or Update My GSTIN results, and any RTO acknowledgement relevant to a VAHAN alert.

State what you already tried and whether the goods have moved. That lets support distinguish an input correction, a source-record amendment, a Part-B update and a cancellation-status question without asking you to repeat the same tests.

Prevent the most common repeat errors

  • Copy GSTINs from the current registration record and verify each party with Search Taxpayer before high-volume billing.
  • After a GST registration amendment, run Update My GSTIN and check the returned address and legal name before generating the next bill.
  • Store vehicle numbers in a normalized form that matches the portal’s state-specific example, while retaining the registration certificate as the source document.
  • Check that newly acquired, transferred or re-registered vehicles appear correctly in VAHAN before dispatch.
  • Give transport staff a controlled process for recording breakdowns and trans-shipments so Part-B is updated to the vehicle actually carrying the goods.
  • Monitor bill status and verification state; do not assume every mistake can be cancelled after submission.
  • For APIs, map response codes to the current GetErrorList output and log the exact payload field that failed.

Worked examples

Example: GSTIN rejected while creating a bill

A consignor receives “Invalid GSTIN” for the consignee. The operator first checks the number against the registration certificate, then uses Search → Taxpayer. Search fails, so the operator asks the consignee to confirm the current GSTIN. If the number is correct but the registration was amended recently, the consignee refreshes E-Way Bill data with Update My GSTIN and, if necessary, corrects the GST Common Portal record. The consignor generates the bill only after Search Taxpayer returns the expected details.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Example: Vehicle number accepted on paper but rejected in the form

The certificate displays TN 10 DE 45, while the operator enters it with spaces. The portal rejects the value as an invalid format. The operator follows the FAQ example and enters TN10DE0045, then checks every character against the certificate. If the portal instead reports that the vehicle is missing from VAHAN, the operator stops editing the string and contacts the concerned RTO.

Example: Truck breaks down after generation

The original bill remains valid, but the goods are loaded onto a replacement vehicle. The transporter updates Part-B with the replacement registration and continues within the original validity period. The update records the vehicle actually carrying the goods; it does not alter invoice or other submitted fields.

Example: Wrong invoice detail discovered before movement

The bill contains a non-Part-B error and the goods have not been transported. The operator checks the generation time, confirms that no officer has verified the bill, and consults the current FAQ conditions. If the 24-hour cancellation route applies, the operator cancels and generates a fresh bill. If verification has occurred or the conditions are not met, the operator keeps the bill records and escalates instead of creating an unauthorised replacement.
