For a broken workbook link, open Data > Queries and Connections > Workbook Links, choose the affected workbook, select More Commands > Change source, browse to its current file, and refresh. Back up the destination workbook before changing or breaking links.
First identify what “link” means in your workbook
Excel uses several features that can look like broken file links but are repaired in different places. Changing a workbook link will not repair a clickable hyperlink, and neither workflow controls a Power Query connection.

| What you see | What it is | Where to repair it |
|---|---|---|
A formula contains another workbook name, such as C:Reports[Budget.xlsx]Sheet1!$B$4 |
Workbook link (external formula reference) | Data > Queries and Connections > Workbook Links, or the formula bar for one cell |
| Clicking text, a shape, or an image should open a file or web page | Hyperlink | Edit the hyperlink target; the Workbook Links pane does not repair it |
| The workbook imports, combines, or transforms data | Power Query source | Data > Queries & Connections, then edit the query’s source |
A workbook link supplies values to formulas from a separate Excel file. A hyperlink only navigates to a destination. Power Query stores a data-import definition and its own source settings. Select the correct category before changing anything, otherwise you can alter a working feature without fixing the actual failure.

Save a copy of the destination workbook before changing a source or breaking links. A source change can affect every formula grouped under that linked workbook. Breaking a link is more consequential: Excel replaces formulas that depend on the source with their currently calculated values, removing the live dependency. Microsoft warns in its desktop guidance that this conversion cannot be undone, so keep an untouched backup if the source may be needed again.

Repair a broken workbook link in desktop Excel
The following Workbook Links controls are documented for Excel for Microsoft 365 and the desktop releases listed by Microsoft as Excel 2024, 2021, 2019, and 2016. Labels can vary slightly by build and platform.
1. Open the Workbook Links pane
- Open the destination workbook.
- On the ribbon, select Data.
- Open Queries and Connections, then select Workbook Links.
- Find the linked source workbook in the pane. If you need to inspect it, use Open workbook when that command is available.
The pane lists workbook-level link entries rather than necessarily showing every individual cell. Microsoft also provides Find next link in this area to move through detected links.
2. Point the link to the source’s current location
- Select the linked workbook entry.
- Open the More Commands menu beside it.
- Choose Change source.
- Browse to the workbook that actually contains the required data.
- Select that file and confirm the selection.
- Use Refresh after the source is reachable, then check representative formulas and totals.
This is the normal repair when a source workbook was moved, renamed, or stored under a different folder. The change applies to references associated with that listed source entry, so check more than one destination cell after the operation.
3. Repair only one formula when necessary
If one cell has an incorrect source but other formulas should continue using the existing workbook, do not redirect the entire Workbook Links entry. Select the destination cell and edit its external reference in the formula bar. A reference may resemble C:Reports[Budget.xlsx]; replace the old workbook location with the correct path while preserving the sheet name, cell address, and required punctuation.
After editing, press Enter and verify that the formula still begins with the intended function and that the returned value comes from the correct file. This method is precise but requires you to identify the exact formula and source path yourself.

Repair the link on Excel for Mac
Microsoft’s Mac instructions use the link entry’s command menu. Select the broken link, choose More … > Change Source, locate the source workbook, select it, and then choose Refresh. If the source is stored in OneDrive or SharePoint, confirm both that your account can open the file and that its current path or sharing link has not changed.
The Mac workbook-link procedure is not a hyperlink repair. If clicking a cell should open a document or web page, edit that hyperlink instead of looking for it in Workbook Links.
Make sure Excel can reach the source
A correct-looking filename does not guarantee that Excel can read the source. A link update requires the file to be available and your account to have permission to open it.
Moved, renamed, or reorganized source
Use Change source and select the file’s present location. If several similarly named files exist, open the candidate source and confirm that it contains the expected worksheets, tables, and periods before selecting it. A successful path change can still point to the wrong revision if the files are not checked.
Mapped drive and UNC path differences
Excel stores path information based partly on how the source workbook was opened. A link created through a mapped drive can remain tied to that drive letter, while a source opened through a UNC path does not automatically become a mapped-drive link merely because a drive mapping is available. If a workbook works for one user but not another, compare the stored path with the path each computer can access and use one consistently available location.

Different computer or Office installation
Excel dynamically forms an absolute path from stored link components and the source path. Moving the workbook to another computer, or opening it with an installation whose Office folders differ by version, can leave a path that no longer resolves. Change the source to a location valid on the new computer rather than manually guessing an Office directory.
Network, OneDrive, or SharePoint availability
If the source is on an unreachable network, disconnected storage, or a cloud location for which you have no access, Excel cannot refresh the link even when the formula is correct. Reconnect to the network, sign in with an account that has permission, and test that the source opens directly in Excel. On Mac, Microsoft specifically advises checking OneDrive or SharePoint access and the current path or link.
Parameter-query dependency
For a parameter query, Microsoft says the source workbook must be open before the destination workbook’s link can be updated. Open the source first, then reopen or refresh the destination link.
Excel for the web has refresh limitations
Excel for the web cannot refresh workbook links in every environment. Microsoft’s guidance identifies cross-domain, cross-geography, and cross-tenant scenarios as unsupported for this refresh operation. When the source and destination fall into one of those arrangements, use desktop Excel with access to both files instead of repeatedly retrying the browser refresh.
Do not assume that a browser workbook showing numbers has fetched current source data. If Excel did not refresh the link, the displayed values may be the last stored results.

Find links that are not visible in ordinary cells
External references can exist outside the obvious worksheet formulas. Microsoft’s Document Inspector can identify certain external links in worksheet cells, defined names, shapes or text boxes, chart titles, and chart data series. The Workbook Links pane also includes Find next link. Use both when a warning persists after visible formulas appear fixed.
- Save a backup copy before inspecting or removing anything.
- Use the Workbook Links pane and select Find next link to move through detected references.
- Run Excel’s Document Inspector and review findings for external links in names, objects, and charts.
- Open suspicious names, shapes, and charts to determine whether they should still point to an external workbook.
- Repair each valid reference or remove an obsolete object deliberately, then save and reopen the workbook to test the warning again.
Document Inspector reports links; it does not automatically remove them. Microsoft states that there is no automatic way to find all workbook links, so a clean-looking worksheet is not proof that every external reference is gone.
Do not confuse a broken hyperlink with a workbook link
A hyperlink is a navigation instruction attached to a cell, shape, or other object. It may point to a web address, a local file, or a network location. If the click opens an error, edit the hyperlink’s address and test the destination directly. Check for a renamed file, changed share, unavailable network, or a URL that now redirects. The Workbook Links pane is for formulas that retrieve values; it does not change hyperlink targets.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Manage a broken Power Query source separately
Power Query sources are managed through Data > Queries & Connections. Select the affected query and edit its source, credentials, or connection settings in the query controls. A query may read a workbook, folder, database, or web source without creating ordinary external formulas, so changing a Workbook Links entry will not repair it.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
After correcting the query source, refresh the query and inspect the resulting table or connection status. If the query depends on a file path, apply the same access checks used for a workbook link: confirm the file exists, the account has permission, and the path is valid on the computer performing the refresh.
Best Value
Choose the right response when the source is unavailable
| Option | Use it when | What happens |
|---|---|---|
| Change source | The source moved, was renamed, or has a new accessible location | References associated with the listed workbook link are redirected to the selected file |
| Edit one formula | Only one destination reference is wrong | The selected cell receives a different external reference; other links remain unchanged |
| Refresh | The source is reachable and current values are required | Excel attempts to retrieve current source data |
| Don’t Update | The source is temporarily unavailable or you must work without contacting it | Excel retains stored results, which may be stale |
| Break links | You intentionally want fixed values and no live dependency | Dependent formulas are converted to their current calculated values |
Choose Don’t Update when you cannot verify the source, not as a substitute for a successful refresh. Stored values can look plausible while representing an older period. Choose Break links only after deciding that future automatic updates are unnecessary and preserving a backup.
Security and policy blocks
Starting in October 2025, Microsoft says Trust Center File Block Settings apply to external workbook links for blocked file types, disabling those links by default. If a link fails even though the path and permissions are correct, inspect the organization’s Trust Center or administrative policy. A policy-controlled block is a security decision; do not promise that changing a workbook path will bypass it. Contact the applicable administrator and follow the organization’s approved settings for the file type.
Symptom-based troubleshooting
The Workbook Links pane lists the source, but Change source does not solve it
- Open the selected source manually and verify that it is the intended revision.
- Confirm that the destination account can read the file and that a network or cloud sync is complete.
- Check whether the failing cells actually use a different source, hidden name, chart, or object.
- Use Find next link and Document Inspector to locate residual references.
Only one user sees the broken-link warning
Compare mapped-drive letters, UNC paths, sign-in accounts, and permissions. A link tied to one computer’s drive mapping may not resolve for another user even when both can reach the same server.
Recommended Free Tools
The workbook opens without prompting, but values are old
Excel may be using stored values because the source was not refreshed or the user selected Don’t Update. Open the source, correct access or path problems, and perform a deliberate refresh before relying on the numbers.
A chart or name still triggers an external-link warning
Inspect defined names, chart titles, chart series, shapes, and text boxes. External references can remain there after visible worksheet formulas have been corrected.
The browser version cannot refresh the link
If the files are in different domains, geographies, or tenants, move the operation to desktop Excel. Those cross-boundary refresh scenarios are not supported in Excel for the web according to Microsoft’s guidance.
Quick Recap
Prevent future broken links
- Keep related workbooks in a stable, shared location instead of repeatedly renaming or moving the source.
- Document whether your organization uses mapped drives or UNC paths, and avoid mixing conventions for the same source.
- When migrating computers, test links before retiring the old installation.
- Use clear source filenames and retain a controlled archive so a changed path can be mapped to the correct revision.
- Review defined names, charts, shapes, and text boxes when retiring an external workbook.
- Before distributing a workbook, refresh it from an account and computer configuration representative of its intended users.
- Tell recipients whether displayed values are refreshed results or a deliberately saved snapshot.
A safe repair checklist
- Make a backup of the destination workbook.
- Determine whether the problem is a workbook link, hyperlink, or Power Query source.
- For a workbook link, open Data > Queries and Connections > Workbook Links.
- Use Change source for a whole linked-workbook entry, or edit one formula in the formula bar for a single-cell correction.
- Confirm that the selected source is the right file and that your account can open it.
- Refresh and validate representative formulas, totals, and dates.
- If the warning remains, inspect names, objects, charts, and hidden references.
- Use desktop Excel for unsupported web cross-domain, cross-geography, or cross-tenant refreshes.
- Choose Don’t Update only when you accept potentially stale stored values.
- Break links only when static values are intentional, and preserve the backup first.
