Fix an office chair by identifying the failing part before you tighten hardware or order a replacement. A seat that drops under your weight usually involves the pneumatic gas-lift cylinder or the control mechanism. A side-to-side movement can come from the control mechanism, a loose connection, or structural damage. A squeak often comes from a dry joint or contacting hardware, but lubrication is safe only where the chair maker permits it.
Start by recording the chair’s model and serial number, checking its warranty, and reading the manufacturer’s service instructions. Keep the base supported on the floor during diagnosis, stop using a chair that appears structurally damaged, and use only parts confirmed to fit that model.

Before you repair it: make the chair safe
Move the chair to a clear, level area with enough room to turn it over only when the instructions require that step. Keep the casters and five-star base on the floor for movement tests. If the seat, back, base, welds, or cylinder is visibly cracked, bent, or separating, do not continue to use the chair or improvise a repair; contact the manufacturer or the dealer that sold it.

- Write down the maker, exact model, and the serial number. HON places the serial number on the underside and directs owners to use it when contacting the purchasing dealer.
- Check the warranty before disassembling anything. Removing a part can affect a warranty or make an authorized service claim harder to process.
- Use the owner’s manual for fasteners, approved lubricants, and part numbers. Chair mechanisms that look alike are not automatically interchangeable.
- Keep fingers clear of pivots and pinch points while someone else applies pressure to the seat or back.
Know which chair part can cause each symptom
The height system has several separate parts. The lever operates a control mechanism, which opens or closes the valve in the pneumatic cylinder. The cylinder supports the seat and allows height adjustment. The cylinder fits into the control mechanism and the base, and those connections are commonly friction-fit. The star base and its caster sockets carry the load to the floor.

These are starting points, not universal diagnoses. A cylinder from one chair may have different dimensions or fittings from another, and the available sources do not establish a standard size or universal interchangeability.
How to fix a chair that sinks
Confirm that it is a height-holding failure
- Raise the seat to a comfortable height while unloaded.
- Release the height lever completely and sit normally, without bouncing.
- Watch whether the seat drops immediately or gradually. Repeat once to rule out accidentally holding the lever against the control.
- Check whether the lever or its housing is bent, loose, or unable to return to its normal position.
A seat that repeatedly descends under load points first to the pneumatic cylinder or the control mechanism. HON identifies both as likely sources, and HBADA describes a worn lift as a common cause. A bolt adjustment or a spray of lubricant cannot restore pressure to a cylinder that no longer holds height.
Check the model, serial number, and warranty before ordering
Look underneath the seat for the serial label and record every character. Use the model and serial number in the manufacturer’s parts or support process, and ask the purchasing dealer which cylinder or control mechanism is approved. A replacement cylinder is a physical-product match only when its dimensions, fittings, travel, and load specification match the chair’s design. Do not choose solely by a generic description such as “office-chair gas lift.”

If the chair is still covered, let the manufacturer or dealer determine whether the cylinder, control mechanism, or another component is covered. A service replacement may preserve the warranty where a self-installed part would not.
Decide between a cylinder and a control-mechanism service
- Choose cylinder-focused service when the seat drops under a normal occupant, the height lever returns normally, and the manufacturer identifies the lift as the replacement part.
- Ask about the control mechanism when the lever remains engaged, the valve does not release correctly, or the manufacturer’s diagnostic procedure locates movement or failure at that mechanism.
- Do not substitute a mechanism for a cylinder by guesswork. The two parts perform different jobs, and replacing the wrong one leaves the original fault in place.
How to diagnose and fix a wobbly chair
Separate seat movement from a rocking base
With the base on the floor, place one hand on a stable part of the base and observe the seat while applying gentle pressure. Determine whether the whole base rocks on the floor, the seat pivots around the cylinder, the back moves independently, or one caster shifts in its socket. Each location suggests a different repair, so “tighten everything” is not a complete diagnosis.
A seat that feels loose while the base remains planted can involve the control mechanism or the junction between that mechanism and the pneumatic cylinder. A base that rocks while unloaded points instead toward a caster, caster socket, floor contact, or base problem.

Use the controlled side-to-side test
HON’s support procedure keeps the chair’s base on the floor and alternates pressure on the left and right sides of the seat. Apply light, even pressure rather than twisting violently. Watch the junction between the cylinder and control mechanism. If movement is concentrated there, HON says the control mechanism may need replacement.

- Stand beside the chair so you can steady it without placing your hands near a pinch point.
- Press the left side of the seat, release, then press the right side with similar force.
- Repeat while looking at the cylinder-to-mechanism junction and the underside mounting points.
- Record where the movement begins and provide that observation, the serial number, and photographs to the purchasing dealer or manufacturer.
Inspect accessible fasteners without over-tightening
If the manual identifies seat or arm fasteners that owners may service, check them with the correct tool and tighten them evenly. Do not force a fastener that spins, cross-threads, or pulls out of a cracked mounting point. A stripped insert, bent plate, or separation around a weld is a structural fault, not a routine tightening job. Stop using the chair and arrange model-specific service.
How to stop an office-chair squeak
Find the exact joint before applying anything
Reproduce the sound with one movement at a time: sit down, swivel, recline, return upright, and raise or lower the seat. Have another person listen while you move, or place a fingertip near (not inside) the suspected joint to feel which component shifts. Squeaks commonly arise where hardware has loosened, where a rotating joint is dry, or where two components contact each other.

Look for a loose screw, washer, or cover, but use the maker’s instructions for which fasteners are user-serviceable. Tightening a bolt that controls a recline pivot or a mechanism can alter its adjustment or damage the part if the manual does not authorize it.
Lubricate only approved points
HBADA’s troubleshooting guidance recommends a small amount of lubricant on designated rotating joints and connecting points, then contacting customer service if the noise continues. That is manufacturer-specific guidance, not a universal recipe for every chair.

- Read the manual and identify the exact moving points it permits you to lubricate.
- Use the product and quantity specified by the maker; apply a small amount rather than flooding the joint.
- Protect upholstery, flooring, and electrical equipment from drips and overspray.
- Move the joint through its normal range to distribute the lubricant, then wipe away excess.
- Test the same movement again. If the squeak persists, report the model, location, and conditions to the manufacturer instead of adding more lubricant.
Never assume that lubricant can repair a sinking cylinder, a cracked base, or a loose structural connection. It addresses friction at an approved moving point only.

Replacing a pneumatic gas lift: what the procedure involves
Gas-lift removal can be difficult because the cylinder is held by friction rather than screws or bolts. Indiana Furniture notes that a long-used fit may be tight and describes using a large pipe wrench. Treat that as one manufacturer’s method, not a universal requirement: your chair may require a different procedure or authorized service.
Prepare the work area
- Obtain the exact replacement approved for the chair model.
- Use a stable work surface, protective padding, and a helper if the chair is heavy.
- Gather only the tools named in the chair’s instructions. A large pipe wrench may be needed for the cited friction-fit method, but do not assume its size or use is suitable for another design.
- Plan how the inverted chair will be stabilized. Indiana Furniture warns that an unsecured inverted chair can tip.
Remove the old cylinder according to the maker’s instructions
- Lower the chair, remove any removable accessories specified by the manual, and disconnect the base from the work area as instructed.
- Invert and support the chair so it cannot tip. Keep the seat and back from bearing against a fragile surface.
- Locate the friction-fit connections at the base and control mechanism. Confirm that there are no retaining screws or clips before applying force.
- Use the prescribed wrench or removal tool to break the fit. Apply controlled force; do not strike, cut, drill, heat, or improvise on a damaged cylinder.
- Once released, lift the old cylinder out and compare the replacement’s fittings and dimensions with the part information supplied for your model.
Install and test the replacement
- Insert the new cylinder into the base and control mechanism exactly as shown in the instructions.
- Return the chair upright and verify that the base is fully seated before applying your weight.
- Operate the height lever while unloaded, then sit carefully and test several height settings.
- Check that the seat holds position, the base remains stable, and no new noise or side-to-side movement appears.
- If the seat still sinks, stop troubleshooting by adding lubricant or tightening random bolts; the control mechanism or an incompatible part may be the remaining fault.

Compare options by four factors: confirmed compatibility, the actual failed component, warranty or authorized-parts access, and whether the chair can be safely stabilized for the proposed work. A low-cost generic part is not a bargain if it does not fit or leaves the original fault untouched.
When to stop and contact the manufacturer
- The chair continues to sink after a correctly identified replacement part is installed.
- Side-to-side movement is concentrated at the control mechanism or a mounting plate.
- The base, seat frame, back frame, weld, or caster socket is cracked, bent, or separating.
- The cylinder is seized and the manufacturer’s removal method cannot be performed with stable support.
- You cannot identify the model or confirm that a replacement part matches its dimensions and fittings.
- The chair is under warranty and the maker requires dealer contact before repair.
For HON chairs, the support guidance is to locate the underside serial number and contact the purchasing dealer for suspected mechanism and related faults. Other makers may use a different channel, so use the support path printed in your manual or on the product label.

- Use the chair within the weight and operating limits stated in its manual.
- Keep the base and casters clear of debris so the chair rolls without sudden loading or snagging.
- Periodically look for loose accessible hardware, cracked plastic, bent metal, or movement that was not present before.
- Address a new squeak early by locating its joint instead of spraying the entire underside.
- Do not lean back, stand on the seat, or apply side loads that the chair’s instructions do not permit.
- Keep the model and serial number with the purchase record so a correct part can be identified quickly.
A practical decision sequence
- Stability first: if the chair rocks on the floor or shows structural damage, stop using it and seek service.
- For sinking: confirm the lever is released, then use the model and serial number to identify whether the cylinder or control mechanism is supported for replacement.
- For wobble: perform the controlled left-right seat test with the base on the floor and note the exact junction where movement starts.
- For squeaks: reproduce the sound at one joint, inspect approved hardware, and lubricate only points named by the manufacturer.
- For gas-lift work: follow the chair-specific removal procedure, stabilize an inverted chair, and use controlled force because the fit may be tight.
- After any repair: test height retention, stability, and noise while unloaded, then under normal seated load. Stop if the original symptom remains or a new one appears.
The reliable fix is the one that matches the symptom to the failed component and the replacement to the exact chair model. Manufacturer instructions and authorized dealer support are more dependable than a generic cylinder, a universal lubricant recipe, or a blanket instruction to tighten every bolt.
