When a workflow or memory app opens without your previous session, first assume a persistence, scope, account, or synchronization problem—not that the work is necessarily gone. Confirm what failed, verify the same account and workspace, check whether anything was saved, test access to the storage location, and use reversible recovery steps before clearing data, signing out, resetting, or reinstalling.
What a failed session restore actually means
“Restore” can describe several different outcomes. An app might be missing a conversation or history item, forgetting preferences or instructions, failing to load a saved workflow checkpoint, or refusing to start at all. These failures have different causes and recovery options. A generic message such as “memory failed” is not enough to choose a safe repair.

| What you expected | What may have failed | What to check first |
|---|---|---|
| Previous conversation or history | The item was never saved, has expired, is hidden by a filter, or belongs to another account or workspace. | History, archive, account, workspace, retention settings, and the last successful session. |
| Preferences, instructions, or profile memory | The information was stored in a temporary session scope instead of a persistent user or project scope. | Memory scope and whether the setting survives a new session. |
| Workflow checkpoint | Persistence was disabled, the checkpoint was not committed, or the app cannot read its instance store. | Autosave or persistence status, selected project or database, permissions, and storage health. |
| Interrupted recording or dictation | The app saved content for recovery but does not support resuming the exact interruption point. | Recovery or transcription history, retention rules, and whether the recording was saved. |
| The application itself | An update, corrupted local database, full disk, read-only location, or platform-specific startup fault. | Exact error text, version, device, operating system, storage capacity, and app diagnostics. |
A new session cannot recreate state that was never persisted. It also cannot see data stored under a different scope, profile, workspace, device, or backend. Treat those as the primary hypotheses until the app’s own documentation proves otherwise.

Support pages sometimes use very specific symptom wording, such as “Flow is having trouble loading,” “My reminder didn’t fire,” or “I sent a message and nothing happened.” Those phrases are examples of real support labels, not evidence that every app uses the same terminology. Capture the wording your app displays rather than translating it into a broad diagnosis.
Step 1: Confirm identity and scope
Before repairing storage, make sure the app is looking in the same place as before. Sign-in can appear successful while loading a different profile, organization, project, or region.
- Open the account or profile menu and verify the email, organization, and role.
- Check the selected project, repository, workspace, folder, or database.
- Compare the current device with the one used for the last successful session.
- Look for a workspace switcher, environment selector, or local-versus-cloud toggle.
- Check whether the missing information was session-only, project-scoped, or user-scoped.
Memory scope determines lifetime. VS Code, for example, distinguishes user, repository, and session memory. Session memory does not persist across sessions; user memory persists across workspaces; repository memory is tied to a workspace. This is an example of a general rule, not a claim that every app uses the same labels. If information was placed in a temporary session scope, opening a new session may be working as designed.

- Search history by date, title, project, or device.
- Remove filters that hide archived, completed, failed, or older items.
- Check whether autosave or persistence is enabled.
- Look for a last-saved timestamp and compare it with the time of the interruption.
- Check retention and privacy settings that intentionally prevent storage.
Persistence normally has two separate operations: writing state and reading it later. Microsoft Workflow Foundation illustrates the model. Its Load operation reads workflow data from an instance persistence store, while Persist and Unload write workflow state to that store. If a workflow was never persisted, a later session has no checkpoint to load. If it was persisted but the app cannot access the store, loading can fail even though the data still exists.
Step 3: Check access to the storage location
Once you know what should exist, test whether the app can reach the store that contains it. Separate access problems from missing-data problems; the fixes are different.
Connectivity and synchronization
- Confirm that the device is online if the app uses cloud history or synchronization.
- Check the app’s sync indicator, last-sync time, and any queued or failed uploads.
- If a VPN, proxy, firewall, or managed network is in use, test on an approved alternative connection.
- Wait for a pending sync to finish before closing the app or changing accounts.
Disk space and permissions
- Check free space on the system drive and the drive containing the app’s data.
- Verify that the app can read and write its data directory, project folder, or database.
- Check whether an external, removable, encrypted, or network location is currently mounted and available.
- Do not change permissions blindly on a managed computer; ask an administrator if the location is controlled by policy.
Database and storage errors
Some products distinguish a full disk, a corrupted local database, and a read-only storage location in their diagnostics. Treat these as separate possibilities only when the target app reports them. A full disk may prevent new checkpoints; a read-only location may allow viewing but not saving; corruption may require a vendor-supported repair or export. Do not delete a database merely because it is suspected to be damaged.

- Finish or cancel active work safely. If the app is still recording, syncing, or committing a workflow, wait for completion where possible. Avoid force-quitting during an active save.
- Fully quit and relaunch. Close every app window, then exit the process using the platform’s normal quit command. Reopen it and wait for synchronization to complete.
- Install available updates. Record the current version first, then apply the official update for your operating system. An update can fix a restore bug, but it can also change storage behavior, so preserve the original error details.
- Run a small control test. Create a short, disposable session, save it, quit normally, reopen the app, and test restoration. If the new test works, the original item may be outside the retention window, in a different scope, or individually damaged. If the test fails too, focus on account, storage, permissions, or a service outage.
- Try the app’s built-in recovery or export. Use a history, checkpoint, archive, or export command before clearing caches. Save recovered content somewhere separate from the app.
App-specific ordering can differ. A support guide for Wispr Flow, for example, recommends a full quit and reopen, a short test, checking for updates, and contacting support if the same error returns. That sequence is an example for that product, not a universal command sequence for every workflow app.
Step 5: Understand what recovery can and cannot restore
Recovery may restore content without restoring the exact runtime state. A transcript, exported conversation, or saved output can preserve what was produced while losing the cursor position, in-progress tool call, unsent input, timers, or external connections.
Wispr Flow documents this distinction for interrupted desktop dictation: a recovery offer can transcribe saved interrupted audio, but it does not resume the recording from the exact interruption point. Its stated History recovery window is 14 days for eligible items. Settings such as Never store or Delete after 24h can make older material unavailable. These conditions apply to Flow and should not be generalized to another app.

- Is the data local, cloud-synchronized, or stored in both places?
- Does it restore the exact session state, or only the content produced by that session?
- What scope owns it: session, project, workspace, user, or organization?
- Is the action reversible, and could it delete unsynchronized local data?
- What evidence does the app expose through history, timestamps, logs, or export files?
Step 6: Protect local data before destructive actions
Reset, sign-out, cache clearing, and reinstalling can remove the only local copy of unsynchronized work. Treat each action as destructive until the vendor’s backup and synchronization behavior is clear.
Before clearing a cache
- Export conversations, workflows, settings, or recordings if the app offers export.
- Copy project files or local databases only when the vendor permits it and the copy will not be modified in place.
- Confirm the last successful cloud-sync time.
- Check whether the app has a recovery folder or support diagnostic bundle.
Before signing out
- Verify the account and workspace you will use to sign back in.
- Wait for pending uploads to finish.
- Read the sign-out warning carefully and screenshot it if it describes deletion.
Before resetting or reinstalling
Wispr Flow states that a desktop reset removes its local database and related files and requests a fresh sync of cloud-stored notes and meetings. Its mobile guidance warns that signing out or reinstalling deletes local Flow data. Those are product-specific warnings, but they demonstrate why you must check backup and sync behavior before taking equivalent action in another app.

| Action | What it can fix | What it cannot fix | Risk |
|---|---|---|---|
| Quit and reopen | Transient UI, stalled process, or incomplete in-memory initialization. | Unsaved state, wrong account, expired history, or inaccessible storage. | Low, provided active saves are complete. |
| Update the app | Known restore, sync, or startup defects addressed by the vendor. | Data that was never saved or intentionally deleted. | Usually low, but preserve the old version and error details. |
| Switch back to the correct account or workspace | Data hidden by scope or identity mismatch. | Missing persistence or damaged storage. | Low if you do not delete local data. |
| Export or built-in recovery | Recoverable content, checkpoints, transcripts, or archives. | Expired items and state never written to storage. | Low; save the export separately. |
| Clear cache | Temporary indexes or stale UI metadata. | Missing server data and deleted local databases. | Medium; confirm what the app calls a cache. |
| Sign out, reset, or reinstall | Severely damaged local state or a clean-start problem, when documented by the vendor. | Unsynchronized work and data outside the backup window. | High until backup and sync are verified. |
Vendor-specific examples and their limits
Microsoft Workflow Foundation
Workflow Foundation is a .NET workflow framework, not evidence about an unnamed consumer application. Its persistence model is useful for diagnosis: Load reads from an instance persistence store, while Persist and Unload save state there. For a Foundation-based system, inspect whether persistence services are configured, whether the expected instance store is selected, and whether the process has permission to read and write it. A successful workflow start does not prove that a checkpoint was committed.
VS Code memory scopes
VS Code’s agent tooling demonstrates why scope must be checked explicitly. User memory survives workspace changes, repository memory belongs to a workspace, and session memory ends with the session. If a note was created in session memory, starting a new session will not restore it. Use the product’s documented memory location and scope controls rather than copying this terminology to another app without verification.
Best Value
Wispr Flow
Flow’s support material is a current example of platform-specific behavior. Desktop recovery may transcribe saved interrupted dictation audio rather than resume the recording. Eligible History items have a stated 14-day recovery window, while Never store and Delete after 24h settings affect availability. Desktop reset removes local database files and requests a fresh cloud sync; mobile sign-out or reinstall removes local Flow data. These details are not general rules for workflow-memory software.
When to escalate to support
Escalate after the same error returns following identity, scope, storage, restart, update, and control-test checks—or sooner if the data is business-critical and a destructive prompt appears. Send a compact evidence package:
- Exact error text and screenshots, with sensitive content redacted.
- App version, device model, operating system, and platform.
- Account, organization, project, and workspace identifiers that support can safely use.
- Time and date of the last successful restore and first failure, including time zone.
- Whether the issue began after an update or configuration change.
- Connectivity, free-space, and sync status at the time of failure.
- Every action already attempted and its result.
- Whether a new short session can save and restore.
Do not repeatedly reset or reinstall while waiting for a reply; each attempt can overwrite logs or remove local evidence. Follow the target app’s official instructions for collecting logs, and preserve an export if one is available.
Preventing the next failed restore
- Use a persistent user or project scope for information that must survive a session change.
- Keep autosave or persistence enabled when the app provides that control.
- Allow synchronization to finish before closing the app or switching devices.
- Maintain free disk space and avoid placing active stores on intermittently mounted locations.
- Periodically export critical workflows, instructions, conversations, or recordings.
- Document the account, workspace, and storage location used by important projects.
- Review retention and privacy settings so short retention is intentional rather than surprising.
- After major updates, run a small save-and-restore test before starting critical work.
Frequently Asked Questions
Can reopening an app restore work that was never saved?
No. Relaunching can reload persisted state or clear a transient fault, but it cannot recreate data that was never written to a session, project, user, or cloud store.
Why does a new session show some memory but not other memory?
The items may use different scopes or retention rules. Persistent user or project data can survive while session-only data expires when the earlier session ends.
Should I reinstall immediately when history is empty?
No. First verify the account, workspace, sync status, retention settings, and available exports. Reinstallation can remove unsynchronized local data.
What should I send support if the problem keeps returning?
Send the exact error, app version, device and operating system, account or workspace, time the issue began, whether an update preceded it, and the steps and test results you already recorded.
