First determine whether the printer failed to join your Wi‑Fi network or joined successfully but is not being found for printing. Check the printer’s wireless icon, control-panel status, or printed network report, then follow the matching path below. The exact buttons and setup screens vary by model, so use your printer’s official guide for the final step.
Identify the failure before changing settings
A wireless printer can fail at two different stages:
As an Amazon Associate I earn from qualifying purchases.
| What you see | Likely stage | Start here |
|---|---|---|
| The Wi‑Fi light is off or the printer says it is not connected | The printer has not joined the router | Check the network name, password, band support, signal, and router access controls. |
| The printer shows a network name or an IP address, but your computer or phone cannot find it | The printer joined Wi‑Fi but discovery or communication is failing | Confirm both devices are on the same network, wake the printer, and check for wireless isolation. |
| The printer appears in the operating system, but jobs stay queued or fail | The connection may be stale, the printer may be asleep or offline, or the software entry may be wrong | Check status, restart the printer, and re-add it if necessary. |
| A scanner or multifunction printer is not detected while the printer itself is visible | Scanning software may be using a different connection path | Use the manufacturer’s scanner connection instructions and run the printer’s network report. |
Do not assume that a failed print job means the printer never connected. Brother’s support guidance explicitly separates a successful WLAN connection from a later inability to print; that distinction determines which checks are useful (Brother’s WLAN troubleshooting guide).
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Run these quick checks first
- Wake the printer. Press a normal control-panel button or open its display. A sleeping printer may not answer discovery requests immediately.
- Read its wireless status. Look for the Wi‑Fi icon, a connected message, or an option to print a network or wireless test report. Record the network name and any error code or IP address.
- Check the other device. Confirm that the computer or phone is connected to the same Wi‑Fi network name shown by the printer. A phone on cellular data, a guest network, or a second access point may not be able to reach it.
- Test the router with another device. Open a website or use another network service. If every device has lost access, troubleshoot the router or internet connection before changing printer settings.
- Move the printer temporarily. For setup, place it where the wireless signal is reliable and away from large obstructions. You can return it to its normal location after it connects.
- Restart in a controlled order. Turn off the printer, restart the router, wait until the router is fully operational, and then turn the printer back on. This clears temporary association and discovery failures without deleting saved settings.
If the printer cannot join Wi‑Fi
Confirm the network name and password
Open the printer’s wireless setup or network wizard and select the exact SSID used by your computer or phone. Watch for similarly named networks, a guest SSID, and capitalization or punctuation errors in the password. If the router hides its SSID, use the printer’s documented manual-entry method rather than selecting a visible name.

Some printers retain an old network profile after a router change. Delete or replace that profile through the printer’s network menu, but do not reset all network settings until simpler checks have failed. A full network reset can erase every saved wireless detail.
Check band and network-mode compatibility
Printers differ in the Wi‑Fi bands and network modes they support. Do not conclude that every printer requires 2.4 GHz: the requirement is model-specific. Epson’s support guidance says that some products need a 2.4 GHz network and, in the relevant situation, recommends giving the 2.4 GHz and 5 GHz networks separate names so the product can select the compatible one (Epson’s wireless-router troubleshooting page).
Check the specifications or setup guide for your exact model. If your router combines both bands under one SSID, temporarily create distinct names—such as a 2.4 GHz SSID and a 5 GHz SSID—only if the printer’s instructions call for it. Connect the printer and the computer or phone to the network that can communicate with the printer. Keep the change reversible; do not disable a band permanently without a reason.

Remove signal and access-control obstacles
- Bring the printer closer to the router while completing setup.
- Check whether the router has device allowlists, access restrictions, parental controls, or a paused-device list that could reject the printer.
- Avoid using a guest network unless the router permits devices on that guest network to communicate with one another. Guest isolation commonly prevents printing even when internet access works.
- If the router was replaced or its security settings changed, verify the new configuration against the printer’s documented requirements rather than repeatedly entering the same password.
Epson identifies SSID visibility, wireless range, and router access restrictions among the causes to check when a product cannot connect. The printer’s network report is more reliable than guessing from the Wi‑Fi icon because it can identify the stage at which association failed.

Use the manufacturer’s normal setup route
Use the setup method documented for the exact model. The usual choices are a wireless setup wizard on the printer, a manufacturer app on a phone or computer, WPS, or a temporary USB-assisted setup when the model supports it.
| Setup route | When to use it | Important limitation |
|---|---|---|
| Printer wireless wizard | The printer has a display or navigation buttons and can list nearby networks | Menu labels and input methods are model-specific. |
| Manufacturer app | The model’s official app supports wireless setup | The phone or computer must be on the intended network during setup, and app steps vary by model. |
| WPS | Both the router and printer explicitly support WPS | Follow the timing requirement. Epson says to start the printer’s WPS operation within two minutes of pressing the router’s WPS button. |
| Temporary USB-assisted setup | The model’s instructions support using a USB cable to transfer wireless settings | A cable does not repair Wi‑Fi by itself. Confirm the printer’s connector and compatibility before buying or using one. |
For WPS, press the router’s WPS control only when the printer is ready for its WPS procedure, then begin the printer step within the model’s stated window. If either device lacks WPS, use manual setup instead; do not treat WPS as universal.
HP describes a temporary USB connection as a setup route for supported situations (HP’s printer setup guide). Disconnect the cable after wireless setup if the instructions say it is temporary. Verify the connector type and model support before purchasing a USB printer cable.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minutePrint and read a network or wireless test report
Most network-capable printers can print a wireless status, network configuration, or test report from the control panel. The report may show the SSID, connection state, signal information, IP address, and an error or failure stage. Use the report to answer three questions:

- Did the printer authenticate with the selected SSID?
- Did the router assign it an address?
- Is the printer reporting a restriction, weak signal, or incompatible network mode?
If the report says the printer is not associated, return to the SSID, password, band, range, and access-control checks. If it shows a valid connection and address, stop repeating wireless setup and follow the connected-but-not-printing path below.
Reset network settings only after simpler fixes
A network reset can remove a corrupted profile or old router details, but the exact sequence differs by model and may clear every saved network setting. Before resetting, obtain the model’s official instructions and make sure you know the current SSID and password. After the reset, run the documented wireless setup method again and print a fresh report.
If the printer is connected but will not print
Verify same-network membership
Compare the SSID shown on the printer’s report with the SSID shown on the computer or phone. A printer on the main network may be unreachable from a guest network, and a computer connected through a different access point may be isolated from it. If your router broadcasts several similarly named networks, connect both devices to the same intended network before re-adding the printer.
Check sleep, offline, and queue status
- Wake the printer and confirm that its display does not say offline, paused, or out of service.
- Open the operating system’s printer list and inspect the queue. Cancel an old stuck job, then send a small test page.
- Restart the printer and the computer or phone after the network itself is confirmed to work.
- If the printer received a different address after a router restart, remove and add it again through the operating system or the manufacturer’s software.
HP’s troubleshooting guidance also recommends checking connection status, signal, restarts, and the printer’s reports when a printer or scanner is not found (HP’s connection troubleshooting document).

Look for wireless isolation
Wireless isolation, sometimes called client isolation or access-point isolation, allows devices to reach the internet while blocking device-to-device communication. That produces the confusing result of a printer that appears connected but cannot be discovered. Check the router’s wireless or guest-network settings and disable isolation for the network used by the printer only if your security policy permits it. If you cannot change the setting, ask the network administrator or use a permitted network that allows local device communication.
Re-add the printer when discovery is stale
Once the printer’s report confirms a valid connection, remove its old entry from the computer or phone and add it again using the current operating system or manufacturer software. This refreshes the saved address and driver or app association. Follow the model’s official instructions for the operating system; a generic driver may not expose all functions of a multifunction printer.

When replacing the router is justified
Router replacement is not a routine printer fix. Consider new networking equipment only after the printer’s documentation confirms a requirement that the existing router cannot meet—such as a supported band or network mode that cannot be enabled, or a required local-device setting that the router cannot provide. Before buying anything, test whether a separate compatible SSID, corrected access rule, or non-isolated network resolves the issue. A new router will not fix a mistyped password, a sleeping printer, a stale printer entry, or a blocked guest network.
A concise recovery sequence
- Wake the printer and inspect its Wi‑Fi status or print a network report.
- Put the computer or phone and printer on the same SSID and verify that another device can use the router.
- If the printer is not associated, check SSID, password, supported band and network mode, signal range, and router access restrictions.
- Run the model’s official wireless wizard, app setup, supported WPS procedure, or supported USB-assisted setup. For Epson WPS procedures, begin the printer step within two minutes of pressing the router button.
- Restart the router and printer, then print a new report.
- If the report shows a valid connection but printing fails, check sleep/offline state, queue status, wireless isolation, and the printer’s software entry.
- Reset network settings only with the model’s instructions, and re-add the printer afterward.
The correct fix is the one that matches the observed failure and the printer model. A report showing “connected” calls for discovery and software checks, while a report showing failed association calls for wireless configuration and compatibility checks.
Frequently Asked Questions
Do all wireless printers need a 2.4 GHz network?
No. Band support is model-specific. Some products require 2.4 GHz, while others support additional bands. Check the exact printer documentation; if the router combines bands under one SSID, separate names may be needed for a compatible setup.

Only in models that support temporary USB-assisted wireless setup. The cable transfers setup information in that supported workflow; it does not repair the printer’s Wi‑Fi radio or router configuration. Confirm connector type and model instructions first.
Why does the printer say connected but my computer cannot find it?
The devices may be on different networks, the printer may be asleep, the router may isolate wireless clients, or the computer may have a stale printer entry. Confirm the SSID on both devices, disable permitted isolation settings, wake the printer, and re-add it if its network report shows a valid connection.
Should I replace my router when the printer will not connect?
Usually not. First verify the printer’s required band and network mode, SSID, password, signal, and router access controls. Replace networking equipment only when the existing router cannot be configured to meet a documented printer requirement.
