A free scan shows the junk files, broken settings and background clutter dragging Windows down - then fixes them in one click.Free scan · Windows 10 & 11With Gmail’s conversation view turned off, every message appears as its own inbox row, but Gmail’s search and organization tools still work. Find a reply by searching words from its subject or body, the sender’s name or address, a date range, or an attachment. Then use labels, filters, stars, archive, and mute to keep those separate messages manageable.
What conversation view off actually changes
Conversation view is a display preference. When it is off, Gmail lists individual messages separately instead of stacking replies into one conversation row. Turning it off does not delete messages, erase reply history, or unlink the messages that belong to the same exchange. Search and Gmail’s organization tools remain available.

When conversation view is on, Gmail groups related messages into a conversation and places the newest message at the bottom of the thread. Google says a conversation can split into a new conversation when the subject line changes or when it grows to more than 100 emails. Those rules explain why a reply may not always appear inside the thread you expect, even when conversation view is enabled.

Separate-message view is useful when you need to scan each incoming item independently, process replies one at a time, or avoid a long thread hiding a newer message. Grouped view is better when the surrounding history matters more than seeing each message as a separate row. Labels, filters, stars, archive, and mute work with either display choice.

Think of the setting as a change to presentation rather than a change to your mailbox structure. The same messages remain searchable, labelable, archivable, and available in All Mail. If you later turn conversation view back on, Gmail can group messages according to its subject and size rules; switching views does not rebuild or duplicate the mail.
Turn conversation view off or find the setting
On a computer
- Open Gmail.
- Click Settings.
- Choose See all settings.
- In the settings page, scroll to Conversation View.
- Select Conversation view off.
- Click Save Changes.
Gmail also provides a shortcut in the Quick settings sidebar. Open Settings, then scroll to the Email Threading control and choose the individual-message option. If the sidebar does not expose the control you need, use the full settings page and save the change there.
The full settings page is useful when you want to verify the selected option rather than relying on a quick toggle. After saving, Gmail returns you to the mailbox. Give the inbox a moment to redraw, especially if many messages share a subject, then check whether those messages now occupy separate rows.

Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →In the Gmail Android app
- Open the Gmail app menu and tap Settings.
- Tap the email address for the account you want to change.
- Under General, toggle Conversation view.
Conversation view is configured per account in the Android app. Gmail’s settings screen also notes that some settings are available only on a computer, so the desktop and Android menus are not identical. If you use several accounts, check the account address shown at the top of settings before changing the switch.
A change made for one account should not be treated as a change for every account you have added to the app. Repeat the account-selection step for each mailbox whose display you want to change. If you cannot find a desktop-only option in Android, use Gmail on a computer instead of assuming the setting has disappeared.
Confirm that the change took effect
Return to the inbox and look for messages with the same subject. In individual-message view, they should occupy separate rows rather than one conversation row. This confirms the display change; it does not indicate that Gmail has created duplicate copies.
Open one of the rows and note its sender and date. A separate row represents a separately listed message, so two rows with similar subjects can still be different messages from different points in the exchange. Use those details when deciding which reply needs action.

Find a reply when every message has its own row
The search box is the fastest way to locate a reply. Gmail can match words in the subject, message body, or sender name. Start with a distinctive word, project name, customer name, or phrase you remember from the reply. A search does not depend on conversation view being enabled.
Start with a distinctive term
Use a term that is unlikely to occur in unrelated mail. A project code, unusual phrase, or the sender’s surname generally produces fewer results than a generic word such as “update.” If you remember two or three terms, enter them together to narrow the result set.

When you only remember the topic, begin with the subject or a phrase from the body. When you remember who answered, use the sender’s name or address. When you remember what was attached, combine a topic term with the attachment criterion. This approach is faster than scanning every separate row in chronological order.
Narrow the search with Gmail criteria
| What you remember | Example search | How it helps |
|---|---|---|
| Sender address | from:[email protected] |
Limits results to mail from that address. |
| Date window | after:2019/3/29 before:2019/4/5 |
Restricts results to the date bounds in Google’s example query. |
| A word or phrase | budget approval |
Looks for those terms in searchable message content, including the subject or body. |
| An attachment | has:attachment |
Shows messages with attachments when the missing reply included a file. |
The date and operator examples above are Google Help examples, not a complete list of every Gmail search syntax option. You can combine a sender, date bound, keyword, or attachment criterion when one condition alone returns too many messages.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
For example, a sender restriction plus a date range can separate this week’s response from an older message by the same person. A subject term plus has:attachment can surface the reply that included a document. Add only criteria you actually remember; an incorrect date or sender can hide the message you are trying to locate.
Search outside the inbox
If the reply is not in Inbox, broaden the search instead of assuming it was deleted. Archived messages remain available in All Mail, and Gmail says an archived message returns to the inbox when someone replies. A reply may therefore be easy to miss if you are looking only at the current inbox rows.
Search first, then check the message’s subject, sender, and date in the results to distinguish the reply from an earlier message with similar wording. When several separate rows look alike, use the most specific sender or date restriction you know rather than scrolling through the inbox.
If you find the message in All Mail, open it before deciding what to do next. You can apply a label, star it, or return it to active inbox work as appropriate. The important distinction is that archive removes the Inbox placement; it does not remove the message from Gmail’s searchable mailbox.
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Organize separate messages without folders
Gmail does not use traditional folders as its primary organizing model. Its documented tools are labels and filters. A label adds a category that can be applied to one message or many messages; a filter applies rules so matching mail receives an action automatically. Because a message can have more than one label, you can classify the same reply by project, customer, urgency, or team without moving it into a single exclusive folder.
Use labels for projects and status
Create labels that reflect the way you work, such as a project name, a customer, or a state such as “Waiting for reply.” When conversation view is off, select the individual reply or group of matching messages and apply the relevant label. This gives you a stable way to return to the messages after they leave the inbox.
Use a project label for “which work does this belong to?” and a status label for “what happens next?” Applying both preserves context without forcing one message into one category. If a reply changes status, update the status label while leaving the project label in place.

Use filters for repeatable rules
Filters are useful when the same type of message arrives repeatedly. A sender, subject term, keyword, date-related condition, or attachment characteristic can identify a class of mail; the filter can then apply your chosen organization action. Review a filter’s criteria carefully before saving it so that a broad word does not classify unrelated mail.
Filters reduce repetitive work, but they should reflect a pattern you can state clearly. “Mail from this sender about this project” is more reliable than a vague rule built around a common word. Check the first few messages that receive the automatic action and revise the criteria if unrelated mail is included.
Star messages that need action
Use a star for a reply that needs a follow-up, decision, or response. A star is a lightweight priority marker, so it is useful when you want the message to remain easy to spot without assigning a permanent project label.
Stars and labels solve different problems. A label records what the message is about; a star calls attention to what you still need to do. Removing a star after the action is complete gives you a simple way to keep the action queue current.
Archive completed work
Archive a completed reply when it no longer needs to occupy the inbox but should remain searchable. Archiving removes the inbox view, not the message itself. The message stays in All Mail and can be found with the same search terms, sender criteria, date bounds, or attachment criteria.
Archive only after you have applied any label or star you still need. If someone replies to an archived message, Gmail says that message returns to the inbox, making the inbox a place for current activity while All Mail retains the historical record.
Mute noisy exchanges
Mute a conversation when future replies should skip the inbox and go to the archive. This is useful for an announcement or long-running exchange that you may need to search later but do not want interrupting your inbox. Muting is an organizational choice; it does not delete the messages.
Mute is best for exchanges whose future updates are useful to retain but do not require an inbox interruption. For a message that still needs your response, use a star or status label instead of muting it and potentially overlooking the next reply.
A practical workflow for reply-heavy inboxes
- Search before scrolling. Enter a distinctive subject or body term, then add a sender, date, or attachment criterion if the results are broad.
- Check the whole result set. If the message is missing from Inbox, include archived mail in your search and look in All Mail.
- Identify the exact reply. Compare the sender, subject, and date shown for each separate row so you do not act on an earlier message.
- Apply a project or status label. Label the message immediately if you will need to retrieve it by topic later.
- Star an outstanding action. Use a star when the next step is personal follow-up rather than a broad category.
- Archive finished items. Remove completed mail from Inbox while keeping it available in All Mail and search.
- Mute recurring noise. For an exchange that should not keep returning to Inbox, mute it so later replies are archived.
- Create a filter for patterns. If the same sender or subject pattern appears regularly, use a filter instead of repeating the manual labeling process.
This sequence separates discovery from organization: search locates the message, then labels and status tools determine what should happen to it next.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Individual messages versus grouped conversations
| Choice | What appears in the inbox | Best when you need | Trade-off |
|---|---|---|---|
| Individual messages | Each email appears as its own row. | To scan, sort, label, star, or process replies one at a time. | A long exchange can produce many related rows. |
| Grouped conversations | Related replies appear in one conversation, with the newest message at the bottom. | To read the exchange as a continuous history. | A changed subject or a conversation exceeding 100 emails can split the exchange. |
The display choice does not replace organization tools. You can use labels, filters, stars, archive, and mute whether messages are listed separately or grouped together.
Choose individual messages if your main task is triage: identifying each reply, assigning it to a project, or marking one item for follow-up. Choose grouped conversations if you usually need to read the prior exchange before responding. Neither choice is a filing system by itself, so pair it with labels and a consistent archive habit.
What to do when a reply seems missing
The inbox shows no matching row
Search for a distinctive word from the body or subject, then add the sender’s address or a date range. A reply may be archived, so check results beyond the inbox and use All Mail when necessary.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesThe search returns too many messages
Replace a generic term with a project name or unusual phrase. Add from:, an after: and before: range, or has:attachment when those details fit the message you are seeking.
A reply appears in a different apparent thread
Compare the subject line. Gmail can split a conversation when the subject changes, and it also breaks a conversation after more than 100 emails. With conversation view off, this behavior is less visible because every message is already listed separately, but the same underlying grouping rules explain why a related reply may not be beside earlier mail when grouped view is later enabled.
You worry that turning the view off removed the thread
Turning conversation view off changes presentation, not message storage. Use search, labels, archive, and All Mail to locate and manage the messages; there is no need to recreate a thread manually.
You changed the setting but still see a crowded inbox
Check that you changed the intended account, especially in Android where the conversation switch is under the selected account. On a computer, revisit Settings, See all settings, and Conversation View, then save the setting. The Quick settings Email Threading control is an alternate route.
You cannot tell which row is the newest reply
Compare the date and sender shown for each row, then open the candidate message to verify its content. Separate-message view removes the single thread summary, so the row details and search criteria become your way to distinguish an earlier message from the reply you need.
Best Value
Keeping the inbox manageable over time
Choose a consistent naming scheme
Use labels that answer a retrieval question: which project, which customer, or which status? Consistent names make separate rows easier to scan and reduce the temptation to keep every completed reply in Inbox.
Separate urgency from subject
Let labels describe the subject or project, and use stars for immediate personal action. This prevents a single label from having to mean both “belongs to this project” and “needs attention today.”
Review filters when your work changes
A filter that was accurate for one project can become too broad after a subject pattern or sender list changes. Periodically inspect automatic rules and adjust their criteria so new mail continues to receive the intended label or other action.
Use archive as a retrieval decision, not deletion
If you can find a message by search and do not need it in the active inbox, archive it. Keep Inbox for work that still requires attention, and rely on labels, stars, and search for the historical record.
Use All Mail as the safety net
When a message is not where you expect, search broadly and check All Mail before concluding it is gone. Archived mail remains there, and a later reply can return an archived message to Inbox. This habit prevents repeated searches through only the visible inbox rows.
Frequently Asked Questions
Does turning off conversation view delete or unlink replies?
No. It changes how Gmail displays messages. The messages remain searchable and can still be organized with labels, filters, stars, archive, and mute.
How do I find a reply when messages are listed separately?
Use Gmail search with a distinctive subject or body term, the sender’s name or address, a date range, or has:attachment. Check All Mail if the reply is not in Inbox.
Why is a reply not beside the earlier message when conversation view is on?
Gmail can split a conversation when the subject changes or when the conversation exceeds 100 emails. Separate-message view also makes every message appear on its own row.
What is the difference between archive and mute?
Archive removes a message from Inbox while keeping it in All Mail and searchable. Mute sends future replies in that exchange to the archive instead of bringing them back to Inbox.
Can I use labels and filters with conversation view off?
Yes. Labels, filters, stars, archive, and mute are organization tools that work whether messages are displayed individually or grouped.
Is Gmail’s Android setting the same as the desktop setting?
The Android app has a per-account Conversation view switch under General. Some Gmail settings are available only on a computer, so the menus are not identical.
The Bottom Line
Conversation view off only separates the rows you see. Find replies with Gmail search, including sender, date, keyword, and attachment criteria; check All Mail for archived messages; then use labels, filters, stars, archive, and mute to control what stays visible. Pick individual or grouped display based on whether independent triage or full reply history matters more.
