How to Find Official Updates and Records About a University Investigation

Start with the university’s official police or public-safety page, records-request office, and the office responsible for the investigation. Those sources may publish different things: a brief crime-log entry, an official update, an annual report, or a released review report. If no relevant records are posted, use the institution’s records-request process and ask for specific records by office, date range, and case or incident number. What is available—and when—depends on the record type and applicable law.

Where to look first

  1. Search the university’s official website. Try the university name with the investigation or office name and terms such as “updates,” “reports,” “records request,” or “FOIA.” Depending on the state, “public records request” or the state’s public-records term may be more useful. Prefer pages hosted by the university, its police department, a relevant state agency, or a court.
  2. Check the office responsible for the process. Look for news, reports, or case-information pages from campus police, Title IX, compliance, or another named investigative office. For example, the University at Albany’s Independent Review Committee lists review report titles and release dates: Independent Review Committee.
  3. Review campus police logs. A crime or activity log may show an incident date, general location, and disposition. Stockton’s published log illustrates these kinds of entries: Stockton University Crime Log.
  4. Read the records office’s instructions. Find the institution’s police-records or public-records page before submitting anything. The University of Cincinnati, for example, explains that police-record requests may be made through several channels and that its form is optional: University of Cincinnati Police Records.
  5. Look for an archive of requests or releases. A university may publish a public-records request log that helps identify relevant record categories. UConn’s request log is one example: UConn Public Records.

Use the page’s date and contact details to confirm that the instructions are current. Office names, portals, and case-status pages can change.

What kinds of records might be available?

Universities may post public-facing crime logs, annual reports, official statements, policies, review reports, or some police records. These records serve different purposes and have different scopes.

  • Status updates and statements may identify which office is handling a matter or announce a procedural development, but may not describe the evidence or outcome.
  • Crime or activity logs are brief administrative entries. They can help establish that an incident was logged, but are not a complete investigative file.
  • Annual reports summarize activity according to the reporting office’s definitions, time period, and exclusions. The University of Tennessee Office of Title IX’s 2025 report, published in 2026, says it covers the 2025 calendar year, excludes reports to confidential resources, and records 529 student and employee concerns. That is a figure for that institution and report—not a general university statistic. See the UT Title IX reports and information.
  • Review or final reports may be released in some cases, but availability varies. Check the issuing office and whether the document describes a preliminary review, a completed university process, or something else.
  • Request logs and released-record archives can show what categories of records have been requested or released, but a log entry is not itself the requested record.

How to request records that are not posted

If the official pages do not have what you need, follow the named institution’s records-request instructions. Ask the records custodian for identifiable records rather than a broad explanation of the investigation.

  1. Identify the university office likely to hold the records, such as campus police, Title IX, or a public-records office.
  2. Give the incident or case number if known, plus a date range and any other details that distinguish the matter.
  3. Name the records sought. For example: “Records related to incident [number] from [start date] through [end date], including the crime-log entry and any releasable status updates.”
  4. Use the submission channel specified by the institution. Do not assume that another university’s form, address, or response timetable applies.
  5. Keep a copy of your request and the response, including any explanation of redactions, denial, or appeal instructions.

The University of Cincinnati says requests for police records can be made through multiple channels and its form is optional; that describes Cincinnati’s process, not a universal rule. Check its current instructions at the university’s records page.

Why records may be withheld or redacted

Access rules depend on the record and jurisdiction. A public university is not required to release every document simply because it is a public institution.

  • Investigative reports: Penn State says its daily log is open to public inspection while investigative reports are generally protected under Pennsylvania’s Criminal History Record Information Act. That is a Pennsylvania-specific description, not a rule for every state. See Penn State Police Records.
  • Personal information: The University of Cincinnati notes that details such as Social Security numbers, driver’s-license numbers, and telephone numbers may be redacted under Ohio’s Public Records Act. See University of Cincinnati Police Records.
  • Privacy, active investigations, or privilege: San Diego State University describes California exemptions that can protect privacy, the integrity of an ongoing investigation, or attorney-client privilege. See SDSU Police Records Requests.
  • Student disciplinary records: Columbia’s guidance describes disciplinary records and notes that university disciplinary proceedings are subject to FERPA. See Columbia Student Disciplinary Records.

A denial, redaction, or “no records” response does not by itself establish what happened. It may reflect the records held, retention practices, privacy protections, or limits concerning an active investigation. Read the response for its stated basis and any appeal route; the applicable process varies by institution and jurisdiction.

How to tell what an update or record actually establishes

  • Identify the issuing office. A campus police update, Title IX notice, compliance review, and outside law-enforcement statement may concern separate processes. Check which body authored each document.
  • Distinguish a log entry from a finding. A crime-log entry is a brief administrative record, not a complete case file, final investigative report, or proof that an allegation is true.
  • Check the date and status. A page may be old, and a report may be preliminary or final. Look for publication dates, reporting periods, and language describing the document’s status.
  • Read the definitions behind counts. Annual-report figures depend on what the office counts, the period covered, and exclusions. Attribute any number to the issuing office and year rather than treating it as a general rate.
  • Separate university and law-enforcement tracks. A university process and a criminal investigation can proceed independently and apply different rules. One office’s update may not reflect the other’s status.

Useful searches and request wording

Try combinations such as “university investigation updates,” “official investigation report,” “campus police records request,” “public records request,” or “crime and fire log.” For a request, a focused description such as “records related to [incident or case number] from [date range]” is more actionable than asking generally for “everything about the investigation.” Use the university’s own terminology and instructions where available.
