How to Find Funding and Travel Support for a Student Robotics Team

Start with the official competition organization and its regional partner, then check each grant’s eligible costs before counting it toward travel. Robotics funding depends on the program, location, team status, deadlines and award conditions: some grants can help with travel, while others pay only registration. The examples below reflect program pages for the 2026–2027 season; confirm current terms and remaining funds with the funder before building your budget around an award.

Start with your team’s program and location

There is no single grant list that applies to every student robotics team. First record your competition program (such as FIRST Robotics Competition (FRC), FIRST Tech Challenge (FTC) or VEX), country and state or region, whether the team is rookie or veteran, and the school or nonprofit that supports it.

For FIRST, review FIRST’s team grant guidance. Sponsors may select teams directly, host an application through FIRST, work with a local Program Delivery Partner, or contribute to pooled grants such as FRC New Team or Sustainability Grants and the FTC Rookie Grant. Ask the local partner what opportunities serve your area.

For VEX, begin with VEX’s funding page, which links to location-specific resources for the United States, Canada and the United Kingdom. VEX funding varies by region; there is not one universal grant to assume applies everywhere. Its funding and grants guide, last updated April 15, 2026, advises teams to define needs and goals, gather details, plan, proofread and understand the submission and review process.

Check whether the money can pay for travel

Read the eligible-expense language before treating an award as travel support. A grant may support the team broadly, cover selected costs, or be restricted to competition registration. The payment method matters too: funds sent to FIRST or a school may not be available as cash for tickets or lodging.

  • Travel may be allowed: FIRST says unrestricted grants can cover miscellaneous expenses, including travel, for U.S. FRC teams. Pennsylvania FIRST’s Philadelphia team-support grant also lists competition travel among possible uses, subject to its recipient and program requirements.
  • Registration-only support: NASA’s 2026–2027 FRC sponsorship covers an eligible team’s first Regional or district registration and is credited directly to the team account through FIRST. It is not general-purpose travel money.
  • Check funder-specific restrictions: FIRST requires a Donor Intent Form for all FIRST Team Grants and advises teams to check how each grant allocates funds and handles unused money.

NASA’s 2026–2027 FRC sponsorship

NASA’s sponsorship is limited to FRC teams in the United States; it does not sponsor teams outside the country or teams in other robotics programs. For this season, the page says it prioritizes rookie teams and offers no veteran grants. A rookie is new to FRC and has not yet competed in an official FRC event. The Year-Two route applies to teams that were rookies and received NASA sponsorship during the 2026 season; those teams must have secured $5,000 in corporate funds and agree to mentor another robotics team.

The application close date shown was September 30, 2026, so it has passed. NASA also requires an educational institution sponsor letter, student entry and exit surveys, an annual report, and a completed robot brought to competition. Treat these as program obligations, not optional paperwork.

Build a funding search and application plan

  1. Write down your team profile. Include program, country and region, rookie or veteran status, school/nonprofit sponsor, and the specific costs you need covered.
  2. Search official sources first. Check your competition organization’s grant page and regional partner. For FIRST, look for sponsor-hosted and pooled grants and ask the local Program Delivery Partner about local opportunities. For VEX, follow the location-specific funding link.
  3. Separate your budget into costs. List registration, robot parts and tools, event travel and lodging, and other needs separately. For each opportunity, note eligible expenses, amount or range, deadline, availability, payment recipient, sponsor requirements and reporting duties.
  4. Ask your school or nonprofit sponsor about administration. Confirm its rules for grant applications, donations, reimbursements and travel approval before you apply. Some programs require institutional letters or route funds through an organization.
  5. Track pending applications separately from confirmed awards. Do not commit to travel or other spending on the assumption that an application will be funded; California FIRST and FIRST’s portal both say that applying does not guarantee an award.
  6. Prepare the recurring application materials. Gather the team number and program, a clear use-of-funds budget, any required school/nonprofit support letter, and a plan for receipts, participation, surveys and final reports.

Verify timing and payment before relying on an award

Deadlines do not tell you whether money remains. California FIRST says its rookie FRC grant is first come, first served while funds last. FIRST’s portal lists application windows that close on specified dates. Check the live page or contact the program partner before treating an opportunity as open or including it as confirmed income.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Also find out who receives the award and when. NASA sends registration support through FIRST; Pennsylvania’s Philadelphia program specifies school/nonprofit payment rules and stated that some state funding had not yet arrived when its page was posted. A grant’s headline amount therefore may not be spendable by the team on the date travel bookings are due.
